General Notes:-

1. The firm may visit the site before quoting the rates.
2. Strength and stability of furniture shall be the responsibility of the furnisher.
3. Foam shall be of sleepwell and Jindal of 40 density.

4. All Commercial Block Board and plywood to be of Green, century and laminates shall be
of
Green/Century, formica brand or as approved.
5. Teakwood lipping shall be provided on all visible edges of board.
6. Anti-termite treatment shall be done on all fixed furniture i.e. board touching to the wall
like cupboards/cabinets and LCD unit etc.
7. All hardware fittings shall be off standard company and as approved by the architect.
(Locks of godrej/ harison/link make).
8. Water proof ply HDHMR board of action teas/green board shall be used for the surface
touching the wall i.e. back of cupboard cabinets and LCD etc. Aluminium
9. All the dimensions/sizes of furniture items are tentative & will be finalized at the time of
sample approval and as site conditions/ requirements.
10. The rates of the upholstery / leatherite shall be of @ Rs.800/- per mt. for rooms &Curtains
shall be of Rs.300/- pm.If less shall be deducted and if extra will be paid.
11. Nothing extra shall be paid for minor modifications, alterations because of better aesthetics,
site requirements or strength of furniture etc.
12. All the work to be polished in melamine/ lacquer finish and the sample to be got approved
at the time of sample approval.

 13. The colour scheme will be given at the time of supply order.

15. Delivery period shall be 2 months including sample approval.

QUALIFICATION CRITERIA:
1. The applicant should have minimum turnover of Rs.50 lacs p.a. or above during
current proceedings year in any of the two financial years from 2016-17 and 2017-

18.
2. The applicant should also be capable of providing interior furnishing items like flower
pots, table lamps framed paintings, wall hanging curtains, bed covers, besides taking
up works of renovation/fixture items, change of upholstery/cushioning etc.
3. The applicant should be capable of providing furniture of each category of items i.e.
wooden, steel, cane, wrought iron etc.
4. Each application is to be accompanied by a demand draft or earnest money @2% of
the estimated cost in the form of Bank Draft in favour of the Managing Director,
Haryana Tourism Corporation Limited, Chandigarh, failing which tender will not be
considered/valid for this purpose. The earnest money of the successful tender will be
adjusted towards security.
5. All applicant to enclose copy of the audited balance sheet of their company/firm for the
last two financial years and a list of the organizations for which similar job have been
undertaken by them during the last two years. Experience of the firm of such works in
hotel industry is mandatory.
6. All applicants should give a brief resume about their company/firm for the last two year
and the facilities/infrastructure available with them for manufacturing the furniture.
7. The firm should have executed such work of at least 75% of the cost of the applied
project in the past in hotel industry.
TERMS AND CONDITIONS OF NIQ (NOTICE INVITING QUOTATIONS) IS AS
UNDER:
1) The quotation should be accompanied by an earnest money @2% of the tendered amount
in the form of BANK DRAFT in favour of the Managing Director, Haryana Tourism
Corporation Limited, Chandigarh, failing which tender will not be considered/valid for this
purpose. The earnest money of the successful tenderer will be adjusted towards security.
2) The firm which is allotted the job shall obtain certificate for approval of sample for each
item from authorized Architect / his representative of the Corporation, before going into
mass production. The firm shall produce semi-finished samples for inspection within
prescribed time period, Sample approval time period =15 days after receipt of the
supply order from the date of receipt of allotment of job/supply order. Time period of
sample approval shall be as per the S.O.W. and vary as per the quantum of work to be
done. In case of delay for offering semi finished samples for approval beyond the above
prescribed period, then delay penalty will be imposed @1% per day up to 15 days, there

 after earnest money will be forfeited and order shall stand cancelled and the firm shall be
debarred from working in HTC for a period of one year.
3) Work will have to be executed within prescribed time period after approval of the sample
and if firm fails to supply the material within stipulated period, delay penalty shall be
imposed as under:-
Upto 15 days @2%
From 15 to 20 days @ 4%
From 20 to 30days @ 6%
Beyond 30 days @ 10%
This delay penalty shall be imposed on total value of supply order. After prescribed
delivery period and 30 days, no material of the firm may be accepted and these
purchases/jobs may be got executed from any other firm at the risk and cost of the firm and
any excess of the amount so paid will be recovered from the firm. Moreover earnest
money/security of the firm will be forfeited and firm will also be blacklisted for future
transaction.
4) If the firm refuses/fails to start the work after the issue of supply order within 10 days, then
the firm shall be imposed same penalty i.e. @1% per day upto 15 days, thereafter earnest
money shall be forfeited and the order stand cancelled and the firm firm will also be
blacklisted for future transaction
5) It will be the responsibility of the firm to get semi furnished samples approved in time and
to collect the colour scheme, if any, and any other information required in this case from
our Architecture Cell within time. No extension for supply will be allowed on this account.
6) The turnkey rates shall be quoted inclusive of all taxes, freight and installation charges etc.
if any, on the letter head of the firm beside indicating item-wise rates accurately
calculated. It is clarified that supply order can be split in view of the lowest rates quoted by
the firms as per directions of MD/HTC.
7) The Corporation also reserves the right to reject/accept any or all quotations without
assigning any reason.
8) Furniture shall be inspected before polishing firstly at factory/godown at the premises of
the firm by the authorized representative of Corpn. The 2nd inspection will be carried out
after furniture have been polished. Inspection note will be prepared at factory/site and will
be got signed from the representative of the firm and a copy of the same will be handed
over to the firm under proper receipt of them. Inspection note will clearly indicate
major/minor defects if any.
9) Payment of the part material supplied at site shall be released@75% payment
provided no major defect are found in the supply of the furniture.
10) 90% payment of the job executed/furniture supplied at site shall be released on receipt of
the joint final inspection report of the furniture at site, provided no major defects are found
in work. Remaining 10% and payment 2% earnest money deposited shall be released
only after 3 months from the date of joint satisfactory inspection .

11) In the cases where our site is not ready for more than three months after the allotment of
work/ supply order and also if the furniture is ready for the same site, then 75% part
payments of the cost of the furniture ready in the factory/site shall be released after the
factory/ site inspection of the ready furniture.
12) Shade and quality of laminate (Century, Greenlam, Merinolam Donear, Sonear) of 1.0 mm
thickness will be approved by HTC.
13) The upholstery/tapestry in the standard range of Rs 700/- per. Meter and curtains, bed
covers in the range of Rs. 350 per meter will be used. In case, it is decided by HTC to use
costly/cheaper rate material then cost difference of the cost of cloth will bepaid/deducted
by this office on the production of actual purchase bill/verification of rates, if the cost is
same as specified then also the firm shall submit the bill for the purchase of
upholstery and curtain cloth alongwith the main bill of the said work.
14) Proper seasoned 1st class teak wood to be used for which affidavit will be given by firm.
Polishing & Painting to be approved by HTC. Standard carpentry joints shall be adopted.
15) Negotiation shall be made with lowest firm.
16) It is made clear that request of the firms for deducting amount of earnest money out of
their pending payments/EMD or adjustment of some other payment against this work will
not be considered at any cost. Firms are advised to quote their rates after visiting sites
where the job is to be executed. Firms will get the SOW & set of drawings of the job to be
executed along with NIQ free of cost.
17) Firms are advised to quote their rates after visiting site where job is to be executed.
18) HTC reserves the right to increase or decrease quantity of SOW in exceptional
circumstances.
19) At the time of fixing the furniture/fixture by the furnishers if some minor civil works are
required at site for the job in question, same will be done by firm within cost of supply
order.
20) In case of any dispute decision of the MD/HTC will be final and binding, however, the
jurisdiction of court will be at Chandigarh.
21) The management of HTC reserves its right to reject incomplete or conditional quotations.
Such quotations shall not be considered.
22) Time extension will be given in the extreme circumstance like delay in civil works and
