CHAPTER I

INTRODUCTION
Now, in our society all over the world technology is the most important
advancement, a necessity in bringing about progress as we move along in this
computerized world. These changes in effect make man’s life easier and more
convenient. The relationship between the library and computer is constantly changing
that the use of computer contributes to the way man learns and communicates. It easy in
this world to strive for changes and since library is no different from any firm and
institution, considering the use of computer to perform a given task will be efficient.
Librarians have the responsibility not only to know about the ways in which libraries
will be managed using techniques of computerized, but also to be aware of the changes
that computerized can bring to the library services in the near future. A Library
Management System helps us manage all book information and keeps track of the
availability of the books in the library. It also helps us to record what students have on
loan and calculates when it is due.
The existing Library Management System here in Tomas Claudio Colleges does
not provide a user-friendly functions making the librarian confuse making those function
useless. By having an understandable functions will improve the existing system that will
help the user to fully understand and use the system more effectively.
The researchers proposed to create an efficient, reliable and useful Library
Management System for Tomas Claudio Colleges to improve the transactions and process
for the School Library; and will help minimize the time and efforts that is consumed in
using the existing system.

BACKGROUND OF THE STUDY

Library Management System is an application which refers to library systems
which are generally small or medium in size. It is used by librarian to manage the library
using a computerized system where he/she can record various transactions like issue of
books, return of books, addition of new books, addition of new students etc. Books and
student maintenance modules are also included in this system which would keep track of
the students using the library and also a detailed description about the books a library
contains. With this computerized system there will be no loss of book record or member
record which generally happens when a non computerized system is used. In addition,
report module is also included in Library Management System. If user’s position is
admin, the user is able to generate different kinds of reports like lists of students
registered, list of books, issue and return reports. All these modules are able to help
librarian to manage the library with more convenience and in a more efficient way as
compared to library systems which are not functionable.

STATEMENT OF THE PROBLEM

GENERAL PROBLEM OF THE STUDY

The general problem of the study is how will the library management system will
process the function in searching, tracking and managing books. Also how it will process
the borrowing and returning of the books.

SPECIFIC PROBLEM OF THE STUDY

 How can the Library System Management have an accurate system for processing
and file handling?
 How does the Library System Management provide the real-time availability of
books?
 How can the Library System Management become user-friendly for all user.
 Does the existing system have the history of their transactions.
 How do the Library System Management compute the penalties and the time
consumed.

OBJECTIVE OF THE STUDY

GENERAL OBJECTIVE OF THE STUDY

The objective of the study was to improve the library management system of
Tomas Claudio Colleges that will store the student’s records such as student’s basic
information, books record, list of borrowers, returned books and borrowed books.

SPECIFIC OBJECTIVE OF THE STUDY

 To provide an accurate processing and file handling of the system.
 To provide a system with the real-time availability of the books.
 To provide a system that is reliable and easy to use for students.
 To provide a system that can view the current and past transactions in the system.
 To provide a system that will automatically sums up the penalties.

SCOPE AND LIMITATION OF THE STUDY

SCOPE

The Library Management System is designed & developed for a receipt and
issuance of books in the library along with the student’s details. The books received in the
library are entered in Books Entry form and the new student is entered in the student
entry form. When the student wants to get the desired book the same is issued on the
availability basis to the student. The issuance and due date for the returning of the book is
also entered into the Book Issue form under third menu Book Issue. The student has to
pay the fine if any on the basis of no. of days delayed deposit of the book in the library.
This project is aimed at developing an online Library Management System (LiMS) for
the college library. This is an Intranet based application that can be accessed throughout
the campus. This system can be used to search for books/magazines, reserve books, find
out who is having a particular book, put in requests to buy a new book etc. This is one
integrated system that contains both the user component and the librarian component.

SIGNIFICANCE OF THE STUDY

This study dealt with the Library System Management for Tomas Claudio
Colleges. This study is beneficial to the following:

Librarian. The library management system would improve the monitoring

capacities of those who maintain the library. It would be easier to determine whether
a particular book is on-shelf or not. In addition, they can easily identify when will the
borrowed material be returned and if a borrower has failed to return the book on its due
date.
Researchers. may use this as a guide and reference for their future studies and
will help them develop their knowledge and understanding in research making. Also, they
will get additional reference that will help them for further investigation in their research.
School. will have better management of their library with the help of this Library
Management System.
Students. This study will help the students to search for the book they needed
more effectively by the use of this proposed library management system.
Teachers. Through a library management system, they can easily find the books
that they are looking for without going through the traditional way of searching a library
material. Convenience is more visible for it is not time-consuming, resulting to a number
of accomplished works.
