CHAPTER 1

INTRODUCTION

Technology is an application of knowledge to the practical aims of human life


or to change or manipulate the human environment includes the use of
materials, tools, techniques and sources of power to make life easier or more
pleasant and work more productive. Technology can be knowledge of
techniques, processes or it can be embedded in machines to allow for operation
without detailed knowledge of their workings. The role and impact of technology
is understanding how people shape technology and how technology shapes
peoples interactions with each other and the natural world is important not only
for those who research, develop and implement new technologies but also for all
those people and organizations that have to use those technologies in their
working and personal lives.

Water Station is a charitable organization, founded in 2001, that places water


in remote locations throughout the Southern California. It started as a project by
John Hunter, a San Diego resident, to place water jugs and flags in the deserts
around El Centro, California. The project later expanded to include additional
volunteers maintaining hundreds of water stations. By 2013 KPBS described the
organization as "the largest, most organized and most consistent group leaving
water for migrants in California's brutal Imperial Valley". The charity operates
primarily from April to October, and has permission from the Bureau of Land
Management to place water and flags on public land.

Inventory Management System is process of ordering, storing, and using a


company inventory. These includes the management of raw materials,
components and finished products as well processing such items. A company
inventory is one of the most valuable assets. In retail, manufacturing, food
services, and other intensive sectors, a company inputs and finished product are
the core of its business. At the same time inventory management is important for
any size of business. Knowing when to restock certain items, what amount to

purchase or produce, what price to pay and as well as when to sell and at what
price. Small will often track of stock manually and determine the order points
and quantities using Excel and for larger businesses uses Enterprise Resource
Planning.

Sales Management System is information systems used in marketing and


sales management department to keep check sales process, which start with a
sale and finish with sending it to customers.Refers to the administration of the
personal selling a company's product lines. It includes the planning,
implementation, and control of sales programs, as well as recruiting, training,
motivating, and evaluating members of the sales force. In a small business,
these various functions may be performed by the owner or by the sales
manager. Also it generates report daily, monthly and annually sales.

Delivery Management System is designed to co-ordinate the entire booking


process, preventing any unbooked deliveries delaying major critical path
deliveries.Additionally the system ensures that bookings for deliveries or
collections and plant requirements are scheduled; creating awareness and
efficiency whilst also allowing the flow of materials onto a project.

BACKGROUND OF THE PROJECT

The Larkins Water Station is a business that provides mineral and alkaline
water, established in December 11, 2016 and owned by Jennifer Caadlawon
Belez, this business is a single branch in Pantranco Compound Himlayan Road,
Barangay Pasong Tamo, Tandang Sora, Quezon City. The Larkins Water Station
had their 4 employees, which is two re-filler and two delivery boy.

The process of existing system is categorized into two ways first is walk in
ordering and the second one is delivery process. In walk in ordering the
costumer simply go directly to the water station and order their product and the
in-charge personnel will record all the information and transaction related to the
order of the costumer through logbook or notebook. The second process is
delivery or house to house basis this is where the water boy collects the
containers and refill with water and then deliver it immediately to the costumer.
The company only accepts cash basis in payment. They manually record the
sales and count the container and record it in a logbook.

The problem that they often encountered is how they record their sales
and the order of costumers. They use manual process by means of writing on
logbook that may result in inaccurate computing sales might not be recorded or
lost. They also manually count the equipment like gallons and tricycle in a
logbook which results inconsistencies of data.

In response with this problem, the proponents aim to create a Sales,


Inventory and Delivery System for Larkin’s Water Station which can be a tool
that can be used to record every transaction and compute the profit per day,
weekly and monthly and a system that can help the water station to overcome
the problems in terms of delivery that will provide a specific number that the
costumer will contact to purchase the product. Also that will help to organize
their record and to encode transaction easily, the two major accounts first the
owner and the re-fillers account. The subjects will encode the given details from
customer and all information will be stored in database.

Mission

To provide exceptional water and services in a reliable, sustainable and cost


effective manner, focusing on the satisfaction of our costumers, employees and
communities and to deliver strong performance within its service area.

Vision

By 2030, Larkin’s Water Station will be the premiere water supply resource
developer, water supply distributor and waste water processor of District 6
Quezon City

STATEMENT OF OBJECTIVES
General Objective
The main objective of this study is to develop a Sales, Inventory and Delivery
System of Larkin’s Water Station that will help to compute the sales, to monitor
and record the order transactions of a customer.

Specific Objectives
1. To develop a Sales, Inventory and Delivery System that will generates
daily, weekly and monthly sales report such as quantity, time of
purchased, delivery address and price of orders.

2. To develop a Sales, Inventory and Delivery System that will easily to
find the order of customer by searching the transaction in the system.
3. To design a Sales, Inventory and Delivery System that automatically
highlights the undelivered order.
4. To develop a Sales, Inventory and Delivery System that will monitor
the delivered and pending orders.
5. To develop a Sales, Inventory and Delivery System that will list the
quantity of gallons and gallon seal.

SCOPE AND DELIMITATION OF THE PROJECT


Scope:
1. The Sales, Inventory and Delivery System can be accessed by the
owner and co-owner as administrator
2. The re- filler can only access the transaction part, that encodes the
total price of order.
3. The Sales, Inventory and Delivery System can record the transaction
of payment and will identify the customer’s payment status.
4. The Sales, Inventory and Delivery System can process a refundable
transaction to the customer.
5. The Sales, Inventory and Delivery System display an interface that can
easily understand by the person in charge for those who are not
knowledgeable in basic computer.

Delimitations:
1. The Sales, Inventory and Delivery System will only accept cash for
payment transaction.

2. The Sales, Inventory and Delivery System can only be accessed by the
administrator and re-filler for privacy and security of the information of
Larkin’s Water Station.
3. The Sales, Inventory and Delivery System cannot process online
transaction.

INTRODUCTION

Waterfall Model is a progress seen flowing steadily downwards approach


where the whole process of the development is divided into separate phases;
Requirement Analysis, System Design, Implementation, Testing, Deployment,
Maintenance. Each phase will discuss the progress with different set of goals.

PROCESS

1st Phase Requirement Analysis

The requirements are gathered and analyzed by the researchers. The


researchers did a brainstorming in order to understand the requirements needed
in the system. The researchers went to the company and conducted a verbal
interview towards the owner and ask questions if they have encountered any
problem in their existing system. The researchers also analyzed what are the
possible solution in the problem.

2nd Phase System Design

As per requirements done, the researchers create the design of the system,
logical and physical design. The logical design is an abstract representation of
how the software data flows the input and output where the researchers created
a system flowchart of Sales, Inventory, and Delivery System and physical design
where the programmer created the design of Sales, Inventory, and Delivery
System and database that will satisfy the need of the owner of the company.

3rd Phase Implementation

The programmer will do the specific functions of the system such as the
buttons, list box, text box, and any toolbox included in the system design.
Database will serve as the storage of Sales, Inventory, and Delivery System.

4th Phase Testing

As per implementation done, the researchers will test if the system is free
from error and malfunction. The researchers will also check if the hardware
needed in the system is properly functioning and the specified requirements are
included.

5th Phase Deployment

The researchers will deploy the system in the Larkin’s Water Station if it is
successfully tested and free from errors. Then, the researchers will orient the
user on how the system works. The researchers will also explain the different
functions inside Sales, Inventory, and Delivery System.

6th Phase Maintenance

The researchers will consult the user if the system and the hardware is
properly functioning. If the system is malfunctioning, the researchers will note
the errors and fix it immediately in order to avoid slow processes of transactions.

SIGNIFICANCE OF THE PROJECT

This project will be beneficial to the following entities:

Proponents - This project will help the Larkin’s Water Station because it will
provide easy-to-use and easy-to-accessed system thus, transaction will be more
reliable and faster.

Business - This project will increase the profit and have its own system that
provides product and sales report for them to monitor every transaction.

Owner - This project the given data will provide the owner on what will be the
information regarding of the ordering and storing of the products using a
company inventory including the raw materials and the finished products. Sales
Management System and Delivery Management System will help the owner to
provide the Marketing and Sales report of the products.

Employees - This project the given system will provide the employees with
some knowledge on proper use of recording and computing of sales to avoid
inexact computation. At the end of this study employees would finally know why
the computerize system have been more efficient and effective in businesses.

Customers - The results will provide the customers satisfaction of the quality
service, product of the management. The customers perceptions of service will
exceed their expectations.

Researcher - This project will become beneficial to the future researchers in

terms of that they can use this as guide and reference of the research that they

will do especially when they will conduct a research with same concept.

DEFINITION OF TERMS

Computer

An electronic machine that can store and work with large amounts of
information.

The computer is used by the re-filler to access the transaction part of that
encodes the total price of order.

Delivery

The act of taking something to a person or place, something that is delivered.

The delivery shows the pending orders, delivered and also automatically
highlights the pending order.

Inventory

A complete list of the things that are in a place.

The inventory will show the quantity of gallons , seal and this will help to easily
identify the remaining gallons and seal.

Reports

An official document that gives information about a particular subject.

The term report is use to generate the daily sales, weekly sales and monthly
sales such as quantity , time of purchased, delivery address, and price of orders
of the company.

Transaction

A business deal, an occurrence in which goods, services, or money are passed


from one person, account, etc.

This refers to the communication between the costumer and the re-filler.
