ABSTRACT

Bahay Budbod Restaurant in Tanay, Rizal uses a manual ordering system in

accommodating the orders of each customers using papers. This manual ordering system
requires too much effort and time to list all the orders of the customers and needs more
than a stack to fulfill each orders in a day. In easing the performance of the business and
simplifying it, a computerized ordering system must be used.

This study aims to develop a computerized ordering system in Bahay Budbod Restaurant
in Tanay, Rizal. It will simplify the process that all the orders would undergo and would
not require much time thus creating a chance to improve the service. By using the
computerized ordering system, it will easily calculate the price, change and what the
restaurant will profit and determining the most popular demands in the restaurant.
Chapter 1

PROBLEM AND ITS BACKGROUND

Introduction

From large to moderate firms engaged in business definitely needs to develop a

responsive, user-oriented information system in supporting the management’s process in
obliging to customers.

Computerized ordering systems increases the business performance of most by

simplifying the methods to ensure productivity and efficacy in serving customers,
determining the rate of which is the most profitable product and giving feedback to
immediate the progress of the industry. Business in competitive environments that offer
most of the service and product line has the high potential for having back-orders and
causing the business to lose profit.

Henceforth, in the past, there had been many systems designed to articulate user
specification to a set of detailed technical implementation that meets the user’s needs;
achieving maximum satisfaction guaranteed with proper listing of available menus to offer.

The manual ordering system offers potential advantages and disadvantages.

It is possible for the owner to have full control of the order and manage customer’s
instantly in small businesses or enterprise. But when orders arrive simultaneously and
hazardously, it would take too much time for the owner and staff thus creating
unsatisfactory labor for the staff and unsatisfactory feedback from the customers.

In using a computerized ordering system, one can improve efficiency and follow up on
which is profitable across the business venture. One of the important factors in a
successful operation of small businesses is the efficacy of the system, the accuracy of
available products offered, the maintenance of the product that gives the most product,
determining the least or most unprofitable product thus encouraging the crew on
improving and how to improve said product. By having such information available
regarding all related menus to be sold by an organization or business would significantly
improve sales and would be laddered into a better position for serving customers swiftly,
as well as manipulate any unexpected events that may happen in the business.

Bahay Budbod Restaurant in Tanay, Rizal is one such small and simple business that
offer breakfast, lunch, appetizers, and desserts, till dinner menus acquirable by dining in.

Bahay Budbod Restaurant in Tanay, Rizal utilizes a manual ordering system of taking the
orders of each customers and making bills by hand thus creating chances of misplacing
orders and mistaking calculations that could affect the reputation and solidarity of the
restaurant.
Background of the Study

These present times, food eatery businesses popped out popular and thus increased the
presence of related businesses in the commercial section drastically. Bahay Budbod
Restaurant located in P. Burgos St. Tanay, Rizal’s owner/management still uses old or
the traditional way of taking orders via paper even with their take out service, this way we
call as the manual ordering system. The difficulty of this type of system creates plenty of
disadvantages in calculating the sum of the income and being it manually done, it also
decreases the amount of time saved for opportunities in doing other services or jobs with
the same priority as taking orders.

Henceforth, by utilizing what we so called Computerized Ordering System, the task of

regulating the jobs and calculating income or profits of the business would be expressively
determinable preferably than using the Manual System as such, making the process of
the jobs and service quick and easy; easing up the time.

By the utilization of the Computerized Ordering System, the tasks and processes of the
employees/staff they needed by using the manual system would significantly be easier
and thus shortening up the time it needed to be finished. It would also improve their
performance due to freeing up time to do other jobs and satisfying the customer’s needs
of not waiting for a long time.
Location Map
Statement of the Problem

1. Can the use of Manual Ordering System be able to process and take the required
amount of orders if the customers arrived in several different groups? Will the
Computerized Ordering System be able to productively support a daily routine?
2. Does the utilization of the Manual Ordering System be able to provide a helpful
decrease in work?
3. If a staff or employee that utilizes a manual ordering system be able to acquire and
provide information required to check the profitability of the restaurant and
organize detailed reports?

General Problem

The General problem in this study is the creation or development of a

Computerized Ordering System for the Bahay Budbod Restaurant in Tanay, Rizal to
relieve employee/staff of stressful manual tasks, easing the regulation of orders and
further improving profitable marketed menus.

Specific Problems

1. Number of papers needed

2. Sums of the bills calculated manually
3. Errors in taking orders
4. Manual transaction increases time required
5. Customers arriving in groups distresses accommodation
Significance of the Study

As to the organization of every negotiation, business deals or transaction, this study helps
in improving said actions while also minimizing workloads placed on staff or employees.
In collecting information about the profitability of the popular menus and least popular
menus, the capability to collect said information will be acquired. The Computerized
Ordering System would be able to drastically simplify the computer-related process like
taking orders and saving important report data.

The accuracy of holding the data in taking customer orders are highly-rated because of it
being calculated by a machine thus the customer will be able to be confident and calm
when placing orders. This study would be able to improve the restaurant’s reputation and
thus providing better customer service due to the project delegated to minimize the
workload and time required in servicing customers to their needs.

While it is unavoidable for employees or staff to be unfamiliar to the Computerized

Ordering System due to also being unfamiliar at getting orders almost every day, in spite
of that, in using the Computerized Ordering System, that unfamiliarity would soon fade
since this type of system is made with the purpose of easiness and helpfulness thus
making it user-friendly. This study proposes a provision of a smooth access during the
order placement procedure.

In conclusion, the Computerized Ordering System, will provide direct improvement for the
restaurant and help in improving reputation and position with other neighboring/
competing restaurants in terms of quick and easy service.
Scope and Limitation

We, the students currently studying and researching, plan in developing the
Computerized Ordering System for Bahay Budbod Restaurant Tanay, Rizal because of
their traditional/old way of using a Manual Ordering System in their business venture.

This proposed Computerized Ordering System is regulated using an account

identification system and by logging in using the owner’s identification or the
employee/staff’s identification, they can access reports on most ordered menu and sum
of profits earned by day. In using the owner’s account, they can modify the menu and
information whenever they wanted. By using the employee’s/staff’s account, they can edit
information by the convenience of the customer as to putting an “out of stock”, “not
available” and etc. to help in conveying menu information. As for the friendly interface to
be used by the customer, it is possible to order via an internet connection for a take-out
delivery service or using a phone in the restaurant’s dining area to view the selection of
menu without using the need of standing up. The system would also be able to take orders
from the customers thus having the capacity of inputting and regulating the records of
data.

This study proposal would be able to input, maintain, and compress information detailing
from the most profitable to the least popular menus ordered by the customers. The
Computerized Ordering System can also be used for delegating receipts for each
individual customer’s order.

This machine prized computer utilization of the proposed system is studied and
developed only for the special purpose of improving the state of Bahay Budbod
Restaurant Tanay, Rizal’s manual use of ordering system. It is possible for other
restaurants but in which case, plenty of data and system structure would be modified thus
implying that this exists solely for the improvement of a specific restaurant.
This study is also limited by processing business deals or transaction as to taking
customer’s orders via the internet if the customer is utilizing a take-out delivery service
and limited offline as to view the restaurant’s menu from the restaurant’s dining area.
Chapter 2

FEASIBILITY STUDY

Technical Feasibility

This study centers around the computerized ordering system to minimize the performance
of the staff, especially when the customer arrive simultaneously. Addition to this, it
involves financial consideration to accommodate technical enhancements. if the budget
is serious constraint, then the project is judged not feasible.

This assessment is based on an outline design of system requirements, to determine

whether the organization has the technical expertise to handle completion of the project.
It considers the technical requirements of the proposed project. The technical
requirements are then compared to the technical capability of the organization. The
systems project is considered technically feasible if the internal technical capability is
sufficient to support the project requirements.

The modernized ordering system will help Bahay Budbod to accommodate all the future
customers. All proposed technology (e.g. Hardware, Software specifications) would make
the project more effectively. The proposed system is intended to create a system that can
perform an ordering system and can keep the orders organize and at the same time the
payments are accurately calculated. The computerized ordering system is helpful in
managing the customer’s order and to lessen the miscalculation of payment. The problem
of miscalculation is solve by the system as it will automatically solve the fee and change
of the customer. After developing the system it provides the business with profit. It can be
monetary or in the form of an improved working environment.
Schedule Feasibility

Schedule Feasibility analyzed how long a project will run. It collects the entire requirement
and estimated the cost, but also calculate the total time for the completion of any project.
Set all the development according to the timelines. And then helps the schedule feasibility
study. In this analysis we analyzed the project and estimates the time for the whole project.
It is also necessary to determine whether the deadlines are mandatory or desirable. And
if the desired due date cannot meet then the project would be unsuccessful or a schedule
is unfeasible.

The proposed project is estimated to be done when all the necessary requirements for
the proposed system is collected. The system will run as long as it will use properly and
by monitoring it before using the system.

The business purpose or objectives are set to be accomplished. Realization of these

objectives can be obtained through proper planning and scheduling of specific business
activities to be undertaker. The proportion of a project schedule is very important. And to
concretize the various process/sequences, the proponents involved are a GANTT chart
that will control and monitor the process.
Gantt Chart

A Gantt Chart is a simple to use framework that shows a visual representation of large
projects, broken into smaller pieces or activities with each of these activities spread out
over time.

A Gantt chart shows at a glance, what the individual activities are, when each one should
begin and end, if there is any overlap between activities, and how the project can be
completed within a given time limit.

Typical uses for a Gantt chart include: developing a software prototype, planning a large
event, and writing a multi-departmental report.
Economic Feasibility

To assess economic feasibility, management has to analyze costs and benefits

associated with the proposed project. The capital cost of a project affects the economic

evaluation. Economic analysis is used for evaluating the effectiveness of the proposed

system. For any system if the expected benefits equal or exceed the expected costs, the

system can be judged to be economically feasible.

The proposed “COMPUTERIZED ORDERING SYSTEM” is economically feasible

because

 The system has reduced the working hours

 The system will provide fast and efficient automated environment instead of slow

and error prone manual system, thus, reducing both time and man power spent in

running the system.

 the system simplified the work of the worker

 The system help accommodate future customers

Cost Benefit Analysis

Profits can be monetary or in the form of an improved working environment. However, it

carries risks, because in some cases an estimate can be wrong. And the project might
not actually turn out to be beneficial.

Cost benefit analysis helps to give management a picture of the costs, benefits and risks.
It usually involves comparing alternate investments.

Cost benefit determines the benefits and savings that are expected from the system and
compares them with the expected costs.

The benefits of a given situation or business-related action are summed, and then
tthecosts associated with taking that action are subtracted.

Return on investment

It is the profitability that evaluates the performance of a business by dividing net profit by
net worth. Return on investment, or ROI, is the most common profitability ratio. There are
several ways to determine ROI, but the most frequently used method is to divide net profit
by total assets.

Estimated Return of the investment:

Total cost of Computerized System:

Hardware P16,543.00

Software P3,000.00

Peopleware P10,000.00

TOTAL P29,543.00

Estimated Net Income (Monthly)

Of Bahay Budbod Restaurant: P30,000.00

Estimated return of the investment is within 6 months

P30,000.0 x 6 months = P180,000.00

Assuming that 45% monthly net income of the restaurant is attributed to the computerized

system:

P30,000.00 x .45 = P13,500.00

P13,500.00 x 6 months = P81,000.00

Operational Feasibility

Operational feasibility is based on issues such as manager support, required training,

workforce reduction, and adverse effects to users and customers. And it refers to the

measure of solving problems with the help of a new proposed system.

It is dependent on human resources available for the project and involves projecting

whether the system will be used effectively after it has been developed. It helps in taking

advantage of the opportunities and fulfills the requirements as identified during the

development of the project. It takes care that the management and the users support the

project. however, they need to improve their existing system to more accurate, reliable

and well-organized system.

Operational feasibility reviews the willingness of the organization to support the proposed

system. This is probably the most difficult of the feasibilities to gauge. In order to

determine this feasibility, it is important to understand the management commitment to

the proposed project. If the request was initiated by management, it is likely that there is

management support and the system will be accepted and used.

Chapter 3

Data Gathering Procedures

Gathering data is extremely important in conducting a project and required a careful

analysis of working on Feasibility. It must be accurate data to solve a major problem of

the business. Once it is inaccurate data collection can impact the result of a study and

ultimately lead to invalid results.

Surveys, interviews and focus groups are primary instruments for collecting information.

As technology evolves, so does data collection. Today, with help from Web and analytics

tools, organizations are also able to collect data from mobile devices, website traffic,

server activity and other relevant sources, depending on the project.

Software Requirement

When developing software, defining requirements before starting development can save

time and money. A software requirements document clearly defines everything that the software

must accomplish and is a starting base for defining other elements of a product, such as costs

and timetables. There is no replacement for good requirements, but each development

organization will take a unique approach to the process based on their needs.

A strong Software requirement Specification (SRS) document can save time in multi-

layer communication including user/customer input and feedback, design, validation, testing,

and overall user acceptance. The SRS can also help eliminate duplicated effort and streamline

the design and development process. The SRS can also save valuable time in communication

throughout the development and build process, or when adding new players are to the team.

In addition, a comprehensive SRS will:

 Increase the accuracy of cost and time estimates

 Simplify the transition of software from development to production
 Act as a single source of truth regarding what to include in the software solution
 Improve communication with stakeholders and customers by sharing portions of the
specifications
 Reduce costly late stage change
 Document details for future reference
 Provide users with a documented list of requirements
 Reduce development effort and task duplication
