MOVING GUIDELINES

These guidelines have been established to:


 Avoid congestion, confusion and frustration that can be caused by many
owners/residents trying to move in simultaneously.
 Ensure all owners are aware of the process involved with regard to the initial move
into the premises.
 protect the building from damage
 Ensure other owners / residents are not unduly restricted by the moving in process.
 That all owners/residents are given as much individual access to the foyer, lift and
hallways for their move in time slot.

It is to be noted that the guidelines are aimed at ensuring, not only a smooth transition into
your new premises, but also to ensure minimum damage occurs to common property as a
result of the move.

In the instance where an owner intends to rent their premises, it is crucial that the tenant/s
be made aware of these guidelines. It is therefore recommended that the information
herein be made available to the tenant, either via the rental managing agent or alternatively,
by the respective owner.

Important Note:
All owners and tenants are required to adhere to the guidelines established as follows:
These rules implemented to control:
A) Inspection prior to and following the move for damage,
B) Building services access should it be required,
C) Rubbish is not dumped on site,
D) Ensuring other owners/residents are not restricted access,
E) Removalist provides the correct insurance details
F) Car parking guidelines are adhered to.
1. Scheduling the move
Upon confirmation of the settlement date, owners who intend to move into their new
premises are to contact Tony Grusd (Owners Corporation Manager), Alliance OCM to
arrange a booking time for their move. It is advisable that the date chosen be at least 2 days
after the settlement is scheduled to take place; this being to allow for any delays that may
be experienced with settlement.
Please note the following:
A) Owners/ Residents will only be permitted to move into their apartment if a booking
is made
B) As the Property is serviced by only one lift, only half day bookings are permitted; the
hours are as follows:
8:00am to 12 noon OR 1:00pm to 4:00pm Monday to Saturday

Note: Only one move will be permitted at a time (except for Ground floor
apartments not requiring lift access)

C) The last move for the day must be completed by 4:30pm


D) Moves are not permitted on Sunday
E) Tony Grusd, Alliance OCM is to be advised of the removalist company undertaking
the move.
F) The removalist company must provide Alliance OCM with a copy of their Public
Liability insurance prior to commencing the move. Should this not be provided, the
removalist will not be allowed on site and the move will not be permitted.
This is a Public Liability risk and insurance is required to protect all owners.
G) Owners/residents must advise the removalist of the time constraints including other
details relating to the move as outlined herein i.e. access to premises.

2. Lift Access
As there is only one lift within the property the lift is not to be locked for the entire duration
of the move.

Should this pose a concern, contact is to be made with the Owners Corporation Manager,
however, it is to be noted that other residents will require lift access and therefore locking
the lift for the entire duration of the move will not be feasible.
For the information of members, we confirm the lift size to be:

Should items not fit into the lift, i.e. large dining tables, contact should be made with the
Manager prior to attempting the actual move to discuss other access possibilities. i.e. via the
stair well.

3. Removalist access & information regarding the move process

Owners/ residents are to advise the Removalist Company of the following:


A) The Removalist is to contact Tony Grusd, Alliance OCM prior to arrival on site. This is
to ensure arrangements can be made for the caretaker or manager to be available
to brief the removalist regarding access arrangements and also provide the isolation
key.
B) Removalist trucks are not permitted to enter the car park at any time. This
requirement is due to the height restrictions of the car park. Owners / residents
must advise the removalist of this.
C) The removalist is to utilize the access lane off Union St. Please note: this must not
obscure access to our neighbours to enter or exit. Care and consideration must be
given to other residents and their access to and from the building at all times.
D) Furniture/ goods are to be transported to the premises via the lift foyer. Furniture,
goods or trolleys used to aid with the move may only be placed in the lift once the
protective covers have been fitted. The protective cover will be arranged by the
Owners Corporation Manager once the booking has been made.
E) Furniture, goods or trolleys used to aid with the move must not be stacked against
the lift door on any level, or in any thoroughfare or Foyer.
F) When moving furniture and white goods over any tiled surface in the common area,
the owner/resident must ensure the removalist has laid hard and stiff protective
sheeting (i.e. Plywood) on the floor to avoid damage. This requirement is also
recommended on tiled surfaces within the apartment.
G) The task of moving goods in to the premises is to be as quick as possible.
H) Cardboard boxes and packing is to be taken away by the removalist. Should this not
be possible, owners/residents must not dump their waste in the common areas
including the waste room. The disposal of waste from the move remains the
owners/residents responsibility.

4. Indemnity form to be signed

Please note that the indemnity form must be completed by the owner/resident moving into
the premises prior to moving in. (See indemnity form attached)
It is to be noted that moves into the premises will not be permitted unless the indemnity
form has been completed and provided to the Owners Corporation via the manager or the
caretaker.
Prior to the move, an inspection of the common areas i.e. Lift, respective Lobby/Foyer and
hall way will be undertaken for any existing damage. If applicable this will be noted on the
form.
Upon completion of the move, a further inspection will be undertaken to check for any
damage which may have been sustained during the move.

Should any damage be identified as a result of the move, the respective owner/resident will
be held responsible for the cost associated with the reinstatement works.

5. Checklist for confirming Moving In


A) Contact: Tony Grusd – Alliance OCM for Booking Time
B) Sign Owner/Occupier Indemnity Form and return
C) Advise removalist of procedures for moving in
D) Consider the size of Furniture with regards to the lift.
E) Get Removalist to complete and sign Indemnity Form and return
F) Removalist must contact Tony Grusd prior to arrival
G) Provide a copy of Removalist Public Liability Insurance
H) Complete Condition report prior to commencing move in
I) Make arrangements for removal of boxes and packing materials.

I/WE HEREBY UNDERTAKE to comply with the Moving In/Out directives and
Procedures that we have been given a copy of and to indemnify and reimburse in full
the Owners Corporation for any loss, damage or injury caused by me/us or by
my/our removalist in connection with my/our moving in or moving out of the
premises within seven (7) days of receipt of an invoice claiming payment for such
loss, damage or injury.

I/We acknowledge that failure to book our move or failure to confirm it not less than
48 hours before the move may result in not being authorized to move in/out on our
chosen date, and I/WE UNDERTAKE to immediately vacate the site if requested to
do so because of our failure to comply with the Directives and Procedures for
Moving In/Out.

This form must be signed and returned to the Manager not later than 7 DAYS before the date of the

WE HEREBY UNDERTAKE to comply with the following requirements and to


indemnify and reimburse in full the Owners Corporation for any loss, damage or
injury caused by us, our servants, agents or subcontractors in connection with
moving in/out goods from the property referred to below. We are aware that
moving in or out may only be carried out at the site between the hours of 7am-4pm
Monday to Saturday and WE UNDERTAKE to:

1. Vacate the site no later than 4pm.


2. Ensure the move is carried out as quickly as possible.
3. Ensure no furniture or goods are dragged across surfaces thereby causing
damage.
4. Lay protective hard and stiff load distribution sheeting over floors in common
areas to avoid damage.
5. Not allow any furniture to be placed or stacked anywhere on the common
property without protection to walls, floors or windows.
6. Ensure all cardboard and other packaging materials are removed from the
site. We agree that packaging materials may not be left in the normal
garbage areas unless they fit neatly in a garbage bin.
