SOCIAL MEDIA & DATA PRIVACY POLICIES & GUIDELINES

INTRODUCTION
The online participation of teachers, administrators and employees in Facebook, Twitter,
Instagram and other social media sited or blog sites is inevitable in this digital world. However,
such participation must be anchored on the vision and mission of LGCS.
Thus, in all online activities, it is necessary that one should exhibit professionalism and
competent knowledge pertaining to the school and its stakeholders, his/her position and
profession when participating in forum discussions and comment sections.
The following policies and guidelines are hereby crafted and shall apply to the use of all
social media platforms by academic and non-academic employees whether for professional,
academic, business or personal activities for the protection of students, teachers and the school.

1. On Competence
a. If you are posting about the school, identify your designation and your roe. You
may be a member of the faculty, an administrator, or an employee of the school.
b. You represent your office, profession and the entire school community. Make
sure that your online posts and comments reflect your competency pertaining to
your work, your department, and your knowledge about the school.
c. Speak only about what you know. Consider linking or referring to official school
website or the school’s Facebook page (if available or other social media
accounts) for matters outside your expertise or competency.
d. If you are asked about the official position of the school in a particular issue, do
not give your personal opinion. Rather refer the inquiry to school’s official or
designated spokesperson or seek prior approval from the school if you wish to
speak on the latter’s behalf. Without approval, statements and comments should
start with this disclamer:
“this comment reflects my personal views and does not in any way bind
LGCS. I am therefore personally and solely responsible for my
statements.”

2. On Sharing Photos and Videos


A person who places a photograph or video on the internet is deemed to have
intended to forsake and renounce all privacy rights to such posts.

3. On Privacy Protection
a. Privacy of Students and Employees
i. Do not post photos of students in your Facebook or other social media
account without their parents’ consent.
ii. Do not post photos of co-workers in your social media account without
their consent
iii. Do not post grades or academic exercises of students online

iv. Do not post or share personal information of students online (eg. Name,
section, student number, address, contact details, and name of parents) or
personal data of a co-worker without his/her consent.
v. Do not discuss lessons to students online.
vi. Share or post official photos of school activities only.
vii. Sensitive information like grade, records and memos of students and
employees must be kept confidential and documents of these should be
properly disposed.
b. Privacy of Suppliers and Partners of School
Do not cite or refer the school’s suppliers or partners or identify them by name
or reveal any confidential information related to them without getting their prior
permission or approval.
4. On Professional Conduct
The standards for conduct and the prohibition of certain acts as provided in the
Employee’s Manual extend to all activities in cyber space and social media at all
times even off-campus and beyond school hours. Thus,
a. Speaking negatively of other people or schools, engaging in an argument and
inflammatory debates can tarnish your reputation and by association, the
reputation of your school.
b. Posting inappropriate and indecent photos of oneself or of another is a serious
offense.
c. Bullying, harassing, defaming or discriminating against fellow faculty,
administrators, employees, or any other person in the social media platforms are
violations of the school’s policies on professional conduct.
d. Discussing, ventilating or uploading grievances, concerns or issues n the social
media networking platforms without first taking it up with the person concerned is
guilty of fomenting discord and disrespect of authority and the school. Complaints
and issues should be taken up personally and professionally with the persons
concerned and if necessary, with the assistance of the immediate head.

5. Acknowledgement
I received a copy of The Lord of Grace Christian School Social Media and Data
Privacy Policies and Guidelines and that I read and understood it and agree to
comply with it. Any violation of the above including those stated in the
Employee’s Manual could result in my being subjected to disciplinary action.
