3. Before your departure, please ensure that you have packed the items listed below
with you, as it is mandatory for all participants to re-register in the registration day. The
items are:

Along with the mandatory items, please do not forget to pack appropriate attires suitable for
the activities that will be conducted during the event and personal medicine. In accordance
with the event, we would like to inform you that it is illegal to bring drugs into Turkey as it is
considered as a high crime and the death penalty will be charged. It is also prohibited to
smoke in Turkey during the event. Please do your survey before your departure to avoid any
difficulties or you can refer to our website regarding what you should do and not.

As for the payment, participants are required to transfer their chosen the fee USD 480 (Full
Accommodation). The payment deadline is in 2 September, 2019. Please kindly go to
https://youtex.org/payment to complete your payment. Fulfilling the payment is considered
as agreeing to the terms and conditions, and failure to fulfil the payment will cause
cancellation in the participation in YOUTEX.

All participants must attach a scanned valid passport, visa and flight ticket (arrival and
departure) and send the mentioned documents to our email info@youtex.org before 21

Terms and Conditions

1. The applicants registering as participants must be 17 - 27 years old.

2. Registration is opened for full accommodation only.
3. Cancellation Policy
a. For cancellation due to sickness, death, natural disasters, or conflict, the participants
will be given a 100% refund maximum 60 days before the event.
b. For cancellation due to visa rejection, the delegates will be granted a 100% refund.
The delegates should inform the committee approximately 45 days before the event.
c. The fee will not be refundable if the selected delegate cancels his/her participation
due to reasons other than the conditions mentioned above.
IMPORTANT NOTE: Participants will be charged for all the fees for international
transfers.
4. Visa
a. Upon request, successful registrants that had paid will be issued a Letter of Invitation
from Youth Excursion (YOUTEX) stating the status of their participation at Youth
Excursion (YOUTEX) after the background check. Registrants may use the Letter of
Invitation in their visa acquisition process.
b. Youth Excursion (YOUTEX) will not provide a visa and is not responsible for any
participant’s visa into Japan. All fees are non-refundable, and it is the participant’s
responsibility to secure the necessary documentation to enter Japan. Youth
Excursion (YOUTEX) will not issue refunds for delegates who are unable to secure a
visa.
5. Privacy and Intellectual Property
a. Youth Excursion (YOUTEX) reserves the right to utilize all data submitted by
individuals to Youth Excursion (YOUTEX) and to collect data in the form of
photographs or videos during the conference and social events without
limitations.
b. All registrants agree that no data, results, and materials for use in Youth Excursion
(YOUTEX) will be disseminated by means of publications, reports, conferences, or
any other form without the express written consent from Youth Excursion
(YOUTEX) of which these products, data, results, and materials are its exclusive
property.
c. Youth Excursion (YOUTEX) reserves the right to update and change information
without further notice.
6. Code of Conduct
a. Registrants hereby certify by completing the registration process that all
information submitted is truthful and accurate. The registrants understand that
falsification of any information provided will disqualify them from participation in

Youth Excursion (YOUTEX)  and the Youth Excursion (YOUTEX) activities and
falsification of information or impersonation may result in legal actions.
b. Participants agree that all materials produced for this conference will be original
work. Plagiarism will not be tolerated at Youth Excursion (YOUTEX), and should
the Youth Excursion (YOUTEX) Committee discover instances of plagiarism, the
individual will be disqualified from the conference without refund.
c. Participants are expected and obliged to obey the laws of Japan while
participating in Youth Excursion (YOUTEX). Participants are personally responsible
for all charges and damage to the facilities of the conference and social event
venues.
d. Participants understand the full assumption of risks and acknowledge that Youth
Excursion (YOUTEX) and its committee, elected representatives and employees,
do not assume any responsibility for the conduct and activities of the participants.
e. Participants agree to accept and abide by the Code of Conduct published in the
Conference Handbook and decided by the Youth Excursion (YOUTEX).
