Plan Document

Purpose

The purpose of this project is to improve day to day operations at Sports and Leisure Centre.
This will be achieved by identifying and resolving the current issues. Our focus will be the main
points stated in the report.

Target Audience

The target audience is the Manager and staff of the Moortown Sports and Leisure Centre. The
language will use the formal language which is need to be clear on every detail because this
report will be effected on improvement on the business operation in the future.

Documentation Format

it need to have form of report with using the complex grammar and it need to easy to understand

We also use the report form which using

PAMS Analysis

In this report, a detailed analysis of PAMS and the mind mapping is conducted. In this context,
the PMS represents the analysis of ‘Purpose, Audience, Message, and Style’. When starting the
analysis of the topic one can observe that ‘purpose’ helps in determining the outline of the paper.
There may raise a genuine question in the reader of this article that what is the main motive of
writing an article? The main dilemma in the mind of the reader will be about how to; create and
draft a report. By understanding the purpose of the assignment the type of documents required
for the planning to the execution of the project is determined. The purpose plays a significant
role in shaping the tone, the structure of the language, writing style of the report. Purpose helps
in identifying the crucial areas which are connected to the certain interest of the readers

The purpose of this project is to improve day to day operations at Sports and Leisure
Centre. This will be achieved by identifying and resolving the current issues. Our focus
will be the main points stated in the report.
- Audience
The target audience is the Manager and staff of the Moortown Sports and Leisure Centre.
The language will use the formal language which is need to be clear on every detail

- Message
The message is the information it want to convey to the audience. Information should be
organized and coherent. The message need to be clear, easy to read and understandable to
make sure that the message will be delivered to the audience properly. Also, the report is
a chance to improve the business effectively if it points to what is the real situation and
reflect anyneed for developing and improving of the business.
- Style
In general, the style of the report should be academic and reticent. In the segment, the
author of the report gathers all the necessary information and integrates them into an
academic narrative. Maintains the tone, language and structure of the report.

The step to brainstorm is:


1.Be clear about the problemIt is creating of reporting to the manager.
2.Collect your tools.Here we use Mind mapping.
3.Focus on ideas.It is the time to delve into which ideas are the strongest, which can be
realisticallyimplemented or how to make each idea happen. Initially it just would to be write as
many ideas as possible.

Lists of negatives feedbacks from survey that Moortown sport must focus.
- No regular staff meeting
- No handover procedure, no internet
- No contracts, no leases
- Big demand causing space and crowding problems
- Double booking and missed booking happen a lot
- No booking for BBQ
- All booking is done by hand in separate record book then put together into one book at main
desk
- Centre can’t fit any new clubs

Mind Mapping

The operational time of the above said Mooretown sports center is formed morning six to nine o
clock in the evening. The rush hour for the sports center is between 12 PM to 2 PM from
Monday to Friday and 8 AM to 2 PM every Saturday. The canteen of the club is staffed by the
volunteers from the University of the Moortown. The students of the Moortown sports and
leisure centre voluntarily engage in many activities like managing the event, working as a
lifeguard, assembling a social gathering, etc. (Denicolo 2013) A communal get together
organized by the Moortown is always being attended by the efforts variety of products like
supplements, fragrant oils, fashion dress, etc. are sol there. In these social gatherings, there is a
huge demand for refreshment coolers.

Executive Summary
This report is written on bases of survey of Moortown sports and leisure centre to
analyse, generate ideas, research and plan to improve the centre. According to this
report the sports centre is most popular area of the centre and there are total 13 clubs
which are dealing with sports.

Introduction
This report is written on 20/11/2019 which is based on survey about Moortown sports
and leisure centre with the help of clients, community member’s observation, interviews
with staff and consultation with key stakeholders to analyse, generate ideas, research
and plan to improve our centre and make it better for all. This report is containing
marketing and promotions about sport centre, operational structure of centre and some
recommendations.
The opening hours of Moortown sports and leisure centre are 6 AM – 10 PM but the
peak times are Monday to Friday from 12 PM – 2 PM, 8 AM – 2 PM on Saturday. The
café is staffed by casuals &Moortown University students which also do many other
roles for example life guard, holiday program leaders, umpire, reception etc.

1.1 Clubs & Program of Centre


Moortown sports and leisure centre is legally have licensed but unfortunately 65% of
community are unaware of any program of centre, 30% are aware of two or fewer
programs, only 5% are aware of more than two programs. Moortown Sports Centre
based on more than 10 clubs and only 2% residents of Moortown use this club. There
are 13 Clubs which are using this centre

Now centre can’t fit for any club new clubs. The most popular court of the centre is Pool
and Basketball.

Administration:
The administration unit is the most crucial and significant unit of the organization. The
administration unit of the sports center is responsible for the smooth and lucid conduction of the
events.

Management:
Management is responsible to manage and organise all the events which are held in
centre, it’s also manage security of club.
Coordinator:
All the events carried out in the game center should be organized by the coordinator. It is the
duty of the coordinator to ensure that all the activities are done according to the plan and all the
rules of the organization are followed.

Security:
Security of centre and members is most important so the security department always
alert and ready for any emergency assistance.
Owners of Club:
Over ten clubs have an active presence in the game center. The activities of each of the clubs
are being managed by the owners or the proprietors of the club.
Communication
Moortown Sports & Leisure Centre has a strong communication system but still some
problems occur in peak times, Central message book is only the source of
communication in the centre which cause of double booking and missed booking.

Marketing & Promotion of a centre


This centre is unique and most favourite place for all ages but unfortunately so many
people are unknown from this club. The management of Moortown Centre always give
ads in local newspaper and flyers to promote this centre. Sometimes there is an
advertising segment on 3MU community radio but mostly the new clients are attracted
by word of mouth, notice board, reception desk and instructors.

Recommendations
Our main focus should be to address the points listed here and work from them in order
to achieve a more successful business,
Some recommendations are:
- Memberships/Deals outside peak hours – new ways to bring in more locals,
as only 2% of Moortown residents use this centre.

- Promotions – these will be promotions outside of peak hours

- Website/online Presence – A website or an online presence is a something to


look at as it is a great method to gauge interest to a larger audience. At this day
and age where the majority of systems or advertising campaigns are done online,
this will ensure that more and more people are made aware of this centre.
- Shifts/Handover procedures – shifts should be displayed in a roster. Full-time
staff have a clear understanding of their shifts, however the casual sector is a
little more complicated. The casuals should have their shifts during the peak
hour sessions and should each be allocated a role. Café/Bar – Lifeguard –
Umpires – Reception etc.

- Staff Meetings There are no regular staff meetings, which doesn’t allow staff
members to communicate with each other and address any problems/issues they
may have. Staff meeting should be programmed once a week, at the end of the
week, in order to evaluate and address any issues.
