New in 7.1
The following new features are available in Version 7.1 of Web TimeSheet:
 Hierarchy filtering
When enabled, hierarchy filtering can be used to limit a user’s visibility to departments, projects,
and other users based on their placement within the organization's hierarchy. A hierarchy is
defined by creating and organizing departments within Web TimeSheet and users are assigned
departments to indicate their location in the hierarchy.
 Dynamic reports
The new dynamic reports feature provides users the ability to create highly-customized reports
to assist with tracking and management of time, expenses, users, and projects. Reports can be
configured to display specific fields and filters, group data in rows and columns, sort data, and
provide summaries. Additionally, the new graphical reports are generated using Adobe Flash for
enhanced operation.
 Enhanced password security options
The System Preferences now include options for requiring passwords to include both upper and
lower case characters, special characters, or a mix of letters and numbers.

 Activities
Using the new Activities feature, common functions performed within multiple projects can be
defined globally rather than within a specific project. Users are then assigned these activities
and, depending on their permissions, can select them when entering time on their timesheet.
By using activities, system administrators save time by defining these global functions just once,
rather than in each and every project that requires them.
 Improved interface for key list pages
The List Users, List Departments, and List Projects pages have been remodeled to feature a
more advanced interface. In the List Users and List Departments pages, the entries are
organized by department and can be moved between departments using the drag-and-drop
method. This functionality is also provided in the List Projects page if hierarchy filtering is
enabled in the System Preferences.
 Database Backup Utility
The new database backup utility allows users to easily backup their current database for possible
future use.
 Support for assigning users to multiple departments
Users can now be assigned to multiple departments, which can be used to increase their
visibility if hierarchy filtering is enabled. Additionally, if task assignments are typically selected by
department, more flexibility is provided when managing assignments.
 External Users
External Users can be created to provide limited access to someone external to the organization
for tasks such as approving time on behalf of a client. External Users have their own permission
type and cannot be assigned the full permissions of a regular user.

Users assigned to clients in previous versions of Web TimeSheet will be transferred as


External Users when upgrading to Version 7.1, assuming they have not entered time or
expenses. Those who have entered time or expenses will be transferred as standard
Users. For more information, see the Web TimeSheet online help.

 New Topaz Blue theme


A new pre-defined theme has been introduced for this version. As always, users can create their
own themes in addition to the ones installed with Web TimeSheet.
 New online help interface
The online help has been improved to include a comprehensive table of contents and search
capabilities. Additionally, the help now automatically opens to the topic most closely related a
user’s location in the application.
 New, simplified installation program
In addition to a new, modernized interface, the installation program now provides automatic
creation of virtual directories in IIS and automatic creation of databases in Microsoft SQL Server.

The following changes in the installation program should be noted:


 The Microsoft Access database platform is no longer supported by Web
TimeSheet. The installation program for Version 7.1 automatically installs the
MSDE platform instead and, if upgrading, an existing Access database will be

automatically upgraded to MSDE.
 If creating a new installation using the MSDE platform, a database will
automatically be created in the MSDE instance that was automatically installed
by the installation program.
 If using the Microsoft SQL Server database platform, the database name is
automatically set by the installation program and cannot be specified.
Additionally, if upgrading a SQL Server database, the installer does not provide
the option to connect to the source database using Windows NT
Authentication.
 The RTServer.ini file is now installed in the APP sub-folder, rather than in the
main Web TimeSheet installation folder.
 The license key must now be provided during installation, not after.

 Support for Microsoft SQL Server 2005 and Microsoft SQL Server 2005 Express
The Microsoft SQL Server 2005 database platform, both standard and Express implementations,
is now officially supported, providing users further flexibility when implementing Web
TimeSheet.

New in 7.2
The following new features are available in Version 7.2 of Web TimeSheet:
 Implementation Interview
This simple interview guides you through the implementation of Web TimeSheet. Once you have
completed the interview, Web TimeSheet will provide you with a set of implementation
instructions customized for your system.
* An active Internet connection is required to use this feature.
 Guided Setup
This feature gives users tips for configuring each module of Web TimeSheet, as well as the
suggested order for completing configuration tasks.
 New “dynamic” reports
New “dynamic” versions of nearly all of the original Classic reports have been added. Classic
reports are, however, still available for all users who have upgraded from earlier versions of Web
TimeSheet. (51614, 51657, 53361, 52768, 52994)
 Simplified “dynamic” report filters
“Dynamic” report filters have been simplified. The filters that are available and that are enabled
by default are better tailored to the report being generated. In addition, user defined fields are
now available for use as filters on the reports to which they apply. (51633, 43328)
 Ability to e-mail and create PDF versions of “dynamic” text reports
Users can now e-mail “dynamic” text reports to their external or internal address, or to other
user-specified addresses. Plus, users can now create PDF versions of text reports.
 Improved timesheet interface
Comments boxes now display around the selected time entry cell in Standard timesheets. In
their maximized state, they display a field for entering comments, and any timesheet hours-level

user defined fields. Plus, timesheet rows can now be sorted alphabetically and, in Standard
timesheets, columns can be resized. In addition, all visible fields are now searchable and time
entry cells can be navigated using the keyboard’s Tab key and arrows.
 Ability to upload, view, and delete expense receipt images
Users can now upload expense receipt images into Web TimeSheet for viewing.
 Improved menu interface
The look and feel of all menus has been improved, and the Admin menu has been reorganized.
 Improved installation process
Microsoft SQL Server Express is now installed as Web TimeSheet's default database type. Plus,
users can now elect to install new versions of Web TimeSheet using existing, blank SQL Server,
MSDE, or SQL Express databases. (52273)

New in 7.5
The following new features are available in Version 7.5 of Web TimeSheet:
 Time tracking with timecards
Users can now punch in and punch out using a timecard to record when they are working.
Timecards can be used in addition to the standard timesheet, or alone.
 Locked version of In-Out timesheet
The new Locked In-Out time entry format requires users to punch in and punch out when they
start and stop each task, and requires users to allocate that time to projects and tasks. Users
cannot edit their "in" and "out" times, which ensures a reliable record of the number of hours
worked is created.
 Report scheduling
Users can now schedule the generation and e-mailing of any "dynamic" report available to them
(except reports based on the Timesheet List and Expense Sheet List templates). Within each
schedule, users can specify when to run the report, who to send it to, the report format, and
how to filter the data.
 E-mailing graphical reports
Just like text reports, graphical reports can now be e-mailed, either manually or as part of a
report schedule. Depending on the user's e-mail client, the report may be displayed within the
body of the e-mail or included as an attachment to be displayed in a browser.
 Changes to reports apply globally
When users change report options, to make the updates available to all users, they no longer
need to save a duplicate copy of the report under a new name. Now, when a user edits a report’s
configuration, the changes are applied to all users with access to the report. Users can, however,
still edit their local version of the report by changing the settings within the report.
 Additional report improvements
“Dynamic" reports are now easier to configure and use. Improvements include the introduction
of tabs on pages used to add and edit reports, the refinement of the rules governing what report
data each user can access, and the addition of the ability to sort a generated report by a
column’s contents by clicking on that column’s name.

 Expense receipt upload before saving the expense sheet
Users can now upload expense receipts when initially filling out an expense sheet, without
having to save the sheet first. In addition, receipts can now be viewed from the Summary for
each sheet or from the list of Waiting for Approval and Approved expense sheets. (53784)
 Timesheet client selection no longer required for cost allocation projects
For cost allocation projects, where the allocation is based on a percentage and not user
selection, the Client column now indicates that the project has multiple clients and prevents
users from selecting a specific client. This only applies when the Client column is placed to the
right of the Project and Task column(s); in this configuration users can choose who their time
will be billed to. (53000)

 Entry of multiple license keys during installation


To simplify the Web TimeSheet setup process, multiple license keys can now be entered during
installation, although additional keys can still be entered from within Web TimeSheet after
installation.
 Collapsible search panels
The vertical search panel in the List Projects and Manage Reports pages can now be collapsed to
a narrower width, creating more room for list data.
 New themes
Three new themes have been added: Merlot, Mint Green, and Smoke Grey. Users can either
choose one of these pre-defined themes, use them as a starting point for a customized version,
or create a new theme from scratch.

New in 8.2
Web TimeSheet is Now Available in Two Editions
To improve usability, with version 8.2, Web TimeSheet has been split into two editions:
 Time & Attendance Edition
Use to track time for use in payroll processing and attendance monitoring. Includes Offline
Timesheet features by default.
 Project & Billing Edition
Use to track time for use in project costing and billing. Includes External User and Offline
Timesheet features, and the Web TimeSheet integration managers for Intuit QuickBooks and
Microsoft Project, by default.

An Expense module, which now includes Offline Expense features by default, can be purchased for use
with either edition.

If you are an existing customer, you will be upgraded to a combined version of the two Web
TimeSheet editions. For more information on this combined edition, contact Replicon Support.

New Features in the Time & Attendance Edition


 New time off booking options
Administrators can specify whether booking and approval is required for each time off type.
Booked time off automatically displays in the user’s time off calendar and – in a non-editable
format – in the user’s timesheet.
If you are upgrading, refer to Understanding how Time Off will be Migrated to Version 8.2
below for information on how your existing time off entries, settings, and balances will be
migrated.

 Time off calendar


You can now view, book, and approve time off using time off calendars. Your time off calendar
can be configured to display time off booked by you and others.
 Time off bookings exportable to third party applications
You can export your time off bookings and those of others to your Outlook calendar, or create a
dynamically-updating iCal feed from your time off calendar.
 New time off accrual functionality
You can now track users’ historical time off accrual policies, allowing you to apply different accrual
settings to each user over time.
As of Web TimeSheet version 8.2, time off is accrued on a prorated basis. That is, users
now "earn" time off during the period that precedes that actual accrual date.
For example, you set up an accrual policy for a new employee that accrues 1.25 days on
the 1st of each month, and becomes effective on April 16th (their first day of work). On
May 1st, they will accrue 0.67 days – NOT 1.25 days – because their accrual policy was only
in effect for a portion of the preceding accrual period (that is, the preceding month).
Prorating also applies when time off policies end, when their end date is not a scheduled
accrual date.

 Multi-level time off approval is now available, allowing multiple approvers to be included in
each user’s time off approval path.
 New time off administrative functionality allows you to view, add, edit, cancel, approve and
reject time off, view historical time off policies assigned to the user, and create time off user
defined fields.
 Ability to include time off in overtime calculations for time off types you select is now available.
 Overtime rule work week can now be defined for your organization, or for specific users, for use
in overtime calculations.
 Pay codes for labeling pay rate multipliers
Pay codes allow you to label time paid at different rates, such as regular or overtime, for easy
identification in time off and in overtime rules.

 New ADP export template
Users can now export data for use in PC and Web ADP applications from within Web TimeSheet
using the new ADP export template.
 Ability to mark data on export
You can now specify that data exported to external applications via the ADP or raw data export
templates be marked upon export. This is useful in preventing unnecessary duplicate transfers of
data, and in retaining data integrity.
 Timesheets for payroll use are now available, in which time can be entered against activities you
define, or against nothing.
 Ability to view time entered in your timesheet, summarized by pay code (for example, by
regular and overtime hours) is now available.

New Features in the Project & Billing Edition


 Integrated ProMax productivity tracking
For usability reasons, features of the ProMax module have been integrated into Web TimeSheet.
Features formerly available in ProMax are now offered under Productivity (on the Projects tab),
and in the Project Summary, Billing Summary, Timesheet Status Summary, (Time) Status, and
Repeat Offenders reports.
 Default user billing rate can now be set for each individual user. When enabling a user rate, this
value will populate the rate field by default.
 Improved access to integration managers
The integration managers for Intuit QuickBooks and Microsoft Project are now included with
Web TimeSheet, and can be installed onto local machines from within the Web TimeSheet
application.

New Features in Both Editions of Web TimeSheet


 Simplified product licensing and installation
All Web TimeSheet licenses you purchase are now included in a single license file that can be
uploaded to the application.
 User weekly days off can now be assigned on a per user basis for use in calculating time off and
overtime.
 Hours per day history is now recorded, allowing you to apply different hours per day settings to
a single user over time.
 Configurable CSV report separator symbol can now be set for each user, which is useful for
clients with global offices whose Windows regional settings use different default delimiters.
 New authentication and installation options
Web TimeSheet 8.2 supports:
 Microsoft Windows Vista
 Microsoft Windows Server 2008
 Enterprise single sign-on via SAML authentication
 IIS 7.0 web server
 ISAPI

 SMTP authentication
 Integrated Windows Authentication (IWA)

Integrated Windows Authentication (IWA) is only available in new installs, though existing
customers may manually convert to IWA, if desired.

 Ability to override timesheet validation rules


Administrators can now submit and/or approve timesheets that do not meet the assigned
validation rules.
 Weekly End-of-Month timesheet periods are now available that flex to match the length of the
month so that they never span months.
 Custom logos can now be uploaded to Web TimeSheet for use in reports and themes.
 Software update notifications can be enabled that allow Web TimeSheet to notify you when
new versions of the application are available.
 Option to allow non-administrative users to reopen timesheets is now available. Once edited
and re-submitted, timesheets enter the approval process once again.
 Removal of the rt.exe from the Web TimeSheet URL, to prevent some firewalls from blocking
access to Web TimeSheet.
 Reorganization of user pages and menus has been implemented, for ease of use.

The following Web TimeSheet features have been made obsolete as of version 8.2:
 Classic Reports
Classic reports have been slowly phased out of Web TimeSheet since highly-flexible “dynamic”
reports were introduced with version 7.1. If you are still using Classic reports, a utility is available
– accessible via the Web TimeSheet installer – that will save your current Classic reports settings
and thereby assist you in creating equivalent “dynamic” reports.
 User Groups
User group licensing is no longer available for Web TimeSheet, since its functionality has been
largely replaced by hierarchy filtering.
 QBXML
The QBXML integration manager has been retired. Users can still integrate with QuickBooks
using the QuickBooks IIF-format exports and the Web TimeSheet Billing Integration for
QuickBooks integration manager.

New in 8.3
The following new features are available in Version 8.3 of Web TimeSheet:

 Migration of Classic reports to the Dynamic report format
Web TimeSheet’s Classic report format was made obsolete with Version 8.2. For users migrating
to Version 8.3, Classic reports will be automatically migrated to the Dynamic format during the
upgrade.

If you have already migrated to a downloadable version of 8.2 and would like to convert
your Classic reports to the Dynamic report format, contact Replicon Support. A tool is now
available to complete this migration.
Replicon-hosted users who were upgraded to Version 8.2 will be given the option, via a
link within the Web TimeSheet interface, of having their Classic reports converted to the
Dynamic format.

 Access level settings now accounted for in migration of Raw Data Exports
If you are upgrading from Version 8.2 to 8.3, all users will have their access to raw data exports
removed. Then, if desired, Web TimeSheet administrators may run the Classic reports migration
tool. Running the tool will yield the following results (these are also the results of upgrading
directly from Version 7.5 to 8.3):
 For users who previously had the All access level to raw data exports, the exports will be
migrated to Version 8.3.
All users will be granted Full access to the exports (this is now the only access level
available for raw data exports)
 For users who did not previously have the All access level, the raw data exports will be
replaced with equivalent Dynamic reports of the same name.
Users’ access to report data will be limited based on their assigned permissions. However,
if required, users may be assigned Can View All Report Data for these reports.
 Permission for enabling Offline features
A permission is now available for enabling or disabling access to the Offline Timesheet.
 Warning Message when Copying Timesheets
When a user selects the Copy From button on their timesheet, a message now displays warning
them that any data currently entered into their timesheet will be overwritten by data from the
copied timesheet, preventing accidental loss of entered data.
 XML-Format Excel exports
Reports can now be exported to Excel using an XML-format. This format has some advantages
over the old CSV format:
1. It does not use a localized CSV separator symbol
2. It allows fields that include currency symbols to be treated as numbers
3. It does not require use of the Excel Import Wizard, which was required to open Unicode
CSV files correctly.
The CSV format is still available for use.
 Time off Data Productivity report
The Time Off field is now available in the Productivity Details report. This field is only available
to those with both a Time & Attendance and a Project & Billing license.
 Support for Firefox 3.0
Web TimeSheet now supports use of the Firefox 3.0 browser.
 Support discontinued for the Microsoft Oracle driver and Oracle Client Tools 9
Web TimeSheet now supports only the ODP.NET driver for use with Oracle. Because Web
TimeSheet uses .NET 2.0, which is only compatible with Oracle Client Tools 10 or higher, support

of Oracle Client Tools 92 is also discontinued. However, Web TimeSheet still supports use of
Oracle 9 databases.

Available in the Time & Attendance Edition


 Migration of Unapproved Time Off Requests from Version 8.2 or earlier
Previously, when upgrading to Web TimeSheet version 8.2, unapproved time off requests were
not re-created in Version 8.2. Now, unapproved time off requests will be converted to rejected
time off bookings during upgrades from Version 8.2 or earlier to Version 8.3.
Only requests that belong to an Open timesheet, that do not overlap with existing time off, will
be re-created. Web TimeSheet will send each affected user and system administrator an e-mail
with information regarding which requests were re-created, and which could not be re-created.
 Access to data from cell-level time off UDFs
As of version 8.2, cell-level time off user defined fields (UDFs), also known as hour-level UDFs,
are no longer available in Web TimeSheet. However, a tool is now available for retrieving data
that existed in these fields prior to migration. For more information on this tool, contact Replicon
Support.
 Activity Required Timesheet
Web TimeSheet administrators can now specify that users must enter time against activities in
their timesheets.
 Modification of behavior of time off bookings that include holidays
Time off booked for a holiday is now included in validation rule calculations of weekly hours
worked, so users can now submit timesheets that include such bookings if their validation rule
previously prevented submission.
In addition, user’s can now select which time off type is used to book time off that falls on a
holiday. If the selected time off type is used to book off a holiday, those time off hours will be
included in time off balance calculations for that “holiday” time off type; When any other time
off type is applied to a holiday, the non-“holiday” type’s time off balance will not be affected.
 Modification of behavior of time off bookings that include weekly days off
The way Web TimeSheet treats time off bookings that include weekly days off has been revised.
As a result, empty Booked Time Off rows no longer display on timesheets if the booked time off
falls solely on weekly days off for that timesheet period, and some issues involving time off data
in reports have been resolved.

 Hierarchy filtering applies to all Productivity features
Data on the User Productivity and Productivity Preferences pages, in the Productivity Charts,
and in Productivity filters and reports now follows hierarchy filtering.
 New Version of Web TimeSheet Billing Integration for QuickBooks
Service Release 1 of Web TimeSheet Billing Integration for QuickBooks Version 4.0 is now
available for download from within the Integrations section of Web TimeSheet. For information
on this release, refer to its release notes.

The following new features are included in version 8.5 of Web TimeSheet.

New in Both Editions of Web TimeSheet


 New License Update Process
Upon upgrade to Web TimeSheet version 8.5, users can enter an activation code in the installer
that allows Replicon to update the license information in your database. This allows you to
upgrade to Versions 8.5 and higher without having to use a license key or file, and lets you
choose to update your license information in the application any time you make changes to your
licensing.
 Password Expiry
Administrators can now require users to periodically change their Web TimeSheet password.
Forcing users to change their passwords on a regular basis improves password security.
Passwords can be set to expire monthly, quarterly, semi-annually, or yearly, or to never expire.
 New Report Permissions
Four new report permissions (three in the Project & Billing Edition, one in the Time &
Attendance Edition) are now available that provide more options for limiting users’ ability to
view cost, billing, and payroll information in reports.
 System E-mail Setup
The system errors and warnings e-mail notification is now listed under Advanced on the E-mail
tab of the user profile, along with the option to enable the receipt of broadcast messages. As of
Version 8.3, the system errors and warnings e-mail is disabled by default since this option is only
intended for users with the authority and permission to take action when an issue arises, such as
system administrators. These changes help prevent this option from being accidentally enabled
for standard users.
 Separate Currency Type and Amount columns in Excel Exports
Using a User Preferences option, users may now choose whether they want Currency and
Amount data exported to Excel in a single column or in two columns.

New in the Project & Billing Edition


 Web TimeSheet Billing Integration for QuickBooks Version 4.2
Version 4.2 of the QuickBooks integration manager can be downloaded from within Web
TimeSheet version 8.5. Select this link for information on new features and fixes included in this

 Web TimeSheet Integration Manager for Microsoft Project Version 4.2

 Limitation of External User access to Report Data
To improve data security and report usability, stricter limits have been placed on what data
external users can access in reports. External users can still view data and projects associated
with their clients, but are now more strictly prevented from viewing other clients (even in
multiple-client projects), payroll or cost information, user details, and company structure. In
addition, now only reports external users can actually use are available for assignment to them.

New in the Time & Attendance Edition
 Banked Time
Users may now be allowed to bank overtime hours. Accumulated banked time can be used when
booking or entering time off. This option can reduce the amount of overtime an employer has to
pay, and may be considered a benefit by employees who want more time off. When banked,
overtime hours are multiplied by the applicable pay code factor.
 Maximum Overdraw for Time Off
Some companies allow users to book time off that is not yet available to them, while other
companies do not allow users to make bookings that would result in a negative time off balance.
The maximum overdraw option allows administrators to specify:
 Whether users can incur a negative balance against a time off type, and
 How large a negative balance is allowed (if applicable).
 Automatically Populated Holiday Time
Administrators can now choose to automatically populate users’ timesheets with their holiday
hours. If this option is enabled, a time off booking for the user’s hours per day value will be
automatically created and approved for each holiday. Enabling this option saves users from
having to manually book off holidays, and ensures holidays are booked off using the correct time
off type.
 More Options for Exporting Time Off Bookings to Outlook
The following new options for exporting time off to Outlook are now available:
 Users can export single approved time off bookings or entries to Outlook, using a link in
the time off booking or entry form.
 Non-booked time off (that is, time off that users enter directly into their timesheets) can
now be viewed and exported to Outlook from the time off calendar.
 Time off bookings no longer need to be manually imported into Outlook 2003. Exported
bookings are now automatically added to Outlook, as they have been for Outlook 2007
in past versions of Web TimeSheet.
 User-selectable default Time Off Type
Users can now choose which time off type is selected by default in the time off type drop-down
list in the user’s Time Off Calendar. Setting this default helps ensure time off is booked against
the appropriate time off type.
 Revision of the Time Off Booking has been cancelled E-mail Notification
The Time off booking is cancelled e-mail notification is now called Time off booking is deleted.
It is now sent whenever a booking is deleted, to everyone who viewed the booking (the user the
time off was booked for and any approvers), though not to the user who cancelled the booking.
The content of the other time off notifications has also been modified slightly.
 Optional prorating of Time Off Accruals
Administrators can now specify whether or not accruals should prorate (that is, users “earn”
accrued time off, proportionate to the amount of time worked since the last accrual or the policy
effective date) for each time off policy.
 Whole hours granularity when booking Time Off
<None> and Full Hour options are now available in the Minimum amount of time off required in
bookings system preference. These replace the Hours option. If <None> is selected, users can

make bookings for parts of hours (for example, 0.75 or 2.25 hours), but if Full Hour is selected,
they must use full hour increments (for example, 1, 2, or 4 hours).
 Option to log changes for DCAA each time a timesheet is saved
When DCAA is enabled, you can now elect to have timesheet changes logged “always” (that is,
with every save, prior to submission), or only after submission.

 Custom Report Columns
Users can now create calculated columns in reports. Custom columns are based on formulas that
you define by combining operators or mathematic functions with numeric fields available to you
in a report. If you enable a custom column, Web TimeSheet will calculate and display values for
that column when you run the report, saving you from having to create and manage formulas in
separate spreadsheets for these calculations.
 Session Timeout Option
Administrators can now set users’ Web TimeSheet sessions to automatically log out if left idle for
a span of time they specify. This can help protect the security of Web TimeSheet data by
ensuring sessions are not left open indefinitely. Users are given a warning, and the option to
keep the session active, a few minutes before the inactive session times out.
 User-selectable default timesheet view
Users can now select which of their timesheets displays by default when they launch Web
TimeSheet. Users can choose to have either the timesheet from the current period or their
earliest unsubmitted period display by default.
 New options for filtering tasks or time entries without hours entered against them
A new filter, Time Entry Status, is now available in applicable timesheet reports for use in
filtering time entries based on whether or not hours are entered against them. Plus, the
behavior of the existing Task Time Entry Status filter (available in the Project / Task Progress,
Project Status, and Project Time Analysis reports) has been updated. These filters allow you to
select whether or not empty time entries should display in the report. Displaying zero-hour
entries may be useful, if, for example, you enter comments or user defined values against zero-
time tasks.
 Ability to sort by columns on list pages
Users can now sort by all columns on all Timesheet, Time Off, and Expense list pages (such as the
Waiting Expense Sheet Approvals list page), except for columns whose values are calculated at
run time (such as the Total, Billable Total, Time, and Details columns).
 Ability to Print Timesheet and Expense Sheet Disclaimers
Disclaimers are administrator-defined messages that appear on users’ timesheets and/or
expense sheets. Administrators can now choose to have disclaimers included when users print
these items.
 Tracking Number for Expense Sheets
All expense sheets are now assigned a tracking number. This unique number provides a quick
and easy way for users to identify and refer to particular expense sheets. The number is

displayed in the top left of the expense sheet, above the description. Expense sheet tracking
numbers display on all Expense list pages, offline expense sheets, and on applicable email

 Installation Log
A Web TimeSheet installation log now exists, that includes details of the installation process,
including any errors that occur. This assists you and Replicon Support in troubleshooting
installation issues, should any arise.
 Changes to Web TimeSheet system requirements
Web TimeSheet now supports Microsoft SQL Server 2008 in addition to the 2005 edition. Plus,
Web TimeSheet Billing Integration for QuickBooks Version 4.3 can now be used with the US,
Canadian, and Enterprise editions of QuickBooks 2009. Note, the UK edition of QuickBooks 2009
is not yet supported because it has not yet been released.
.NET Framework 2.0 SP1 is now a minimum system requirement for the Web TimeSheet
server. The Web TimeSheet installer will install this version during installation if it is missing
from your system.
As a result of this change, if you are using Windows 2000 Server/Professional, the KB
835732 security update is now required, in addition to Service Pack 4.

New in the Project & Billing Edition


 Ability to report on rates and roles assigned to project team members
Users can now view rates and roles assigned to a project using the Project Team Assigned report
template and reports based on this template. This report now includes fields displaying each
team member’s assigned rate types and project roles (if applicable), billing rates, and the
effective date for each rate. Users can now also filter by project role, rate type, and rate effective
date.
This data can be used for such tasks as confirming that billing is set up as planned (for example,
that the same rates are used for the same clients), viewing historical rate assignments, and
monitoring rates, without having to open each project.
 Improved Performance of Productivity feature
The following improvements have been made to Web TimeSheet's Productivity feature:
 It now uses live data, ensuring that Productivity report data now matches that of other
Web TimeSheet reports.
 The refresh process now has little impact on system performance.
 Web TimeSheet can now report on targets for users with no time enter in a time period.

New in the Time & Attendance Edition
 Time Off Anniversary Accruals
Administrators can now create a default, system-level set of anniversary policies in a single step,
for each time off type, that reflects your organization’s time off guidelines. Each policy uses
different accrual and reset settings, based on how long the user has worked at the company. For
example, in a user’s first, second, and third year of employment, you can specify that they
accrue, respectively, 10, 12, and 15 vacation days off. Each new time off user added to Web
TimeSheet is automatically assigned the default policies you create for each time off type,
although these policies can be customized on a user by user basis.
 Improved usability of time off administrative features
The interface used to create time off types and policies has been simplified. Among the changes,
the control for adding a time off balance to a policy is now more intuitive, and the Maximum
Overdraw, Maximum Balance, and time unit for display settings have been combined under a
single Advanced heading. Plus, for usability and consistency, the Allowed label has been
renamed Balance. (67266)

Changes to MSDE support


Web TimeSheet no longer supports Microsoft Desktop Engine (MSDE) as a destination database.
However, MSDE can still be used as source databases during upgrades.

Users can now add customized text columns to reports. Customized columns are created by
combining text fields available in a report with set functions and/or operators. For example, you
can specify that a specified length of text be extracted (truncated) and then combined
(concatenated) with another length text. Other available functions include the ability to carry
out logical operations on text fields, compare text for equality or inequality, and report string
length. This feature also allows you to enter hard-coded text – including empty cells – in a
custom column field, which is useful when formatting data to meet the import requirements of
another application. Text custom columns are currently available in all reports that support

Both text string and numeric custom columns are now available when editing raw data and

 Ability to Move Tasks within a Project
Users can now move tasks and sub-tasks to new locations within a project hierarchy. When you
move a task, all of its settings will remain unchanged, its new location will be reflected in any
existing timesheets, and timesheets containing the task will not require re-approval. However, if
you move an open task to a parent task that is closed, the moved task will effectively become
closed, too. Similarly, closed tasks moved under an open task will effectively become open.
 Ability to sort by Last Name on the User Productivity page
Users are now sorted by last name, and then by first name, on the User Productivity page. Users
with the same first and last name are first sorted by last name, and then by login name. This
feature makes it easier to find users, since names are displayed using a last name, first name

 Web Service for Time Off Balance
A web service is now available that allows users to extract time off balances from Web
TimeSheet without having to directly access their database. The XML-formatted data is accessed
either programmatically, or by appending a pre-defined method (acts like a report) and
parameters (act like a filters to limit the data returned) for the service to the Web TimeSheet
URL. Extracted data can be viewed in your web browser and used in external applications, such
as external exception ticketing systems.
 Task Code / Pay Code Column in Raw Data Exports
A single Task Code / Pay Code column is now available for the timesheet raw data export. This
column displays either a project or task’s code or the time off type’s pay code, depending on
whether time or time off is being exported. (68205)

Administrators can now evaluate and purchase Web TimeSheet via an account management

TimeSheet, and then purchase the type of hosting plan best-suited to your organization – either
a no-commitment Month-To-Month plan, or a cost-saving Contract plan. You can also use the
portal to modify plan licensing and submit and view the status of your Replicon Support cases.
 License Seats will be Exceeded Notification in Replicon hosted/SaaS Implementations
If some of your license seats are about to expire, leaving you with more active users than seats,
you will now be informed of this via Web TimeSheet’s new notification bar. A message will
appear on the notification bar – which displays on all pages of the application – 15 days prior to

 External User Time Off Approvals
In systems with both Project & Billing and Time & Attendance licenses, external users and
project leaders may now be given permission to approve time off for employees working on
their projects. This functionality may be useful if, for example, your employees work on client
sites for extended periods of time, and clients therefore need the ability to approve time off
taken by those employees. Providing your system has a Time & Attendance license, these users
can approve time off even if they have not been assigned a Time & Attendance seat.
 Additional Project/Task User Defined Fields
Web TimeSheet now includes ten additional user defined fields for entering project and task
related data. A total of 20 Project/Task user defined fields are now available.
 Web TimeSheet Integration Manager for QuickBooks Version 5.1

 Last Day of Month and Anniversary Day Accruals and Resets
Users can now set time off policy accruals and resets to occur on the 29 th, 30th, and 31st of the
month, rather than the last day of the month. This option was updated to allow anniversary day
accruals for users whose start date was on the 29 th, 30th, or 31st. Now, if the selected day does
not occur in a month, the accrual or reset will occur on the last day of that month. For example,
if you select 31st as an accrual day, the accrual would occur on the 30 th of days with 30 days
(April, June, September, etc.).
When creating sets of default policies based on the anniversary of the user’s start date, you can
now set accruals and resets to occur on the day of the month of the user’s start date (the
“Anniversary date”). For example, if a user started on March 3, you can now set monthly accruals
to occur on the 3rd of each month. This feature allows you to set up vacation policies based on an
anniversary year.
 Option to select which Time Off Types display on the Calendar
Administrators can select whether time off bookings or entries for a given time off type display
on time off calendars. This new system-level display setting can be configured for each time off
type. Preventing time off that does not impact time off planning (for example, time off entered
for breaks) from displaying on calendars helps keep the calendar interface uncluttered and user-
friendly.

 Cell Level Comments for Time Off Entries
Users can now enter time off comments for each time off entry on their timesheet. This change
gives users more options for entering comments, and makes the comment entry interface more
intuitive.
 Time Off Booking User Defined Field Permissions
New permissions are now available that determine whether time off user defined fields display
for the user when they are entering or booking time off. Similar permissions already exist for
timesheets that specify for which users timesheet user defined fields display.
 Time Off Booking View Only Option
A view only mode is now available when viewing the time off booking page, and a view only
permission is now available for accessing bookings. Approvers can still edit bookings by selecting
the Edit button on the view-only page. This change makes the timesheet, expense sheet, and
time off pages consistent.
 Ability to Calculate Bradford Factor in reports
A Bradford Factor (52 weeks) field is now available in the Time Off Balance report template (and
the Time Off Balance and Time Off Liability default reports). The Bradford factor is used by
human resources departments to monitor length and frequency of employee absences. The field
is calculated for the 52 weeks preceding the As Of Date selected in the report, using the
following formula: Bradford Factor = (# of instances of time off taken) 2 * (# days taken off), with
an instance being a day off or a group of consecutive days off using the same time off type.
 Day of the week fields available in Time Off Reports
Fields that display the day of the week when employees took time off are now available in select
time off reports. The day of the week for time off dates, and the start and end dates for time off
entered or booked, can be set to display in reports based on the Time Off Details template
(which includes the Time Off Details, Time Off Schedule, and Time Off Taken default reports).
Human resources personnel can use these fields to track patterns in employee time off.

and to maintain a proper audit trail when administrative overrides of substitute user settings are
required. Changes administrators make within the user profile update automatically on the

Administrators can now choose to create a custom formula when defining a timesheet period
validation rule. For example, you can create a rule that specifies that the user must enter a value
equal to or greater than the sum total of their hours per day for all work days in the timesheet
period. In past versions of Web TimeSheet, you could only use fixed values to define the
maximum or minimum number of hours that a user must enter in their timesheet.

 Scheduling Module (Beta Version)
A beta version of the Web TimeSheet Scheduling module is now available for evaluation. This
module allows you to schedule the times you expect employees to work, and can be used to
monitor employee adherence to their schedules. Schedule users can also be allowed to pre-
populate their timesheets with their scheduled hours.

 Time Off Booking Start and End Times
Users can now specify start and end times when booking partial days off. This lets approvers and
supervisors know what part of the day employees will be away, rather than simply the duration
of the absence. You can require users to complete start and end times before they can submit a
booking.

New in 8.11
The following new features are included in version 8.11 of Web TimeSheet.
 Web Schedule Module
Web TimeSheet’s Web Schedule module is now available for purchase. This module allows you
to schedule the times you expect employees to work, and can be used to monitor employee
adherence to their schedules. Schedule users can also be allowed to pre-populate their
timesheets with their scheduled hours. Web Schedule can be licensed and assigned
independently of other Web TimeSheet components.

The following features of Web Schedule have been modified since its last beta release:
 Web Schedule can now be evaluated and purchased using the Web TimeSheet account
management portal.
 The Scheduling module can now be licensed alone, without the Time & Attendance
license.
 Changes made to the user schedule are now auto-saved (that is, saved automatically
once a change is made).
 When you publish a schedule, there is no longer an option to select particular changes
to publish.
 Schedule Manager and Schedule User default permission profiles are now available.
 The default and sample schedule templates have been modified.
 Invalid violations will no longer erroneously be listed.
 Web Schedule now functions correctly in Web TimeSheet implementations using
Oracle databases.
 The scroll bar on the User Schedules table has been improved.

New Time Zone Standard


The time zone standard used in Web TimeSheet has changed from Greenwich Mean Time (GMT) to
Coordinated Universal Time (UTC). Time zone assignments will update to the new standard
automatically upon upgrade.
Ensure you are using the correct time zone options when importing or updating users via the data
import utility. The new options are available in the Web TimeSheet Data Import Utility User Guide, or
within Web TimeSheet, in the Time Zone drop-down on the Advanced tab of the Edit/Add User
page.

New Oracle Server Requirements


As of Release 8.10.0.6, Web TimeSheet’s Oracle Server version requirements have changed. If you
are using Oracle 10g, version 10.2.0.4 or higher is now required. Oracle 9.2 (9.2.0.1 or higher) is still
supported.

 Work Week Aligned Validation Rules


A Work Week validation rule condition is now available, for which validation begins on the first
day of the user’s assigned work week, as defined in their user profile. These weeks may not
correspond to the user’s timesheet period, therefore Web TimeSheet will validate all full work
weeks that include one or more days that fall within the timesheet period.
This condition differs from the existing Week validation rule condition, which takes effect at the
start of a timesheet period, not at the beginning of the user’s work week.
 Time Off awaiting approval displayed in Time Off Calendars
You can now allow other users’ time off that is awaiting approval or was rejected to display on a
users’ time off calendar. This applies to both time off bookings, and non-booked time off.
These are the permissions that regulate what items display in the time off calendar:
 Display other users' approved time off
 Display other users' time off waiting for approval
 Display other users' rejected time off

For each timesheet that is awaiting approval, the name of the next approver scheduled to
approve the timesheet now displays in the new Waiting Approver Name column, and not in the
existing Approver Name field. Now, only approvers who have completed approval display in the
Approver Name field, with one row for each approver.
 Web TimeSheet Integration Manager for QuickBooks Version 5.3.1
The updated version of the QuickBooks Integration Manager includes one fix: Users can now
successfully transfer expenses to sub-accounts with the QuickBooks Accounting preference Use
Account Numbers enabled.

New in 8.12
 New Supervisor data fields now available in the Timesheet Status Details Report
Current Supervisor Name and Current Supervisor Email columns are now available in the
Timesheet Status Details report template. These fields can be used to report which supervisors
are assigned to users with unsaved timesheets.
 Configurable number format when using the NumbertoText Custom Column Function
When using the NumbertoText function in a custom column (which converts numbers to text
string format), you can now specify the formatting used in the output string by entering the
format after the field name. For example, you can enter the following to return total hours with
no decimal places: NumberToText(totalhours,"0.###")). Refer to the Web TimeSheet online help
for more examples of this functionality.
 Date selector in Time Off and Timesheet side calendars
You can now select the date you wish to view using a drop-down date selector control in the
mini calendars that are located to the left of the timesheet and the time off calendar.
 Client Detail report template
A new report template called Client Detail is now available. This template allows you to report
on each client’s default billing rate, along with other client information. You can use this report
to return information on any client, whether or not they are assigned to a project.
 Overtime based on scheduled hours
Administrators can now choose to pay users overtime based on their scheduled hours, rather
than hours beyond a set amount, using single condition overtime rules. Employees assigned
schedule-based overtime rules are paid overtime for all hours worked in excess of their
scheduled hours during the specified time period (Day, Work Week, or Timesheet Period). This
new functionality is particularly useful when applied to employees who work schedules that vary
from week to week (for example, employees who have every second Friday off).
 Dynamic Date Options in the As of Date filter of the Time Off Balance report

 Date Selector on the Schedule Page
A date selector control is now available on the Schedule page. Schedules will display beginning
from the date you select using this filter. Plus, the arrow controls for navigating backward and
forward through the schedule have been modified to improve usability.
 New Date Sub-filter in Expense Reports
A Filter Expenses By sub-filter, with Expense Sheet Date and Incurred Date options, is now
available in the Date Range filter of Project Expense Analysis, Project Expense Status Summary,
Project Status, and Billing Summary report templates. This sub-filter is set to filter by Expense
Sheet Date, by default.
 Schedules Permission Option for Substitute Users
You can now explicitly assign substitute users permission to access and modify schedules on
your behalf. In previous releases, any assigned substitute user was given this permission
implicitly.
Enable Schedules permission for existing substitutes who need access to schedules
The new Schedules permission for substitute users is disabled on upgrade to version 8.12.
Therefore, if you have existing substitute users who require access to schedules, you will have to
enable Schedules permission for these substitutes so they can continue to access schedules.

 Date Range filter available in Time Off Balance report


The new date range sub-filter of the As Of Date filter allows you more flexibility when reporting
on time off balances. All time off that falls on or between the two dates selected using this filter
counts towards time off taken as displayed in this report.
 Check Server Status link available on the Web TimeSheet login page
This new link provides SaaS (Replicon-hosted) customers with easy access to the current Web
TimeSheet status, along with up time percentages for recent months.

 QuickBooks Integration Manager Version 5.4 (Time & Attendance or Project & Billing required)
Version 5.4 of the Web TimeSheet Integration Manager for QuickBooks is now included for

 Data Transfer to Client Invoices
A Client Invoice wizard is now available in the Integration Manager, for use in transferring
time and expense data from Web TimeSheet to client invoices in QuickBooks. Use this wizard

mappings. You can also use the wizard to create customized entries for the Description and
Closing Message fields that display on the invoice, and to select information from
QuickBooks that you would like automatically added to the invoice.

stream to transfer data between Web TimeSheet and QuickBooks, you should now be able to
convert to Version 5.4.

 Hours, Activities and User Defined Fields available in Schedule reports (Web Schedule required)
Are you looking for the total number of hours a user has been scheduled over a time period you
select? You can now use the User Schedule report to view total hours scheduled, along with the
activity time is scheduled against, and any notes or Timesheet row- and hours-level user defined
field values entered for that schedule. You can also now filter report data by assigned activity.
Adherence data has been removed from the User Schedule report and is now available in
a new User Schedule Adherence report template. Use the new report if you want to
track Actual Time, Adherence Messages, Is Adherent, and Scheduled Time.

User and Project Data Import
You can now import User and Project data into Web TimeSheet using a new CSV-mediated import
feature located within the application. This allows you to add bulk data to your Web TimeSheet instance
without using the external import utility or contacting Replicon Support. Refer to Importing Data in Web
TimeSheet’s online help for information on what data can be imported and on how to use this feature.

Improvements
74424 Substitute user assignments can now be edited and deleted using the new #SubstituteUserUPD
and #SubstituteUserDEL commands available in the data import utility. Users could previously only add
substitute users via the utility.

Web TimeSheet's new API is now available. The RepliConnect API can be used to access and edit your

Approval Date filter in the Timesheet List report


A Last Approval Date filter is now available in the Timesheet Detail and Timesheet List reports. This
filter allows you to filter timesheets by the date of their last approval. If this filter is enabled, timesheets
that are not approved will not display, and data for timesheets that are partially approved (i.e. awaiting
approval from additional approvers) will display.

Additional User Details in the Time Off Shared Calendar


You can now allow users to view other users’ departments and User-type user defined field values on
their time off calendar. These details will display when the user hovers their mouse over a time off entry
in their calendar. This information can help users in larger companies decide where to redirect customer
inquiries directed at colleagues who are away.
To allow departments to be viewable, enable the Show User’s department(s) on Shared Calendar
system preference. To allow users to view User-type user defined field values, enable the applicable
Display User – User Defined Field #x tool tip time off permission in permission profiles.

Improvements
73893 If you are using the AM/PM time format with an In-Out timesheet, Web TimeSheet now defaults
to the most likely AM or PM value for the Out field, based on the In time entered. For example, if you

Send a Report to All Users Listed in the Report
Any report that can be e-mailed now includes the option of sending the report to all users who are
included in the report. If this option is selected, the report will be sent to all users listed in the User
Name column. You can allow the user to view all data in the report, or only data from their row or rows.

Include a Message with E-mail Reports


You can now create a custom message to be sent with any e-mailed reports. The message
will appear as the body of the e-mail.

Weekly Overtime Rule Template


A new overtime rule template, Weekly Overtime, is now available in Web TimeSheet. You can use this
rule to apply multiple overtime conditions to the hours a user works each week.
This new template can be used to track Straight Overtime (SOT). For example, you could use this
template to track the following three types of weekly working hours for a user:
 Regular hours (1x), hours worked less than 37 hours in a week
 SOT hours (1x), hours worked between 37 and 40 hours in a week
 Overtime hours (1.5x), hours worked beyond 40 hours each week

New in 8.19
Multiple Argument API Query for Timesheets
A new timesheet query, TimesheetByArgument, is now available in the RepliConnect API. Existing
timesheet queries allow you to filter timesheets for display or modification using one or two criteria (for
example, by date range, or by user and date range). Using TimesheetByArgument, you can include all of
the following arguments in a single query: user, timesheet date range, entry date range, save status,
approval status, and specific timesheet-, row- or cell-level user defined fields. You can also provide
a null for any arguments you want to exclude as filters, allowing you to use a single query to return
precisely the timesheets you're looking for.

Auto Selection in new Department (Historical) Filter


A new Department (Historical) - Auto Select filter is now available in all reports that already include the
Department (Historical) filter. In the new filter, when you select a department, its sub-departments are
automatically selected. Similarly, if you deselect a department, all of its sub-departments are deselected.
The old selection behavior is still be in effect in the original Departments (Historical) filter.

Time Off exports from Approval Calendars


You can now export approved time off from your time off Approval Calendar to Outlook or by using an
iCal feed. Previously, time off could only be exported from users’ shared calendars.

New Work Day Hours (In Month) report field


A Work Day Hours (In Month) field is now available in the Timesheet Hours Details report. Like the
existing Work Day Hours (In Period) field, this field displays the sum of a user’s work day hours, but in
this new field, hours are summed for each month rather than for each timesheet period.

Timesheet User Defined Field filter in payroll reports


Entire Timesheet user defined fields can now be used as filters in the Paycode Hours Details and Payroll
Details reports. This means that you can now create your own custom drop-down field (the field can be
set as 'required') that appears on each user timesheet, and then later filter timesheets based on values
that users choose for that field.

Improvements
75804 Any URL that complies with the RFC 3986 standard can now be saved in the Logout URL system
preference field. This means, for example, that you can enter logout URLs that include query parameters.
75865 Users who have a Web Expense license seat and no timesheet can now select, via User
Preferences, whether the Expense Sheet List page or their last saved expense sheet displays by default
when they log in to Web TimeSheet. Administrators can select a default value for this setting, that
applies to all new users added to the system. For existing users, the last saved timesheet will display by
default.

Automatically Assigned Project Codes
You can now choose to have each project you create in Web TimeSheet automatically assigned a project
code by enabling the Auto Generate Project Code system preference. With this option enabled, all
project codes in your system will become uneditable. Note that project codes will become editable once
again if the option is later disabled.
Auto-generated codes are assigned on an incremental basis, beginning with the numerical value
specified in the Next project code value preference field. Be sure to set this option at a value higher than
the highest value project code currently in use in your system, since existing codes can be duplicated by

Permission to Edit Approved Past Time Off Bookings


You can now allow users to edit their own approved bookings for time off that occurred in the past by
assigning them Time Off > Submit time off bookings > Edit/delete past time off bookings permission.
With this permission, users are allowed to edit any booking associated with a timesheet for which
approval has not yet begun. If a timesheet is partially or fully approved, they can still edit a booking for
that timesheet period by first reopening the associated timesheet, provided they have Allow reopen of
timesheet after approval permission.
Users can edit bookings via their time off calendar, or via their My Time Off Bookings page. Edited
bookings and reopened timesheets re-enter the approval process from the beginning.

Ability to copy a row on Expense Sheets


You can now copy an existing row of data on an expense sheet to a new row by clicking the plus icon in
the existing row. The new row will be added to the bottom of the tables of expenses.

Dynamic Yesterday Date Range option in Reports


A Yesterday option is now available in the Date Range filter in reports. This new option allows you to
create (or schedule) reports for the previous day's data without having to reset the date filter each time
you run the report.

New Functionality available in the RepliConnect API


Using RepliConnect, you can now:
 Log in to a single authenticated session, rather than having to provide HTTP authentication with
each action.
 Session-based logins are enabled with change password notification, based on the user’s Force
Password Change field
 value and the system’s password expiry settings.

Half-Day Holidays
Some companies grant their employees half-day holidays. You can now indicate half-day holidays in Web
TimeSheet holiday calendars by checking the Half-Day check box when adding or editing a holiday. When
a booking is created for a half-day holiday (either by the user or through autopopulation), the booking
will have a duration of half of the user’s assigned hours per day.

Timesheet Pay Code and Banked Time summaries in the Timesheet List report
In the hours summary displayed above and to the right of the timesheet in the Timesheet List report,
hours are now categorized as they are on the user’s timesheet: by regular, billable, and banked time, and
with the applicable pay code for each category displayed.

New fields and filters in Time Off Details and Project Status Reports
Pay Code fields now available in the Time Off Details report, and a Submitted On date range filter and
date column are now available in the Project Status report.

Ability to grant temporary Administrative Access to Replicon


If you're a SaaS customer, you can now enable a new permission, Grant Remote Administration, which
lets you temporarily allow a Replicon employee to access and perform administrative functions in Web
TimeSheet. You can specify an expiration date for the allowed access, which can last up to one month
and can be revoked at any time. This feature saves you from having to create a new license seat or
provide your password on occasions when you need Replicon to have temporary administrative access to
your system.

IP Filtering
If you're a SaaS customer, you can now choose which IP addresses are permitted access to your Web
TimeSheet system.

Scheduled Raw Data Exports


You can now schedule raw data to be exported automatically on a recurring basis. Export schedules
behave much like report schedules; you can specify when to run the export, who to send it to, the file
format to send, and how to filter the data.

Approvers access via the RepliConnect API


Two new read-only relationship properties are now available via the API for approvable objects
(timesheets, time off bookings, expense sheets): WaitingOnApprovers and RemainingApprovers. These
display a simple summary of the approval path for the object in question. Plus, an Approver property is
available on timesheet, time off booking, and expense sheet approval histories.

Enumerated Fields available for use in Custom Columns
Enumerated fields (that is, fields with a fixed set of values) can now be included in custom column
calculations. Web TimeSheet’s enumerated fields include all ‘Status’ fields (such as a user’s Enabled
status and Task Status), Billing Method, and Rate Type, among others. An enumerated field can only be
used in custom columns for reports that include that field.
One possible use for including enumerated fields in custom columns is to display a calculation result for
fields of a certain status only. For example, imagine you want a report to display the total billable
amount for closed tasks only:
If Task Status is Open, then display 0. Otherwise, display the task’s billable hours multiplied by
the billing rate.
This would translate into a custom formula of:
If(TaskStatus=0,0,BillableHours*HomeBillingRate)
In custom columns, enumerated values must be entered using their integer equivalents. For example,
Open must be entered as 0, Closed must be entered as 1. Refer to Web TimeSheet’s online help for a
table of integer equivalents for each possible enumerated field value.

Support for Microsoft Project 2010


You can now transfer data between Web TimeSheet and Microsoft Project 2010 using the Integration
Manager for Microsoft Project.

The Integration Manager does not support the transfer of manually scheduled tasks to Web
TimeSheet. Therefore, ensure that any tasks you plan to transfer are auto scheduled.

Submitted On field and filter in Timesheet Reports


You can now filter timesheets based on when they were submitted in all applicable timesheet reports,
including the Timesheet Detail report. For example, you can use this new filter to track time entered for
March that wasn’t submitted until April by selecting March 1 to 31 from the Date Range filter, and April 1
to 30 from the Submitted On filter. You can now also view the date when timesheets were submitted in
applicable reports.

Ability to enter comments when acting on Historical Timesheets


You can now allow administrators to enter comments when they submit, approve, reject, or reopen
timesheets from the Historical Timesheets page. To enable this option, assign administrators the
Comments Required option of the Administration > Historical Timesheets permission. With this
permission enabled, administrators will be prompted to enter comments, although they will not be
required to do so to complete the action.

User Access Details report


You can now track when and for how long users are logged in to Web TimeSheet using the new User
Access Details report. This report shows who logged in, when they logged in, and their session duration.
The report includes a Login Time Date Range filter that you can use to limit which sessions display.

Task Assignment Query in RepliConnect

A query that returns a user’s assigned, open tasks for a project is now available in the RepliConnect API.
Queries that filter based on task count and time entry date, in addition to project and user, are also now

Support for the QuickBooks Online Edition and QuickBooks 2011


The Web TimeSheet Integration Manager for QuickBooks now supports use with US and Canadian
editions of QuickBooks 2011 and the QuickBooks Online Edition.

Certain limitations exist when using the Integration Manager with the QuickBooks Online Edition,
due to issues imposed by that edition of QuickBooks. Refer to the Integration Manager for
QuickBooks User Guide for more information.

Billed Flag for TimeSheets


Administrators can now be allowed to mark timesheets as billed, and filter by this new status, on the
Historical Timesheets page. They can also view and filter by this status in most Timesheet reports,
including the Timesheet Detail report. To allow users to mark timesheets, assign them Administration >
Historical Timesheets > Mark as Billed permission.

New Time Off Queries in RepliConnect


Using the RepliConnect API, you can now:
 Access current user time off balances for each time off type
 Choose to display time off in hours (via a new option in the system preferences query)
 Filter time off bookings that were modified since a specified time
Refer to the RepliConnect documentation for more information on these options.

Expense Exchange Rates calculated as of Date Incurred


In previous versions, if an expense was incurred in one currency and reimbursed in another, Web
TimeSheet would calculate the reimbursement amount based on the last exchange rate entered for the
currency. Now, reimbursement is calculated using the exchange rate that is in effect in your system on
the day when the expense was incurred.

Will my existing expense sheets be affected?


New expenses created after upgrade to version 8 24 10 will use exchange rates as ofthe incurred
date Any saved submitted and approved expenses that existed in your system prior to upgrade to
version 8.24.10 will retain the exchange rates that were applied when you last saved them.
However, if you edit the incurred date of an existing saved expense and then save the expense
sheet, the expense will update to use the rate as of the incurred date.

New Time Off Tracking Properties in the API


You can now access how time off a user has taken and has remaining using three new properties of the
time off booking object. In addition, the time off type object now includes a Display As property that
allows you to choose whether time off remaining or taken displays for that type.

The Web TimeSheet Integration Managers for QuickBooks and Microsoft Project now support use with
most 64-bit Windows operating systems. Refer to the QuickBooks Integration Manager and Microsoft
Project Integration Manager system requirements for a full list of the operating systems now supported.

Entry-based timesheet objects in the RepliConnect API


Three new Timesheet objects are now available in the RepliConnect API – EntryTimesheet,
EntryTimesheetTimeEntry, and EntryTimesheetTimeOffEntry. You can use these objects instead of the
Timesheet and Timesheet row and cell objects to simplify development of entry-based applications (i.e.
applications that don't use rows). Refer to the RepliConnect documentation for more information.

API Query for Projects for which user has task assignments
A new query called TimesheetProjects is now available in the RepliConnect API. This query returns all
projects for which the user has task assignments, and can be used to determine what tasks are available
for selection on a timesheet.

Task-Level Expenses
Need to associate your employee’s expenses with specific tasks within a project rather than the project
as a whole? When completing their expense sheets, users can now select a task to associate with each
unique expense. They can, of course, still associate an expense with the project as a whole by setting the
Task field value to <None> (the default value).
Users can only associate expenses with tasks to which they are assigned. And, if you’ve limited which
expense types can be used for a given project, users are limited to those expense types for the project’s
task-level expenses, too.
You can report on what task each expense is associated with using the Expense Details report and
reports based on it, and the Expense Sheet List report. Tasks associated with expenses can be exported
using the Expense Raw Data Export.
To allow users to enter expenses against tasks, you have to enable the Task column on the Expense
Column Preferences page, and have users enable this column in their expense sheets; select Settings on
an expense sheet to modify which columns display.

Relationship Count Query in the RepliConnect API


A new CountBy query is now available in the API that you can use to return the number of instances of a
given relationship in place for an object. For example, you could use this query to identify whether a
certain relationship exists for a given object, such as whether a row exists for a timesheet, without
actually loading that relationship. This query applies only to relationships with quantities of "zero or
more", "one or more", or "zero or one".
Refer to the Actions page in the RepliConnect documentation for an example of this query.

"Archived" Status for Projects (Project & Billing only)


It is now possible to assign “archived” status to Web TimeSheet projects. If a project is archived, it will
not display in most reports and, like closed projects, will not be available for addition to existing
timesheets or expense sheets.
When a project is archived, it is not deleted from your system or altered in any way, and all existing
entries users have made against that project will remain unchanged on all saved, submitted, and

approved timesheets and expense sheets. Archived projects can be re-activated (“un-archived”) at any
time.

Support for 64-bit versions of Windows Server 2003, 2008, and 2008 R2
In 64-bit systems, Web TimeSheet requires that IIS be run in 32-bit compatibility mode. The Web
TimeSheet installer will automatically set IIS to 32-bit compatibility mode during installation, if it is
required.

In IIS 6.0, 32-bit compatibility is a system-wide setting, and may affect other applications
installed on your server
If you encounter problems with other applications due to this automatically changed setting and
need to uninstall, Web TimeSheet will not automatically disable 32-bit compatibility. Refer to
Disabling 32-Bit Compatibility in IIS 6.0 when Uninstalling Web TimeSheet in the Web TimeSheet
Installation Guide for instructions on how to revert this setting manually.
In IIS 7.0 this setting applies to Web TimeSheet’s application pool only.

Changes to System Requirements


As of version 8.24, the following changes have been made to Web TimeSheet’s system requirements:

For Oracle users, Oracle Client 11g Release 2 is now required, at minimum

The internal web server is no longer supported; IIS 6.0, 7.0 or 7.5 is now required

If you currently use IIS and are upgrading on a new server, your Web TimeSheet URL will change
upon upgrade to version 8.24
In most cases, your Web TimeSheet URL will remain unchanged after upgrading to version 8.24.
However, if you are upgrading an IIS version of Web TimeSheet on a new machine, your existing
URL cannot be automatically retained due to changes to how IIS is configured. If this issue applies
to you, contact Replicon Support and they will help you retain your existing URL.

Both .NET Framework 2.0 and 3.5 are now required

.NET Framework 3.5 is not automatically installed on Server 2008 and Server 2008 R2
Whenever possible, the Web TimeSheet installer will automatically install required versions of .NET
Framework during installation. However, .NET Framework 3.5 cannot be automatically installed in
Server 2008 and 2008 R2 since it is included as a Windows component in those versions.
Therefore, you must install this component before you can upgrade to Web TimeSheet version
8.22 or higher. For information on how to install the component, refer to Installing or Upgrading
Web TimeSheet in the Web TimeSheet Installation Guide.

Improvements
US41 Each user’s column mappings are now saved for imports made via CSV Import. This prevents you
from having to remap the data column headers when editing previously imported data.

US510 A new filter query is now available in the RepliConnect API that returns all of your expense sheets
that were modified after a date you provide.
US279 A simpler interface for setting up user experience sample data and other trial instance options is
now available.
US1418 Changed exchange rates now refresh for expenses when the expense sheet is loaded, not when
the date incurred is edited. Updated rates will not be saved if you click Cancel after opening an expense
sheet, they will only be saved when you click Save. Rates will never update in submitted or approved
expense sheets unless you unsubmit and save them. This change was rolled back to the previous
behaviour as of the 8.24.13.1 (June 8, 2011) release.

New in 8.25 – October 6, 2011 (Added to SaaS June 22 - Oct 6, 2011)


Best-Of Overtime Rule (Time & Attendance only)
A new Best-Of Overtime Rule template is now available that allows you to pay employees overtime for
excess hours worked each day (or on a given day of the week), each week, on a seventh consecutive day
of work, or on a holiday; you can create as many conditions as you need for each category. Using this
template, each hour of overtime qualifies for only one overtime condition – the one the yields the most
pay.
This rule is effectively a hybrid of the California Overtime and Daily Overtime templates, and is useful if
your organization pays overtime for both weekly overtime and for time worked on holidays. Refer to
Setting Up Overtime Rules in Web TimeSheet's online help for an example of how the rule works.

Smart Interface Standard Timesheet


Smart Interface is a new and improved version of Web TimeSheet's Standard timesheet format that
offers four key advantages over the old Standard timesheet:
 Improved performance
 A newly-designed task selector (Project & Billing only)
 More consistent and less intrusive error handling
 Enhanced Copy From functionality
This new format will not be enabled automatically for existing users; administrators can choose whether
or not they want to use it.
Administrators can also test this new format first before enabling it for their organization.

Smart Interface does not support Internet Explorer 6.0 and certain other features
If you use Internet Explorer, you must use version 7.0 or higher with the Smart Interface format. Also, the
following features are not yet available for Smart Interface:
 Stopwatch
 Schedule Discrepancies in Web Schedule
 Timecard comparison in Web TimeSheet Time & Attendance
If you need access to these features, you should continue using the "classic" Standard timesheet format
for the time being.

New Look and Feel for the Web TimeSheet Interface
The entire Web TimeSheet interface now has an updated appearance. This change is cosmetic only, and
does not affect how
Web TimeSheet functions. However, as a result of the change, customizable themes are no longer an
option.

Auto-populate Holidays without Time Off Booking permission (Time & Attendance only)
In past versions of Web TimeSheet, if auto-population of holidays was enabled, holiday hours were only
automatically added to a user's timesheet if they had permission to create time off bookings. Now,
holiday hours will auto-populate for users without the ability to book time off.
As previously, to set up auto-population, enable the Populate holiday time on the timesheet option on
the List Time Off Types page and select a time off type that doesn't require booking from the Time Off
Type for Holidays is field. Then, check that users whose hours should auto-populate are assigned that
time off type and Enter Time Off in Timesheet permission. Once auto-population is set up, when a user
first accesses a new timesheet, the system will automatically add their hours per day value to any
holidays that fall within that timesheet period. The holidays added are those specified in the user's
assigned holiday calendar.
Refer to Defining Holidays in Web TimeSheet's online help for more information on auto-populating
holiday hours on timesheets.

Project/Task Billing Status Filter in Reports (Project & Billing only)


You can now filter projects and tasks by their billing status in all reports that include a project or task
Billing Status column. You can user this filter to display only projects/tasks with billable time, with non-
billable time, or with both.

Expense Sheet Data Import


You can now import statements of expense data provided by your credit card company directly onto
expense sheets in Web TimeSheet. To be imported, statements must be in CSV format. Data for most
expense sheet fields can be imported using this feature, however, you can only add new expense sheets
and cannot edit existing sheets via import.
You must have an Expense license to import expenses, and can only import data for a user who has an
expense license.
Refer to Importing Data in the Web TimeSheet online help for more information on using this feature.

Ability to Sum Custom Columns that are Percentages


A new Custom Formula summary option is now available in reports. Unlike the Sum option which sums
each value in a custom column after its formula is applied, this new option sums values for each column
used in the formula before applying the custom formula. You can use this option to find the sum of
percentages or other fractions.
For example, imagine you create a custom column to calculate % Billable with the formula (Billable Hrs /
Total Hrs), and for one project 20 out of 40 hours are billable (50%), while for a second project 10 out of
50 hours are billable (20%). If you select Sum for this custom column, Web TimeSheet will sum the
calculated percentage for each project, giving a value of 70%. However, if you select Custom Formula,

Web TimeSheet will sum the billable hours (30) and the totals hours (90) before applying the custom
formula, arriving at 33.3%.

Support for QuickBooks Australia 2011/2012 in the Integration Manager for QuickBooks
You can now use QuickBooks Australia 2011/2012 with the QuickBooks Integration Manager.

User-Level Security in the RepliConnect API


The RepliConnect API is now enabled by default for all customers, with a new “User” level of security.
Unlike the “Full” security mode offered in previous versions of RepliConnect, user-level security checks
user permissions. Therefore, this new mode allows you to offer general access to applications that use
the API – such as Replicon’s upcoming mobile application – while protecting your system’s security.
As part of the change to user-level security, a new User security context is now required when accessing
RepliConnect. This context limits API access to typical user actions only, such as completing timesheets,
expense sheets and time off bookings. However, legacy applications developed prior to version 8.25.7
should still operate without the header that defines this context, providing the new Can view ALL
system data API permission is enabled (this permission is enabled by default for existing API users).
Refer to the RepliConnect documentation for more information on user-level security and on using the
API.

Improved Performance for RepliConnect Queries


The performance of certain query actions performed in the RepliConnect API has been improved
significantly. This improvement primarily affects queries that involve the upload of ‘additional’ data, such
as querying users along with some user settings.

Ability to block display of select user profile fields in reports


A new permission is available that lets you to prevent certain potentially sensitive user profile fields from
displaying in reports. Users who are assigned the new Show users’ HR data permission will not be able
to view the following fields and filters in any reports:

This new permission is enabled (i.e. access to these fields is allowed) by default in all permission profiles
that have Reporting functions enabled, so your system’s behaviour will not change unless you choose to
disable the new permission.

Auto Selection of Users in new Department Filter
A new Department - Auto Select filter is now available in the User Profile report template and in reports
based on it. In the new filter, when you select a department, all of its sub-departments are automatically
selected. Similarly, if you deselect a department, its sub-departments are deselected. You can enable this
filter on the Filters tab, which you can access by clicking the Settings button in the report.

Project User Defined Fields (Project & Billing only)


Web TimeSheet now offers 20 Project-level user defined fields, in addition to the existing 20 Project/Task
user defined fields. Use the new Project fields if the custom data you wish to collect applies to the entire
project, and should not be available for each sub-task of the project. This new type of custom field is
especially useful if you want to require that a field be completed, but you don’t want project leaders to
have to enter data in the field for each sub-task.
These new fields are added on the Project tab of the User Defined Fields page, while your existing
Project/Task user defined fields are now located on the renamed Task tab. Once you've created a Project
user defined field, it will be available in the Project Information section of each project's main page, and
if it is a required field, it will also be available on the Add Project page when you create new projects.
Task user defined fields are still available for the top-level (project-level) task in projects.

Improvements
US1190 The User Default Billing Rate column is now available for use in custom columns in all reports
that include that column.
US1635 A FilteredApprovalHistory relationship is now available for the TimesheetApprovalHistory,
TimeOffApprovalHistory, and ExpenseApprovalHistory objects in the RepliConnect API. You can use this
relationship to exclude modifications made by an item’s owner and their substitutes.
US1609 The Edit Expense Codes window can now be resized.
US1367 In previous releases, Web TimeSheet would automatically subtract the duration of a half-day
booking from all time off bookings that overlapped with that holiday. Now, the holiday duration will only
be subtracted from Full Day Off bookings or if the holiday falls in the middle (i.e. not on the first or last
day) of a booking that spans multiple days. If the user books off any other duration of time on a half-day
holiday, their hours will be recorded as entered.
US1957 A query is now available in the RepliConnect API that returns all timesheets modified since a
specified date and time.
DE1142 A < None > option is now available under Select specific tasks in the Task filter in Expense
reports.
US2002 The highlighting that indicates a timesheet is overdue in the Timesheet side menu calendar is
now darker and easier to see.
US2044 A DepartmentByPath query is now available in the RepliConnect API which allows you to query
by the entire department path name to determine department IDs. This query can be used instead of
the existing DepartmentByName query in cases where multiple sub-departments share the same name.
US1934 You can now sort column values in Standard 2.0 (Smart Interface) timesheets by clicking column
headers. Values are sorted alphabetically, numerically, or by date, depending of the type of data that
appears in the column you’re sorting by.

US2018 Previously, holiday hours worked were included by default when calculating Weekly overtime for
a Best-Of Overtime rule. Now, you can choose to exclude holiday hours by clearing the new Include
hours worked on holidays check box when setting up your Weekly condition. This check box will be
enabled by default for any customers with existing Best-Of rules that include Weekly conditions,
meaning the current behaviour of the rule should not change.
US1794 It is now possible to specify carry over in time off policies via the RepliConnect API.
US2007, US2121 The colors of Smart Interface expense sheets and Standard 2.0 timesheets have been
modified to improve usability.
DE1122 The performance of report filters, particularly that of composite report filters that include
thousands of items, has been improved.
US2167 When you open the Web TimeSheet login page, the cursor now appears in the first empty field
by default. If all fields contain text, it defaults to the Password field, so you can immediately press Enter.
US2198 An Exists action is now available in the RepliConnect API that checks whether objects with the
identities you specify exist . This action can be used with all identity types, and returns true if the object
exists and false if the object does not exist. Refer to the RepliConnect documentation for more
information on using this action.
US363 You can now search for project codes in the Client-Project-Task field on Standard 2.0 (Smart
Interface) timesheets.
US1296 You can now load, enable, and disable email notifications for users via the RepliConnect API.
Refer to the RepliConnect documentation for examples of this.
US1653 The Weekly Days Off field is now available in the User Profile report template, and in reports
based on it (including the User Detail report).
US2006 The comments boxes on Standard 2.0 (Smart Interface) timesheets now automatically expand to
match the text added.
US2139 On Standard 2.0 (Smart Interface) timesheets, you can now collapse the menu on the left-hand
side of the page to give more room to view your timesheet.
US2554 Using the Date Range filter in reports, you can now filter by your system’s default work week, as
defined in your system preferences. There are two new filter options:
 Current Default Work Week - displays data for the default work week currently in progress
 Previous Default Work Week - displays data for the last default work week
US351 If someone else modifies and saves a timesheet while you are making modifications to that
timesheet, when you attempt to save your updates, a message will now inform you of the conflict, and
will load the other user’s changes for you to work from. Previously, changes saved elsewhere would not
update on your timesheet until you reloaded the timesheet, so you could overwrite other updates
without ever seeing them.
US2710 All RepliConnect Task by user queries now return parent and ancestor tasks (i.e. all tasks above
the assigned task in the project’s hierarchy) for each task returned.

Supervisor-Level Access to Historical Timesheets
In previous releases, assigning a user Historical Timesheet permissons (such as the ability to edit or
delete timesheets) allowed them to modify all timesheets in the system. Now, a new For Supervisees
Historical Timesheets permission is available that allows users to modify their supervisees’ timesheets
only. A user’s supervisees are those for whom the user is assigned Supervisor.
You might assign a supervisor this permission if, for example, the supervisor sometimes needs to modify
their supervisees' Locked In-Out timesheets, and these changes need to be made prior to submission to
meet payroll schedules. Note that supervisors can already be given permission to edit their supervisees’
submitted timesheets, providing they act as their supervisees’ timesheet approver.
Any user in your system who is currently assigned Historical Timesheets permissions will retain their
current level of access (i.e. they will continue to be able to make changes to all timesheets).

Ability to map Expense User Defined Fields to Vendors in the QuickBooks Integration Manager
Rather than transferring expense entries by expense sheet to vendor bills in QuickBooks, you can now
create an Expense user defined field in Web TimeSheet that defines vendor names, and transfer
expenses to a separate vendor bill for each of those vendors.
Vendors must be pre-defined in QuickBooks for this transfer to work; you cannot directly transfer
vendors mapped from expense user defined fields via the Integration Manager.

Access to Offline Timesheets via Standard 2.0 Timesheets


You can now access Offline timesheets from your Smart Interface (Standard 2.0) timesheet. Offline
timesheet works as it did with the “Classic” timesheet, except that they are now accessed by selecting
the Offline Timesheet link in the Standard 2.0 timesheet’s side menu, and then clicking the Send Offline
Timesheet link in the window that displays.

Canadian French Web TimeSheet


A Canadian French version of Web TimeSheet is now available. Contact Replicon Support if you'd like this
version enabled in your system. Once it is enabled, Web TimeSheet administrators can select the French
version for users within their user profiles, or users can choose the French version on their User
Preferences page.

Support for QuickBooks 2012


The Integration Manager for QuickBooks now supports use with US and Canadian versions of
QuickBooks 2012.

Stopwatch in Standard 2.0 (Smart Interface) Timesheets


The Stopwatch feature is now available in Standard 2.0 timesheets. Users can use the stopwatch to
accurately record their work or task start and end times; Web TimeSheet will use these values to
automatically calculate their duration worked.
You can enable the stopwatch for users by assigning them Timesheet > Use the Stopwatch permission.
Once this permission is assigned, a stopwatch link will be available in their current day's timesheet cells,
within the Comment bubble.

Timesheet Period Filter in Reports


A new Timesheet Period filter is now available in select Timesheet, Administration, Billing, and Time Off
reports. This filter allows you to view data for users' current timesheet period, or their last timesheet
period.
If you are viewing data for multiple users who have different timesheet periods, this filter differs from
the Current Timesheet Period and Last Timesheet Period options already available in the Date Range
filter, as follows:
 In the existing Date Range filter, if you select the Current Timesheet Period option, data from the
start date of the earliest timesheet period until the end date of the latest timesheet period will
display for all users. For example, if today is January 16, and you're reporting on User A whose
timesheet period is January 13 to 19, and User B, whose timesheet period is January 15 to 21,
you will see all data for User A and B from January 13 to 21.
 In this new filter, only data from each user's actual current timesheet period will display in the
report. So for the example above, you will see only January 13 to 19 data for User A and January
15 to 21 data for User B.
This new filter is available (disabled by default) in the following report templates, and in reports based
on them:

Improvements
DE1255 In the Project Time Analysis report and reports based on it, approval status and date filter
selections are no longer considered in calculations of project and task remaining hours. This is the
existing behavior in the Project Status report and reports based on it; project and task remaining hours
calculations are now consistent across reports.
US2240 If you approve only certain tasks for a user, but can also view tasks you do not approve, the tasks
you approve are now highlighted in timesheets awaiting your approval.
US2693 When you are scheduling a report, the Specific User List recipient option is now selected by
default, as this is the more frequently used option.
US2834 Via the RepliConnect API, you can now base new projects upon an existing project.
DE2065 In systems with many departments, if you disable hierarchy filtering and then edit a project, the
load and save performance of the project's main page is improved.

US2020 You can now easily show or hide clients on your timesheet using the new Display clients on the
timesheet user preference.
US2227 A new filter is now available in the Audit Trail Report that allows you to filter by values in the
Affected Field column. You can use this, for example, to prevent StartTime and EndTime rows from
displaying for each duration change made to a Standard timesheet.

US2012 In the Standard 2.0 timesheet, the option columns on the left of the timesheet (Project - Task,
Activity, etc) will now freeze in position when you scroll horizontally to the right, keeping them in view as
you enter time. This functionality is not available in Internet Explorer 7.
US2868 You can now search for Project user defined fields on the Projects list page.
US3143 If you have multiple languages enabled for your system, you can now assign users a language
value via CSV Import.
US3242 A department structure tooltip, with sub-departments shown in a list format, now displays when
you mouse over a department name in either the Project Team section of the main Project page, or on
the Project Structure page (departments display when Show Assignments is enabled). This tooltip can
help you identify departments if your company department hierarchy is deep and/or your department
names are long. The tooltip also displays on the Assignments for page that displays if you click on the
department at either of these locations.
US3081 You can now update the value of Project user defined fields for multiple projects at once using
the Project mass edit feature.
US3310 In the Time Off Type filter on the My Time Off Bookings page, only time off types assigned to the
user will now display. This prevents potentially sensitive information about users' time off types from
being visible to other users. Note that if a user selects from this filter, all bookings matching the user's
assigned and previously assigned time off types will display.
US2061 The View Period Timecards and Compare to Timecards buttons are now available on the
Standard 2.0 (Smart Interface) timesheet, for users with Use Timecard permission. These buttons allow
you to easily view your timecard for the timesheet period in question, and compare hours saved using a
timecard to hours entered in your timesheet.
US1472 You can now force users to enter comments when they resubmit an expense sheet, by disabling
the new Expenses > Enter Expenses > Allow blank resubmission comments permission in users'
permission profiles.
US2344 On the Standard 2.0 (Smart Interface) timesheet, you can now minimize or maximize the
Comments bubble, and the current state of the bubble will be retained when you click a new cell.

Local Time Zone Support (January 26, 2012)
You can now choose which time zone is used to display time in Web TimeSheet. Or, if your organization
spans multiple time zones, you can now choose to assign user-specific time zones that apply to most
displayed times. You can enable these new time zone options in Web TimeSheet on the System
Preferences page.

Previously, for most fields and functions for which time zone is relevant, Web TimeSheet used the time
zone of the server where your instance is installed (typically, for SaaS users, Mountain Standard Time or
Greenwich Mean Time). If you don't change your time zone options in system preferences, your Web
TimeSheet instance will continue to use server time as before.

For more information on enabling a local company time zone or user-specific time zones, and for
information on which features time zones apply to, refer to Setting Time Zone Options in Web
TimeSheet's online help.

Product Licensing Rebranding and Reconfiguration (February 11, 2012)


To allow us to more precisely meet the licensing requirements of our customers, Web TimeSheet's
module licensing has been reconfigured. The following module licenses are now available:

 TimeAttend - includes all current Time & Attendance Edition functionality, including time off
features
 TimeCost - includes all existing Project & Billing Edition functionality, except for billing and
productivity features
 TimeBill - includes all existing Project & Billing Edition functionality
 TimeOff - includes all time off functionality. Can be purchased independantly of TimeAttend.
 WebExpense - includes all current Web Expense functionality
 Web Schedule - includes all current Web Schedule functionality. Requires a TimeAttend license.

You will be automatically assigned new licenses that match your existing Web TimeSheet functionality
and your total licensing cost will not change.

Ability to Print QR Cards from Replicon (March 09, 2012)


You can now print, activate or deactivate CloudClock QR cards from your Replicon instance. Refer to
Administering QR Cards in Replicon's online help for more information.

Two Meal Breaks Rule (March 14, 2012)
You can now require a CloudClock user to take two meal breaks in a single shift. As with other break
rules, you can define by what time each break must be taken. And, if the user's schedule is defined in
Replicon and the user does not take meal breaks as specified in their assigned break rule, a break rule
violation will be noted on their supervisor's Team Time page.

Email Notifications sent based on Recipient's Time Zone (March 29, 2012)
If the Time zone set for each user option is in use, email notifications whose send time is user-selectable
are now sent based on the recipient’s time zone (as set in their user profile).
For example, if you specify that a certain email notification should be sent at 9am, it will be sent at 9am in
the recipient’s time zone, not at 9am in the company time zone.
The only exceptions to this are:
 Task Assignment Modified (Batch) notification is always sent based on company time zone
 Notifications forwarded to substitute users are always sent in the time zone of the user for whom
they are substituting

Supervisor-Level Access to Historical Time Off (April 25, 2012)


Previously, assigning a user Historical Time Off permissons (such as the ability to edit or delete time off
bookings) allowed them to modify all time off in the system. Now, a new For Supervisees permission is
available that allows users to modify their supervisees' time off only. A user's supervisees are those for
whom the user is assigned Supervisor.
Any user in your system who is currently assigned Historical Time Off permissions will retain their current
level of access (i.e. they will continue to be able to make changes to all time off bookings).

Auto Punch-Out at Midnight Option for CloudClock Users (May 9, 2012)


A new Auto-Clock Out and Clock In option is now available on the Advanced tab of user profiles. When
enabled, if the user is punched in at 11:59 pm, the system will automatically punch them out and then
back in again at 12:00 am. This option is useful if employees work night shifts; when a user assigned this
option punches out at the end of a night shift, that action will not erroneously be recorded as their first
punch of the day (i.e. a punch in).

Option to save zero-hour entries in the Standard 2.0 Timesheet (May 9, 2012)
A new Allow zero hour entries in the timesheet (Standard 2.0) system preference is now available that,
when enabled, will cause any 0 values entered in the Standard 2.0 timesheet to be saved to your
database. You may want to record these 0 values if you perform certain types of custom reporting or
productivity tracking

Ability to require acceptance of a Timesheet Message (May 17, 2012)


You can now require that the disclaimer message included on Standard 2.0 timesheets be accepted by
users before they are allowed to submit their timesheets. This requirement is enabled by assigning users
the new Acceptance of disclaimer is required permission. If assigned this permission, users must
check the Accept box associated with the disclaimer message before they will be permitted to submit
their timesheet.

Custom Reason Codes for use when editing CloudClock timesheets (May 17, 2012)
CloudClock administrators can now create their own punch correction reason codes that supervisors can
use when making modifications to CloudClock timesheets. Each custom code you create must be
associated with a particular edit action -- either add, modify, or delete.

Who's In and Out Page (May 23, 2012)
A new Who is working today page is now available in the Approvals section of Replicon. This page
displays which CloudClock timesheet users are punched in and which are punched out at that moment.
Any user assigned View Who is Working Page and Approval functions permission can view this page,
which allows you to give users who should not have access to approval information the ability to gauge
who's at work.

Activities in the CloudClock timesheet (June 20, 2012)


In the CloudClock timesheet, you can now track what an employee works on. For example, an employee
may be asked to do something different on some days than what they do on a regular basis.
Administrators can set a default activity for an employee; this is one of the enabled activities for the
employee. This default activity is used for work segments that are not specifically assigned to an activity.
Employees can use the Activities feature in the CloudClock timesheet to select an activity/change the
activity they are working on.

Payroll Export History report (June 20, 2012)


A new Payroll Export History report is now available in the Reports section of Replicon. Payroll
administrators and auditors can now view days on which the hours were exported, via the ADP payroll
export. Administrators can filter the Payroll Export History report by the 'Exported On' column to view the
days.

Default time off type for time off entered in a Timesheet (July 11, 2012)
Users who have permission to add time off directly to their timesheet can now specify, on the User
Preferences page, which time off type will be used by default for these entries. This can help prevent
users from adding time off using the wrong time off type.

Expense Entry ID column in Expense Sheets (July 11, 2012)


The Expense Entry ID column, formerly only available in reports, is now available for addition to expense
sheets. This column will display the ID that the system generates for each expense when the expense
sheet is saved. This option may, for example, assist you in associating expenses with their paper receipts.

To add this column, enable it via the Expense Columns page. Once enabled, users can add this column
to expense sheets by clicking the Settings button.

Ability to block users from editing auto-populated holiday bookings (July 11, 2012)

If your system is set up to auto-populate users’ calendars and timesheets with holiday bookings, you have
specified which time off type should be used to create those bookings. Users can edit entries of that
specified holiday type in their timesheet – or add new holiday entries to their timesheet – provided they
have permission to edit time off bookings.

Now, you can prevent users from modifying holiday timesheet entries by enabling the Prevent Add/Edit
of auto-populated time off bookings setting on the List Time Off Types page.

US3487 You can now refresh Productivity data from trial instances of Web TimeSheet. Also, timesheet
periods will be automatically generated in trials, as they are in licensed editions.
DE5575 The Filter Expenses By filter on the Project Status report now displays only if there are
WebExpense seats enabled in your instance.
US4159 You can now add or edit approver types and approver paths via the RepliConnect API. Refer to
the RepliConnect documentation for more information on this.
US2692 Administrators can now specify whether a reason code must be entered when users add, edit, or
delete a punch from a CloudClock timesheet.

NumberOfTimesheetsWithPreviousApprovalAction properties has been improved.
US4580 On the Timesheet Overview page, employees are now listed alphabetically by last name.

US4683, US4789 Customers who host their own help content can direct their users to their internal help
documentation. To do this, administrators can change a system setting called "Custom Help Portal" to
include a URL where the customized help content would be hosted. If this setting is defined, it will
override the default destination for the help link.
US4448 Users can click the Download QR Images button on the QR Card page to get a zip file containing
QR images. The Print button is renamed to Print QR Cards. US3569 Users are displayed as per the
department selected in the Team Time page and the Timesheet page.
DE7204 The performance of drop-down user defined fields in the Classic and In-Out timesheet has been
improved. DE5404, DE5253 The Activities feature is now available in TimeCost and Web Schedule.
US4063 Validation rules are now available in TimeCost.
US4764 When you query for holiday calendars via RepliConnect using the UserCalendar object, you can
now extract the date and description of each holiday, and whether it's a half or full day holiday.
US4919 A new permission Allow auto-submit of timesheet now controls whether CloudClock timesheets
will be auto-submitted. The permission is enabled only when you select the CloudClock timesheet.
