EXECUTIVE SUMMARY

The project allotted to me with the title was “EMPLOYEE PHYSICAL DATA
MANAGEMENT”. The objective behind this project was to store and keep employee
physical data in a proper and systematic form. This required an experience in understanding
the management of physical data process.

During the project I have analysed what is physical data of an employee is, why it is taken
and what is its importance in a company. While starting with this project one need to know
about what physical data of an employee includes in it. Then after collecting the physical
data of all the employees they should be given a ticket no. by which the information
regarding them can be taken at the need throughout the session they retained in a firm. As
there can be many employees of same name in a particular firm so to recognise each one,
they are allotted a ticket no which works as their identity so that each document related to
that particular person can be kept in that personal data file of its own. As in a firm some
employees join, some left after a certain period of time therefore their data has to be kept in
two forms that are EXISTING AND LEFT, existing are the one who are working with the
company in their present and left are the one who had worked for the company in their past
and now they have left the firm. So, these data have to be maintained in a systematic and
proper way so that one can easily find out at the time of need. These data have to be arranged
in both the forms physically and digitally so that the physical data file can be maintained in
a systematic way. So, as there is a saying ‘the theory without practical is lame and practical
without theory is blind’ alignment of the human resource with the overall strategy of the
company is a very big and toughest challenge for the company.

1. HUMAN RESOURCE MANAGEMENT

RECRUITMENT

Recruitment is the process of finding and attracting capable applicants for employment. The
process begins when new recruits are sought and ends when their applications are
submitted. The result is a pool of applicants from which new employees are selected. In this
company the Sales Manager, who recruits the advisors/agents for selling the products of the
company, does the recruitment

SELECTION
Selection is the process of picking individuals (out of the pool of job applications) with
requisite qualifications and competence to fill job in the organization. In simple words, it is
the process of differentiating between applicants in order to identify these with a greater
likelihood of success in a job. The Branch Manager, which includes-, will conduct the process
of selection of Sales Manager

 Personal Interview: -
The first step of selection of Sales Manager in the Company Limited is to conduct a
personal interview of an applicant by the Branch Manager.

 Interview with Regional Head: -


After clearing the project 40 interview, the applicant should be interviewed by the
Regional Head, who will check his/her performance.

 Negotiation: -

After clearing the interview with Regional Head, the negotiation will be provided to the

applicant.

 Selection: -

After clearing all the above steps, the applicant should be appointed/selected as a Sales

Manager in the company.

Requirements of Sales Manager: -

The Sales Manager should possess the following things-

1. They should be an M.B.A.


2. The age of them should be between 25 to 35 years.
3. They should have good communication skill.
4. They should have at least sales experience of 3 years.
5. They should have the capability to handle the team.

They are also providing career development plans, which will identify potential and create

avenues for growth.

INCENTIVES
Incentives are monetary benefits paid to workmen in recognition of their outstanding
performance. They are providing an aggressive reward and recognition plans, which are
including sales incentives.

PERFORMANCE APPRAISAL

Performance appraisal is the systematic evaluation of the individual with respect to his/her
performance on the job and his/her potential for development. Performance appraisal is a
formal, structured system of measuring and evaluating an employee’s job-related behaviours
and outcomes to discover how and why the employee is presently performing on the job and
how the employee can perform more effectively in the future so that the employee,
organization and society all benefit.
They are providing a balanced scorecard approach for strategy deployment and performance
measurement, which goals and measure financial, customer focused, process related and
employee development related initiatives. In addition to this, the Branch Manager should
measure the performance of the Sales Managers at every six months and the Sales Manager
should measure the performance of the advisors/agents. If the performance is best then
he/she will be prompted.

2. CUSTOMER SERVICE:

All customers are treated fairly and in an unbiased manner/without bias at all times by
the employees of the firm. The company shall guide customers who wish to lodge a
formal complaint and also provide guidance on the step by step procedure to be followed
in case the customer is discontent/unhappy with the response or resolution. All
complaints received either verbally or via email or in writing from the customers, will be
logged in to the CRM system and the company shall provide the customer a complaint
reference number. After examining the matter, the company shall respond to the

customer.
The company ensures that all the recorded complaints are resolved in an appropriate/
proper and time bound manner and also ensure effective also ensure effective monitoring
and escalation process to senior management to ensure none of the complaints remain
unresolved. In case the resolution needs time, an interim response, acknowledging the
complaint shall be issued. A nodal officer is appointed for redressal of grievances of the
customers, in connection with any matter pertaining to business practices, Lending
decisions, credit management and recovery. The service Quality Cell has a dedicated
team to address the complaints received by the Chairman and the Top Management desks
and will send monthly updates on complaints so received. This policy aims to redress the
grievances of the customers of the company which are related only to the financial
products and services offered by the company.

Key Commitments:

The key commitments which the company promises to follow with its customers are:

a) to act fairly and reasonably in all dealings with its customers by ensuring that:

 Its products, services, procedures and practices meet the commitments and standards.

 Its products and services meet relevant laws and regulations, as applicable from time

to time.

 Its dealing with its customers is honest and transparent.

b) The company will assist customers in selecting its financial products and services by:

 Providing information about them in English and/ or the local language.

 Explaining their financial implications.

 Allowing the customer to choose the one that meets his/her needs.

c) The company will make every attempt to ensure that its customers have a trouble-free

experience in dealing with it; but in the case of errors of commissions and/ or

omissions, the company will deal with same on priority and sympathetically.

Modes of Raising Complaint:

The customer may raise his/her complaint either in writing or orally, or electronically,
through website or over telephone.

All branches are connected to the centralized CRM system. The customer may
approach Branch Customer Care Manager to register a complaint in the CRM. Also,
written complaints may be handed over at the branch or sent by post / courier to

Calls to Call Centre will be processed through a well laid down process flow within a

2. Grievance Redressal Mechanism:

The company has also enabled a Grievance Redressal Mechanism whereby grievances
can be lodged and will be attended as per the time schedule with an inbuilt escalation
process by which the complaint will get escalated to senior management in case of
non-fulfilment within time.

Introduction:
A key issue in accomplishing the goals identified in the planning process is structuring the
work of organisation. Organizations are group of people, with ideas and resources working
toward common goals. The purpose of the organizing function is to make the best use of the
organizations resources to achieve organizational goals. Organizational Structure is the
formal decisions making framework by which job tasks are divided, grouped and
coordinated. Formalization is an important aspect of structure. It is the extent to which the
unit of organisation is explicitly defined and its policies, procedures and goals are clearly
stated. It is the official organisational structure conceived and built by top management. The
formal organization can be seen and represented in chart form. An organisation chart
displays the organizational structure and shows job titles, lines of authority and relationship
between departments.

Some Financial Terms:

1. EMI:
EMI stands for equated monthly instalments. The instalment comprises of principal
and interest component. EMI provides you with ease and benefit of paying back your
loan amount in over a period through fixed monthly payments.

2. Repayment Schedule:
Repayment schedule provides the amount of each EMI, due dates and breakup
between principal and interest component. It also provides the outstanding principal

RESEARCH METHODOLOGY

Research is a systematic method to gain new knowledge. The purpose of research is to


discover answers to the questions through the applications of scientific procedure. The main
aim of research is to find out or discover different ways of doing a single task in a feasible
manner. Research is thus an original contribution to the existing stock of knowledge making
for its advancement.

The research work constituted of, basic management skill, communication channels, data of
employees, and websites owned by the organisation, based on these primary and secondary
data the methodology once derived and conclusions were made.

PERSONAL DATA
Personal data is basically any set of information relating to individuals to the extent that,
although the information is not processed by means of equipment operating automatically
in response to instructions given for that purpose, the set is structured, either by reference to
individuals or by reference to criteria relating to individuals in such a way that specific
information relating to a particular individual is readily accessible. Personal data collection
take place before the beginning of the employment relationship, during recruitment. It
continues throughout employment and may extent even after its termination. Specific
justifications may include compliance with the law; health, safety and security; assisting
selection, training and promotion, assessing performance; checking quality and customer
service; verifying entitlement to certain benefits etc.

Personal data is taken by the organisation so as to identifying and listening all information
repositories holding taken to avoid unwitting disclosure of information egg through
overlooking or overhearing.

An organisation ‘s business is only as secure as its records management programme’’ one


executive said in the release ‘losing or misplacing information costs you time, money and, in
some cases could even mean the loss of your business.

IMPORTANCE OF DATA

Personal data of an employee plays a vital role in an organisation. In an organisation it is


very important to have physical data of all the employees working in an organisation so that
all the documents related to that particular person can be kept in their own file so that at the
need of any document they can pull out that particular document.

All the companies need to keep personal data of an employee so that it can be used further
in long term. Preparing of a data management plan before data are collected ensures that
data are in the correct format, organized well, and better annotated. This saves time in the
long term because there is no need to re- organized, re- format or try to remember details
about data. It also increases research efficiency since both the data collector and other
researcher will be able to understand and use well- annotated data in the future. One
component of a good data management plan is data archiving and preservation. By deciding
on an archive ahead of time, the data collector can format data during collection to make its
future submission to a database easier. If data are preserved. They are more relevant since
they can be re-used by other researchers. It also allows the data collector to direct request for
data to the database, rather than address request individually. Data that are preserved have
the potential to lead to new, unanticipated discoveries, and they prevent duplication of
scientific studies that have already been conducted. Data archiving also provides insurance
against loss by the data collector.

While doing this project my findings were, now the files of employee physical data has been
arranged in a proper and systematic way. A proper labelling has been done to all the racks
so that one can easily identify the rack by their alphabetical order. Range has been written
on all the racks so that one can easily figure out the range of files has been kept in a particular
rack

So, by doing this the data has been managed in a proper and systematic way. Which can be
used in a long term.

This data has been arranged in both the forms physically as well as digitally so that anyone
no matter is that person is new employee or the old one, he/she can easily find out a
particular file.

CONCLUSION
‘Records management is knowing what you have where you have it, and how long you have
to keep it’

Well it has been an interesting project as well as a practical project which gave us an idea
how the work has been done in any firm in a human resource department. The project
assigned was employee physical data management under which the physical data of all
employees whether they are left or existing keep safely in a way so that one can easily get it
In this project we use different analysis of tools so that the employee physical data can be
managed in a more systematic and feasible way .

In this project in a physical manner we gave different alphabets (like a, b c, d) to all the racks
and a sub heading to them (a1, a2, a3) so that by doing a proper labelling one can get any file
of any employee.

And in a digitally manner we had made a proper excel sheet including employee name, ticket
no and status of an employee so that one can get any employee file in an easy form in this
way a proper management has been done of employee physical data.

RECOMMENDATIONS
On the basis of this project I hereby humbly propose my suggestions to carry out further
improvements in managing employee physical data in FLYINC.

 Proper labelling should be done.


 Effectiveness in managing employee physical data methods.
 New ways can be adopted to make connections between the excel sheets of both kinds
of employees (use of connection box)
