Main purpose of internship with Changhong Ruba was to extract a valuable knowledge by
working with professional employees in order to apply the knowledge acquired during BBA
HONS program. Report includes; Complete introduction, Vision and Mission.

My internship period is 2nd September 2019 to 12th October. Personal experience; that include
working in Human Resources (HR) Dept of the organization and other departments. Report
Also includes; SWOT, PEST, and Financial Analysis of Changhong Ruba. Information Also
includes: departments, Job descriptions, which their employees have to perform to get the
companies work done, and the strategies which help them gain competitive advantage.

This department of Changhong Ruba deals with the sales of its appliances concerning a Dealers
Network. Changhong Ruba trading has around 1300 potential dealers nationwide and with that,
it has 150 Top rated deals with whom Changhong Ruba deals exclusively. This department has
around 80 employees who are responsible for maintaining records of all these dealers and work
to maintain customer loyalty.

Corporate sales Department


This is the department that deals with a big corporation and responds to government tenders. It
responsibility is to check which government trends are in process and which rate would help
then win the tender, with that in the private sector the corporate sales department keeps in check
where new buildings are being constructed so that they can offer them a good price which can
help them sell large quantities which help them gain more profit as more units sold will increase
the inflow of cash. For these operations, 2 employees have been hired to keep all the processes
good to go.

Hyper Channel Department


The departments of CHR trading deals with megastores like METRO, Hyperstar, and CSD.
These stores are the big customers of the company they order huge quantities that are
10000units to 15000 units they are the main customers of CHR. Their payments are in Millions
which helps them gain good profit. With that the company makes their displays in those stores
they place their employees (salesmen or sales representative) which help the company keep
sales in their control and keep a complete check on several sales each day.

Direct Selling Department


This is the department of CHR which is responsible for directly selling the appliances to the
end customers. This is the best way to earn profit directly by eliminating intermediaries and
other direct indirect costs. The expenses are reduced. The company maintains its showroom
with the company label it’s all payrolls are paid by CHR. With that company also opens its
franchise in the exclusive shops a specific section of the shop which the company furbishes
with the companies expenses and the company deploys its sales representative to make its sales
more efficient. This department maintains the number of appliances in the showroom as these
is company’s representation so they make them exclusive to attract more and more customers
and satisfy a customer in the best way to retain them.

HR, Admin & IT Department


HR's main function in CHR is the recruitment and selection process, in which this department
first finds the requirement of the respective seat which must be filled according to the
requisition from the specific departments HOD. Then the HR department goes through the shot
listing of the application for the required seat that’s to be filled the personal specification is
matched with the job description so that only the required candidate should be employed to
give more and more benefit to the company. Other things that come under the head of HR
include training of the employees and the training by the department. Policy procedures and
employee complaints are handled by the human resource department. Attendance is strictly
monitored by the HR department of Changhong Ruba to help the company get maximum
output from the employees and to maintain decorum in CHR trading the HR checks the proper
dress code of the employees and gives a disciplined look of the company in which they are
very much successful.

Admin department of Changhong Ruba has the responsibility to control the expenses of the
CHR trading which includes branch expenses, vendors' expenses, and payments and pate cash
(monthly cash that is paid to the department to cover its day to day expenses). Visa management
for the international employees, Air ticketing and hotel bookings arrangements.
Responsibilities also include Fleet management which includes the responsibility of driver
control, vehicle management, and car insurance. The admin department is also responsible for
the rental agreements of the company’s showrooms and offices.

The IT department of Changhong Ruba plays an important role in helping the CHR to compete
with the modern systems of a competitive industrial environment. The particulars that come
under the control of IT department of CHR includes the following duties , software’s (file
sharing , HR-MS and new software),networks (routing and switching), security and
surveillance( giving the complete update to the company as well as the supplier if any problem

Telecom( partner Zong 258+ corporate number administration) , IT asserts ( company laptop
and all IT equipment) these are the duties that come under IT department that it has to perform

cash they currently have to perform the desired task. With that, they make financial reports to
keep the company updated about the company’s financial condition what financial action
should be taken to avoid financial risks. They maintain expenses like payrolls (Salaries,
electricity bills, transportation, etc). They also maintain the ledger reconciliation statement
which is the full detail of dealers and their credit details, stock, and liquidation and with that,
they maintain the record of cash and credit sales and keep the company updated about the sales.

Warehouse & logistics Department


Changhong Ruba has two warehouses in Pakistan one is in Karachi and the other one is in
Lahore. They have a large covered area Lahore one is of 160000 sq feet and the Karachi on is
of 180000 sq feet. The basic function of this department is to maintain stock in the warehouse
keep the company updated so that they can import the right equipment to maintain the stock
and with that the function of the logistics department is to deliver the right quantity to the
showrooms and stores nationwide. To deliver appliances safe in stores.

Imports Department
This department is responsible for import of spare parts and assembly units and tools to help
manufacture the product. They are responsible for to make LC (letter of credit) cover all the
port requirements including import duties and customs clearance. They are responsible for
counting the total imports made. These imports are from china, the china port clearance and
the clearance of Pakistani port is their responsibility.

Recovery and legal Department

This department maintains record of all credit sales and makes recoveries from the respective
dealers and the individuals who have purchased Changhong Ruba appliances. They make
lawful action against the respective creditor. If they are not able to recover the credit the legal
department steps in which has a lawyer who files a case against the respective bad debt in the
consumer court. It’s the duty of this specific department to recover credit sales amount.

Supply Chain Management

The main function of this department of Changhong Ruba is to find cheap and quality buyers
who give the competitive rates on which Changhong Ruba can save cost and earn more profit.
To negotiate with the suppliers and convince them to supply the required products better in

Internship Experience Summary

In my six weeks internship protocol, I have been evolving from stage to stage with proper
manifestation at changhong Ruba. My first day at the internship, they gave a brief introduction
of the organization about CHR is all about. They briefed me, ‘it was a merger between a
Chinese international electronics company and the RUBA Pakistani appliance manufacturing
company” they both have collaboratively formed a company that is entitled as ‘Changhong
Ruba’.

It was a wonderful experience working with the company like Changhong Ruba they have
showed quite hospitality which helped me in learning different practical operations that an
employee experiences in there day to day works. Visiting this organization helped me to
develop skills which can help me in my practical life. The observations which they allowed me
to do were a source of guideline for me as if I worked as an employee or start my own venture.
The division of departments was according to as we have studied in the three years of our BBA
degree program and this thing helped me to picture what I have studied in past couple of years.

Concerned Department, Duties and Learning


They have showed me their employees’ personal files but due to confidentiality issues I was
restricted to just have a look over it and understand their procedure of recruiting an employee
through filing. With that said, they also showed me how the firing or dismissal process works
in the company but as these were some confidential files of the company that can cause some
serious issue for the employees. I also visited their main head office showroom which was
equipped with all the latest appliances which are currently sold in Pakistan.

After meeting the HODs of the major departments and having a healthy conversation about
their department operations, I came to know, how they are helping the company to achieve
competitive advantage. Visiting the Hyper channel was a way above experience. I deeply
observed how their major sales take place and the training of their sales representatives which
helped CHR to have competitive sales in a competitive market that contained appliances which
have a good image in customers mind but the way Sales representatives present their products
convinced the customers on the spot and they buy the product. As their employees have full
knowledge of the products that they are selling on behalf of CHR.

Recommendations for the Internship Organization


According to my observation my major recommendation is that the files of employees were
not placed in a confidential environment as any employee can come and check the files of other
employees which contained confidential information of employees and the company which is
supposed to be kept confidential between the employee and the company. Every employee is
not comfortable with sharing what their personal ties are between the company and the
employee and this thing can cause predatory competition between the employees which can
ultimately harm the organization, so I would recommend them to have a proper shelf that is
locked and only the related HR department employees will be the ones to have an eye on their
files because only they are authorized to check and maintain their personal files.
CHR must provide separate cabins for their HODs so that they must get some space and think
over the related problem to avoid haste, with that said; this approach is appreciated in Pakistani
Culture for better performance, as employees develop a sense of self fulfillment. Secondly, the
office environment should be so decorated in such a way that their employees feel that they are
working in an international organization (as they current office style is not colorful with a
decor’ which can ultimately bore the employee to work in the same dry condition). The office
is quite compact; it must be widened with broad sense of styling and eye catching settings.

As I have visited their showroom, everything was partially okay but one thing that I think their
showroom must improve the spacing between their refrigerators because it is not easy to open
due to their tight arrangement.

Recommendations for the University


Changhong Ruba’s products have a competitive price, with an excellent quality range and
impeccable design along with good build structure that will help the university to save Effort
in cost management and save energy with their new inverter technology.
