Job Description – Payroll and Accounting Assistant

About the Organization:


Founded in 2011, DAYANAN provides business registration, payroll and
bookkeeping, FDA registration, HR consulting, training consultancy, and visa
processing services to various multinational companies in the Philippines. It has
recently launched DisasterKit, its line of emergency and disaster preparedness
equipment and supplies geared for local government units and civil society
organizations.

About the Position


The Payroll and Accounting Assistant will be responsible for supporting the payroll
function of the organization’s clients, including wages and salary payments for all
employees plus government mandatories. The post-holder is responsible for
ensuring that all client staff are paid promptly and accurately and that the
relevant payroll reports are submitted to the relevant third parties accurately and
on a timely basis. S/he will also support the Accounting team in their bookkeeping
functions.

Job Functions and Responsibilities:

I. Payroll Administration:
 Ensure timely and accurate processing of the fortnightly payroll and
government-mandated deductions for all clients’ staff members in
accordance with client agreements, contracts, and company policies
 Review and ensure accuracy of approved advances, travel and overtime
claims;
 Respond to and resolve all payroll enquiries in an accurate, courteous,
confidential and timely manner
 Coding of timesheets, data entry, processing and filing of fortnightly payroll
within the provisions agreed upon with clients
 Ensure all relevant supporting documentation is included with timesheets
 Ensure the integrity of payroll data entry
 Calculate and process payroll adjustments and manual payment
 Undertake Annual payroll archiving after financial year audits
 Assist with the compilation of statistics and reports for analysis and
reporting purposes
 Maintain an up-to-date knowledge of current agreements with clients and
relevant legislation that impact on the payroll function

II. Human Resource Support:


 Process employee commencements, terminations and change of details
requests in the payroll system 201
 Preparation of reports and staff statistics (staff turnover, sick leave, service
stats, etc.) as required

III. Accounting
 Assistance in bookkeeping for client accounts

IV. Other tasks as may be assigned by management


 e.g. attend and document meetings, research on relevant topics, etc.

Qualifications:
 Candidates must possess at least a Bachelor's/College Degree in
Accounting, Financial Management, Business Administration, Human
Resource Management, Mathematics or equivalent;
 Candidates with at least one (1) year of relevant experience is preferred.
 Must be honest, trustworthy, responsible, and respectful
 Ability to work autonomously and take initiative in appropriate
circumstances
 With high level of accuracy and attention to detail, while working on tight
timeframes
 With excellent numerical skills
 Ability to interact well with a wide variety of people, including teammates
and clients
 Good verbal and written communication skills
 Ability to deal with discretion with highly confidential information
 Advanced proficiency in Microsoft Excel and/or Quickbooks is preferred
 Intermediate knowledge of project management
 Can provide most recent NBI and police clearance
