#1 You Can Only Manage What You Measure

• Keep a record for two weeks of what you spend your


time on. Be specific for each 15 minute time interval.
“Office work”’ is not much help. Chasing debtors, doing
IMAGE wages, checking job cards is specific.

• Total the jobs into similar areas and add up how many
hours you are spending in each area. You’ll be shocked
at the time you spend on the phone!

#2 Calculate Your Hourly Rate

• Work out how much you are worth to your business


when you spend an hour on your most important tasks
(for example, quoting, sales and project management)

• Your hourly rate is likely to be several hundred dollars

#3 Create a Default Diary

• Have a clear plan for how you want your week to run.

• Schedule in “Not Negotiable” slots for tasks that will


help your business grow. For example, quoting,
invoicing, marketing and building better systems. If you IMAGE
don’t schedule this in they will keep being pushed back
to tomorrow.

• Learn to turn your phone off for periods of time to


reduce interruptions.

#4 Time Management Tips
• Never start the day until you have finished it on paper.
Write your to-do list for tomorrow before you go home
tonight. This helps you sleep well!

• Never start the week until you have finished it on


paper. Write your to-do list for next week prior to
finishing up on Friday afternoon. This helps you switch
off and enjoy the weekend.

• Eat That Frog. Everyday complete the hardest, most


difficult job first. Procrastination leads to loss of focus
and causes you to loose motivation.

• Develop stamina and high energy through proper


exercise, diet and rest (and maybe a few less beers on
the weekend).

#5 Get Office Help

• Keeping the office work up to date, invoices sent and the


money coming in can sink Plumbers & Electricians.

• If you don’t have an office person, get one.

IMAGE • If you have an office person already, consider extending


their hours or hiring more support.

• Create an administration manual for the office. Use an


online video tool (try Jing) to record what to do. This will
save you hours and hours of training time and annoying
questions.
