CHAPTER I

INTRODUCTION

Guidance Program has become an integral part of the overall

educational program. With the basic Education, that all students need

direction in their personal Attainment, it has become the instructional

responsibility of the guidance counselor, administrator and staff to

provide the students specific knowledge and skills required to address

their needs.

An important aspect of the Guidance program is the recognition that

some students require special assistance in dealing with developmental

problems and immediate crisis. With this, teacher and other staff who are

indirect contact with the students require support that can best supplied

by the guidance program. Guidance program moreover is based on the

belief that all students, including those with challenging needs have the

right to benefit from effective instruction to ensure

Students development.

The Manual systems are things of the past. It’s a quite tedious,

time consuming, not efficient, more error prone and inaccurate in

comparison. A manual-based system is the information recorded and kept in

different ways such as in files in paper form. While a computerized

guidance information system will have data stored on databases, Word

documents, Excel etc. Computerized system is designed to help

a transaction to carry out transaction operations. In recent times,

computer systems are generally considered to be more popular because more

businesses are choosing to keep up with the developments in information

technology.

1.1 Project Context

This study aim to developed Passi City College (PCC) Guidance

Information System to help the guidance counselor in maintaining the

records of student to become efficient, easier to retrieve files and less

time consuming.

The goal of this study is to increase the productivity of the

guidance office by providing a fast and easy using computerized system.

By this Guidance Office it serves as record keeping. The Guidance

Counselor needs to encode the information needed. Once encoded, the

guidance counselor can view the records and it is connected to the Office

of the Student Affairs.

Office of the Student Affairs can access the names of student who

registered in the Guidance Office except the complaint and confidential

data of the students.

The record management includes the basic file operation. The system

can accept new records of student, edit or update records, and delete at

the same time. Records will easily searched by typing the last name,

first name and middle name of the student’s record. It can generate

reports of students in all departments.

1.2 Problem Statement

-Retrieving of files consume a lot of time

-The files is misplaced

-Luck of security in filing and storing of data

-The data is unorganized or not in order

1.3 Purpose and Description of the study

The purpose of the study is to assist the Guidance Counselor in

keeping the records of student. PCC Guidance Information System focus on

the maintaining of record in fast and easy way.

The Researcher gathered data and identify the process in an

organization. The programmer role is to convert the requirement model

creates into program statement, perform system testing and debug the

error encounter.

This system will be installed in the Guidance Office and Office of

the Student affairs.

This project will benefit to the following:

a. Guidance Counselor- The study was pursued with the aim to help the

Guidance counselor in keeping records of the student. Retrieving the

files in more efficient way and that is through the use of PCC Guidance

Information System. PCC Guidance Information System can help to reduce

the time consuming in retrieving files, organizing and storing the

student’s record.

b. School- The benefit of the school in the computerized guidance is to

fasten the flow of registration in a new enrollee’s student at the same

time the old student who enrolled at this school.

C. Other Researcher- The study may serve as a reference for those who are

conducting Guidance Information based system. Other researcher may

enhance this system by adding more function to suit their needs.

1.3 Scope and Limitation of the projet

The study aims to develop PCC Guidance Information System to help

the guidance Counselor in keeping records of student. PCC Guidance

Information System is capable of adding, saving, editing and updating

student’s record and also deleting records. This system can connect to

the Office of the Student Affairs that can access the name of student

only, and this project can view the result of their Entrance Examination,

can generate report such as number of student register in six

Departments. This project does not required internet connection, cannot

monitor student grade and does not accept payment.

1.4.1 General Objectives

This project aims to maintain record of the guidance office.

1.4.2 Specific Objectives

- Searching of records in easy and faster of guidance file and data.

- Make a system that could search records in faster retrieval of

information.

- Manageable record of the students.

- Confidentiality of all records.

- Faster and easy transaction retrieval records.

- Less paper used.

Chapter II

REVIEW OF RELATED LITERATURE

2.1 Theoretical Background

Guidance Office

Guidance is a process through with an individual is able to solve their

problems and pursue a path suited to their abilities and aspirations.

Guidance is a facilitative service, which provide aids to pupils and

staff

 To help pupils determine the courses most appropriate to their needs

and abilities

 To find instructors who will be more sympathetic to their individual

requirements and seek out activities which will help them to realize

their presentation( McBaniel)

Guidance is an aspect of educational programmed which is concerned

especially with helping the pupil to become adjusted to its present

situation and to plan his future in line with her interests, abilities

and social needs.(Hamrin and Erikson)

2.2. Related Foreign Studies

According to the Mawo International Secondary School Guidance Office

(MISS Guidance) by Felix et.al has been using the manual processing of

guidance information for monitoring student’s information for more than

two decades now. With the increase in student’s population in the school,

the guidance office must devise means in maintaining a reliable and

accurate data. They also suffer from a very time-consuming retrieval of

student information for academic purposes.

With the above problem, the researcher proposed a system called

MISS Guidance Information System (MISS GIS). The system developed will

concentrate on the Guidance Office to make the management of student’s

records be a lot easier to retrieve, efficient, less time consuming and

reliable without sacrificing.

According to Obisoye Opeyemi A, Alabi L.O and Ganiyus Shefu O(June

2015), created a system is entitled “A Web Based Career Guidance

Information System for Pre-Tertiary Institution Students in Nigeria” Web

Based Career Guidance is very important to our Educational System. We

have an existing Manual Career Guidance System with human counselors in

charge, but this system is plagued with the following problems: few

number of human counselors, unavailability of a counselor in a good

number of schools, few number of counselors attending to students during

school hours and the office of a counselor in schools are so unpopular

that students hardly meet them for career counseling.

We have been able to design an Online Career Guidance Information

System targeting students in pre tertiary institutions in Nigeria to

solve therefore- mentioned problems. The Online Web Based Career Guidance

system was designed and implemented using data collected from

interviewing human counselors and surveys.

To design a web based career guidance system that will improve upon

the existing manual/ human career guide. To implement a web based

application that will help young ones get a good understanding of

themselves and advise them on the career path that best suits them. And

also serve as a complementary tool for career guide and counselors. The

student will get to benefit front the information system when they visit

the web site, register, take a career quiz and view the advisor page that

intends to intimate them with the career path in which the test has

deemed fit for them. Counselors can benefit by asking students to take

the career quiz and the outcome of the career quiz can help the counselor

give better advice to the students.

In summary, this paper will to a large extent help to provide a

solution to the subject of career choice, it will try to provide an

alternative and complement human councilors, in that it will be readily

available to anyone with a device that has a functional browser and

access the internet.

2.3 LOCAL LITERATURE

According to Guidance Information System of Sibugay Technical

Institute Inc.of Mr. Rommel Roldan(2012). This system will help the

guidance office to manage student’s records and exclusively for the

guidance office of Sibugay Technical Institute Inc. To access the system,

the user must enter his/her username and password. The main form consists

of commands for transactions, maintenance, utilities, reports, about,

edit and manipulation of student’s records. It also views time, date, and

developers.

According to Elsa V. Isip and Melissa P. Picones (2010), created a

journal entitled “Interactive Students’ Performance Monitoring System for

Guidance and Counseling Center”. According to them this system will help

the guidance counselors, psychometric an, and staff of the Guidance and

Counseling center in tracking and monitoring the academic performance of

the students. This system was conceptualized in view of the difficulty of

the GCC in managing and monitoring students’ academic performance as well

as their guidance records. The developed system is capable of managing,

monitoring and organizing student academic performance and guidance

records. It integrates a decision support system that automatically

interprets psychological exam results based on standard table used by the

guidance counselors, and it also provides an interactive virtual

interview module to record interview sessions with the students. The

system will give easily retrieval of records and generation of reports.

According to Calibara, Desiree V., Co, Ruben Jr., D. and Luriz,

Edneil Josef B. (2010), created a system for their project study. The

system is entitled “TUP Student Information System”. This system is

similar to Student Data Management. According to them TUP-T Student

Information System is a big help for the guidance personnel and for the

student assistant for managing Student Information. And it will also

provide more functional and reliable module for organizing the student

information achieving accurate data. The system they made will also serve

as an electronic data bank for the Guidance Center. These are the

following features can be access by the designated officer: Manipulating

of student’s records, attendance and offenses.

Chapter III

Technical Background

In this chapter discuss the technicality of the project by which it

describes the types of the project to be developed and its functionality.

It also represents the type of application development of the project.

3.1 Technicality of the Project

In this project we used the Microsoft Access as the Database that serves

as the back end where all data are stored. Visual Basic 6.0 as the front

end of the project to serves as the features of the system. Manual

system is changed into computerized system to be reliable and convenient

to the user or to the guidance counselor.

3.2 For system implementation, the following are required:

1. Software Requirements

Operating System: Windows XP/ Windows 7/ Windows 8

Database Engine: Microsoft Access

Others: Visual Basic 6.0

2. Hardware Requirements

Processor Speed: Pentium 4

Memory: 512 MB

Hard Disk Space: 20 G

3.3 Technology to be used

It is where the system is installed and developed.

Operating System is 32 or 64 bit with windows based 7 and XP except

windows 8, because some feature of it is not compatible to it.

It serve as front-end of the system. In which where you can input data

in a system and user can interact. It used to create and design the

system.

3.4. How the Project will work

The figure 1 shows that a system must be installed to execute the


program. The guidance office will keep the records of students, generate
report and the office of the student affairs can access student names
only.

CHAPTER IV

Methodology

This chapter includes the respondents, the place of the study, the

organizational profile of Passi City College, the operational, technical

and Economical feasibility, and data processing used in the development

of the proposed system.

4.1 Environment

This study was conducted in Passi City College located at

Brgy.Bacuranan Passi City, Iloilo during the first semester school year

2016-2017. We interview Mr. Jhonwayne Chiva, Guidance Counselor; he

discussed how they handle each of the information concerning the Students

profile, how the student will register and what the existing problem he

encounters.

4.2 Requirement Specifications

Software Requirements

Operating System: Windows XP/ Windows 7, Windows 8.1 Pro except

windows 8, because some features is not compatible.

4.2.1 Operational Feasibility

Operational feasibility refers to an assessment or evaluates and

analyze how well system operates and how this will be perceived by the

user.

This involves identifying the strengths and weaknesses of Passi City

College.

Using Fishbone Analysis, this tool will help identify the cause for the

existing Guidance in keeping of records.

In figure 1.0 show using a fishbone diagram, these tools well help

identify the cause for the existing problem in Guidance. The causes were

categories into four namely: Materials, Method, Manpower and Equipment.

Each Category shows the problems to the Guidance Office. In material

category, the guidance provides a paper based of registration form which

will cause of more paper to prepare. The Method category, the retrieving,

storing and folder filing were identified as a cause of delay. The

Manpower category, the guidance Counselor manually keeps the record and

retrieves the files. The record is misplaced and unorganized.

The Equipment category, showed the equipment used by the Guidance.

Pen and Paper method is used.

4.2.2 Technical Feasibility

It is identifying the hardware, software and network resources

needed to develop. Install and operate the system this will also help

identify the technical caste and concern if there is any.

The system use database to store the data of students and Visual

Basic 6.0 serve as Front-end and use to create and design the system.

4.2.3 Economical Feasibility

Economic feasibility is a process of identify the financial,

benefits and cost associated with a development project. The system

budget and cost benefit analysis of PCC Guidance information systems are

presented below.

Table 1, shows the system budget of PCC Guidance Information System.

The table shows the Development Cost of the system. The Development cost

which is amounting of Php. 15,000.00 included all the costs incurred

during the development of the system. This cost is included the

programmer fee’s, equipments, supplies and expenses.

Figure 2, shows the current system used by Guidance Office. The Students

required to register every semester in the Office, and then the Guidance

Counselor is in charge in keeping of records. The Guidance Counselor

provides Paper based of registration form that the student need to filled

up.

Figure 3, shows the context flow diagram of PCC Guidance Information

System. The Diagram shows that the developed system, the student need to

register to the system their Personal information, Socio Economic

status, Educational Background, School references, Personal

characteristic, General personality and Complaints. After the student has

registered, the Guidance Counselor will view the list of students

registered and also it is connected to the Office of the Student Affairs

that can access the list of student names only.

In this diagram will show the flow of PCC Guidance Information

System. The student must be register their information at the student

registration and at the same time the students need to registered before

it can proceed to counseling if they have. The student required to fill

up the information needed then the record will keep to the system. The

Guidance Counselor can view the records and allowed to update, delete and

correct the wrong input of the students.

4.3.1 Risk Assessment/Analysis

Risk Assessment/Analysis is the identification evaluation and

estimation of the levels of risk involved in a situation, their

comparison against benchmarks or standards, and determination of an

acceptable level of risk.

The system is a server client system. This means that the program is to

be installed in two computers. Guidance Information System will be

installed in the Guidance office computer and another in the Office of

the Student Affairs where it an access students information.

4.4.4 Development

The system need be installed in the desktop computer or laptop. The

system front end was developed using visual 6.0 for it is user friendly

and it has a Graphical User Interface (GUI).The system database engine

uses Microsoft Access 2007 where all the actual data resides.

4.6 Testing

4.6.1 Unit Testing

Unit testing is most important level of testing, increases confidence in

changing/ maintaining code. If good unit tests are written and if they

are run every time any code is changed, we will be able to promptly

catch any defects introduced due to the change. Unit testing method by

which individual unit of source code, set of one or more computer program

modules together with associated control data and procedures are tested

to determine if they are suitable to use or user friendly.

4.6.2 Load Testing

By doing our testing we observe that the system should be working

properly and the codes are organize and fit to what the system

expectations. The operating system must be windows 7/ XP except windows

8, because some windows are not compatible to it.

4.6.3 Stress Testing

During the stress testing we encounter some problems, like during

encoding of codes, run and debug if some error occurs, inputting of data,

the spelling should be always correct and the data is always complete.

Our project will be useful if this will be implemented on PCC Guidance

Information System.

Chapter V

Summary, Recommendation and Implementation Plan

5.1 Summary

The study was conducted the effect of using Computerized System

than a manual system. That’s why the PCC Guidance Information System is

design to speed up the transaction inside the Guidance Office, to record

and retrieving of files in the students.

This study aims to lessen the time-consuming in retrieving files and

eliminating works. Due to increasing population of the school, this study

can help the Guidance Counselor to improve his way in organizing

student’s records and fast retrieving of files.

5.2 Conclusion

Based on the result of study, the researcher concludes that:

1. In using manual System, it takes time to make transaction.

2. The computerized System is the solution to the problem that occurs in

guidance office. Therefore, In order to improve the performance of the

Guidance Office, in keeping record of the students, the school must

consider this study.

5.3 Recommendation

Based on the Findings the following recommendations are forwarded:

1. The study showed that the guidance Counselor will be satisfied by

the current system and still looking for a new system that can

improve the transaction.

2. PCC Guidance Information System must possess the innovations needed

that will improve the transaction and keeping of records.
