REPORT DETAILS

Objectives of the study:

 To study the organization structure.


 To know the different types of schemes and services they are dealing with.
 To know the different functions of all the departments.
 To know the responsibilities of top management and how to execute
responsibility in a competitive economy.
Scope of the study:

 It helps in understanding the working environment and the procedural setup of


the hospital.
 It helps in gaining the practical experience.
 It helps in knowing about the functioning of the administration department.

Limitations of the study:

 The time period of 30 hours is too small to cover all the aspects of the
hospital management.
 Certain information provided in this project report is received from
individuals who have their own perceptions, limited exposure and personal
knowledge level.
 The information provided in the websites is different from one website to
another. So, most of the information provided are from a limited number of
reliable websites.
Period of study:

the period of study is a limited time of thirty hours, which equals to around six
working days. Each working day consists of five hours from 9AM to 1PM,

 which equals to thirty hours. The training was undertaken from may10th to
may15th of 2019

In-plant training or IPT is the most essential part of the academics. It enables
students to get hands-on and real-time exposure and experience. only through IPT,
the students get to transform their theoretical knowledge to a practical solution.
The industries nowadays, prefer students with practical knowledge over
bookworms. So even if a student is a university topper, if he/she is not tuned for
the industry, then there is no use.

The department of business administration, lady doak college too provides its
students such an opportunity where we, as students get to train in prestigious
companies as a part of our academics, for a short valuable period of time to get
proper exposure of work area. I had chosen to visit vadamalayan hospital in
Madurai in order to complete my training.

It was the post – independence era and just began to rotate its wheels toward nation
– building. There were only a few visionaries who believed that, the country was
more important than home and Dr. Vadamalayan was one such legend who
pulsated with mission of serve – all. He added flesh and blood to his birth's cause
and created Vadamalayan Hospital, a multi – specialty modern health provider to
all classes of the society, which was aptly inaugurated by the then Chief minister
Thiru. K. Kamarajar. Ever since inception the hospital practices Evidence Based
Medicine to give ethical, timely and effective treatment for the ailing from all over
south Tamilnadu. It continues to stay a top and is committed to updating facilities,
equipment and technology. Now it had branched out into generating skill human
resource through quality higher education in the health care sector. And thus,
Vadamalayan Institute came into existence in the year 2006, with the steadfast

attempt of Dr. Pugalagiri Vadamalayan, the successor of the founder, to create


adequately trained professionals in paramedical sciences. The institute was
inaugurated by the hospital was given an ISO 14001: 2004 certificate for
Environmental Management System, the first hospital in India to receive this
honor.

HEALTH CARE INDUSTRY:

he healthcare industry (also called the medical industry or health economy) is


an aggregation and integration of sectors within the economic system that provides
goods and services to treat patients with curative, preventive, rehabilitative, and
palliative care. It includes the generation and commercialization of goods and
services lending themselves to maintaining and re-establishing health. The modern
healthcare industry is divided into many sectors and depends on the
interdisciplinary teams of trained professionals and paraprofessionals to meet
health needs of individuals and populations.

The healthcare industry is one of the world's largest and fastest-growing industries.
Consuming over 10 percent of gross domestic product (GDP) of most developed
nations, health care can form an enormous part of a country's economy. For the
purpose of finance and management, the healthcare industry is typically divided
into several areas A healthcare provider is an institution (such as a hospital or
clinic) or person (such as a physician, nurse, allied health professional or
community health worker) that provides preventive, curative, promotional,
rehabilitative or palliative care services in a systematic way to individuals, families
or communities.

The World Health Organization estimates there are 9.2 million physicians, 19.4
million nurses and midwives, 1.9 million dentists and other dentistry personnel, 2.6
million pharmacists and other pharmaceutical personnel, and over 1.3 million
community health workers worldwide, making the health care industry one of the
largest segments of the workforce.

The medical industry is also supported by many professions that do not directly
provide health care itself, but are part of the management and support of the health
care system. The incomes of managers and administrators, underwriters and
medical malpractice attorneys, marketers, investors and shareholders of for-profit

Dr.P. Vadamalayan, founder and a great visionary devoted his life to public service
and to the health care service for the people down south Tamil Nadu. He started his
self-less and tireless medical service in the early 1930. He practiced “Evidence
based medicine” to provide ethical, timely and effective treatment for the ailing
people from all over south Tamilnadu.A 10 bedded clinic at the palace road,
Madurai with modern equipment’s (like 300 MA X-Ray Machine, an unknown
entity at that time) was a boon to the people in and around Madurai at that period.
Dr. Vadamalayan was doyen among medical professionals of yester years. His
meritorious service in health care was acknowledged aptly by “Rao Bahadur
Award”.
He was an honorary surgeon till retirement at the Government Erskine hospital –
and consultant visiting surgeon till his life time.

following are the few of his contributions in academics:
 When Madurai Kamaraj University was started as Madurai University,
Dr.P.Vadamalayan was the first syndicate member for life time, nominated
by the then Chief minister Thiru.C.N.Annadurai. He was instrumental in
bringing Madurai Medical College. He was the founder president of SVN
college, and Jeyaraj Nadar School. He was in the administrative board of the
The American College and helped to bring in various departments.
 His philosophy of social responsibility received its most enduring expression
when he founded and presided the Cheshire home-a Home for aged in
Madurai from 1968-1972. He was the president of the Red Cross Society for
lifetime in Madurai. He was always keenly aware of the need to help others,
and during his lifetime, he helped many quietly and without fanfare.

 During one of his felicitations, he donated his prize money for the best
outgoing students in the field of pathology and anatomy. As an honor the
award is named after him.
 In remembrance of his tireless service in Rajaji Hospital, his photograph is
still maintained at the entrance of the main operation theatre.

In order to function efficiently and effectively every organization has a functional


department. it’s important to drive departments so that the work is divided into
units and departments. This division of work is helping in bringing the
specialization in various activities of concerns and helps in putting right me on
right job which can be done by selecting people for various departments according
to their qualifications, skills and experience. This is helping on defining the job
properly which clarifies the role of every person.

FINANCIAL DEPARTMENT:

Finance department is regarded as the life blood a business enterprise. This is


because in the modern money oriented economy. Finance is the one of the basic
foundation of all kind of activity. It is the master key which provides access to the
entire source for being employed in manufacturing and merchandizing activities. It
has rightly been said that the business needs money to make more money.
However, it is also true that money begets more money, only when it is properly
managed. Hence, efficient management of every business enterprise is closely
linked with efficient management of its finance.

Finance functions at vadamalayan hospital:

There exists an inseparable relationship between finance and other functional


departments such as marketing, HR, IT etc. almost all kinds of business activities,
directly or indirectly involve the acquisition and use of funds. The finance function
of raising and using money although has a significant effect on other functions. Yet
it needs not necessarily limit or constraint the general running of the business.

The functions are:

 Proper use and allocation of funds.


 Taking sound financial decisions.
 Improving profitability through proper financial controls.

Finance functions are performed simultaneously and in the normal course of the
business and they need skillful planning, control and execution.

Hospital information system:

and year basis. According to revenue, purchase bills, etc. the organization controls
finance by “Hospital information system” (HIS).

Billing:

The billing department has three different sections:

1. Inpatient billing.
2. Outpatient billing (consultation)
3. Outpatient billing (X- rays, tests, etc.)

1 inpatient billing:

at the time of discharge, the patient activity chart is sent to inpatient pharmacy,
food and dietary department to note the medicine and food expenses. There are two
ways of paying the bill that is, in the form of cash or credit. If the patient doesn’t
have health insurance then, the bill is paid on cash basis. If the patient has health
insurance. If the patient has health insurance. The bill is faxed or sent to the
insurance company for the necessary approval. Approval of medical expenses
incurred by the patient and the same is collected with the credit period of 30days.

2. outpatient billing (consultation).

Any outpatient has to pay the fixed amount of consultation charges every time they
consult doctors. The billing is done for the same.

3 outpatient billing (X-rays, tests, etc.)

This section of billing prepares a final based on different testes such as X- RAYS
etc. the patient has undergone and the amount is collected in cash for the same.

Human resource management (HRM or HR) is the strategic approach to the


effective management of people in an organization so that they help the business to
gain a competitive advantage. It is designed to maximize employee performance in

primarily concerned with the management of people within organizations, focusing
on policies and on systems. HR departments are responsible for overseeing
employee-benefits design, employee recruitment, training and development,
performance appraisal, and Reward management (e.g., managing pay and benefit
systems). HR also concerns itself with organizational change and industrial
relations, that is, the balancing of organizational practices with requirements

Training and Development is one of the main functions of the human resource
management department. Training refers to a systematic setup where employees
are instructed and taught matters of technical knowledge related to their jobs. It
focuses on teaching employees how to use particular machines or how to do
specific tasks to increase efficiency. Whereas, Development refers to the overall
holistic and educational growth and maturity of people in managerial positions.
The process of development is in relation to insights, attitudes, adaptability,
leadership and human relations.

Information Technology Department performs these core functions: Introduces


and maintains computerized information systems to process data efficiently to
produce useful and timely information. Provides the appropriate hardware,
software, networking and communications infrastructure for automation.

What Are the Duties of an IT Department?

 Programming. As a programmer, they are responsible for creating new


programs for the organization.
 Company Website. The IT department creates and maintains the company's
website.
 Technical Support. The IT department in any organization provides support
to computer users in the company.

The terms medical record, health record, and medical chart are used somewhat
interchangeably to describe the systematic documentation of a single patient's
medical history and care across time within one particular health care provider's
jurisdiction. The medical record includes a variety of types of "notes" entered over
time by health care professionals, recording observations and administration of
drugs and therapies, orders for the administration of drugs and therapies, test
results, x-rays, reports, etc. The maintenance of complete and accurate medical
records is a requirement of health care providers and is generally enforced as a
licensing or certification prerequisite.

The terms are used for the written (paper notes), physical (image films) and digital
records that exist for each individual patient and for the body of information found
therein. Medical records have traditionally been compiled and maintained by
health care providers, but advances in online data storage have led to the
development of personal health records (PHR) that are maintained by patients
themselves, often on third-party websites. This concept is supported by US
national health administration entities and by AHIMA, the American Health
Information Management Association.

The control of hospital infections requires team work. Housekeeping one of whose
responsibilities is the control of infection and sanitation is one of the professional
groups which take part in this team. Housekeeping services includes activities
aimed to maintain a healthy, clean, orderly, safe and pleasant environment by

making the maximum use of the facilities of hospitals. In hospitals cleaning service
carried out in accordance with certain provisions not only has a positive effect on
the morale, welfare and safety of the patients but also prevents a lot of areas from
becoming a source of infection. The Housekeeping Department has a distinctive
role, in modern hospital administration, as regards with its functions of cleaning of
hospitals, infection control, sanitation, and decoration as well as the administration
of the housekeeping staff. There are various factors playing in the development of
hospital infections.

Controlling of microorganisms, hence of the infections, in hospitals is a


multidisciplinary issue. Therefore, an Infection Control Committee ought to be
formed in every hospital. This committee should include wide representation from
relevant departments: e.g. Management, Nursing, Physicians, Microbiology,
Pharmacy, Infection control practitioners and Housekeeping, personnel etc. The
Housekeeping Department in hospitals helps in prevention and minimizing of the
effect of the microorganisms in the environment by training its staff on regular
basis, along with regular controls of cleanliness and applying the programs
declared by the Infection Control Committee.

BLOOD BANK:

Vadamalayan Blood Bank is a High-Tech component level blood bank. It was


established on 05/July/2005 License No 260/05. The blood bank occupies an area
of 1600 Sq ft. within the hospital premises. License No 3116/D2 (4)/1/05, Dated-
07/November/2006, Granted permission to conduct blood donation camps. The
blood bank reached the states of regional transfusion centre. It was started with the
intention to invite quality blood and its components to the needy patients. Blood is
received only from healthy voluntary donors.

High-Tech instruments and equipments are available to collect, separate and store
whole blood and blood components. Component level facility includes supplying
fresh frozen plasma, platelet concentrate and cryoprecipitate at the time of help.

Vadamalayan Blood Bank is a state of art blood bank in Madurai city serving 24
hours. A team of qualified personnel’s including a blood bank medical officer, a
nursing staff, 2 technical staff and a technical supervisor take care of the
functioning of the blood bank round the clock.

NUTRITION & DIETITICS:

 You are provided with a well-balanced, nutritionally adequate diet,


following the orders of the physician.

 You are served with a blend of home-cooked foods and ready-prepared heat
& serve items that are characteristic of the area, in an attractive manner.

 Your likes and dislikes are considered before planning a menu.

 Everything is done to make your food safe, in right temperature and


excellent quality.

 The department provides inpatient and outpatient, individual, and group


nutrition education

 Inpatient nutrition education is provided by the Dietitian and the Outpatient


nutrition consultation is provided by the Dietitian upon receiving a written
order from the physician.

 The Dietary department realizes the importance of involvement of a family


in a patient’s lifestyle; family members are encouraged to join a patient in
nutrition education sessions.

 The department also provides group nutrition classes to the industrial


workers, and other community education programs organized occasionally.

 The staff is in serviced to serve the “right” diet with the correct portions at
right time.

 In services are held on the correct use of equipment, body mechanics, and
infection control.

 Dietitians visit all the patients at AM & PM

Our 24 hours Diet Kitchen is committed to providing quality food, skill fully and
hygienically prepared and reasonably priced.

All dishes are cooked to order and the menu changes seasonably to accommodate
the best and the freshest national produce. Food is served any time of the day; both
in the canteen and also in the rooms.

Our canteen is adequately staffed, and our uniformed stewards serve the food in a
very cordial manner to the satisfaction of the patients and their attendants.

LEARNING OUTCOME:

Communication skills: working in a hospital where hundreds of people walk in ,


it is highly necessary to possess communication skills in order to deal with them.
The communication had to be in either tamil, the native language or English, he
universal language according to the patients.

Esprit de corps:

In the organization, we had to work together as a team. Everyone has to


complement each other in their works in such a way that the work gets done
effectively and efficiently. We had to maintain a good rapport with each other to
have a comfortable working environment suitable for our work.

Practical knowledge:

The books always gave us an outline of marketing process and strategies. But we
were never able to get a clear picture of how they are executed in real life. This
training gave me an exact idea about how administrative process is done and how
to tackle problems.

Accountability:

Each and every employee is accountable for his/her work. When a work is not
done properly, the higher officials has the full rights to question the employee and
also give the necessary action.

Professionalism:

A certain level of professionalism is required whenever a person is on job.


Chatting away, being unpunctual, etc. is not something to be encouraged while on
job. Every single job must be done by professionally and not like an immature
playful kid.
