Chapter 1

1.1 INTRODUCTION

Most of the stores that offer office supplies have a large amount of
products in their inventory. Some of them are manually checking the
inventory. Manual Checking is very difficult for checking a large number of
products. It is also hard for a store like this to have a manual computation of
the daily, monthly and yearly sales. Now, what could be the possible
problems that the store will face?

For stores with huge amount of products and has an increasing number of
daily sales, there is a need to have a Point of Sale with Inventory System,
which can compute automatically all the sales of the day and monitors all the
incoming, outgoing and remaining products. Such system will be able to help
the store to compute the sales and count the remaining items in the inventory.

A database that can compute the sales and monitors all the incoming,
outgoing and remaining products will be a great use to the store so that they
can conserve more time and energy.

1.2 BACKGROUND OF THE STUDY

Point of Sale with Inventory System is an automated system that can

automatically compute the sales of each day and automatically removes the

items that have been brought and adds all the incoming items to the

inventory. It can also monitor the items that they still have in stock and helps

them to keep track of their inventory in real time.

The proponents conducted an interview of the chosen beneficiary which is

the JNV Office Supplies and Services.

The proponents will develop a Point of Sale with Inventory System to

make it easy for the store personnel and owner to keep track of their sales

and inventory. This system allows the store to see their sales activity and

checks the remaining stocks that they have in their inventory.

The system is user friendly and can be easily used by anyone. The

system does not require vast knowledge about programs and such. It is easy

and convenient to use.

1.3 BACKGROUND OF THE COMPANY

1.3.1 HISTORY

On May 11, 2016, JNV Office Supplies and Services were founded and

were registered on DTI. It was founded by Ms. Evangeline L. Ferrer. That

time it was address at Barangay Landayan, San Pedro Laguna. JNV Office

Supplies and Services started by marketing offices within the community

area. Some of their clients that time were Westlake Hospital, St. Paul School,

UVCA etc. The business was started through delivering services.

October 8, 2016 to 2017, they start to put up a store and rent a

commercial space at RJT Building, 2nd floor, Barangay Magsaysay, San

Pedro Laguna. That time their selling business is slow.

On March 2018 they decided to relocate the store in front of IETI College

of Science and Technology. The store has its full blast and started other types

of services, such as: Id PVC Printing, T-shirt Printing, PC Printing etc.

1.4 SYSTEM CURRENTLY APPLIED

The JNV office supplies and services are currently using pen and

paper to count and check the items in the inventory. When it comes to

computing the sales, they are using calculator for computing the daily,

monthly and yearly sales.

They are using an order form and list all the items that are bought

to them and compute all the sales at the end of the day.

They keep the list of items via paper and keep it in a folder. In order

for them to check the items they still need to check and run through a lot

of paper just to check the items that have been sold and the remaining

items.

1.5 STATEMENT OF THE PROBLEM

1.5.1 Main Problem

JNV Office Supplies and Services relies on a manual computing of

sales and manual recording and counting of inventory.

1.5.2 Specific Problems

 Time consuming on computing the daily, monthly and yearly sales.

 Having difficulty on searching the prices of each item.

 Difficulty on updating the inventory. (Incoming and Outgoing

stocks)

 Difficulty on counting the remaining stocks in the inventory at the

end of the day. (Existing)

 Tendency to misplace and lose their record.

1.6 OBJECTIVES OF THE STUDY

1.6.1 General Objective

The general objective of the proponents is to develop and design a

Point of Sale with Inventory System which can easily compute the daily,

monthly and yearly sales and automatically updates the remaining stocks

in the inventory. It can add and subtract items from the inventory if there is

an incoming and outgoing stock.

1.6.2 Specific Objectives

 To develop and design a system that can easily compute the daily,

monthly and yearly sales.

 To develop and design a system that can organize the price

tagging of each item.

 To develop and design a system that will help them to keep track

the incoming and outgoing stocks that will be added and removed

from the inventory.

 To develop and design a system that can easily count the

remaining stocks in the inventory at the end of every day.

 To develop and design a system that can store their records.

1.7 SCOPE AND LIMITATIONS

1.7.1 Scope

The proponents will develop a Point of Sale with Inventory system

for JNV Office Supplies and Services.

This proposed system is designed and will be implemented for the

JNV Office Supplies and Services only. The proponents will use VB.Net

(Visual Studio 2010) as the programming language of the system and the

database system is MS Access 2016. The system can print the inventory

and sales report. It can also add the information of each item. The system

can also update the remaining items in the inventory if there are added

and removed items. The system can display if the item is in good condition

or damaged. The system can also compute the daily, monthly and yearly

sales.

1.7.2 Limitations

 The Primary user (Manager/Owner) can view the remaining items,

can search items and update the items in the inventory and can

also view and update the daily, monthly and yearly sales.

 The Secondary user (Purchasing Staff) can only view the remaining

items, items and price list and can search items in the inventory.

1.8 SIGNIFICANCE OF THE STUDY

1.8.1 To the Company

The JNV Office Supplies and Services was chosen by the

proponents as their beneficiary for this system project. With this project,

the beneficiary will have a Point of Sale with Inventory system. It has the

ability to drastically increase the efficiency of their business. The

beneficiary will have the convenience to keep track of their inventory via

computer. They will also have the efficiency to easily compute the daily,

monthly and yearly sales.

1.8.2 To the researchers

The proponents chose this kind of system because it possesses a

lot of challenges to them. Coding a thousand of items is quite difficult and

to add up the coding of sales computation is something else. This system

will test the knowledge of the proponents. This will also practice their

creativity and skills for the future.

1.8.3 To the future researchers

This study will serve as a guide and reference to their own study of

inventory system. This study will prove that using computerized system is

helpful and will lighten the load work of all people.

Automated sales and inventory monitoring gives a company a competitive

advantage by linking different automated processes within the supply chain. For

example, automating the ordering process for customers and the production

scheduling, then adjusting manufacturing based on up-to-date inventory levels,

makes a company more flexible, capable of deciding how to best satisfy

customer orders. When automated activities are linked -- ensuring information

flows rapidly from one part of the supply chain to another -- a company can

exploit these linkages. Management can make rapid decisions to increase

revenues, such as ramping up production immediately in one location because of

a sudden surge in demand in another part of the world.

all represent various forms of inventory. Each type represents money tied up until

the inventory leaves the company as purchased products. Likewise, merchandise

stocks in a retail store contribute to profits only when their sale puts money into

the cash register. In a literal sense inventory refers to stocks of anything

necessary to do business.

2. In a study by Aparanjitha , this project is aimed to developing in online

Sales and Inventory Management System (SIMS) for a departmental store. This

system can be used to store the details of the inventory, update the inventory

1. A point of sales system is a system which helps customers make payment

to the merchant in exchange for goods and services. It is an electronic

system that provides businesses with the capability to retain and analyze

a wide variety of offered products within an inventory and a day-to-day

transaction data on a continuous basis. POS Systems have been proven

as a valuable tool for a wide variety of business purposes, including

refining target marketing strategies; tracking customer purchases and

determining its patterns; analyzing sales (on a daily, monthly, or annual

basis) of each inventory item or supplier .

At the point of a sale, your business receives cash or allows payment on

account in exchange for goods. This creates in inflow of cash or revenue

and a corresponding outflow of product inventory. The primary objective of

2. Having computerized Inventory system provides “real time” assessment of

inventory levels. As a given item is sold, the inventory level for that item is

automatically adjusted and when that item’s inventory level reaches the minimum

level, the system automatically generates a purchase order that can be

transmitted to the supplier.

What happens in reality is that the system keeps track of every item that is

close to reaching its minimum inventory level and the end of the day, compiles a

list of all items that require replenishing sorted by supplier. Then multiply

purchase orders (as many as there are suppliers) are generated and transmitted

to the suppliers with a copy of each P.O. also transmitted to inventory. When the

goods arrive from each supplier, the inventory levels are adjusted accordingly

and the system will also issue a notification to the computerized system that will

used against the supplier’s invoice and P.O. copy.

In some inventory systems, this allows the system to issue purchase orders to

those suppliers with lower price points.

There is definitely much more detail involved, however it is plain to see that a

proponents knowledge and insights that would really be helpful for their project.

Chapter 3

3.1 Existing System

The JNV Office Supplies and Services are currently using pen and paper

to count and check their inventory. They are manually counting the remaining

items at the end of the day. As for the incoming and outgoing items during the

operation hours, they are using an Order Form to list all the items that have been

bought to them and they will subtract it from the past inventory at the end of the

day. For incoming items, they have a separate paper for the list of all the amount

of each item that has been added to their inventory and they will count it at the

end of the day.

Now, as they compute the daily, weekly, monthly and yearly sales, they

are using a pen, calculator and paper. In that notebook, they indicate all the sales

and expenses of each day. They will compute it every week, month and every

year. For the monthly and yearly sales, they are typing it and print it to present a

Sales Report to the owner. The general manager also have a copy of the sales

report.

3.2 Proposed System

The proponents will develop a system that will help the beneficiary to have

an easy way of recording, checking, monitoring, updating and computing of their

daily operations.

The system will be designed by using Visual Studio 10 as the

programming language of the system and the database will be Microsoft Access

primary and secondary users. It is protected by a username and password. The

primary user (Owner and Manager) can update the remaining items; can add

items, search items in the inventory. The primary user can also update the

inventory and check the remaining stocks, and they can view the sales (daily,

weekly, monthly and yearly).

The Secondary User (Administrative Officer) can only view the remaining

items and search items in the inventory.

The system can automatically update the user if they have products that

are out of stock and can update the user if they have low stock on a certain

product.

track of their inventory. The system can print the inventory and sales report

3.3 Users of the System

The proposed system has two users; the primary and the

secondary.

The primary users are the Owner and the General Manager. These

users can access all the transactions and features on the system that the

proponents will develop. They can search items on the system, add information

for each item, keep track of the inventory, update the remaining stocks, print

inventory and sales report, etc.

The secondary user is the Administrative officer has a limited

access to the system. The secondary user can only view the remaining items,

item and price list and search items in the inventory.

3.5 Security

The proposed system has a log in user (primary and secondary).

This is to assure the security for the sales report and inventory record of the JNV

Office Supplies and Services. The access is divided into two users for further

security records; the Manager and the Owner has the full access to the system

and the Purchasing Staff has limited access to the system.

3.6 Maintenance

The software developer should examine the system every month

for the user’s feedback or request. If there will be a request for additional features

or changes, the programmer will check if it will be possible. If there are errors

found during the examination, the store may use their previous method of

checking, computing and updating the sales and inventory reports while the

programmer is fixing the system. The programmer is not responsible for any

failures and errors that are not related to the system.

3.7 Back-Up Plans

If the system gets corrupted, the system has an automatic save

data. The user/s may view the back-end in case something wrong happens to the

system.

Chapter 4

4.1 Summary

This project is aimed to design a Point of Sale with Inventory Management

System for JNV Office Supplies and Services. With the help of the system

developed, the monitoring of their sale and transaction as well as the

management of their inventory will be easier and more organized. Prior to this

project, the company uses pen and paper to manage their inventory and to keep

track of their sales. Using this kind of method makes it difficult for the company to

manage their inventory and monitor their sales. Moreover, manual transactions

and methods lacks security, they might lose or misplace their record. Our main

objective is to develop and design a Point of Sale with Inventory Management

System for JNV Office Supplies and Services. A computerized system that will

help them manage their inventory and keep track of their sales. A record that is

stored in a database so that the user can easily search and view their sales and

inventory.

4.2 Conclusion

Upon the completion of the system, the proponents believe that the system can

be useful to the beneficiary. The inventory record of the beneficiary will be

organized. Searching for their inventory and sales will be easier and faster

because it is all stored now in a database. The proponents believe that the

developed system will be the answer to the company’s problem regarding their

inventory and sales.

4.3 Recommendations

The researchers would like to improve their system by making this system LAN

based and make the system online for faster access.
