1. Objective
The objective of this document is to invite the prospective well known solution providers in
the SAP ERP implementation and upgradation domain. The parties should have well known
repute for the implementation of the SAP ERP system. This document describes our vision
and high level scope of work of this project. We expect that prospective partners study the
existing implemented ERP solutions and ERP landscape and come up with cost effective offer
for the complete upgrade and migration of the ERP solution. The Vendors are requested to
submit their proposals as per the plan attached in this document. It is further emphasized
that all functionality in the below included domains are to be made part of the proposals
along with the others required for the successful migration and upgradation.

2. PTCL ERP(SAP) Project

2.1. ERP Solution

PTCL Group consists off forward looking progressive set of organization including PTCL,
Ufone and Ubank, Paknet.
SAP ERP (ECC 6.0) was implemented in PTCL Group (PTCL, Ufone and Paknet) back in 2007 to
deliver a comprehensive set of integrated, cross-functional business processes. With SAP
ERP, PTCL Group has gained different benefits of improved alignment of strategies and
operations, improved productivity, reduced costs and gains higher level of controls.
The system is widely used across the PTCL Group covering the areas of Finance, Human
Resource Management, Materials Management, Development Projects and Operations.
PTCL and Ufone are using the same system with single instance of database and application.
The third company Paknet in the System has become dormant as there are no transactions
recorded on its Company Code (1300). The individual companies in PTCL Group are using
the single system separately identified through company codes like PTCL (1100), PTML
(1200), Paknet (1300) and GPF (1400) for development, quality and production instance. GPF
(1400) has been configured in the SAP to automate the General Provident Fund of
employees. This is tightly integrated with the PTCL (1400) for the required deductions and
contributions.
There are several business processes which are customized separately from the perspective
of each company while others are commonly used. All the companies are using the same
standard processes in all module except those has been customized specific to any company
or for both. All the modules and sub-modules are tightly integrated based upon the standard
functionalities. The ERP system is integrated with the backend systems (CRM, BSS, OSS,

 Billing, Bespoke Applications etc.) of all companies, with Banks, with third party systems,
with Etisalat and other systems as per the requirements.
Currently the SAP ECC Version 6.0 along with other SAP ERP solutions is implemented in
PTCL group and it is running on the same hardware that was estimated in year 2007. The
operational benefits of the system and the successful Go-Live of major modules in all
companies have resulted in a large volume of transactional data. We are unable to achieve
the required results and efficiency from the system as Hardware, Operating system and ECC
6.0 does not support the current business requirements. SAP has also outdated some of the
ECC 6.0 features and functions and has offered enhanced functionalities in the new versions
during last eight years.

The above mentioned enhancements and customizations for both PTCL & Ufone companies
will also be migrated during the upgrade activity to ensure the smooth execution of the
customized modules and programs. This number may change till the finalization of this
project so all enhancements and customizations will be included in the project scope.

2.5. SAP PI/ XI System

PTCL group have used SAP PI/XI system for the integration of SAP with SAP as well as non-
sap systems. For each company the integration of the SAP includes, but is not limited to, the
following:

 Billings Systems
 All ESS/ BSS/ OSS and other backend Systems

3. Project Scope

The scope of the project includes but is not limited to the migration and upgradation of the
complete ERP solution for PTCL Group. In addition to the solution upgrade, the existing ERP
Landscape will be replaced with the new one. The scope will also include the complete setup
of PR and DR sites as per PTCL requirements.
PTCL is looking to upgrade the complete ERP solution including all implemented systems..
We are working for the following two upgrade options:

1. Migration & Upgrade to EHP7 (Without HANA) + Fiori

2. Migration & Upgrade to EHP7+ S/4 HANA + Fiori

Following two systems will not be included in the scope:

5. Enterprise Portal ( if the Vendor may provide all the EP standard and customized
features on Fiori Apps)

3.1. Dsatabase Upgrade
Database upgrade and licensing will be part of this project for both hosting sites (Main and
Disaster Recovery).
3.2. Solution Upgrade/ Migration:
 The complete migration and upgradation of existing ERP landscape to the latest
versions for both PR and DR sites except the systems mentioned by PTCL to exclude
from future landscape
 Migration & Upgrade to EHP7 (Without HANA) + Fiori
 Migration & Upgrade to EHP7+ S/4 HANA + Fiori
 All customizations and enhancements adjustments
 Successful migration of Integration scenarios
 SAP Fiori installation, configuration and deployment of applications
 Setup complete Development and test and production environment for FIORI and
HANA
 ERP upgrade and migration to HANA, FIORI, HANA Live Deployment and Upgrade of
Hub System
 HANA Live content activation for reports and SAP Business Objects Installation for
HANA Live
 Development of reports/ dashboards for different modules in HANA as per PTCL
group requirements
 Data archiving facility and real-time extraction for consolidated reports from
transactional and archived data
 Set up any other component or software required to complete this project and to
ensure smooth execution of the system as per PTCL group requirements.
 High Availability & Disaster Recovery (HA & DR) Setup for ECC on HANA and for all
other required systems mentioned by PTCL
 SAP HANA System Replication (HA & DR) and for all other required systems
mentioned by PTCL
 Fiori:
i. Fiori frontend server installation for all environments systems
ii. Fiori Application deployment at all environments
a. Preparation/ verification of SAP backend systems required for Fiori
implementation
b. Verification required infrastructure installation for Fiori implementation
c. Standard Application Installation and configuration
d. Support for Basic Authentication for the Application
e. Theme design for Logo/Background image change
 Scope will include arrangement of all required software’s/ solutions and the
required migration and upgradation of all software components and solutions to
ensure the successful completion and execution of the project.

3.3. Non Functional Scope

i. System's availability should be 99.999%
 Scalability
i. With increase of concurrent user the speed of system should not drop.
ii. System should have scalability to adapt to any future enhanced
requirements

 iii. Vendor should recommend the required hardware sizing keeping in view
PTCL’s current usage and for next five years
 Support
i. Presence in Pakistan for technical support
ii. Immediate support on software defects or issues
iii. Prepare Technical Documentation on Technical upgrade and Migration

 Implementation
i. Whether the vendor has local presence of implementation team.
ii. Is vendor relying on 3rd party implementer having local presence
iii. Knowledge of working in PTCL or PTCL like environment
 Performance
i. Minimum Switch Time Cost between Clusters
ii. Minimum Backup Recovery time
 Trainings
i. Trainings of Functional and Business users
ii. Training of Basis/ Netweaver team
iii. Training of data base teams
iv. Training of Development teams for all developments along with Fiori
Development

4. Proposals Submission guidelines

 All prospective vendors are urged to submit the proposals on urgent basis.
 All prospective vendors are requested to thoroughly understand the requirements
by asking questions, clarifications and through very exhaustive due diligence

 Submitted proposal should include all required software components, licenses and
hardware recommendations. Any omission will have to be managed and catered by
vendor if discovered at any stage.

i. Technical: Proposed solution with all the solution details as follows:
 Solution components
 Functionality/features
 Architecture diagrams, integration diagrams,
 Implementation methodology, delivery approach, delivery plan and
Schedules
 Resources availability overall and onsite and demonstrating the convincing
delivery capability
 Client References specifically mentioning minimum 3 successful
implementation of SAP ERP in Pakistan and minimum 7 all over the world
 Client References specifically mentioning successful implementations of SAP
ERP with HANA
 Client References specifically mentioning successful upgradation and
migration of SAP ECC to EHP7 with and without S/4 HANA
 Client References specifically mentioning successful implementations of SAP

Note: The scope of this project will be covering complete migration to new Hardware, and
upgradation of all systems except those excluded by PTCL. Arrangement of Hardware will not be part
