2. PASSPORT, VISAS AND IMMIGRATION


All participants must have a valid passport / travel documents endorsed and valid for India. It should be
noted that a visa will be granted only if passport remains valid for a minimum period of six months. If a
Visa facilitation letter is required, please contact the WHO Office in your country or write to the WHO-
SEARO Secretariat.

Please also carry the invitation letter issued by WHO.

3. TRAVEL
The WHO sponsored participants/WHO staff, temporary advisers have been requested to be provided
by the respective WHO office air tickets by the most direct, and cheapest air fare – on economy class -
to Jamnagar, Gujarat, India from the airport nearest to their place of residence.

All participants are requested to arrive in Jamnagar, Gujarat on 8 September 2019. If participants wish
to make any change in the proposed itinerary and the type of ticket provided by the WHO authorized
Travel Agent or if participants arrive in India prior to the scheduled date of arrival of 8 September 2019
or depart later than 12 September 2019, the additional cost of travel and accommodation will be
participant’s personal responsibility.

4. AIRPORT TRANSFER
Two way airport transfers will be provided by the host institute (from Rajkot airport) and hotel (from
Jamnagar airport) on complimentary basis to all participants staying at the ARAM hotel. (Participants
are requested to send their itinerary with ETA-ETD details to the Administrative focal points (Ms. Chitra
Salil and Ms. Shefali Bahl) latest by 1 September 2019 to confirm airport transfers to be arranged with
the Hotel.

The Hotel chauffer/representative of host institute will be paging outside the arrival lounge with a
placard with your name near exit gate. If you encounter any difficulties finding the driver, please
contact the Representatives at Airport exit gate.

5. REGISTRATION
Registration of participants will be done on the first day of the meeting i.e. 9 September 2019 between
0830 – 0900 hrs. at the meeting venue, i.e. hotel ARAM.

6. ACCOMMODATION
WHO has pre-booked single occupancy rooms for all meeting participants for 4 nights, 8-11 September,
at the ARAM hotel, Nand Nivas, Pandit Nehru Marg, Jamnagar, the meeting venue. The cost of
accommodation includes buffet breakfast, complimentary wi-fi, airport transfers from and to Jamnagar.

Room rate Single: INR 3600/- per night +18% GST

Room Double : INR 4100/per night +18%GST

Participants will be required to settle accommodation cost with the hotel for the approved time of stay
(4 nights, 8-11 September) directly with the hotel. All other costs, i.e., extra stay beyond approved time,
minibar, snacks, room service, laundry, etc. must be settled by the participants before their departure.

In case double room is required for any accompanying guest, the additional accommodation cost must
be paid by the participant.

In case of booking is required for additional nights or for double room please contact WHO
Administrative focal points (Ms. Chitra Salil and Ms. Shefali Bahl).

• Hotel check in time : 1300 hrs.
• Hotel check out time : 1200 hrs.
• Additional charges will be levied for early check-in or late check-out and must be paid by participant
in case of non-official reasons.

Participants are requested to send their itinerary with the ETA-ETD to the secretariat (Ms Chitra Salil
and Ms Shefali Bahl) latest by 1 September 2019 to confirm the hotel booking and airport transfer.

Please note, beyond the deadline of 1 September, the hotel will NOT be in a position to guarantee
accommodations and participants will have to arrange their own accommodations and bear the cost.

7. PER-DIEM
WHO sponsored participants will receive an appropriate subsistence allowance (with appropriate
deductions for lunch on meeting days) in the appropriate currency for the duration of the meeting.

WHO sponsored participants are requested to collect their per-diem from the WHO Office of their
country before their departure to India. Please note that there is no arrangement for the payment of
per-diem at the meeting venue.

8. INSURANCE AND BAGGAGE
Please note that WHO cannot be held liable or responsible for any claim arising out of death, injury,
sickness or other disability during travel or course of the training. Similarly, excess baggage charges and
insurance of baggage are the responsibility of the participants. Likewise, taxi charges (other than those
provided by host institute/Hotel Aram) to and from airport, airport taxes, porterage expenses incurred
in obtaining visas and passports will not be reimbursed by the Organization.

9. CLIMATE AND TEMPERATURE


The weather of Jamnagar during month of September will be monsoon. Chances of light showers during
September month are there. The average temperature outside in September in Jamnagar, Gujarat
ranges from minimum 25 degrees Celsius to 35 degrees Celsius Average temperature will be 29 degrees
Celsius.

10. CURRENCY AND EXCHANGE


The currency in India, is Indian Rupees (the currency exchange rate approximately is INR 68.86 for USD
1 as of 1 August 2019). Most international currencies and travelers cheques can be exchanged at banks
or local money changers. Major credit cards are accepted in major establishments as well as at money
changers.

11. LAPTOPS
Participants may wish to bring their laptops for use during this meeting. Wifi connection will be
available in the venue of the meeting in the Hotel.

13.REACHING JAMNAGAR (GUJARAT-INDIA)
Jamnagar is a city located on the western coast of India in the state of Gujarat. It is about 300 Km from
Ahmedabad (international airport of Gujarat) & Gandhinagar (capital of Gujarat state). Jamnagar is well
connected to the other parts of country by road and rail. Participants can reach Jamnagar by following
routes.
BY AIR
Jamnagar airport is located nine km from the hotel. It is connected to Mumbai. (daily one flight)
Rajkot (90 Km, 1.5 hours’ drive from Jamnagar has daily flights from Delhi & Mumbai.
