VENDOR PORTAL

The Stores Vendor Registration can be used for

 Registration of the new vendor


 To view the profile of the registered vendor.
 Storing and retrieving the data

1. The system can be accessed through ICF Official Site Vendor portal. The vendor directory
home page will be displayed as given below.

 Click Vendor_Portal.
 Vendor Portal Homepage will be displayed as given below.
2. For the registration, Click Vendor Registration Registration.
3. The Registration Form contains four tabs - Basic info, Owner info. Registration, Documents.
 Annexure-A (Basic info) contains the necessary details of the firm which are needed to be
filled.
 It is necessary to fill all the mandatory fields.
 Enter the Name of the vendor.
 Enter the Tin Number and CST number.
 Enter the Text for Address Line1, Address Line2, Address Line3.
 Enter the City.
 Select the State from the Dropdown List.
 Enter the Telephone number, Fax number and Mobile number.
 Enter the correct Email ID.
 Enter the Payment Details for the Cost of Registration form.

 Click the Annexure-B (Owner info) to view the necessary details of the Owner of the firm
which are needed to be filled.
 Select the nature of the Company from the Dropdown List.
 Enter the Proprietor Name
 Enter the text for Proprietor Address.
 Enter the valid PAN Number.
 Enter the Banker’s Name.
 Enter the correct Bank Account Number.
 Enter the text for Banker’s Address.
 Click Annexure-C (Registration) to view the details of the registration of the firm.
 Enter the correct Factory License Number and its validity.
 Enter Annual Turnover.
 Enter the text for Trade groups for which the registration is sought.
 Click View Annexure to download the Annexure.
 Enter the Number of Registration of Firm under Company Partnership Act.
 Select the Date for the registration of firm under Company Partnership Act.
 Enter the text for Income tax circle in which the firm is accessed.
 Select the NSIC type from the Dropdown List.
 Enter the text for details of registration with other railways.
 Enter monetary limit.
 Click Annexure-D (Documents) to view the fields where the necessary documents are needed
to be uploaded.
 The Document should be uploaded in JPG, JPEG or PDF Format.
 To upload the document, Click Choose file button, and choose the appropriate file to be
uploaded.
 Select Checkbox after all the necessary fields are filled.
 Click Submit Button.
4. After the submission of the registration form, Temporary ID is generated.
PREVIEW OF REGISTRATION FORM

To preview the submitted Registration form

 Enter the Temporary ID as Username and Password.


 Username and Password should be same.
 Select the UserType as Vendor from the Dropdown list.
 Click Login

VIEW APPLICATION DETAILS

 Submitted form will be displayed as given below.


 Annexure- A displays the Basic Info.
 Click Annexure- B to preview the Owner Info.

 Click Annexure- C to preview the Registration Details.


 Click Annexure- D to view the Documents which has been uploaded.
VIEW CHECKLIST

 Click View checklist to view the checklist updated by the ICF.

VIEW STATUS

 Click View Status to view the status of the registration form which is updated by the ICF.
LOGOUT

 Click Logout to exit from the profile.


APPROVED VENDOR

After the approval of the registration form of the vendor, unique Vendor Code is sent to the
vendor through SMS. To view the profile,

 Enter the Vendor Code as Username and Password.


 Select the User Type as Vendor from Dropdown list.
 Click Login.

MY DETAILS

 Vendor Profile will be displayed as given below.


MY PURCHASE ORDERS

 Click My Purchase Orders to view the purchase order details of the firm.

 Click Symbol to view the purchase order details of the corresponding purchase order
number.
 Click View Receipt Details button to view the receipt details of the purchase order.

 Click Symbol to view the purchase order receipt details of the corresponding purchase
order number.
MY RECEIPTS

 Click My Receipts.
 Select the purchase order from the Drop down list.
 Click Get Details Button to display the purchase order details.

 The purchase order receipt details for the particular purchase order number is displayed.

MY BILLSTATUS
 Click My BillStatus to view the bill status of the firm.

FEEDBACK

 Click Feedback.
 Enter the feedback.
 Click Submit Button.

LOGOUT

 Click Logout to exit from the profile.
