Chapter 1

INTRODUCTION

A student portal is an online gateway where students can log into a school

website to access program information. The research is all about making a Student

Portal for St. Joseph School Gagalangin and it aims to provide the students, teachers,

and registrar personnel of the school a system that all three would benefit. Students will

get to view their grades and breakdown of fees through the student portal and the

teachers would be able to give out grades that will be posted on each student’s

accounts. The situation is that they still heavily rely on paper-works, although they have

a system that has certain records of students, they still operate in paper works.

The research proposed for St. Joseph School Gagalangin is to provide them with

a system that they can manage, and maintain for their benefit. The researcher will

provide a student portal that shall contain student related information so that they are

able to see it online.

Background of the Study

St. Joseph School Gagalangin in Tondo Manila, with the policy of his Eminence

Rufino Cardinal T. Santos, of Manila to encourage the establishment of a school runs in

each parish. On this important reason, in a humble beginning, the Parish Council of

Gagalangin opened a kindergarten school as forerunner of parochial school on August

3, 1964 under the care of Mrs. Felicisima Carls with Fr. Pedro Pajarillo as the Spiritual

Director. Due to increase in enrollment, the school expanded from kindergarten to

complete elementary school through a recognition awarded by the government in school

year 1965-1966, by then the school was first named St. Joseph. The process of the

system in the school involves:

New students should have their personal information recorded on the school database

once they have filled up the application form, passed the entrance exam and have paid

the necessary enrollment fees to be officially enrolled in the school.

Should the students made it through the whole school year without failing any

subject; they are subjected to advance for the next year school year with the current

curriculum plan. Once the final grading is done, the same report card will be handed out

to them and with it, a note which indicates the section they will be in. The problem is that

some students take a lot of weeks in returning the report card for the first three quarters;

some would even lose the report card and will be subjected to pay a fine for a

replacement.

St. Joseph School uses a semi-manual system in retrieving and recording

student information. On the manual side, most of the student information is still in the

traditional book-keeping practice and are kept at record drawers that preside on the

registrar office. The automated side of their system is based on payment, which keeps

records of the history of student payments on a system. Currently, the school has no

system to that the students may see their grade through a student portal. The problem is

that both students and teachers still heavily rely on report cards handed out every

quarter of the school year. Students on the other hand are subjected to go to the school

whenever it is the releasing of grades and before that, advisers/teachers must hand

write their grades on a hard copy report card. Students must also return the report card

within a week to their advisers for another retrieval of report card for the next quarter.

Those who lose their report card are subjected to pay a fee. We would like to create a

student portal that can be used by the registrar, teachers, and especially the students.

The teachers who are presiding at the registrar, Mr. Rodrigo Pering and Ms.

Maureen Alianza, wants to view the grades on a system, so that they may view the

grades without the need to check individual student report cards once in a while.

The solution that the proponents see on the problem is to create a system which

the students, registrar and teachers can utilize in viewing various records available to

them. The system proposed is also designed to eliminate the chances of the student

losing the report card.

Objectives of the Study

The main objective of this study is to develop a Student Portal for St. Joseph

Gagalangin and enhance the current manual process.

Specifically, the system aims to:

1.) Provide some student related information such as their grades (report cards),

and breakdown of payment.

2.) Provide the teachers the ability to encode each student’s grades through the

system.

3.) Provide a user-friendly portal in managing information of old students, new

students and transferees by having a simple UI in the system.

4.) Evaluate the reliability, functionality, maintainability, overall satisfaction, and

the chance to recommend the system for future researchers.

Scope and Delimitation of the Study

The Student Portal is open to all the parents or guardians of the students and of

course the students itself of St. Joseph School Gagalangin. The system will cover

student and teacher related information, which can be viewed in order to see their

encoded grades, breakdown of the payment, and view the list of students for each

section that the teachers are handling.

Features:

 Students may see their grades through the website instead of going to the school

on every releasing of grades.

 Teachers may encode their student’s grade on the website thus, improving the

way on how they grade the students by just typing it in the system.

 The registrar may easily see each student’s grades through the website instead

of getting a hard copy of their grades.

The system is delimited to not having an evaluation of teachers and will not be

able to have a curriculum checklist.

Significance of the Study- The result of the study will be valuable and beneficial to the

group of people:

St. Joseph School Gagalangin - It will make St. Joseph be on par with other schools

that have enrollment systems.

Registrar Personnel - The system will make their work even faster and more accurate

and will generally lessen their workload.

Students - The students are the ones who are going to benefit from this system, for

them to be provided the quality services that they deserve.

Researchers – It will serve as a project in Capstone I where all the knowledge that the

researchers have learned from the beginning of the course will be tested and

implemented.

Future Researchers - The result of this will give future researchers the motivation to

conduct furthermore studies about the system and thereby hopefully improve the same

for the benefit of the students and as well as the school.

CONCEPTUAL FRAMEWORK

This chapter elaborates the related literature and studies on the benefits,

effectiveness and system improvement of the usage of information technology

particularly in designing and developing a web-based enrollment system.

portal so that they may see the task assigned for the student within the day. Web

journals and other study related information was also mentioned as a portal needs to be

loaded with various data. People also want information ten seconds back.

The system has a component which is the Online Student Portal. The functions

that it can do is to have an online registration, viewing of grades, request for their

records, payment of fees, and information hub. They surveyed and had around of having

the lives of the people. Having a manual work to store data of all students, educators

and etc, will be very troublesome and time consuming. He said that having a school

administration framework is the answer for dealing with schools on the web, as it acts as

android stage would made it possible to make the portal available as an android

application.

According to Bringula Rex, online interfaces fill in as passages to data and

administrations for learning and education. Collages around the world realizes the

intensity of web-based interfaces. Currently UE has four-web based applications,

specifically, regulatory, graduated class, student, and workforce. Each portal has its own

capacities and abilities. Having a portal means that it must be easy to use.

Synthesis

Based on the views of different authors from what the researchers have gathered

in the Related Studies and Literatures, it all points out on how having a student portal

can be convenient to use. Providing the ability to access data anywhere, a student portal

gives the user another way to gain information at will. It also makes it possible to encode

grades just by typing and that can be helpful for teachers. One more thing pointed out by

the authors is that, having a portal means it is easy to use, easy to operate, and easy to

manage. According to Siv Rauv that quick access to school and student data is critical

as most days, guardians are almost occupied by their work so they don’t have the time

to see records and information written on paper. People would prefer to access

information on the go wherever they are, thus having a Student Portal that compromises

the necessary information that the guardians and students can see.

Conceptual Model

This diagram presents a detailed level of the Input-Process-Output Model of the

Student Portal of St. Joseph School Gagalangin. This diagram is designed to analyze

the process of our work and what are the things that we used to

Figure 1 shows the overall Input Process Output of the system. It shows the

requirements needed in order to develop the system entitled: Student Portal of St.

Joseph School Gagalangin.

Definition of Terms

For the readers to have a better understanding about the terms conceptually and

operationally defined:

Agile Development Cycle is a methodology that anticipates the need

for flexibility and applies a level of

pragmatism into the delivery of the finished

product.

Data Input Process Output The flow of data and materials into the process from

suited for web development and can be

This can include display screens,

keyboards, a mouse and the appearance of

a desktop.

XAMPP is a simple, lightweight Apache distribution

that makes it extremely easy for developers

to create a local web server for testing and

deployment purposes.

Chapter 3

RESEARCH METHODOLOGY

This chapter focused on the design, methods, and procedures that the

researchers used in the study as well as the sampling techniques and population.

Particularly, this part also reviews the research method and discusses the project

design, the research instrument, and the statistical treatment of data.

Project Design

The study used Agile Model in the software development process. Agile Model is

an umbrella term for several iterative and incremental software development

methodologies.

This method includes Adaptive Software Development, Extreme Programming

and Feature Driven Development. Researchers used agile software development

because it is dominated by the iterative process which best fits the need of creating the

proposed system. The researchers used iteration process because they need feedbacks

from the target users to ensure that the system’s features meet their needs.

The researchers had created an output that will produce the objective of the

study. To evaluate the system, surveys have been conducted to the target users to see

the major feedbacks from the system. Feedbacks that are gathered from the target users

had helped the researchers to improve the Student Portal of St. Joseph Gagalangin.

The Gantt chart presented in this page indicates the estimated number of weeks

in which each step performed in the project development life cycle model.

Phase 1: Data Gathering

In the first phase, the developers have gathered all the information and

requirements for the proposed system about the current records of students and staffs of

St. Joseph School.

Phase 2: Data Analysis

In the second phase, the developers analyzed all records and data gathered and

saw the existing problems of St. Joseph School, which is the semi manual recording of

data.

Phase 3: Design

After all the data gathering and analyzing the problem, the researcher then

created the design of the website that should then be the interface that the students and

personnel can view once the system is done.

Phase 4: Coding

The fourth phase was the longest phase, once all previous phases are achieved;

developers then code the entire system and have been sampled by the recipients who

benefited from the system. PHP and XAMPP was used to finish the system

Phase 5: Testing

The last phase was the stage wherein the developers grabbed the opportunity to

sample out their system to the recipients. Surveys have been handed out while following

the Slovin’s formula in determining the statistical outcome of the feedbacks from the

recipient.

The target respondents of Student Portal for St. Joseph are the enrolled

students, faculty members, and employees of the registrar of St. Joseph School

Gagalangin in Tondo, Manila. The researchers / developers have randomly asked

students, registrar personnel and teachers to use the initial system, after that, they were

asked to answer a survey regarding the system’s usability, functionality reliability and

efficiency prepared by the developers. These are the guide on how the users test the

system:

Usability is the ease of use and learnability of a human-

made object such as a tool or device. In software

engineering, usability is the degree to which a

software can be used by specified consumers to

achieve quantified objectives with effectiveness,

efficiency, and satisfaction in a quantified context of

use.

Functionality is the quality or state of being functional. To serve

the user the main functions of the system.

Reliability is the degree to which the result of measurement,

calculation, or specification can be depended on to

be accurate.

Efficiency is the (often measurable) ability to avoid wasting

materials, energy, efforts, money, and time in doing

something or in producing a desired result. In a

more general sense, it is the ability to do things

well, successfully, and without waste.

The information gathered from the survey was used as the key for the

improvement of the initial system. This also serves as a reference for the process while

developing the system.

Satisfying the needs of the respondents is the main goal of the researcher’s in

making the system, to be able to achieve that satisfaction is to accept feedbacks of the

respondents.

Using Slovin’s formula we managed to get a result of 100 persons who will answer

our survey questionnaires.

Evaluation Procedure

This stage determines if it is satisfactory to the recipients and if they think that the

current stage of the system was made properly and all scopes of the system is followed

by the developers.

The researchers used questionnaires for the respondents to evaluate the

proposed study according to its availability, efficiency, functionality, reliability and

security. Respondents evaluated using the value 1-5, these are the following criteria: 5

for Very Satisfied, 4 for Moderately Satisfied, 3 for Slightly Satisfied, 2 for Dissatisfied

and 1 for Very Dissatisfied.

The proponents have analyzed and interpreted the result of the survey by using

the mean. Mean, which is also called average, is commonly used in interpreting and

analyzing the gathered data.

This Chapter presented, analyzed and interpreted the findings of the study in

accordance with the specific objectives of the research paper.

Project Description

The system was made using PHP, accessible through internet and both

personnels and students have their own accounts to access the functions designated for

them. It is a student portal which the students can see where every quarter, they will be

graded by their teachers. Teachers on the other hand may use the function of the

website to register each student grades, specifically students on the class that they

handle.

login button. Buttons such as academics, scholarships and admission are present in the

page.

class, teacher, teacher advisory, subject, section. These buttons register records

especially for adding teachers, students and subjects and sections. The admin may

delete when necessary.

in enrolling at the school. Interested applicants may see this page so they can know the

the home page of the website. Users with teacher, student, or admin accounts must

enter their username and password in order to access the functions available to them

Project Evaluation

User satisfaction is the primary goal of the researchers in evaluating the project.

The researchers used a survey questionnaire to determine the level of customer the

level of customer satisfaction with regards to the functionality, reliability, efficiency,

maintainability, usability and adaptability of the Web-Based Online Enrollment System

for St. Joseph School Gagalangin.

The system was evaluated by a total of 100 from St. Joseph School consisting of

students, teachers, registrar personnel.

A five-point interval scale was used in the survey questionnaire, with 5 as the

highest, and 1 as the lowest rating. The midpoint of the scale is 3. A mean higher than

the midpoint indicates above average satisfaction while a lower mean indicates

customer dissatisfaction with the feature of software.

Summary, Conclusions and Recommendations

This chapter summarizes the study by highlighting the researchers made in the

study. The conclusions were drawn from the outcomes of the research and observation

Moreover; recommendations were based on the findings and conclusions of the study.

Summary of Findings

The evaluation of the Student Portal for St. Joseph School Gagalangin, during the

1st semester of SY: 2018-2019. The respondent consists of students, teachers, registrar

personnels and the principal in a total of 16 people. The system evaluated according to 6

categories such as functionality, reliability, efficiency, and usability.

Conclusion

Based on the findings of the study, we therefore conclude:

1.) The system improves the work flow and data processing of St. Joseph School’s

record keeping.

2.) The student portal helps the students see their grade even if they are away from

school.

3.) There are still some functions needed to be added to greatly increase the efficiency

of the system.

Recommendation

The researchers recommend the Student Portal for St. Joseph School Gagalangin

to future researchers, so that they may add a better UI and simplify the functions further.

Integrate the finance system of the school to the student portal so the system can

update the students account balance. Adapt the system to another programming

language so that the functions can be more efficient, especially in the data flow of the

student portal.
