Infra Maintenance & Management System

SKY-EAM is web based Enterprise Asset Management System would enable to maintain
the details of Asset of an organization as well as maintenance of the infra services. System
would enable to register the maintenance calls for Assets and other non asset
infrastructures. Monitor and prioritize the service calls, allocation of technicians either
internal or sub contracted personals. As well as the system would enable to schedule
Preventive Maintenance for the equipments and monitor the service issues and spare
replacement, down time on various dimensions. Also system has the provision to calculate
depreciations as per the statutory norm and arrives the book value of the asset.
Following are the detailed features of the application.

I FIXED ASSET MANAGEMENT


1 Asset Master Creation
Provision to maintain the details of existing Asset with the corresponding details such as
purchase, warranty, Insurance, assigned to the department or employee details etc.
2 Asset bill accounting
Provision to account the asset purchase bills creation of asset generating asset number and
assigning to asset to respective user or department.
3 Asset Allocation
Allocation/reallocation of the asset to the respective department or to an employee etc.
4 Asset – Split
Splitting of asset is feasible into two or more new assets. Once the split is completed the
value of the asset, depreciation also apportioned accordingly based on the spilt
5 Asset Transfer & Transfer acceptance

Provision to transfer the asset from the current location viz., branch or division, department
to other location. By doing this the position of the asset is relieved from the current location
and once the goods accepted in the transferred location the position is assigned to the
newer location.
6 Sales of Asset
Ability to raise a sale of asset. On completion of the sale, the depreciation will be calculated
both Company law as well as IT law the depreciation will be accounted and the asset will be
deactivated and the transaction arrive the profit or loss on sale of asset on both model.
7 Disposal of Asset
Provision to declare the disposal or scrap asset without any cost implication and arrive the
depreciation both Company & IT till the date of disposal for the asset.
8 Year end Process (Depreciation update process)

Ability to calculate the depreciation for the year on both Company & IT aspects update the
value on to the Asset master and move the transaction to history and replenish the data for
the current year operation.

9 Master
9.1 Categorization of Asset
Ability to categorize the asset in terms of:
Asset Group, Asset Category and further classify into Asset Type.
9.2 Asset setup Parameters
Provision to define the organization Asset policy & method being adopted.
9.3 Asset No. format definition
Provision to define the Asset No. generation policy in the case of Asset No. auto generation
10 Reports : System would able to generate various report viz.,
 Asset register
 Split Asset register
 Asset Transfer register
 Depreciation statement
II MAINTENANCE
1 Service Call Login
Ability to log all service calls in terms of maintenance of Asset related as well as on the other
infrastructure maintenance.
2 Call Assignment
Based on the criticality and technicality the call will be assigned to respective in house
technicians or to the concerned service provider where in the warranty or AMC is engaged
based on the Service level agreement.
3 Call status Update & closure
After the completion of the service call update the status and closure of the same.
4 Preventive Maintenance Schedule
Ability to schedule preventive maintenance schedule for in house as well as outsourced
activities in order to verify and do necessary maintenance of the equipment and keep it in
healthy conditions.
Based on the schedule the service calls will be generated automatically by the system in
order to accomplish the same.
5 AMC Renewal
Ability to document/update the AMC renewal details of the Equipments.
6 Insurance Renewal
Ability to document the Insurance renewal details of the Equipments.
7 Reports
Based on the above functionality, the system would able to generate various reports to
the management.

8 Following are the Masters in order to support the transactions.

8.1 Call Priority


Ability to define the call priority and also ability to define hierarchy level in order to escalate
the calls if the event it not being attended or rectified based the duration defined.
Escalation Intimation can be configured through ‘SMS’ gateway.
8.2 Technician Type
Ability to classify the technicians.
8.3 Service call type
Ability to classify the Service calls.
8.4 Employee & hierarchy definition
Provision to define the Employees and reporting hierarchy levels.
8.5 Vendor Master
Ability to define the suppliers and maintain their particulars.
III Stores
1 Spare Item Definition
Would able to classify and maintain spares under various categories viz., Item Group,
Category, Type, Brand, repairable, replaceable, consumable etc.

2 Inventory transactions are classified broadly in to four categories viz., Receipts (Non
returnable or returnable), Issues (Non returnable or returnable),

Non Returnable receipts :


o Goods receipt Note against Purchases for the material indent raised
o Stock Transfer Receipt
o Receipt of material issued against returnable basis

Returnable Receipts :
o Goods receipt Note against loan or stand by basis for temporary arrangement
for service.

Non Returnable Issues:


o Issue of material for internal consumption, scrap or dispose of material
o Stock Transfer Issue
o Issue of material received against returnable basis

Returnable Issues:
o Issue of material for reconditioning or repairable purposes
o Issue of material for loan or stand by basis to internal departments or external

o Provision to raise material intend based on the requirement or minimum stock level
