Introduction
In our organization housekeeping service comes under Office administration services. It follows the
following process for buying housekeeping services.

Scope definition
• Area to be covered

• Inside office premises

• Outside office premises

• Type of staff required

• Pantry boys

• House boys/ladies

• Cleaners

• Supervisors

• Cleaning equipment

• Disc cleaners – single/double

• Vacuum cleaners

• Cleaning materials

• Statutory requirement

• Staff to be covered under ESI health facility

• Covered under general insurance

• Proper uniform

• Police verification record

Inviting bids
Once the scope is finalized it is handed over to the procurement department, which further evaluates
the requirement against the legal and financial policies of the company.

Bid Analysis
Based on this it floats the requirement in the market inviting the interested vendors. Vendors are
shortlisted and the list is handed over to the Office administration services for technical discussion and
further shortlisting.

Vendor Finalization
Once the Office administration services finalizes the vendor the procurement department releases the
Purchase order after finalizing the payment and penalty terms with the vendor.
