INTRODUCTION

1.1 Company Overview:


A registered Private Limited Company named Mohanlal Mathrani Construction Private
Limited, Pune is managed by Mr. MOHAN G. MATHRANI, Chairman and Managing Director
and Joint Director Mr. Chandan Mathrani (Civil Engineer).

Company is having its own Asphalt Batching Plant 128/TPH, & Double Drum Mix Plant
for Asphalt & Weight Mix, RMC Plant, Sensor Pavers, Fleet of Dumpers, Bitumen Mechanical
Sprayers, Static - Rollers, Vibratory Compactors, Mechanical Broom, JCB's, Own Stone
Crushers, & Laboratory for testing Bitumen Material & Concrete Material.

Plants & Stone Crushers are located at - New Gat no.327, plot no. 36, 37 on Pune-Nasik
Road, 2 km away from Maharashtra Warehouse Corporation. Company has installed a weigh
bridge at plant and crusher site.

Company has carried out large and small road works, storm water drain, land development,
concrete floor. Our projects have been appreciated by the concerned authorities for speedy and
quality constructions. Our project have been covered under guarantee from 2 years to 6 years,
as per client requirements.

Consistent quality and speedy work has given us honour from Kirloskar Cummins/
Kirlosker oil engines/ Kirlosker pneumatic, whose works are solely done by us for the last 45
years. Subsequent Annexure of list of works, supporting photographs and performance
certificates speaks about the quality of our works where there is no compromise.

1.5.3 Roles/ Functions of various departments:

 QA/QC: Responsible for the management of the Quality Management System.


Responsible for inspections and testing of raw materials and concrete quality,
Placement and consolidation of concrete, generating pour card and testing reports and
maintaining the records.

 Stores: The responsibility of stores are handling and storing of material, material
flow follow-up, and issue of material at site, storing and issue of tools, maintaining
the records of consumables, receipts of material/goods/equipment delivered at site,
updating stock records daily.

 Admin: Admin is responsible for making standard attendance policy in office and at
site, Maintaining daily attendance register of labours, managing the recruitment
process, monitoring overall HR strategies, Compiling and update employee records.
Process documentation and prepare reports relating to personnel activities.

 Surveying: The surveyor direct or conduct the survey in order to establish the height,
depth, relative position, elevation, and dimensions of PCC, raft, retaining wall etc.,
records the results of surveys. Stake out reference point and mark that will guide the
construction and verify the location of structures during construction.

 Billing: The responsibilities of billing department are preparation of bill of


quantities, preparing reconciliation report, rate analysis, inspection and verification of
measurements, preparation of payment certification, generating the client bill in
specific format, preparing client bills including taking daily measurements of works,
Verification of sub-contractor bills.

Alandi Road to Indrayani River (Kelgaon Bridge) in Prabhag No. 6 Moshi.” based on the

In monitoring system, the progress of the work is tracked with respect to the planned schedule
for the work. Various tools used in monitoring are as follows:

4.1 Monthly Progress Report

In Monthly Progress Report (MPR) the work carried out in a month is recorded along
with the photographs of on-going activities. Contents of the MPR of our project are given

In this section the general introduction of the work is briefed which includes the total stretch of
the project, cost of the project, advantages of the project, various government bodies involved
in the project etc.

2. Physical Progress:

a. In Physical Progress we have to mention the completion status of the activities of the
work. Physical completion which are carried out in the field for following item.

Also we have to mention target for the next month and steps to be taken in order to achieve the

4.2 Job Cost Report

It show you costs required to complete a job by estimating for what duration each jobs have,
this report will summarize the cost to complete each one of them that have active estimates. It
also shows you how much you are over or under your estimate. Job cost reports provide crucial
information about the current status of a job and can help estimate how you will finish on each
job from a cost and revenue perspective.

In our company every month along with the monthly progress report, estimation for the next
month’s job is done. It also includes the cash flow required to complete the job in the given
period of time. This gives a clear idea to the upper management about how the planning of all
the projects should be done in order to optimize the cash flow required by each project.

If a job is expected to run for a long period of time, then the cost accountant can periodically
compare the costs accumulated in the bucket for that job, to its budget, and give management
advanced warning if costs appear to be running ahead of projections. This gives management
time to get costs under control over the remainder of the project, or possibly to approach the
client about a variation to cover some, or all of the cost overruns.

5.2 Quality Manual

To indicate narrative details of how Mohanlal Mathrani Construction Pvt. Ltd. interprets the
individual elements of ISO 9001-2008 for application to this Project including the controls and
verifications to be kept in place to assure Quality during each stage of Design, Procurement,
Construction and Commissioning. The Quality Plan or Quality Manual determines the Quality
Policy for this Project and for every project by the company.

Ltd.’s Quality System addresses all elements of ISO 9001, references of all
responsible parties with in Mohanlal Mathrani Construction Pvt. Ltd. for their
implementation / control of each area, the applicable Procedures used to Control
/ assure each area and the verifying documents produced for each area.

b) Quality Plan encompasses the complete requirements of project QMS and the
same are based on the requirements of ISO 9001:2008. The objective of the
Quality Plan is to implement a system of control that all the phases of project
are done in accordance with the applicable contract requirements, codes,
specifications, drawing sand statutory requirements.

Quality plan should have following details:

 It should clearly define the qualification, trainings and skills required by


the QA/QC personnel.

 It should also define the hierarchy of the authority of the Project


manager, QA/QC personnel, Engineer-in charge, and Site engineer of the
project.

 It should also include all the details of various tests and their benchmark
standards, test procedures, also various standard codes that are referred.

5.3 Quality Management System

A Quality Management System (QMS) is an organization-wide approach to directing,


controlling and coordinating quality. Quality management takes a preventative approach, and
an effective QMS will identify the risks to an organization and provide ways to mitigate them.

As the company is ISO 9001:2008 Certified, it is very necessary to have a viable Quality
management system for each and every factor in the project in order to reduce the risks in the
project and ultimately have effective and efficient work process and to deliver output which
will satisfy both client’s requirements.

Quality management at every stage is very important part of the total project. To maintain this
quality various measures are used. There is a separate department of Quality control and

Quality assurance in the company which oversights the quality of all projects in the company.
The job of the QA/QC department is that to oversee the quality is maintained throughout the
project duration in each and every activity. To achieve this following steps are taken by the
QA/QC department.

• Regular Inspection at work for material quality and machinery performance. All the
equipment are checked and are calibrated. Also tests for quality of material is
checked frequently by testing on site and in the lab. Generally, lab testing is done by
the consultants appointed by the clients and also by consultants appointed by
company.

• Training is provided to site engineers and labour in order to maintain the good quality
of the project. This includes training for various on field tests and how to check
quality of various material on site and also how to maintain the quality of work
throughout the projects.

• Equipment Calibration is done time to time so as to ensure that the equipment are in
good conditions and are performing in optimum conditions. This is done by QA/QC
in charge who visits project site and calibrates all the testing equipment that are on
site.

• Internal Audit is done in order to assure compliance with the overall aspects of
the documented Quality System programme and to determine the effectiveness of the
programme. ‘Internal Quality Audit’ of the entire implemented Quality Assurance
Programme is made at least twice a year. The Project-in-charge is responsible for all the
site Internal Audit activities, in consultation with the Project co-ordinator. He shall
appoint a leader of the Audit team. The members of the term shall consist of
representatives drawn from the Quality Control and Site Engineers.

• Documentation of each and every activity is done to evaluate the performance


of various activities and equipment on site. It also helps in assessing the various
problems faced during the project duration and finding its root cause in order to avoid
same mistakes in future project ultimately continuously improving the quality of work.
Performance evaluation is done by setting out how work is to be monitored, measured,
analyzed and evaluated, to establish that the QMS is suitable, adequate and effective.
Inputs may include audits, schedules, non-conformities, complaints, monitoring and
measurement results.

• Improvement by dealing with instances of undesirable results and identifying

5.4 Quality Implementation on site

For quality implementation various tests are performed on the materials and on the road in front
of Engineer in-charge and as well as the QA/QC officer of the contractor and the inspection

A listing of all equipment used to measure the materials used in making or testing the concrete
will be listed and calibrated at least twice annually. The list will include, but not be limited to,
the following:

5.6 Checklists for various works of project

Following are the various quality checks performed on the site by Contractor i.e. by T and T
Infra. as suggested in the contract document:

a) For Base layer/ Sub base layer:

• Checking for the quality of shoulder materials including gradation shall be done.

• Field compaction shall be checked at site on the compacted layer.

• Checking for the cross fall shall be done.

• The base on which the base layer is to be placed should be checked for levels and
regularity, and should be in a condition to receive the pavement layer.

• Each layer should be checked for thickness, levels, cross fall (camber), regularity and
strength before next layer is permitted to be laid.

b) For Bitumen Layer:

• The base on which bituminous courses are to be laid must be dry and free of dust and
other deleterious matters.

• Mineral aggregates to be used should be checked for their specification requirements

6.2 Description of Machineries

 Poclain

On our site we are using Poclain of HYUNDAI 210L for all major and small works of
excavation. This poclain carries weight around 21 tons and has too much power to do work in
hilly areas. We can use this poclain as per site conditions with the help of its bucket and
breaker. Poclain’s bucket size is near about 1 cu.m. so the work will get fast.

 Hyva

Hyva is generally used for hauling of excavated material from any place to another on site. This
Hyva can carries 5 Brass material at a time. Hyva consumes about 3km to 4 km per liter diesel,
but depends upon site condition.

 Vibratory Roller

Vibratory Roller is used for rolling purpose with vibration. When formation level of road is
going to construct on site we use roller for compaction purpose. Firstly we do plain pass on the
spread material on site and then for proper compaction we do the rolling with vibrations.

6.3 Maintenance of Equipment’s

The Equipment mentioned above have been brought with warranty. The maintenance and
calibration service will be provided by the respective companies for the said time period of
warranty. After expiry of the warranty, service can be continued for negotiated price until
completion of the project. Also machines are regularly checked for their productivity and
regular inspection is carried out. If defects or any problem is found, then the part is either
repaired or replaced. This keeps machines in good condition. The heavy machineries have been
hired from the local vendors whose maintenance and repairs are in the Scope of the Owner
himself. Thus company don’t have any obligations for maintenance of the hired machines

MANGEMENT INFORMATION SYSTEM (MIS)

7.1 Communication Channels

The communication between different departments of the organization is done through different
modes.

• Finance Department: The communication of the data is done by using the software
MS Excel, and whole finance and accounting department is at the head office of
Mohanlal Mathrani construction Pvt. Ltd. Baner, Pune. Also every project have
onsite accountant to generate reports of cash flow of the project and to create a
budget for the targeted work. This generated reports from site are sent to the head
office where the finance managers operates, and check the flow of cash (inward and
outward) in the organization from/to various departments such as payment made to
any contractor, receivable income from dismantled structures etc. and then approves
the cashflow for the next target. This is done every week.

• Purchase Department: This Department uses Challans for all the purchase and
requirements on site. It is usually done by the onsite account. Every requirement on
site is written down in the PR challan and is then emailed to the head office purchase
department, whose work is to maintain all the data of contractors, materials, etc.
which are available on every projects. Only after approval of materials from the
purchase department the bill is sent for processing to the finance department.

• Engineering Department: The Engineering Department consist of General Managers,


Assistant general managers, Project Managers, Field engineers, supervisors etc. They
mode of communication is by mobile and emails. All the staff communicates the
various drawings and data using emails which they can access on their official mail
id and send the data and information to concerned officials. Also for day to day
progress reports are sent to the office in the excel sheet.

• Managerial Department: This department consists of Head, Head Operations, and

Senior Planning Engineer etc. They also use mail id for their communications.

7.2 Mode of Documentation/ Reporting

• Documentation is done for all the correspondence letters to/from Mohanlal Mathrani
group for the purpose of coordinating and supervising the all the Contracts hired by
Mohanlal Mathrani Construction Pvt. Ltd. for the project, design consultancy

I am working with Mohanlal Mathrani Construction Pvt. Ltd.’s on site staff on the bitumen road
project near Moshi-Alandi Road, Pune and Mohanlal Mathrani Construction Pvt. Ltd. itself a
big group of companies, which is involved in construction of concrete and bitumen roads,
construction of bridges etc. Working in Mohanlal Mathrani Construction Pvt. Ltd. has given me
an insight about how the development and construction of bituminous road is done. Being in
the initial I understand the relation between Head Office, Project Planning Department,
Technical & Legal Department, Quality Department, Contracting Department, Purchasing
Department, Finance and Accounting Department and Onsite Staff for smooth process within
the organization.

10.1 Learnings

• I got learned how the actual working process is carried in this organization from
tendering process to the start of work and initial stages of work.

In the organization, people also help each other by accomplishing extra work which will not
gain them any monetary returns, but only with the view of betterment of the project.
