ABSENTEE MANAGEMENT SYSTEM

AMS is an acronym for Absentee Management System. This system provides a


comprehensive methodology for keeping track of your employees work schedules. It
uses MDI or Multiple Document Interfaces. This means a user can have access to more
than one part of the system at any given time.

The main functions of the system are: -


 Add/Amend Employee demographic details
 Record Absences, Record Planned Leave
 Record Flexi-time Equivalent
 Request Absences, Enter weekly timesheets
 Parameters/Rules set-up and upkeep
 View and Print Reports, New e-mail notification capabilities

The system handles multiple users. Each user is assigned a unique user name and
password. Any transactions and input/updated data will have the user identification
associated with it. This functionality is handled by the system itself, and the information
is taken directly from the system login screen.
Depending on the nature of your organization it may be necessary to set-up
restrictions based on the department. AMS 2000 accounts for the different needs of each
member of your organization and sets up user profiles based on these needs. A user in a
certain department, for example, can only see employees within the same department
(general user). There will be cases where a user will need access to multiple departments
(advanced user) and also other cases where a user will have access to all departments
(supervisor). Finally, there will be cases when the user can only request for leave - this is
the case of the basic worker (request only). There is a new e-mail notification facility
which when a request is made the relevant supervisor/department head receives an e-mail
of this request. When he/she then goes into approve or reject requests in the 'View
Requests' section, confirmation e-mail is sent to the relevant employee who has requested
the leave. Thus it is a fully automated system.
There is a full audit trail in the background of any amendments made to rule specific
items. Also, access to change these rules shall be password and/or access level driven.
There is the capability to enter timesheets, which keep a daily track of employees. There
is the ability to import personnel data from another file. This comes as an add-on to the
product and is available on request.
All transactions are held indefinitely. As all these transactions will have dates
associated with them then there is no problem associating them with a period (e.g.
morning or evening for half-days) for reporting or querying purposes.
The Flexi-time Equivalent entry is used to record days off given to employees' in-lieu
of extra days worked (or similar). Any of the above transaction entries have the capability
of adjusting the duration value by plus or minus n. The system has the capability of
displaying all transaction balances (including entitlements) based on a user's search
criteria.
