What are the steps in organizing?

The aim of organizing is for to communicate with each other and work towards achieving organizational
goals.
It can be done by several steps.

1. Determination of Objectives:
Determining total workload of the organization is the first step in the process of organizing.

2. Division of Activities:
Because one person can not oversee all of the organizational tasks, the overall mission is divided into smaller units
and allocated to the participants.

By doing this there will be a greater output, efficiency and facilities training.

3. Grouping of Activities:
After the work is assigned to people, those performing similar activities are grouped in similar
departments.

4. Defining Authority and Responsibility:


Departmental heads are appointed to carry out the activities of their respective departments.

5. Co-Ordination of Activities:
By defining relationships between departments and people working at different positions, coordination becomes
possible.

6. Reviewing and Reorganizing:


Constant evaluation of the organization process must be carried out in order to introduce changes in the organization
structure as a result of changes in internal and external environmental factors. Constant evaluation and
reorganization is an integral part of the process of organization.

What is delegation and its types?


Delegation can be described as an administrative process under which, and for that purpose, things are done by
others; responsibility is also given to them.

Delegation is one of the most important management skills. Effective delegation is crucial for management and
leadership succession.

Elements of Delegation:
 Assignment of responsibility (Duties in terms of functions or tasks to be performed constitute the
basis of delegation process.)
 Grant of authority (The subordinate can only accomplish the work when he has the authority
required for completing that task.)
 Creation of accountability (The authority is transferred so that a particular work is completed as
desired.)

Types of Delegation:
General or Specific Delegation:
When authority is given to perform general managerial functions like planning, organizing, directing etc.,
the subordinate managers perform these functions and enjoy the authority required to carry out these
responsibilities. 
The specific delegation may concern a specific function or task assigned to it. A specific delegation will
be the authority delegated to the manager of production for carrying out this function. Different
departmental managers obtain specific authority to perform their departmental duties.

Formal or Informal Delegation:


Formal delegation of authority is the part of organizational structure.
 Informal delegation does not arise due to position but according to circumstances. A person may
undertake a particular task not because he has been assigned it but it is necessary to do his normal work.

Lateral Delegation:
When a person is delegated an authority to perform a task, a number of people may need the assistance. It
may take time to get formal help from these people. He or she may contact by cutting short formal
delegation time to get their help to take up the work. When the authority is informally delegated it is
called lateral delegation.

Reserved Authority and Delegated Authority:


A delegator may not like to delegate every authority to the subordinates. The authority which is kept is
called reserved authority and the authority which is assigned to the subordinates is delegated authority.
