CHAPTER 1

INTRODUCTION

Almost everything can be done with technology. Technology

for the users provide good consolation and comfort in everyday life.

The rapid advancement of computers in our society has made our

daily workloads easier and more accurate its vast development, we

need to set ourselves in its change and go with its flow. Schools

specially should implement the use of technology more particularly

on the information of the students to gain easy access to student

record. Many schools are turning toward automated systems whether

small or big to perform their everyday task instead manual systems

because it can replace the cost and time consumed in processes

that were once completed by hand while providing with companies

with more accurate data.

Student Information System (SIS) is an offline web-based

application software designed to introduce a conducive and

structured information exchange environment for integrating

students, parents, teachers and the administration of a school.

Some of the other software packages available for this purpose

include Student Management System (SMS),

Student Information Management System (SIMS) and Student

Records System (SRS). These software systems enable educational

institutions to supervise student-related activities such as keeping

records of tests or examinations conducted, attendance, appraisal

on performance including details of marks scored, particulars of

everyday school attendance, and all other institution-related

activities; in short, they provide a complete student records system.

PROJECT CONTEXT

Finding information about a student will be easier through

using ACLC SHS Student Information System. Teachers will not have

a hard time in finding student information,

ACLC SHS Student Information System is a software solution

designed to manage student data and provides access to view the

students background information, viewing the grades and

attendance. This system helps the school to increase in productivity

is decreased time to maintain the track records and increased

accuracy in organizing the data.

PURPOSE AND DESCRIPTION

It is very difficult to keep information about a student; schools

have to manage the entire amount of student data through this

system the school will not have a hard time finding student’s

information. They just need to search the students I.D or any

students information and data will automatically appear.

Student Information System would end up saving complex

procedures and time. Going paperless is now easy with an efficient

student information system. ACLC SHS Student Information System

also generates various MIS reports, which help institutions in the

decision-making process and to check student progress

OBJECTIVE

The Objective of this project is;

1. To record student data and to gather information from the

students

2. To have centralized control over the records of the students;

3. To update the information available to the departments

4. The main objective of this project is to develop an offline

based student information system

SCOPE AND LIMITATION

ACLC SHS Student Information System store and track all

student’s information, including the student’s name, stud Id, date of

birth, gender, email, contact number, address, father’s name,

mother’s name, post code and course code. The software will

function as a digital drop box for school-related information

REVIEW OF RELATED LITERATURE

Related literature and studies, the role of computer in the

organization and on systems analysis will be presented on this

chapter. Information system and their impact on organizational

efficiency and effectiveness are likewise presented

Related Literature

According to Mary Jane et al colleges within universities are

being evaluated for funding and program accreditation primarily in

terms of the college’s curriculum, faculty, physical facilities,

research, and extension works, it is therefore important that

documents and records related to these areas be managed

efficiently from the creation, storage, update, communication and

dissemination. As individual colleges are managed by their

respective deans and chairpersons, it is also important that relevant

and accurate reports on gathered information be available to them

for informed college-wide decisions and plans. This study aimed to

design and develop a cloud-based customizable system that

provides detailed and summarized information on these critical

areas to guide college administrators in planning and decision-

making.

It is accessible anywhere anytime as data is stored remotely

and made available to users over the internet. Object-oriented

method was used in the design and development of the computerized

system following an incremental development process. In developing

and testing the software, an evolutionary or operational prototype

was created. It is tested to the College of Computers and

Information Science (CCIS) of the Polytechnic University of the

Philippines (PUP). To evaluate the developed system, the study

used questionnaire-checklist accomplished by the system users and

information technology (IT) experts. The system was evaluated in

terms of functionality, user-friendliness, usability, security,

performance and robustness. Results gathered showed that

evaluators rated the software very satisfactory in terms of

functionality, user-friendliness, usability, performance, and

security; and good in terms of robustness. This implies that other

colleges may adopt this system for more efficient information

management and more effective management decisions.)

According to Cosidon, the student information system is an

integral part of this technology. This student information system

handles every aspect of student data right from admission, class

schedules, subject enrolled by the student, overall student

performance, and personal information of student. All these

elements are integrated into a single database, accessing and

tracking data of any student happens with just a click of the mouse!

The backbone of the society, the nation is undeniably the education

system. Nurturing of young talents like us Information technology

students in Kalinga State University Rizal Campus, focusing on our

holistic development, ensues from a sound education system

through extensive use of advanced technology. Schools today are

exploiting smart schooling technology to achieve these very

objectives. The Student Information System is an integral part of

this technology. This Student Information System handles every

aspect of student data right from admission, class schedules,

subject enrolled by the student, overall student performance, and

personal information about the student. All these elements are

integrated into a single database, accessing and tracking data of

any student happens with a click of the mouse! The benefits of

Student Information System intuitive user interface with pioneering

features.

Maximize school management parent’s communication. Smart

management of student and staff data makes chaotic schedules,

stress free and easy to manage. Enthuses student performance and

success streamlines and simplifies everyday administrative tasks.

student data is effortless and easy with the Student Information

System software. This system can be customized to include a whole

range of activities. It can be easily accessed anytime. Schools can

run the Student Management Information System on minimal

hardware affordably and gain a competitive advantage of exploiting

the latest in technology staying ahead in competition.

Related Studies

According to Deborah Compeau et al, Information systems

researchers, like those in many other disciplines in the social

sciences, have debated the value and appropriateness of using

students as research subjects. This debate appears in several

articles that have been published on the subject as well as in the

review process. In this latter arena, however, the debate has

become increasingly like a script—the actors (authors and

reviewers) simply read their parts of the script; some avoid the

underlying issues whereas others cursorily address generalizability

without real consideration of those issues. As a result, despite the

extent of debate, we seem no closer to a resolution. Authors who

use student subjects rely on their scripted arguments to justify the

use of student subjects and do not always consider whether those

arguments are valid. But reviewers who oppose the use of student

subjects are equally culpable. They, too, rely on scripted arguments

to criticize work using student subjects, and do not always consider

whether those arguments are salient to the particular study. By

presenting and reviewing one version of this script in the context of

theoretical discussions of generalizability, we hope to demonstrate

its limitations so that we can move beyond these scripted arguments

into a more meaningful discussion. To do this, we review empirical

studies from the period 1990–2010 to examine the extent to which

student subjects are being used in the field and to critically assess

the discussions within the field about the use of student samples.

We conclude by presenting recommendations for authors and

reviewers, for determining whether the use of students is

appropriate in a particular context, and for presenting and

discussing work that uses student subjects.

According to Cannur Gürku et al, producing meaningful,

accessible, and timely management information has long been the

grail of upper education administrative technology”. Significant and

timely information management is vital for the decision-making

process. Higher Education Institutions (HEIs) collect and organize

all student data with the assistance of the scholar Information

Systems (SIS) to supply meaningful information that affects the

decision-making process.

Results of the study show that the System Quality features a

significant direct effect on satisfaction (Hypothesis 1 is accepted),

so increase within the System Quality guide to extend in

satisfaction. Information Quality features a significant direct effect

on satisfaction (Hypothesis 2 is accepted), so increase within the

Information Quality guide to extend in satisfaction. These findings

are in line with Tian and Xu (2017), where their results also show

that system quality and knowledge quality has significant impact on

satisfaction. Information Presentation has significant direct effect

on satisfaction (Hypothesis 3 is accepted), so increase within the

Information Presentation guide to extend in satisfaction. These

findings are in line with Gürkut and Nat’s (2016) study which reports

that System Quality.

Information Quality and knowledge Presentation all at once

have positive effect on decision-making satisfaction. Nevertheless,

it's assumed that the entire implementation of system makes

academic and administrative staff satisfied, if all variables are

working together. However, when the many direct effect of variables

tested results show that only Information Quality is critical at 5%

level with an impression of 0.292, and System Quality and

knowledge Presentation aren't significant. These findings show that

Information Quality has Gürkut & Nat / SIS Satisfaction direct

impact on satisfaction, but System Quality and knowledge

Presentation doesn't have direct impact on satisfaction. Information

Quality includes information accuracy, information completeness,

information relevance, information content needs and knowledge

timeliness which also are considered by Bharati and Chaudhury

(2004) for the decision-making satisfaction on a web-based decision

network.

Management Information Systems

Described and analyzed in light of its capability for decision

making. Decision making process and its impact on top level

management in a business organization is explained with an

emphasis on automated decision making. Limitations and challenges

of MIS are discussed and a set of six recommendations proposed for

increasing the effectiveness of MIS in the decision-making process.

Information Systems

Can be conceptualized in terms of three types of systems:

Transactional Processing Systems (TPS), Management Information

Systems (MIS), and Expert Systems. MIS has several subsets such

as Decision Support Systems and Executive Information Systems.

The role of MIS in decision support is best discussed in the context

of the subset referred to as Decision Support System (DSS). A DSS

is a computer-based system (an application program) capable of

analyzing an organizational (or business) data and then presents it

in a way that helps the user to make business decisions more

efficiently and effectively. It is basically an informational

application which depends on the information already input while

answering to a given query.

STUDENTS RECORD MANAGEMENT SYSTEM PROJECT

To manage his data effectively, and to use it to analyze and guide its activities. The

Student Record Management system offer users (Registrar) with a unified view of data from

multiple sources. The main objective of this project is to build a student database system that will

store records of students. It is purposed to reduce time spent on administrative tasks. The system

is intended to accept process, generate students reports and grades and transcripts accurately.

The system is also intended to provide better services to users, provide meaningful, consistent,

and timely data and information and finally promotes efficiency by converting paper processes to

electronic form. The system was developed using basic technologies such as Microsoft access,

embedded visual basic, and Graffiti creator. The system is free of errors and very efficient and less

time consuming due to the care taken to develop it. All the phases of software development cycle

are employed and it is worthwhile to state that the system is user friendly and strong. Provision is

made for future development in the system.

CHAPTER 3

TECHNICAL BACKGROUND

The respondents of this task the school registrar in ACLC

College Tacloban, the ones who are working at the registrar

struggles in managing and preserving the scholar data which is the

cause of losing student data. The developers made an offline web-

based application software the ACLC Student Information System to

preserve and to easily manage the student information.

Technically of the project

The developers believe that this project will benefit the school

registrar to save complex procedures and time. Going paperless with

an efficient student information system.

Details of the technology to be used

The developers used visual basic language to develop the

system. Visual Basic is a third-generation event-driven programming

language that was used by the researchers to develop the system.

MySQL was also used by the researchers which serve as a

database. MySQL is an open-source relational database management

system.

How the project will work

To run the program, you need to open the ACLC Student

Information System.

In order to view the all the student information, you need to

click the ADMIN button.

To register a student, you need to click the button

“REGISTER” then fill the information needed and click the register

to register the student information.

To update the student information, you need to click the

“UPDATE” button. You need to input the student ID in order for you

to proceed. The student data will appear eventually then select data

you want to update.
