Executive summary

The purpose of this report is to observe & analyse the communication analysis of the STAD
Solutions. STAD stands for Shriji Training and Development Solution. STAD Solution is
a start-up business started in February,2018 by two friends, Ajaypalsinh Jhala (CEO &
Marketing Head) and Richa Mehta (Chief Technology Officer) with a vision to impart high-
quality job-oriented Training, to the students who aspire to build solid career in their field
from different branches with a common future goal. The Head Office is situated in
Navrangpura Ahmedabad. They also provide development service in different areas, Product
Development in form of I.T Development, Business Development in form of Marketing,
Career Development in form of placements. STAD solution also engaged in Skill
development service.
The report mainly talks about the company’s core business, structure of the company, vision,
mission & process of the company, their current communication pattern, problems in
communication and possible recommendations.
The method of analysis includes observation of the office activities, interaction with the
employees and understanding about their various communication problems. Based on the
analysis, possible short- & long-term recommendations are suggested with an aim to bridge
the communication gap within the company.
The report finds the prospects of the company in its current position are not positive. The
major areas of weakness require further investigation and remedial action by management.
The recommendations discussed includes

 They need to redefine their vision & mission statements in a way that the company’s
future goals are mentioned, and the ways to reach that goal are also well defined.

 The flow of information should be effectively communicated to all the employees, so


that each and every member of the organisation should be working for the same vision
and mission.

 The organisation needs to improve the culture in order to deepen its roots in the
market.

Even after the analysis of the company, the report still has certain limitations, forecasting
figures are not provided, also current economic condition of the company is not known.
About the company
STAD (Shriji Training and Development) solution is a start-up business co-founded by
Ajaypalsinh Jhala (CEO & Marketing Head) and Richa Mehta (Chief Technology Officer)
from different background with a common goal. The head office is situated in Navrangpura,
Ahmedabad. They provide development service in different areas, Product Development in
I.T, Business Development in Marketing and Career Development for placements. They
provide corporate trainings to the job seekers and upcoming IT candidates to fill the gap of
knowledge between the industries and students. STAD solution also engages in Skill
development service. STAD Solution is the recruiting partner of more than 150+ companies.
Hence, acts as a bridge between the companies and candidates. It provides trained employees
to the company which is more beneficial for the company in comparison to unskilled
freshers. They work as an IT company and a consultancy firm as well. STAD solutions
philosophy is, “With you, till benefit reaches to you”.

The employee strength currently is 5-6 employees as the CFO himself is the Java developer,
the Android and PHP development is done by the same person and the marketing department
is lead by one of the directors. There is one person each assigned the job role for software
testing and content writing.
2. Informal Structure

The company believes in maintaining the happiness index of its employees,


motivating them to come to work and balance out their work-life environment. A
unique culture the company follows is it believes in maintaining a good relationship
with its students even after they get placed by inviting them to the events held in the
company. Some of the activities conducted by the company are listed below.

 The company celebrates different festivals and they arrange various activities and
events for employees and students.
On Independence Day, they celebrated by decorating the entire office where
students and employees participated in activities like roleplay, skit, quiz, singing
patriotic songs, etc.
   Studio classes wherein a soft music is always played in background. This helps in
maintaining a relaxed environment throughout the company.

         Lunch or Dinner is planned by employees outside office once in a month


including owners for an informal interaction. They even invite sponsors of the
company for such gatherings.

         Seminars are conducted by company where everyone gets a chance to put in


innovative ideas and discuss about the same.

         IT workshops are conducted free of cost where students gets to learn about new
languages or new technology of the field. They even provide participation certificate
for those workshops.
 

The Existing communication patterns in the company

Currently, formal communication within company takes place through company’s mail
system, and through social media like WhatsApp group.

Every month a meeting is conducted between the directors and the employees, wherein the
directors discuss the daily task or decisions the company needs to take and then discuss the
employees’ suggestions and then imply the best possible. Even while setting up certain rules,
every employee suggestion is heard.

Vision of the company


“STAD imparts high-quality job-oriented training to the students who aspire to build solid
career in their field. We apply the teaching techniques and experiences that we have gathered
over the years while teaching several students and working on various projects.”

The company is currently expanding therefore the first day for the new-comers is generally a
celebration for ice-breaking between the employees of the company wherein every employee
in the company indulge in group activities, fun activities and interactive sessions which
includes the tour of the company and letting them know the company environment and vision
and mission of the company. The aim for the in-class orientation program is:
 To welcome the new recruits in the organisation and get them introduced to the
working environment.
 To build an employee organisation relationship.
 Familiarize them with the policies and standards of the company.
 Encouraging the new comers to give suggestions during the orientation program.

Mission of the Company


Our main focus while providing the training is, to prepare your mindset that you are working
in reputed company and you are not learning in any institute. The end result is that you
come out as professional and not as a fresher.

Process of working:
Product development:

Product development is application based majorly on Java, Android or website on PHP.


Here, first they discuss with the client for their preferences in application and website. They
check if the company has the viability to provide the services and only then agree to the deal
offered as they believe in customer as well as employee satisfaction for every project
undertaken.
After receiving the 1st instalment from the clients the work is assigned to project manager.
Project Manager is the one who decides which employee will do which work and thereby
work is assigned. After completion of the work assigned the pending instalment payment is
taken.

Career Development and Skill Development:

They train students in IT field and also their placements. The applications are taken from
naukri.com and LinkedIn. Their interviews are scheduled and then are taken as per the
required qualification. Once they become part of the organisation they are provided with the
following training programs:
1.) Scholarship scheme:
In this scheme they conduct scholarship test, in which if student scores about 70%
he/she is applicable for scholarship.
Student will have to pay 5k less than other students. After getting placed from
STAD Solution, they have to repay from their salary. For five months 2k will cut
down from their salary.

2.) Free placements:


STAD solution takes interview of students and if he/she is having good soft skills
according to client company requirements, they don’t charge them and make place
them.

Communication issues in the company


The existing communication channel though encourages informal
communication, the sole power for decision making still lies in the hand of the
directors. This brings in a communication gap at different levels making the
employees reluctant to question the decisions made. This leads to lack of trust
between the employees affecting the employee efficiency and productivity.
Inter-dependency between different departments gives rise to various conflicts which leads to
delaying of work.

RECOMMENDATIONS

The growth and development of any organisation solely depends upon the impression clients
and customers get from the organisation. It gives them the idea about the business and
various services the organisation offers. So it is very important for an organisation to have
proper communication with the clients, customers as well as with the employees. Some of the
recommendations for “STAD Solutions” are as follows:

SHORT TERM RECOMMENDATIONS:

Most of the employees in an organisation want to do the right thing. They wish that their
company should succeed. But, these “best employees” along with their best intentions need to
know where to go. They need certain guidelines to follow. Without directions, there will be a
lot of chaos that keeps the employees- and ultimately the company- from moving ahead.

The same situation is happening with “STAD Solutions”. Their vision statement is lacking
the company’s future planning and growth. Their vision statement only talks about what
services they offer. The statement is lacking on the future position of the company. The
future position of the company is very important, as it serves as a key element for employee
motivation.
The vision statement of “STAD Solutions” is also missing the mentioning of their core
business, what they are into. Such distorted mission and vision statement confuse the
employees and hence they do not put their soul into their work.

The vision and mission statements are very integral part of any organisation that defines the
purpose of the organisation and implant a sense of belonging and identity to the employees.
This motivates them to work harder in order to achieve success.

Therefore, “STAD Solutions” need to redefine their vision and mission statements, so that the
company’s future goals are mentioned, and the ways to reach that goal are also well defined.
Along with this, this change should be effectively communicated to all the employees, so that
each member of the organisation should be working for the same vision and mission.

LONG TERM RECOMMENDATIONS:

Strategic planning is a key function of an organization’s management that helps to set


priorities, allocate resources, and ensure that everyone is working towards common goals and
objectives. However, for strategic planning to be effective, BHAG (Big Hairy Audacious
Goal) is needed. These serve as a guide for creating objectives and goals in the organization,
thus providing a road-map that is to be followed by everyone.

The organisation should work in improving customer satisfaction by being consistent in their
work and by providing the best services to every customer. This will also improve the
loyalty, and it will also help in customer retention, which will in turn help the company grow.

The organisation must figure out different ways to appeal to and attract customers. It can also
make use of various social media platforms such as Facebook, Instagram, LinkedIn, Twitter
etc, to connect with its customers.

The organisation needs to improve the culture in order to deepen its roots in the market. The
communication goals need to be shared among everybody from top to bottom, and new
changes should be embraced by everyone in the organisation. The more natural the
communication will be, the more employees will feel that they are a part of the organisation.

Conclusion
When the company has a clear vision and mission for their future growth, there would be
synergy amongst the employees which would eventually remove the trust issues thereby
improving the communication resulting into efficient and productive work environment.
