Dear Mr. James:

Thank you for your interest in holding one of the Sunny River Business
League’s staff meetings at one of our Lodges. It is imperative to maintain
relationships among our business’ branching organizations, and because of
this, we would be honored to reserve and provide a lodge adequate enough
for your meeting’s needs. However, fulfilling all the points to your request
will be met with difficulty. The specific details and reasoning behind this
conclusion are provided below.

Our resort is known for its quality service, preparation, and maintenance
when providing for customers that expect a great experience. Each one of
our lodges is thoroughly cleaned to make sure the next users feel
comfortable and refreshed. The lighting and air-conditioning are constantly
monitored and maintained to make sure no inconveniences suddenly fall on
the customer during their stay. Our maintenance staff is also capable and
ready to supply and repair each lodge with whatever necessities and
equipment that are included in its renting benefit details. In order to keep
our resort’s services in great shape and fulfill the expectations of every
customer that selects our business, the daily costs for renting our rooms is
fairly costly but understandably reasonable. As stated on our website, by
phone, or in person at the front desk, the cost for renting one of our meeting
rooms is $1,500 per day. This fee covers cleaning, room maintenance, and
equipment costs to every customer’s need or request. Our resort runs on an
efficient system for business costs and practices, leaving little room for
sudden exceptions or alterations. This system allows for our business
establishment to better focus on our customers, better provide salaries for
our employees, and better maintain our establishment’s condition. Other
than the point about our business system, our treatment of employees
always includes respect, careful attention, and fairness across customers no
matter their backgrounds.

Given all of these points, your request to have us reserve one of our meeting
rooms for a two-day staff meeting at no cost has been declined. Successfully
fulfilling all of your initial request would result in the development of multiple
complications that would negatively impact our establishment and the Sunny
River corporation as a whole. Our resort does not provide exceptions or
financial pardons for even its own staff and regulators due to this negative
potential. Although we are not able to fully eliminate the costs ($2,500) for
your intended stay, we do have suggestions that you may take in order to
reduce or fully mitigate the costs of our services. And of course, if you and
your team are interested in utilizing these recommendations, we will contact
you to make sure everything processes as smoothly as possible. The
following points are possibilities that can potentially assist your organization
in attaining a lodge reservation while fulfilling the corresponding costs. For
the first point, your meeting group should be able to proportionally split the
costs in a way that meets the financial requirements of the renting contract.
The second point involves setting up a payment method which will allow you
or your group to provide a fixed amount per month, eventually leading a
completion of the payment contract. Our final point at this time involves you
contacting the higher ups of Sunny River for financial assistance. This last
point is very plausible considering that it would be beneficial for Sunny River
to both support to sustainability of one of its establishments as well as the
work-related meetings of your group which greatly supports and discusses
topics related to the future developments of various Sunny River Resort
locations.

Although we are currently not able to fulfill your emphasis on “free use” in
your request, we are definitely able to reserve and prepare a meeting room
when the financial costs are met. We hope you acknowledged our
suggestions considering that they have a high possibility of assisting you and
