Microsoft Power BI Web - Create a Dashboard

This workbook/guide covers Power BI Web Service, a web-based tool that provides cloud services over
the Internet to post and view Dashboards. Individual Visual Reports are created using the Power BI
Desktop tool which is installed on your local computer. Once you develop Visual Reports in Power BI
Desktop, then you can use these Visual Reports to build Dashboards in the Power BI Web Service.
These tools work together to display and describe data sources in a Visual Report which can be updated
when desired. The following topics will be covered:
Overview - First, an overview of the interface and the menu system will be provided. This will enable
users to switch between the different modules (described below) in order to develop a Dashboard.

Dataset - This is used to store the uploaded database to the Power BI Web Service which can be
interactive as the database is updated. However, it could also be cached/stored in Power BI Web Service
(no connection to another source). A Dataset can be linked to multiple Visual Reports that are used to
create a Dashboard. Also, in this web-based tool, it is possible to click on a specific Dataset to create
additional reports. However, it is recommended that reports be created in the Power BI Desktop.

Report Workspace - This will display the Visual Reports created in Power BI Desktop as well as those
created in the Power BI Web Service tool all while using the Edit Report tool (see Edit Report
Chapter). The reports in the Reports Workspace will be linked to a single Dataset, but they can be
linked to multiple Dashboards, as well. Filters are also available to adjust the information in the reports.

Dashboard - This is the layout of different types of Visual Reports arranged together to provide a
message for readers to understand. When you click on a report in the Dashboard, it is linked to the
Reports Workspace which is also linked to the Datasets. When you click on a Visual Report located in
the Dashboard, the report will open.

Edit Report - When a report is created from a Dataset, you can use the capabilities to build multiple,
small Visual Reports such as Clustered Column Charts, Pie Charts, and Cards to display total values,
Tables of summarized data, Matrix reports, Maps, etc. Because you will want people reviewing the
Visual Reports to understand the data stored in the data source, the progress, growth, or current state of
the information can be displayed.

Workbooks - This will allow you to upload an Excel Workbook into Power BI Web Service as the
input data source for a Dashboard. When you import an Excel Workbook, you can create a Visual
Report and apply it to a Dashboard. This is an alternative to publishing reports from the Power BI
Desktop tool.

Settings - There are adjustments that can be made to the interface to provide additional functionality.
Settings to be covered include General, Dashboard, Dataset, Workbook, Alerts, and Subscriptions
settings.

About the Author
Jeff Hutchinson is a computer instructor teaching a variety of classes around the country. He has a BS
degree from BYU in Computer-Aided Engineering and has worked in the Information Technology field
supporting and maintaining computers for many years. He also previously owned a computer training and
consulting firm in San Francisco, California. After selling his business in 2001, he has continued to work

Design Strategy
This workbook is designed in conjunction with an Online-Instructor-Led course (for more information
see: www.elearnlogic.com). Unlike other computer guides, students will not need to review lengthy
procedures in order to understand a topic. All that is necessary are the brief statements and command
paths located within the guide that demonstrate how a concept is used. There are many Step-By-Step
Practice Exercises and more comprehensive Student Projects used to better understand a concept.
Furthermore, students will find that this workbook guide is often used as a reference to help users
understand concepts quickly. An index is also provided on the last page of the workbook to reference
important topics as necessary. However, if more detail is needed for study, the Internet can be used to
search a concept. Also, if student’s skills are weak due to lack of use, they can refresh their knowledge
quickly by visually scanning the concept needed and then testing them out using the application.

In this chapter, we will provide an overview of the Power BI Web Service product, review the interface,
menus, and capabilities. Once you upload the dataset in Power BI Web Service, you can create
Dashboards, Reports, and upload Excel worksheets.

1.1 Power BI Web This is a Web based application that can be accessed using a Web Browser, and
Service this particular workbook will cover these capabilities. You will need a login
account and password to use the service.
Power BI Service Pro - This version requires a paid subscription and all features
will be active. It will allow you to schedule data, refresh more frequently, offer
live data sources with full interactivity, activate the Gateway product, share
Dashboards, and many more feartures.
Power BI Service Free - The free version requires you to create an account. It will
allow you to upload and develop Dashboards, Reports and Datasets. You can
create a hyperlink to allow others to see your Reports on the World Wide Web,
With the Free Version, you will not be able to Share your Dashboards, Create
App Workspace, Create Content Pack, Analyze In Excel, Install a Gateway,
Schedule a Refresh, Subscribe, and use Alerts. An evaluation version can be
obtained from: http://PowerBI.com
When you open the PowerBI Web Service, the following will be displayed:

Once you Publish the data source, the Datasets and Visual Reports will be
available in Power BI Web Service.

1.3 Get Data An alternate way to publish a Power BI Desktop file is to open the .Pbix file
From Power BI directly into the Power BI Web Service. When you start Power BI Web Service
Web Service for the first time, you will receive the following to get started:

the lower left corner of the screen.

1.4 Import Excel When you Import a .Pbix file, the system will automatically Import Dataset and
Workbook Report information. When you Import and Excel workbook (.xlsx), the
worksheets must be converted to Tables in order to Import and if you Import a
regular worksheet, you will receive the following message:

These Imported Workbooks contain a data model, which is a technique to relate


multiple Excel worksheets (similar to a database), using Excel PowerPivot Add-
in feature. Power BI supports all data model properties defined in Excel, such as
relationships, measures, hierarchies, and KPIs.
Tip: The Import will also accept properties defined by Excel PowerQuery.
Tip: The Import command requires the file to be a Table not a normal range.

These are the tools you see first when you open Power BI Web Service. They
are located on the left side of the interface. When you select an item located
under these categories, it will open the selected item in the middle of the screen
and allow you to view or edit it.
The following is a summary of the Left Menu:
Favorites - This identifies your most important Dashboards and
Visual Reports.
Recent - These are the recently opened Dashboards or Reports.
Apps - These provide additional functionality.
Shared With Me - These are Dashboards that others will share with you.
Workspaces - This contains additional Workspaces and Apps.
My Workspace - These are your personal files to view or edit.
Dashboards - These are layouts of different types of Reports.
Reports - These are individual Visual Reports.
Workbooks - These are uploaded Excel files.
Datasets - This is the uploaded data source used for Reports.

1.5 Favorites You can identify specific Reports or Dashboards for quick
access.

1.6 Recent This will display all of your most recently accessed Dashboards, Reports, and
Datasets. Use this to switch between different Dashboards.
Tip: A star next to a report name indicates it was marked as Favorite. Click on
My Workspace to see Dashboards and Reports.
1.7 Apps An App is a Workspace that consolidates multiple Reports into a single object.
You do not need to keep track of multiple links to view different Reports and
Dashboards. This could be an App from someone in your organization or a
custom developed App. See 1.11 Create App to learn more.

Datasets that you use or have Shared with others.

1.10 My The most common workspace is called My Workspace
Workspace which is used to hold your personal information.
Dashboards - This is the layout of different types of Visual
Reports.
Reports - These are the Visual Charts used in a
Dashboard.
Workbooks - This will store any Excel file you have
uploaded as an alternative to publishing from Power BI Desktop.
Dataset - This is the connection to a data source that is cached/stored in Power BI
Web Service.
1.11 Create App This is a method used to package and manage a
Workspace collection of deployed Dashboards and
Reports to a large group of users in a Web
Requires Power BI Browser or mobile device. An author (creator
Web Pro Version of the Dashboard) can combine several
Dashboards, schedule refresh, then provide a
link to an App. The end result is that you will
be able to communicate your desired message
inside the App. It will be easier to deploy by
referencing an App rather than maintaining
many links. When you create the App, you will
be able to add email accounts of people you
want to collaborate with, set access rights to
Public/Private, as well as allow them to
Edit/View the Dashboard/Report content.
My Workspace is a collection of Dashboards and Reports. Additional
Workspaces can be created which independently tell a story. Instead of putting all
your reports in My Workspace, you can create different Workspaces for each
message. These different Workspaces can be compiled into an App.

1.13 Enter Full When you click on Dashboards, Reports, Workbooks, or Datasets you will see this
Screen Mode icon appear which will allow you to maximize the Report on the screen. To exit Full
Screen Mode, press Exit Now or press the located in the lower right corner.

Datasets are physically uploaded to Power BI Web Service through the publishing process. A Dataset
can maintain a connection to a data source; however, it is also cached/stored in Power BI Web Service.
If the Dataset is connected to the data source, a refresh will retrieve new information and update the
cached/stored area. If it is not connected to the data source, it can be refreshed when it is republished to
update the cached/stored area. Another possible option is to upload an Excel workbook directly as a
Dataset (see Workbooks Chapter 6). You can click on a specific Dataset and create a new Visual
Report, but it is recommended that you create your Visual Report in the Power BI Desktop.

The Open Menu is located next to the name of the Dataset and is also referred to as the Ellipse
Menu. Select a Dataset name and then click on the Open Menu located next to the name.
The following is a summary of Open Menu:
Status - This appears on the top of the Open Menu.
Rename - This Renames the Dataset.
Remove - This deletes the selected Dataset.
Schedule Refresh - This sets specific dates/times to Refresh.
Refresh Now - This forces a Refresh immediately.
Analyze In Excel - This exports the Dataset to Excel for further Analysis.
Download .PBIX - This saves the file in a Power BI Desktop file format.
Security - This can be set up in Power BI Desktop.
Manage Permissions - This will display a detailed list of access rights
for Dashboards, Reports, and Datasets.

2.4 Schedule This will take you to the Dataset Settings. Here, you can set up the Gateway
Refresh connection, change the datasource Credentials, and Schedule an automatic
Refresh interval. Refer to Chapter 7, Section 3, for details concerning
Schedule Refresh concept.
2.5 Refresh Now If you are connected to an external data source through a Gateway, it will Refresh
and Get New Data.
2.6 Analyze In This will export the data source from Power BI Web Service to Excel for further
Excel analysis, as well as maintain the connection to the data source in Power BI Web
Service. A connection is maintained through a file called Office Data Connection
Requires Power BI (.odc). However, if you want to keep your analysis, you can save it as an Excel
Web Pro Version (.xlsx) file format. This is useful if you need to view and interact with the Dataset
in Excel using PivotTables. It requires a Pro License which will activate the
Gateway feature and is required to maintain a connection. My Workspace

2. Edit Excel Workbook - When you open the file in Excel, an


empty PivotTable and Field list appears with the tables, fields, and measures
from the Power BI dataset. You can create PivotTables, charts, add data from
other sources, create different worksheets and Analyze a Dataset just as you
would work with a local spreadsheet in Excel.
In Excel: Drag the PivotTable Fields to the proper drop boxes.

3. Save Excel Workbook Locally - You can save this Power BI Dataset
connected workbook just like any other workbook. However, you cannot
publish or import the workbook back into Power BI Web Service. In Excel:
File TabSave As(File Name).
4. Share The Workbook- Once your Excel workbook is saved on your local
shared drives, others can open the workbook and see the results of your analysis
such as PivotTables, Charts, etc.
2.7 Quick Insights This will go through all your data, look for related fields, determine common
correlations and generate several charts. This information can be useful to better
understand your data and you may discover a correlation that is very valuable.

2.8 Download This will Download or export a report from Power BI Web Service to a Power
.PBIX BI Desktop in a .pbix file format. You can then open the file in Power BI
Desktop.

2.9 Security The Row-Level Security can be set up in Power BI Desktop. It will allow you to
restrict rights to specific records in a database based on the role defined.

2.10 Manage This will show you a detailed list of access rights for Dashboards, Reports,
Permissions Workbooks, and Datasets. By clicking on a Report or Dataset, you will see the
permission specified for that object and then you can change it.

When you select the desired Dataset, you can create a Report in the Edit Report View. The menu will
appear on top of the screen. Refer to Chapter 3, Section 2 for an explanation of these concepts. The
Reports Reading View (Menu On Top) contains all of the options of the Dataset Reading View.

This will allow you to ask a Question
when displaying a Dashboard. The result will be displayed as a new Visual
Report containing the information requested. Questions can be keywords or
sentences that look for answers in the Dataset connected to the Dashboard. As
soon as you start to type your question, Q&A takes you to the Q&A page as
shown below. When you display a Dashboard, you will see at the top the words
“Ask a question.”
Start typing here. The screen will switch.

The names of tables and columns in the Dataset are very important for Q&A an
order for effective response. For example, if you have a table named
“CustomerAddress” that contains a list of your customer addresses, you would
need to make a request such as “List the customer addresses in New York”
rather than “List the customers in New York”. Here are a few examples:
"What were total sales last month?", "Show total revenue”,
"Total profit by month", "Sort products by units sold", "Which account has
the highest opportunity”, or “show sales by month as a bar chart",
"Which salesperson had the lowest sales in California in 2010."
Tip: There are several related features associated with Q&A such as Features
Q&A and Q&A Enhancement.

4.39 Q&A Wording The list of keywords used is not exhaustive. The best way to see if Power BI
recognizes a keyword, is to try it out by typing it in the question box. If the word
or term is greyed out, then Power BI does not recognize it, or doesn’t recognize it
in the current context.
The list below uses present tense, but all tenses are recognized in most cases. For
example, “is” includes are, was, were, will be, have, has, had, will have, has got,
do, does, did. The word “sort” includes sorted and sorting. Also, Power BI
recognizes singular and plural versions of a word. For example, Power BI
recognizes “year” and “years.” The following types of words can be included in
phrases and sentences:
Aggregates - total, sum, amount, number, quantity, count, average, most, least,
fewest, largest, smallest, highest, biggest, maximum, max, greatest, lowest,
littlest, minimum, min.
Articles - a, an, the.
Blank and Boolean - blank, empty, null, prefixed with “non” or “non-“, empty
string, empty text, true, t, false, f.
Comparisons - vs, versus, compared to, compared with.
Conjunctions - and, or, each of, with, versus, &, and, but, nor, along with, in
addition to.
Contractions - Q&A recognizes almost all contractions. Here are a few examples:
didn’t, haven’t, he’d, he’s, isn’t, it’s, she’ll, they’d, weren’t, where’ll, who’s,
won’t, wouldn’t.
Dates - Power BI recognizes most date terms (day, week, month, year, quarter,
decade, etc…) and dates written in many different formats (see below). Power
BI also recognizes the following keywords: MonthName, Days 1-31, decade.
Examples: January 3rd of 1995, January 3rd 1995, Jan 03 1995, 3 Jan 1995, the
3rd of January, January 1995, 1995 January, 1995-01, 01/1995, names of
months.
Relative Dates - today, right now, current time, yesterday, tomorrow, the current,
next, the coming, last, previous, ago, before now, sooner than, after, later than,
from, at, on, from now, after now, in the future, past, last, previous, within, in,
over, N days ago, N days from now, next, once, twice. Example: count of orders
in the past 6 days.
Equality (Range) - in, equal to, =, after, is more than, in, between, before.
Examples: Order year is before 2012? Price equals between 10 and 20? Is the age
of John greater than 40? Total sales in 200-300?
Equality (Value) - is, equal, equal to, in, of, for, within, is in, is on. Examples:
Which products are green? Order date equals 2012. Is the age of John 40? Total
sales that is not equal to 200? Order date of 1/1/2016. 10 in price? Green for
color? 10 in price?
Names - If a column in the dataset contains the phrase "name" (e.g.,
EmployeeName), Q&A understands that the values in that column are names.
You can then ask questions such as "which employees are named Robert?"

Query Commands - sorted, sort by, direction, group, group by, by, show, list,

alphabetically, ascending, descending, order.
Range - greater, more, larger, above, over, >, less, smaller, fewer, below, under, <,
at least, no less than, >=, at most, no more than, <=, in, between, in the range of,

starting from, ending with.
Times - am, pm, o'clock, noon, midnight, hour, minute, second, hh:mm:ss.

Visual Types - A Visual Types are native to Power BI. If it's an option in the
Visualizations Pane, then you can include it in your question. The exception to
this is Custom Visuals that you've manually added to the Visualization Pane.

5.1 Visual Report These are terms defining individual Reports that are generated. This includes
Terms Charts, Locations/Maps, Text Tiles, etc. The Visual Reports are used in
combination to create a Dashboard. Visuals are also called Visualizations,
Reports, Visual Reports, or Tiles. The following are several Visual Reports that
define a Dashboard:

5.2 Bucket A Bucket is located in the Visual Report pane. A dashed


line appears around the Bucket if a field can be dropped.
When creating a Visual Report, it is more accurate to drop
in the Bucket rather than dropping it in a blank work area.
5.3 Well This is located in the Visual Report pane and contains
several Buckets.
One box is a Bucket, but the entire

4. Drag n Drop A Field To The Bucket. Tip: This is the most accurate method.
The Values Bucket is located next to the field list under the charts. Notice the
Values Bucket displays a dashed line indicating it is a valid drop bucket.
If there is no dashed line, then you will not be able to drop the field.
4a. Drag the field to the Values bucket.

Tip: You may need to select the Stacked Column Chart icon.
5.4 Delete Report Select the Report and press the Delete Key.
5.5 Report Report Handles are located in the corners and middle of the Report Visual.
Handles They can be used to scale the Visual Report larger or smaller.
5.6 ToolTip When you create a chart and hover the mouse over
the different chart areas, you will see a ToolTip
describing the details of the area selected.
5.7 Value When you place a numeric field in the Values Bucket, the
Calculation system will determine a default Calculation Value. You can
change the Calculation Value by choosing the drop-down
arrow of the numeric item located in the Bucket Area.

Tip: To determine if a field is Numeric, look for in the fields list.


Section 2 - Reports More Options (On Top Of Visual Report)
The More Options are located in the upper right corner of the
Visual Report. The following is a summary of the More Options.
Pin - Pins the Visual Report to a Dashboard.

Export Data - This Exports the Dataset to a .csv file format.
Show Data - This Shows the Dataset and the Visual Report.
Spotlight - This highlights the Visual Report.

When you select a desired Dataset and choose Edit Report, the menu will appear on the top of the
screen. You will be able to Edit existing reports as well as create new reports. This Edit Report screen
has similar capabilities as Power BI Desktop.

The following is the Dataset/Edit Report menu. It contains the same features of the Reports/Edit Report
menu except Pin Live Page.

You can switch between Edit Report and Reading View. However, Edit Report will allow you to
create/edit Reports. Reading View is your way to explore and interact with the report. When you click
Edit Report, the screen will change to the Reading View:

5.14 File - Save When you create a new Report, you will need to Save
it. If you leave the page, the system will prompt
you to save the Report.
5.15 File - Save As If you modify an existing Report, you may need to

5.16 File - Print These are standard Printing features based on the
Web Browser capabilities.
5.17 File - Publish Publish To Web - This will create a link to the

This will allow you to Upload and display an Excel Workbook into Power BI Web Service. If you want
to create Visual Report Charts, use the Import feature. It is important to understand the difference
between Upload and Import:
Get Data/Upload - The Upload feature will allow you to display the Excel Workbook/Worksheets in
Power BI Web Service. You cannot create Visual Report Charts but can create a Visual Report
Table from the Uploaded information. Tip: At the time of this publication, the maximum file size of
the Excel Workbook was 1 GB.
Get Data/Import - This will allow you to Import an Excel Workbook to a new Dataset. However, the
Worksheets must be defined as a Table not a normal range. You can then create Visual Report
Charts similar to other Datasets.

6.1 Upload Excel In order to use the Power BI Workbooks feature, run the
Data Range Get Data/Upload command in order to Get the Excel Workbook. If the
information changes in the Excel Workbook you can rerun the Get Data/Upload
command in order to update the information in Power BI Web Service. After you
do a Get Data/Upload, the Workbook name will appear in the
My Workspace/Workbooks folder.

datatype, there are not blank rows or columns in the middle of the data, and that

Table. To create a Table in Excel: Select the Range of DataInsert Ribbon

6.14 Excel Data The Excel Data Model uses the Excel PowerPivot Add-in feature to build
Model relationships between Excel worksheets. The Workbook Import feature does not
support regular Excel worksheets. However, if you have defined a Data Model
using Power Pivot in Excel, it will allow you to Import it into Power BI Web.

7.7 Dashboard By default, you can position Tiles on the Dashboard anywhere. This feature will

7.8 Gateway The Gateway will connect your data source to Power BI Web. The On-Premises
Connection Data Gateway(Personal Mode) can connect to your local computer disk. The
On-Premises Data Gateway (previously known as the Enterprise Gateway)
Requires Power BI will connect to a data source over the network. The On-Premises Data Gateway
Web Pro Version will require more login credientials than the On-Premises Data
Gateway(Personal Mode).
7.9 Data Source This is where you authinticate yourself in order to gain rights to connect to the
Credentials secured Data Source.

7.10 Parameters

Once you set Parameters in Power BI Desktop/PowerQuery, you can update


those Parameters in Power BI Web Service.
This works when you create the Parameter in PowerBI. The Parameter is then
passed over to Power BI Web Service. You can’t use the data type of Any or
Boolien, because the Power BI Web Service Parameters will be grayed out. It is
also suggested that you use text or integer because it easier to translate compared
to number data type.

Questions suggested Featured Questions. A user can view them as he begins to type a

common Question asked may display the Dashboard in the most effective
manner, or they may be Questions that are an interesting method to display data.

This project will show how the Gateway product is used to Refresh Dashboards on a scheduled
basis. We will use the Personal Gateway to test these features.
Student Project C1 Before we can configure the Gateway, we must first identidy a data source and

Alerts can be set on visuals created from streaming datasets that have been pinned from a Report to a
Dashboard. However, they cannot be set on streaming Visual Reports created directly on the
Dashboard using Add TileCustom Streaming Data.

7.20 Alerts Alerts are defined in Dashboards. You
can apply an Alert to a single member
Requires Power BI Visual Report such as Card, KPI tile, or
Web Pro Version Gage tile. The Alert will send you an
email when the numbers exceed the
defined value. Alerts only work with
numeric data types. They will not work in
Power BI Desktop or Visual Report with
date/time measures.
- If this is checked, it
will send you an email notification. If
unchecked, the notification will appear in
the Power BI notifications page located in
the top right corner of the interface.
Tip: The Notification Icon will turn
orange.
Tip: Each Alert contains a direct link to
the data. Selecting the link will take you to
