Ch-1 Types of Communication

Topic- 1 .Communication - Communication means being able to tell other people what you want
to say and this can be done in many ways. That is ,there are different ways or forms or types of
communication:

i. verbal form i.e., communicating orally,


ii. Non-verbal form, i.e., communicating using body language, gesture or tone ,and pitch,
iii. Written form, i.e., communicating via handwritten or printed information,
iv. Visual form, i.e., communicating via pictures, logos, posters, maps or chart etc.

Topic-2 Pros and cons of various type of communication Let us discuss now the pros and cons
of each type of communication .

1.Pros and cons of verbal communication


Verbal communication is that style of communication .where mostly you interact with others
through spoken words and mostly,(not always), it is and interactive form of communication.

Let us discuss now the pros and cons of this type of communication .
Pros
The pros of using verbal/oral communication are being given below.
i) It is speedy form of communication. There are no connection issues because mostly
the sender and receiver are in front of one another, they need not depend upon some
other medium like the telephone call or internet etc. to make a connection. so the
communication takes place uninterrupted .
ii) Instant feedback. The verbal communication take place effectively. The speaker can
see or judge the feedback of the audience or may even ask them.
Cons
The verbal communication also has some cons, which are being listed below.
i) It is not possible to communicate to people in a different setup, e.g., a person in
Japan cannot communicate to a person in another part of the world at a time where
the time zones are so different that it is difficult to connect

ii) It is not a complete form of communication as it requires other forms of


communication for its completion. Other communication forms such as non verbal,
visual and written communication often complement this style of communication.

2. Pros and cons of non verbal communication.


non-verbal communication is usually understood as the process of communication through
sending and receiving wordless message between people using cues like gestures, body
language, and voice tone etc.

Pros
The non-verbal communication offers following pros:
i) Very easy to demonstrate. non-verbal communication makes demonstration very
useful using noticeable non-verbal cues like gesture, body language, e.g., blood red
eyes easily convey 'anger' than explaining it through words.

ii) Very fast. The non-verbal form of communication conveys the message very fast. the
receives easily interpret the cues without any barrier of common region, language
qualification and so forth.
Cons
The non-verbal communication has following cons.
i) Not suitable for lengthy messages. non verbal communication suits for Smaller
conversation or small messages. it is not possible to have a lengthy conversation or
details discussion in a non verbal manner.

ii) Chances of misinterpretation. If the message does not get across, the receiver
may misinterpret the message in the absence of details.

3. Pros and cons of visual communication


Communicating by the use of a non-verbal medium such as visual aids, posters , logos, sign
board, hoardings and so forth, is referred To as visual communication.

Pros
i) It can explain things in the way which are not possible through words. the
famous quote, " A picture is worth a thousand Words" , makes it clearer. sometimes,
a concept or a message is better convey through picture than words.

ii) It clears the barrier of qualification or language. Visual communication can


successfully convey the intended message to all without any prerequisite of knowing
a specific language or subject.

Cons
i) Time consuming. Preparation of visual aids consume time.

ii) Not a complete form of communication. Visual aids enhance communication, but
they are not a full form of communication. these require some other forms of
communication to precisely deliver the message.

4. Pros and cons of written communication.

Conveying messages or information through written means is known as written communication.


Like other forms of communication, it also has its own share of pros and cons.

Pros
i) Permanent storage. The written communication can be stored or recorded
permanently for later use and reference .Thus, it is a preferred mode of
communication for official communication.

ii) Suitable for lengthy messages/ information. the written communication is the
most suitable for representing lengthy information, e.g., budget, reports, manual and
so forth.
Cons
i) The cons of written communication are listed below:
Time consuming. Written takes time. it is not an instant from of communication,
unlike oral communication.

ii) Cost and storage. Written documents required a specific form of storage which has
some cost associated with it. if being Stored on paper then the paper cost, binding
cost, cabinet cost are all involved.

Topic-3 Impact of body language


Body language is your unspoken communication that you used to reveal your truth thought and
emotions. It includes your gestures facial expressions and posters. Go through the lines below
where we are giving some common do's and don'ts of body language.

Do's of body language


1. Always stand up with straight back and relaxed posture.
2.Keep your arms by your sides.

3. Sit with a straight spine


4. Smile as your enter into a room.
5. Make eye contact while speaking to someone.

6. Actively and attentively listen to the speaker in a conversation.

7. Keep your shoulders relaxed down.

Don'ts of body language.

1.Do not fidget.

2.Don't fake your smile. smile genuinely.

3.Do not droop your shoulders. Do not slouch.

4.Don't fold your arms over your chest.

5.Don't look away while in conversation.

6.Don't keep your hands in your pocket while talking.

7. Do not touch your face repeatedly.

Topic-4 Feedback in communication

Feedback is an essential component of every successful communication .feedback completes a


two-way communication. feedback ensure the successful delivery of a message. or

Feedback is important as it ensure the success and effectiveness of communication .without


feedback, the sender cannot find it the message intended has been successfully delivered with the
same intent.

Importance of Feedback:-

a. A sender or messenger -(The one who initiate the communication)

b. Message/Information being sent-(Information/message being conveyed/transferred)

c. Encoding- (Format or structure of the message e.g., spoken words/picture/text etc.)

d. Communication channel -(Medium of communication e.g., Oral communication ,Internet for


electronic communication ,paper for written/printed communication.

e. Decoding – (Understanding the meaning from the message received through a certain
medium)
f. Feedback – (Intimation about successful delivery of message)

Feedback is very important in communication as it ensure that the message has been successfully
conveyed and the communication is effectively successful.

Characteristics of feedback :-

Role of feedback is to make the communication effective and successful. Only an effective
feedback can do this. An effective feedback has following Characteristics :

a. Intention – The intention of the feedback should ensure that communication becomes
successful if the message is not received correctly. Feedback is the way to report this to the
sender.

b. Specific – The feedback should not be vague and should be conveyed with clarity.

c. Fair and non-judgmental – Useful feedback does not pass judgment on the message; it merely
expresses if the message is received in the right form.

d. Usefulness – effective feedback is the one that aims to improve the overall communication.

e. Clarity – The feedback must be clear in its form and should be in an understandable format.
