1 Introduction
Provide a high-level, executive summary of the project, Describe the opportunity
and benefits presented to the business through this project. Assume the reader
will have time to read only this section
Ginza Company works in construction field and deals with subcontractors. They have an old
system for finance and Inventory only. there is no integration between the following department
(tender, Planning & Costing ,Technical Office and Finance ) , They can’t know the actual cost of
every activity just estimate , there is no actual time schedule for all department So they can’t
deliver in specific time . So they need a huge and specific software to cover all missing points as
discussed and to integrate all departments with automated cycle and reports .

2 Business Opportunity & Vision


2.1 Opportunity Statement
Provide a concise summary of the intent and motivation for the project. This
section could describe the business opportunity that the project is intended to
create or exploit. There might be a specific final deliverable or goal to call out.
You could incorporate a summary of the business case that explains why the
organization wants to undertake the project.
The implemented solution is expected to apply Best Practices and enhance Business process
and ensure better management governance and achieve the integration between all
department.

2.2 Vision Statement


Write a concise vision statement that summarizes the purpose and intent of the
project and describes what the world will be like when the project is completed.
The vision statement should reflect a balanced view that will satisfy the needs of
diverse customers as well as those of the developing organization. It may be
somewhat idealistic, but it should be grounded in the realities of existing or
anticipated customer markets, enterprise architectures, organizational strategic
directions, and cost and resource limitations. Consider using the following
template:

As the head of information systems for IGI Company are tasked with implementing
SAP ERP system. The new system will allow Ginza department to be integrated with
one system, they can calculate the actual cost for each activity, there will be a cleared
time schedule for projects. Financial office will use the system to monitor financial
activities. The system provides a better solution for subcontractor’s cycle. It reduces
much time, cost, and resources required in processing of life cycle and enhance the
Business Process for Ginza (Sales, FI, projects Departments and planning& Costing
Department) .

2.3 Benefits Analysis


Describe the business value (benefits) of implementing the proposed solution
and reaching the final vision. How will the business be better off after completion
of this project? Can the benefits be measured?

Information accessible and shared for all departments
Current project status, knowing actual cost vs. plan cost, check budgeting.

2.4 Solution
Provide a general description of the solution you are proposing to implement
through this project. This should be at a high-level; just enough to give the
reader an idea of what it is you will build, deploy, change, etc.
Implementing SAP ERP to cover Business Process of (Sales, FI, projects and planning& costing
Departments)

3 Project Description
3.1 Scope
The project scope defines the range of the proposed products and services the
project will deliver. Scope can be represented using a context diagram, an event
list, and/or a feature table. Scope might be subdivided into the scope of the initial
product release and planned growth strategies for subsequent releases. It’s also
important to define what the project will not include, so describe limitations and
exclusions, such as product features or characteristics that a stakeholder might
anticipate, but which are not planned to be included in the project.
To be noticed on the scope of the system that this system is an ERP SAP System.
Therefore, we have to pay attention on building applications supporting Ginza
Department to be integrated, creating time scheduling with actual cost and manage
subcontractor warehouse and certificates

objectives, schedule, staff, and budget.

3.4 Assumptions and constrains


Record any assumptions that were made (as opposed to known facts) when
conceiving the project.

3.5 External Dependencies


Define the dependencies your project may have on other projects, resources,
initiatives, etc. Note any major external dependencies the project must rely upon
for success, such as specific technologies, third-party vendors, development
partners, or other business relationships. Also identify any other projects that are
related to this project in some way or may have a bearing on its outcome.

3.6 Risks & Mitigation


Summarize the major business risks associated with this project, such as
marketplace competition, timing issues, user acceptance, implementation issues,
or possible negative impacts on the business. Estimate the severity of each risk’s
potential impact and identify any risk mitigation actions that could be taken. This
is not the place for the project’s overall risk list.

3.7 Acceptance Criteria


Describe how you will measure success once the project is complete. Setting
clear and measureable goals will ensure the project does not stray from the final
goal. It also helps set expectations with your project sponsors by stating early
exactly how the project’s success will be measured.
