Dear Member,

Find attached the General Instructions, Do’s and Don'ts related to the fit out work for your offices in Bharat
Diamond Bourse (B.D.B.) which you may forward to Architects / Designers to follow.

The necessary attachments giving all Instructions, Suppliers and Vendors list, data and details, provisions of
prior work and after completion work as is expected from the Architects, has been sent across to all the
Architects. If there is any discrepancy in understanding any attachment, scopes, rates, etc. you may please
revert to B.D.B. The rates are most competitive from the Suppliers and Vendors, however you are free to
appoint your own Consultants, Suppliers and Vendors provided you / they follow the parameters / norms as
asked by Bharat Diamond Bourse.

Instructions for Architects

1. DRAWING REQUIRED & CONTENTS:-


 Architects to have the place surveyed before designing to check measurements, column positions,
heights and other details important for fit-outs designing.

 All drawings must be in mm, (minimum A3 size)


Section with Section Lines, Direction of View & Legend and Symbols are to be shown
properly for each services layout plan and they must be clear, readable.

 All drawings must be signed by Member & Appointed Architect both.

Architects to submit initially 1 set for scrutiny and comments. Amendments as per
comments will be a submission of 4 sets of all Drawings, Survey drawing 1 no., documents,
CD's of all drawings and security deposits (complete file with all contents at one time) to
Help Desk - BDB with covering letter, on company's / Members letterhead for proper
documentation.

 Each & Every drawing & Hard Copies must have proper Proforma as per drawing template
provided. Enough space must be kept for Stamping seal, sign and necessary Approval from
MCGM / MMDRA.

 On Right Top corner of each drawing, clearly mention the following –

a) Set 1/4/, 2/4, 3/4, 4/4 & Drawing 1/9, 2/9, 3/9, 4/9 – for one set of total 9 drawings.
b) BDB Office No: XX 0000 – (every individual office No.)to enable identify Building, wing
/core, Floor / Level and Gala No.

c) Individual Area = 150 Sq Ft / 300 Sq Ft / 600 Sq Ft etc. (As per MMRDA Record)
d) Carpet Area = (Built up Area x 0.7)

 In Proforma / Format, Clearly mention the Title of Drawings for the following: -

a. Furniture & Partition Layout


The drawing must have legend & note showing -
Half Height/ Full Height Partition, Glass in Partition wall along with brief description
of their materials specifications / details.

b. Fire prevention system


Sprinkler, Smoke Detector, Heat Detector Layout, Alarm.

c. AC Ducting Layout
Layout of F.C.U (Numbers x Capacity of each FCU) with Ducting layout.
Show Table of comparison – Allotted AC load & allotted F.C.U; proposed AC load & proposed
F.C.U along with statement, showing proposed AC load & proposed F.C.U= allotted AC load &
allotted F.CU. Chilled Water Line (Supply & Return with accessories) , Drain outlet drawing,
location of Trap doors & their sizes, as well as Location of each Thermostat.
(No of allotted FCU by BDB = No of Thermostat allotted by BDB).
The MEP Services Consultancy can be had from any outside Consultants or BDB panel of
Consultants at a fee as standardized by BDB. Architects will have to then share the PCP soft
copy prior to proposal to avail the MEP Services Consultancy.

d. Electrical
i. Lighting and Equipment Layout
ii. Single Line Diagram
iii. Total Power Load Calculation

e. Position of Safe
Size, Location and Weight (applicable for 600 Sq.ft. & above only).

f. Section
i.
Brief description of partition wall material must be mentioned in furniture
layout / partition wall layout must be repeated.
Height above False Ceiling up to True Ceiling must be clearly mentioned.
ii. Section Line with direction of view must be shown in plan.

g. Plumbing
i. Layout of complete plumbing work.
ii. Large Scale individual details.

h. Strong Room / Walk-in vault


i. Separate approval from Structural Consultant appointed by BDB is mandatory.
For Execution of Strong room, Approval must be obtained from the BDB appointed
Structural Consultant Mr. Vijay K Patil. His Contact No: 09819258257

Member / office owner have to pay his consulting Fee, approved by BDB.
ii. Following Drawings & Details must be delivered to Structural Consultant for Approval.
a) Location of Strong Room in Plan
b) Detail drawing of strong room
c) Loading Details (Weight of RCC walls, Thickness and weight of metal sheet fitted
inside surface of RCC walls RCC Number of individual safe with Weight of

individual safe, strong room door.)

Any other detail / drawing asked by the Structural Consultant to be submitted.

i. Security and Surveillance


i. Access Control, Public Address System and CCTV drawings.

j. Project Roaster of Architect and Intetrior Designer, MEP Services Consultants,


Operating Vendors for record.

2. General Instructions & Guidelines


 Member / Architects must comply with all BDB as well as MPCB norms.

 Obtain approval for all services before commencement of fit-out work execution.
Fitout work to be executed only after receiving Provisional NOC (Letter of permission to
Start Fit- out work execution at site). Soon after obtaining NOC a photocopy of the same
must be pasted on the office entrance door, for ready reference / identification of
BDB admin /vigilance dept.

 During fit-out execution at site, copies of all approved services layout plan must be kept for ready
Reference, which will be required by the BDB Engineers during their inspection /visit at site.

In case BDB engineers notices that fitout execution work started without prior approval / N.O.C
during their site visit, that the work will be stopped immediately without serving any notice,
The matter will be referred to the BDB committee for further necessary action.

 Corrected drawings must be submitted, within a week of receiving letter of comments from BDB
for Respective services.

 Provisional NOC will be issued only after fulfillment of all compliances including submission of
Corrected Drawings. Comments delivered by BDB on first proposal submission, those documents
must be enclosed. Balance informations & drawings/documents which were not submitted to BDB
are also to be submitted for approval.

 Architect, services consultant & Contractors of HVAC, Electrical, Fire Fighting, Plumbing and
other services must meet B.D.B Fit-out consultant-Architectural as well as M.E.P in co-ordination
of Help Desk, before Commencing Planning & execution of fit out work at site.

 Location of safe either individual or in cluster, weighing more than 2 tons to be approved from
BDB’s appointed structural consultants. Respective member have to pay his consulting fees.

 Heavy weight Safe is not permitted within 2 mtrs from window wall. In case column
is available near window, safe is permitted to place close to this column.

 Changing of Rusted Door Frame is permitted, subject to approval by BDB committee.

 Office owners are permitted to design & execute outer surface of the entrance door shutter &
door frame only, as per their choice without changing the size and location of the door.
Photo Frame to this entrance door of width up to 300 mm (12 ”) and thickness up to 50 mm (2”)
is permitted.

 Main Entrance Door shall not open in corridor.

 Any type of Safety Door (Collapsible Grill, Sliding Door) opening in corridor is not permitted.

 Do not show door opening outside in drawing and do not execute on site.

 Opening for Glazed Display on common passage wall is not permitted.

 Wall paneling beyond 12" is not permitted.

 Chipping of window cill top / bottom and front is not permitted.


(Especially in Tower J, to accommodate safe near window)

 Breaking / removing of Mullions in external pardi (in line with window) is not permitted.

 In case member wishes to combine the group offices by removing internal partition wall,
Plan showing proposed internal partition wall for demolition must be submitted.
Internal partition wall beyond 300 mm from window wall could be removed.
Partition wall up to 300 mm from window wall must be retained.

 Modifications of windows are not permitted.

 Average Window Height is 1690 mm.

 Sun control films on window glasses are not permitted; Venetian/ Vertical/ Roller blinds are to be

used for the same.

 Installation of small sized dome camera, as per specification / make approved by BDB is permitted.
Traditional style bracket mounted security camera on common passage wall is not permitted.

 All wet area must remain within 2.5 m from the duct wall.

 TERMINATION OF THE ARCHITECTS SERVICES : The Client will have to intimate BDB via
a written letter formally of having terminated the Architects Services for the interior works.

The following activities are not permitted in the BDB premises are as follows: -

 Deep cleaning in the office / premises. (With toxic / acidic chemicals)

 Employing of Child Labour inside BDB premises.

 During Fit out wok at site staff / laborers working / stay at after 23.00 Hrs.

 Working of lady worker after 6.30 PM.

 Working in common area like corridors / lobbies / terraces nearby office premises.

 Access to terrace for storage of material and working at terrace.

 Tempering of existing structure / fittings except for extending its length.

 Parking of vehicles after unloading & stacking of material.

 Taking out tools or material from BDB site without prior authorization/permission by either
Member or architect & final approval by the BDB authority.

 Additions / alterations or renovations to the building exteriors.

 Fastening of extension cords with staples or hanging by nails.

 Use of worn-out / discarded electric cords.

 Leaving of loose electric wires on floors, bare conductors, faulty cable joints.

 Storing of equipments near excessive heat.

 Build up of Dirt/garbage/debris in BDB premises.

 Use/carry explosive, inflammable or dangerous material.

 Water accumulation in puddles on work floors areas.

 Smoking, cooking, chewing of beetle leaves, spitting or consumption of alcohol and


drugs in the premises.

 Bathing or washing of clothes at in the premises.

 Use of radios, music cassette players or CD’ within the premises.

 Parking of load carrying vehicles in the premises, after unloading fit out materials in the premises.

 Issue of material from BDB store after 17:00 Hrs.

 Members/Architects/Contractors meeting BDB engineering team beyond 17:30 Hrs.

 Dragging of heavy material/equipments damaging flooring tiles, cladding wall tiles, false ceiling,
any type of fittings & fixtures, manual call points, paint etc.

 Use of lifts in working days including holidays without lift manager’s permission, for material
movement in towers.

 Tampering and relocating fire safety systems at BDB.

 Disturbing the services which are already laid, either below or above the false ceilings.
