GREAT ESCAPES

CLIENT PROFILE:

“Great Escapes – the Great Indian Tour” provides custom travel packages, to international and national
tourists in South India. Their staff of 8 employees has helped Great escapes to be one of the leading tour &
travel operators in South India.

SITUATION:

On analysis of the current situation in Great escapes we discovered the following issues:

EMPLOYEE PRODUCTIVITY

Great Escapes prides itself in providing the best customer experience besides not collecting any service
fee for any of the services provided. “Great escapes” derives its income through discounts provided by its
service providers; hence they have a tight margin. Great escapes have to aggregate the services provided
by Hotels, House boats, Travel Operators and other service providers and provide a package to its
customers. A study of the current scenario revealed that employees spend 70% of their time in managing
these service providers rather than handling customer enquiries and bringing in more business.

ACCOUNTING

Great escapes also was doing all accounting and reporting manually hence invoices were not cleared
immediately and cash flow would be locked for months. In busy months, the accounting would be pushed
aside resulting in receipts to be delayed and suppliers be paid based upon what suppliers claimed leading
to heavy monetary losses.

REPORTING

All current reporting was done through a concept of Files where in each enquiry was made into a file and
data was filled in manually. Information could only be obtained by going through these files resulting in
information not being available at one look.

SOLUTION

To overcome these challenges SyneITY proposed and developed a custom ERP based upon Microsoft
technologies. This was done such that the data could be viewed in the web and the windows. A point by
point solution for each problem follows:

All the manual processes from preparing quotation, creating packages, creating itinerary was automated
by the software resulting in less time taken for preparation of the same. Data entry was minimized so as to
reduce double entry, emails were generated automatically.

ACCOUNTING

All accounting processes were automated with accounting entries being passed behind the scenes
resulting in the accounts being up-to date. Money would be tracked from the point of a confirmation and
account statements for each entity would include the latest transaction. Billing cycle was automated such
that bills would be generated as required in the billing cycle.

REPORTING

Reporting was based upon the live data and management would have access to all the data on the spot.
Also since the application was done with a windows and a web view, managers could view the data from
any place even through the mobile.

CUSTOMER FEEDBACK

The Customer has been giving us great feedback regarding the application; the customer has been able to
get better productivity from its employees while employees have better morale due to the reduction in
manual duty. Customer satisfaction has also improved since grievances are addressed on the spot.
