Release Notes for PaperPort 11 SE

PaperPort 11, Point Release 2 Addendum


This release contains several stability improvements and functional extensions as compared to
the previous releases of PaperPort 11. The following addendum covers these modifications. The
remaining text in this file and the product documentation is not changed, so please read this
section carefully.
 Prior to installing this version of PaperPort please uninstall all previous versions including
all additional software components which you installed with the product.
 The scanning subsystem has been updated to resolve discovered incompatibilities with
some scanner models:
o Canon LIDE models caused long PaperPort startup time if the scanner was
disconnected and the Scan or Get Photo pane was active the last time when
PaperPort was closed.
o Scanning with the Capture Assistant in duplex mode could previously result in mixed
page order.

• Thumbnail and PageViewer support has been extended to support Microsoft


Office 2007 documents.

• Several PDF-related fixes have been implemented:


o PDF thumbnail generation has been improved.

o PageViewer stability has been improved when opening PDF items.

o Occasional upside down PDF display issue inside PageViewer has


been addressed.
o The “Unable to view/print multiple-line note annotations in
PaperPort” issue has been resolved.
o Adobe Acrobat Stamp annotation support in PageViewer has been
improved.

• Cooperation with Nuance PDF Converter Professional 5:


o Use PDF Converter Professional to view and edit PDF files: select
“Open PDF items in PDF Converter Professional” in the Desktop tab
under Tools > Options.

• A new option has been added to the Printer link’s Send to Options: “Aways use
the default Windows printer”.

• A new utility has been created to help you remove all cached PaperPort
indexing and visualization data files and to identify the items in your PaperPort
folder structure whose access can make the PaperPort application unstable. It is
especially useful, if there is a problematic item on the current PaperPort
desktop, so it keeps PaperPort hung, or crashed during startup. Using this new
utility makes it easy to identify those items that need to be moved out of the
PaperPort folders. To benefit from the new utility’s services, follow the
instructions below.
o Open My Computer from the Start menu and navigate to the PaperPort
installation directory. If you selected the default location during the
installation of PaperPort, this directory is typically “C:\Program
Files\ScanSoft\PaperPort”.
o Locate the CheckPPFolders.exe program and launch it (double-click).

o To start analyzing your PaperPort folders for problem files, select the “Search
my PaperPort folders for problem files that can be responsible for hangs or
crashes” option and click “OK”. This opens the “PaperPort Folder Content
Analyzer” dialog box.
 You can start the analysis by clicking the “Start” button.
 While your PaperPort desktop content is being verified, you can see
up-to-date information about processing progress.
 You can click the “Stop” button any time to suspend or abort
processing. If you do so, you will be prompted to save the necessary
status information to enable continuation of the suspended
processing next time you click “Start”. Note that the file being
processed needs to be completed first, so be patient and wait for the
utility to stop. It will typically take only a few seconds, although for
larger files this time can even be a minute or so.
 Analyzing the processing result can be difficult if you have many
PaperPort items in your folders. Checking the “Show only processing
failures” option will hide every item that has successfully passed
verification, so only the problematic items will be visible in the
processing log. You can click the “Save Log…” button to export
processing log content into an XML document for offline analysis.
 The processing log displays the following information:

• Item Path: This column contains the full file path to the
related PaperPort item. It will help locating the items that you
need to move out of the PaperPort folders.

• Status: This column provides information about the current


item’s processing progress and result. Its value can be one
of the following:
o Verifying…: This item is being verified.

o OK: Item verification has completed with no errors.

o Skipped (System or Hidden File): This item is either


hidden or a system file. Database files, .ini, .xml,
.log, .dat, .dll and a number of other, non-document
file types are treated as system files.
o Unsupported Format: This item is not natively
supported by PaperPort. Its presence will not cause
any instability, however no thumbnails and viewing
options will be available for it.
o Failure (file may be corrupted): This item will
probably not cause any instability, but potentially it
might. Verification could not access it, but it caused
neither crash nor hang.
o Crashed: This item is likely to crash PaperPort. If it is
a multi-page item, any page can cause problems,
not necessarily the first or the current page. You can
verify the Page Count and the First Failed Page
columns to study which page is likely to fail. It is
highly recommended that you move such items out
of the PaperPort folders. If you leave them there,
then select the folder that contains them, PaperPort
may keep crashing whenever launched.
o Hung: This item is likely to hang PaperPort. For
details see the ‘Crashed’ status above.

• Action to Take: This column displays the recommended


action. Its value can be one of the following:
o None: No action is needed.

o Recommended to Move File: Although this item did


not cause instability during verification, it is either of
an unknown format, or of a known format, but its
verification gracefully failed. In other words, it will
neither have a PaperPort thumbnail on the Desktop,
nor will it open in PageViewer.
o Necessary to Move File: This file caused crash or
program-hang during verification. It is necessary to
move it out from the PaperPort folders to maintain
stability.

• Thumbnail Creator: This column displays the module


PaperPort uses to produce thumbnails for the particular item.
This information is less important for you: it rather serves
diagnostic purposes.
• Page Count: This column displays item page number. Note
that there are particular item types, such as Microsoft Office
documents, whose page count cannot be determined by
PaperPort. For such items, this column either displays
‘Unknown’, or ‘1’ – depending on whether the item format is
supported by PaperPort at all.

• Page(s) Verified: This column displays up-to-date


information about the page being verified. Use it to check
item processing progress.

• First Failed Page: If a given item has been processed


successfully, this column displays ‘None’. If verification
failed, it contains the page number of the first page which
could not be processed. Failure type is displayed in the
Status column.
 The CheckPPFolders utility also assists you in collecting the
detected problem files. Once the analysis is complete, click the
“Collect Files…” button to open the “Collect Files” dialog box. It
displays the list of crashed or hung files. By default, it selects every
problem file. You can override this recommendation by unchecking
one or more of the selected items. You can also override the default
location where the collected files will be moved to. It is highly
recommended to select a folder outside your PaperPort Desktop
folder structure. When you are ready to start the collection, click
“Collect”. You can cancel the operation any time by clicking the
“Cancel” button. On completetion, every selected file is moved to the
specified destination folder. In the same folder, a summary document
is also created. Use this if you need to move any of the collected
documents back to their original locations. For your help, a batch file
is also created which can be used to move every collected file back
to their original location in a single step. To prevent accidential
launch of this batch file, its extension is constructed as “.cmd_”. To
be able to launch it, first you need to change the file extension to
“.cmd”.
o To start collecting and cleaning the cached PaperPort metadata on your
computer, select the “Remove PaperPort meta-data files from my PaperPort
folders” option and click “OK”. This opens the “PaperPort Meta-Data Cleaner”
dialog box.
 Select the types of metadata to scan your PaperPort folders for.
 Click the “Analyze” button to start searching your folders.
 Under “Clean the Discovered Meta-Data Content” uncheck items you
wish to keep.
 Click the “Clean” button to start moving the chekmarked items to the
Recycle Bin. It is not guaranteed that Windows can move all items to
the Recycle Bin. For optimal performance, it is recommended that
you empty it before clicking the “Clean” button.
 On completion, you can click the “Save Log” button to save and
display the operation summary log.
PaperPort 11, Point Release 1 Addendum
This release works under Microsoft Vista. The following addendum covers modifications made
because of this. The remaining text in this file and the product documentation is not changed, so
please read this section carefully.

• Support for Microsoft Windows Vista has been added.

• The printers PaperPort Color Image and PaperPort B&W have been removed. A new
Vista-compliant PaperPort Image Printer is installed.

• Support for creating PaperPort Self-Viewing (*.exe) and PaperPort Browser-Viewable


(*.htm) format files have been discontinued. Use PDF, MAX or other file formats instead.

• PaperPort MiniViewer has been removed.

• The links in this release were tested with Vista-compatible applications only. When
running under Vista, links to non-compliant applications cannot be guaranteed to work
correctly.

System requirements
To install and run PaperPort 11, your Windows-compatible PC must meet or exceed the following
requirements:

• A computer with an Intel® Pentium® or higher processor

• Microsoft Windows® 2000 SP4 or above, Windows XP SP2 or above, Windows Vista

• Microsoft Internet Explorer 5.5 or above

• 128MB of memory (RAM), 256MB recommended

• 300MB of free hard disk space for application files plus 5MB working space during
installation

• SVGA monitor with 256 colors, but preferably 16-bit color (called High Color in Windows
2000 and Medium Color in XP and Vista) and 800 x 600 pixel resolution

• Windows-compatible pointing device

• CD-ROM drive for installation

• Web connection (with IE 5.5 or above) for activation and web update
Performance and speed will be enhanced if your computer’s processor, memory, and available disk space
exceed minimum requirements. This is especially true when handling very large color image and PDF files.

Installing PaperPort 11
To install PaperPort 11 follow these steps:
1. Disable any anti-virus software programs and close all Windows programs that are
currently running on your computer. This is important to avoid conflicts that might occur.
2. Install PaperPort 11
To install PaperPort from a CD — Insert the PaperPort CD in your CD-ROM drive, and in
the PaperPort installation window, click Install PaperPort. Then, follow the instructions on
each screen.
If the PaperPort installation window does not appear, double-click the Autorun.exe program
on the CD - or choose Run on the Start menu, type d:\Autorun.exe (where d is the drive letter
of your CD-ROM drive), and then click OK.

To install PaperPort from the Web — After you have downloaded the installation
program to your computer, run the installation program Autorun.exe. Then, follow the
instructions on each screen.

New in PaperPort 11
PaperPort 11 includes a number of valuable new features to help you manage your documents.

Unprecedented Performance
Faster launch, quick folder navigation, bigger folder capacity and faster item display both on the
PaperPort Desktop and in Page Viewer.

Improved OCR Accuracy


PaperPort 11 provides more accurate conversion to text on all scanned and PDF Image
documents including lower resolution images.

How-to-Guides
On first startup the program will offer you a series of illustrated ’mini-guides’ showing typical tasks
and processes, providing quick access to program areas and relevant Help sections. Once
disabled, How-to-Guides can be switched on again in the Help menu.

Improved Scanner Selection


Select the scanner you want to use easily in the Scan pane without the need to run Scanner
Setup Wizard separately.

Scanning directly from scanner buttons


Use your device buttons to scan directly into PaperPort. Assign PaperPort events to scanner
buttons to get this functionality. See the Scan Documents section in the How-to-Guides for
details.

Scanning Profiles
With PaperPort scanning profiles, you can scan different types of documents and images more
easily. The profiles are optimized for the most common scanning tasks: Black and White,
Grayscale and Color Document, or Color Photo.

Customizable Toolbars
You can now set up your PaperPort workspace more comfortably by repositioning or docking
toolbars, and customizing which icons you want to display.

New SET Tools


New SET Tools give you more control over image quality: you can set black and white points for
auto-enhancement.
Closer integration with other Nuance products
If you have ScanSoft® OmniPage® on your system, PaperPort cooperates with it more closely
than ever, providing cutting-edge OCR page recognition services.

Known issues
This section lists known issues in PaperPort 11 SE

Upgrading from PaperPort 9 Professional


After upgrading from PaperPort 9 Professional a printer driver called ‘PaperPort PDF printer
driver’ will remain on your machine. This legacy printer driver will not function.

Installation as a limited user


Installation as a limited user with an administrator account is not supported.
