CHAPTER 1: INTRODUCTION

1.1 General information

Duong Nhat Tien Limited Liability Company (also call DNT Store) was originally
founded in 2012 by Mr. Duong Thanh Sang as founder and developer. Due to the need to
expand the business market, the company have 1 head office at 110 Nam Ky Khoi Nghia
Street, Thang Tam Ward, Vung Tau city and 2 branches one at My Tan Hamlet, My Xuan
Commune, Tan Thanh District, Vung Tau City, one at Quarter 7 - Muong Te District -
Lai Chau Province. And all branches of this company received a positive response from
the community.

Initially, DNT Store was a company specializing in repairing and maintaining computer
components, cameras, and network systems. In 2017, this company took a new step that
was to grow into a limited company specializing in trading and repairing all kinds of
high-end computer components, gaming gear, cameras, construction and installation of
the largest Net-room and only in Vung Tau until now.

DNT Store specializes in providing wholesale and retail all computer components,
cameras, gaming gear, net room construction for all customers nationwide. With very
special services and incentives, DNT Store has been cooperated and developed by many
customers from near and far. Coming to our company, customers can directly experience
many of the technological products available on the market today, always receiving
customers' opinions to increasingly develop and serve customers in the best way.

DNT Store's slogan is: "YOUR CHOICE YOUR SERVICE" with the meaning of choice
and customer service is the first, customer care is the duty of DNT Store.

With these advantages, DNT Store has now become one of the popular stores that
customers always mention when they want to install camera systems or repair computers.
As of September 2018, there are 80 personnel working at GK, including both part-time
and full-time employees.

1.3 Operations
The reason that GK has to split into two branches in three different places first base in
Nam Ky Khoi Nghia street-Vung Tau city, second base in Tan Thanh distric-Vung Tau
city and the last one is in Muong Te District - Lai Chau Province is to satisfy the
customers’ needs in each local market. All branches located are all on crowded roads so
customer can easily see and convenient to go.

CHAPTER 2: TASK DESCRIPTION
On 15th February, I come to Duong Nhat Tien Limited Liability Company (DNT Store)
and meet Mr.Nga-Head of Human Resources Department for the interview for
opportunity to have an internship period in the company. After the interview, he told me
to come to work. On March 17th we come to the company at 7:00AM and Mr.Nga takes
us to visiting Departments, offices and introduce everyone in the company. Once is done,
she took us to our working room. Our working room is a meeting room because is the
company available room. He told that this is where we will work in the next 2 months. I
spent 8 week training in DNT Store and went to the company 5 days a week. My working
time table is dependent on the working time table of the company. My internship poisition
is a Human Resource staff. This job is not simple, but also not too difficult as I though.
And here are some main require I will do in the next two months:

- Find out my mission as a Human Resource at company

- Support recruitment finding candidates according to the recruitment requirements of the


company
- Select the candidates profile, holding interviews
- Collect data and make recruitment reports, analyze recruitment efficiency
- Perform other work in human resources department at the request of superiors
To clarify the following tasks above are:
2.1 Find out my mission as a Human Resource at company
The first task Mr.Nga gave me a details guide on what I need to do when I become an
recruiter:

First, carry out applicant checks. Once I have found a suitable candidate for the position I’ve
advertised, I must make sure that our prospective employee has the right to work in, and
passes any further checks which may be appropriate to their new position – particularly
criminal record checks.

Second, provide a statement of employment. I must send a written statement of employment
to anyone who will be working for our company for a month or more. This document provides
the employee with the conditions of employment, and must be provided within two months of
starting work. Find out more in our guide to employment contracts.

Third, all employees must have a contract of employment. I must provide all employees with
an employment contract which outlines the employee’s rights, responsibilities, and working
conditions. This doesn’t have to be a formal written document, and contains both explicit and
implied terms of employment.

Then, paying for our employees. When I pay for staff, I have to provide each employee with a
payslip which details their gross and net pay, income tax and NICs deducted, and any other
deductions (such as pensions contributions).

2.2 Support recruitment finding candidates according to the recruitment requirements


of the company

Based on the requirements Mr.Nga give us, I and some other interns will help him find
suitable candidates for each position of the company. Here are some of the recruiting
requirements I have read:

- Know our ideal candidates

If we don't know who our ideal candidate or candidate persona is, we will not be able to find
job candidates and attract them. Knowing these people's characteristics, motivation, skills and
preferences is extremely important for finding candidates that are a good fit for our company. 

Defining a candidate persona is a multiple step process and involves planning, but it will help
us find job candidates easier, faster and more efficient.

- Engage our current employees

Use our current employees to understand why do they love working with us. This is a great
way to learn about things that attract them. Use these facts to attract others. our employees are

our best ambassadors, and people trust people more than brands, CEOs and other C-level
executives.

Involving our current employees can not only help us build a strong Employer
Branding strategy and find job candidates faster and easier, but it can also help our employees
feel more engaged and important. 

- Write clear job descriptions

Writing a clear and detailed job description is important to find job candidates with a good fit.
Don’t only list the duties, responsibilities and requirements, but talk about our company’s
culture and employee value proposition.

- Use a Recruitment Marketing tool 

Finding the right job candidate is hard without the right tools. Solutions offered by recruitment
marketing software are various, and with them, we can build innovative recruiting strategies
such as Inbound Recruiting and Candidate Relationship Management to improve Candidate
Experience and encourage Candidate Engagement.

Sending useful, timely and relevant information to the candidates from our talent pool is a
great way of strengthening our employer brand and communicating our employee value
proposition. 

Following these criteria, I will find and select the most suitable candidates for the company
then write the report about them and send to Mr.Nga check it.

2.3 Select the candidates profile, holding interviews

Part of the human resources's task is to select the candidates profiles and prepare the interview
room. The first one is select the candidates profile, after receiving the guidance from Mr. Nga
I was able to draw for myself two tips to make it easy to select candidates:

-Be really clear about what we need from the person we are hiring for this role – in terms of
both behavioral traits and skills. (This will help us filter out what is not important.)

-Identify the best way for our candidates to demonstrate if they have what we are looking
for. (Interviews may not be the best approach for every role.)

So with two easy tips I’ll know how to hire the best candidate, I’ll not only see a more relevant
side of our company candidates. I’ll also give our candidates a far clearer view of what’s
involved in the job and what your business feels like.

And the second thing I do in this task is prepare the interview room. An important
component of job interviews is keeping the candidates calm and at ease – and ready to
show their true selves. And setting is an important factor in establishing this rapport.

These following guidelines I have do for setting up an interview:


Step 1: Choose a setting

Our company organization is casual and collaborative, an open lounge setting, one with
comfortable upholstered seating and no barriers between us, tends to put candidates most at
ease.
This can be a good opportunity to show off our company’s many perks, and to introduce
potential hires to the people they’d be working with.
Step 2: Fine-tune to build rapport
Once I have chosen an ideal environment for the interview, I can fine-tune it to establish open
and honest lines of communication as quickly as possible.
Remove any possible interruptions: I’ll want to keep our interview space free from
interference. This includes removing interruptions from inside our office, but also covering
windows with views to the exterior that might be a tempting distraction.
Add a wall clock: Checking our watch mid-interview gives candidates the sense our mind is
elsewhere or that they’re being rushed. Instead, mount a wall clock in the interview room. Just
make sure it’s behind the candidate where you can see it easily, but they can’t.
Get that just-right size: Our space should be big enough to accommodate everyone
comfortably. Too-small rooms can feel claustrophobic, while overly large rooms can make it
difficult to establish rapport. Best practice suggests using a room with walls no smaller than
two metres in length, and no larger than six metres.
Arrange the chairs properly: To establish rapport (without violating someone’s personal
space), set the chairs 1.2 to 1.5 metres apart. If there are two or more interviewers, fan their
chairs out at equal distances from the candidate’s, but as close to each other as possible, to
make it easy for them to maintain eye contact.
Remove physical barriers: Position the table or desk off to one side, rather than placing it
between I and the candidate (or do away with the table entirely, and hold your notes on a
clipboard). Objects can create a physical barrier that hides body language, which I’ll want to
observe. They also create a psychological barrier that can prevent complete honesty.
Step 3: Consider other essentials
Again, depending on the nature of the role and organization, you may have other
requirements.

Last but not least: keep glasses and a pitcher of water handy.
All of these considerations will ensure that our candidates of company feel comfortable and
calm – which in turn will help us find the ideal person for the job.
