Why Companies need AETMS Application

1. Employee Transport is a very complex job to manage because half of the stakeholders
are reluctant to do their jobs on time.
 Team Managers/Employees not preparing & submitting their schedules
on time. Not an easy thing for an administration exec to email, call and
follow those who have missed submitting the schedules.
Automation sends auto email alerts to those who haven’t submitted
their schedules before cut off time.
 Vendors either assign cabs on call or there is a permanent assigning for
a fixed route/fixed driver/fixed cab even if that cab or driver’s
documents have gone out of compliance as vendors are known to
overuse drivers.
Automation helps assigning of rosters to cabs and drivers under
compliance and even gives a window to reject the duty after
acceptance in case the driver feels sick or is in some emergency or
because of fatigue or late night duty. Since all stakeholders get the
notifications for driver’s cancellation of the roster, there always exists a
buffer time to reassign the duty from pool of cabs in compliance.
 Conflict over cab reaching late on pickup point/Driver marking no
show. This is daily common phenomenon in every employee transport
services.
An Administrative person has to face this complaint on a daily basis,
both coming from driver and employee. Technology here serves as
great tool to check and verify who was at fault. Geo-fencing of 2km of
pickup point sends proximity alerts to employees for cab arrival and
stopping of cab till the buffer time enables the administration to decide
who was at fault for no show or for late pick up.
 Employee cancellation is a cost to the company because it challenges
cab utility if not reported and checked prior to the trip.
In AETMS employee can directly cancel the trip which will send
notification to the administration. Let’s say there is a 6 seater cab and 4
employees had to travel excluding the driver. In case 1 employee
cancels his trip, administration can quickly align with vendor for 4
seater cab and can bring down the cost for the day.
 In the absence of automation, companies find it very difficult to
manage and keep record of compliance violation.
With Automation all compliance violation reports can work as a basis
for performance review with the vendors.
 Manual Billing is a total obsolete idea in transport industry.
Billing automation serves a great deal in Employee Transport Services
and especially in Adhoc or SPOT rental. Saves paper, authentic n non
manipulated data of actual KMs travelled, can club penalty applicable
for non compliance, clubs toll taxes automatically once fed into the
system.
 Digitization of data
Digitization enables the user to generate multiple reports in quick time
which can be anything from over-speeding, No Show, OTA-OTD, Cab
Occupancy, cost allocation to the department.
 Real time data
Every data in TMS is sent and received on a real time basis.
 Employee Safety
Employee and driver both have an option of pressing panic button in
the app itself in case of emergencies to generate alerts at the central
security team to take action.
 Optimization
The reports of cab occupancy will enable administration to analyse and
re-plan on type of cabs to be used. If there is a persistent report of less
occupancy in a 6 seater cab barring no show report; that means a 4
seater cab is required and 6 seater cab needs to be eliminated or
realigned in other routes. This saves cost.

In short Employee Transport is a very vital function but a nonproductive one in an


organization. Any organization providing employee transport, there exists a team of at least
3-20 per site depending upon shifts, route and employees people, managing the whole fleet
operation in the absence of automation. Automation simplifies the process, shortens the
time, optimizes routes, maximizes cab occupancy and utilization, and brings efficiency and
accountability in all stakeholders.
