2 Analysis of existing system

The current existing system for task assignment and monitoring at HIT is manual that it is not able to
electronically assign work to the employees through facilities such as the android mobile app and web
applications. The monitoring system used by the supervisor is also manual in the sense that the
supervisor need to walk around assessing each and every worker.

The existing system uses biometric fingerprint scanner for workers to clock in and out of work. This
technique is relatively effective but not 100 percent since it prevents workers to sign in for their peer
workers whilst they are not yet at work hence this leads to effective and easy to monitor attendance.
The system is effective on measuring worker performance using time based method. After clocking in
the worker attend to already daily known activities then after working hours are over the worker clock
out at the admission block.

Workers need to be registered manually by the supervisor in order to use the biometric scanner for the
purposes of clocking in and out. Worker’s information is then stored in a database where assessment
and analysis will be made concerning attendance.

Furthermore, the existing system being used does not allow clients or the users of the service being
delivered to interact with the system whereby they report and comment if the work is being done well
or not at all.

Strengths of the current system

1) Human interference in monitoring which gives room for the consideration of various aspects
such as emotions and assessment of secluded places such as rest rooms

2) The system is effective on measuring worker performance using time based method.

3) Requires less knowledge

Weaknesses of the current system

1) Involves much more work for the supervisor as they need to walk around assessing each and
every worker.

2) Poor interface and platform for the complainants (students) to report to the supervisors in case
work has not been properly done by the general workers for instance base room not been
cleaned.

3) Poor monitoring of work since the current system is unable to pick up areas in which work has
been poorly done by itself.

4) The system in use does not provide a ready connection between the supervisors of the ancillary
workers and their clients (student’s users of the class rooms as well as lecturers).

5) The flow of information is one way. workers only need to receive tasks and wait for the updates
to be sent to them without any room to inquire through the same platform
6) Difficulties are faced when assigning unexpected tasks since there is one-way communication
