5.4.2 Proactive Work

A. Definition:

Proactive work is the sum of all maintenance work that is completed to avoid failures or to
identify defects that could lead to failures (failure finding). It includes routine preventive and
predictive maintenance activities and work tasks identified from them.

B. Objectives

This metric enables one to measure and monitor the amount of work that is being done in order
to anticipate and prevent failures, or to identify defects that could lead to failures (failure
finding). The amount of proactive work should be high to maximize the benefits of avoiding
failures.

C. Formula:

Proactive Work (%) = [(Work completed on Preventive Maintenance Work Orders,

Predictive Maintenance Work Orders, and Corrective Work
Identified from PM or PdM including equipment inspections when
identified by specific work orders (in actual hours)) / (Total Work in
actual hours)] x 100

D. Component Definitions

Preventive Maintenance An equipment maintenance strategy based on replacing,

(PM) overhauling or remanufacturing an item at a fixed
interval, regardless of its condition at the time.
Scheduled Restoration tasks and Scheduled Discard
tasks are examples of Preventive Maintenance tasks.
Predictive Maintenance An equipment maintenance strategy based on measuring
(PdM) the condition of equipment in order to assess whether it
will fail during some future period, and then taking
appropriate action to avoid the consequences of that
failure. The condition of equipment could be measured
using condition monitoring, statistical process control,
equipment performance, or through the use of the
human senses. The terms Condition Based Maintenance,
On-Condition Maintenance and Predictive Maintenance
can be used interchangeably.

Corrective Work Identified Work done to restore the function of an asset before
by PM and PdM’s failure that was been identified by a PM or PdM task.

5.4.2 Proactive Work

Failure The inability of an asset to perform its required function.
This excludes proactive repairs.
.
Total Work Sum of all the maintenance work done (excluding
capital work). It includes maintenance labor hours for all
crews (i.e., operations, maintenance, engineering, etc.)
for normal operating times as well as
outages/shutdowns/turnarounds.

E. Qualification:

a) Time Basis: Monthly, could be measured Weekly

b) Indicator type: Leading to equipment reliability
c) To be used by: Maintenance managers, operations managers and maintenance
supervisors to understand how much time is being spent on activities
meant to avoid failures.
d) High levels of proactive work coupled with a low rate of failures can indicate the
operation and maintenance processes are being managed well
e) The calculation could be based on a count of Work Orders or Work Order tasks /
operations. This would not be as accurate a measure.
f) Work spent developing PM & PdM maintenance procedures, proactive improvement
measures, RCM and RCFA should be captured to the extend possible.

F. Sample Calculation:

A maintenance organization completes 90 Work Orders in the month for all work types and
priorities. The total actual hours on those Work Orders is 1000 hours.
Of the 90 Work Orders completed in the month:
8 Work Orders for a total 100 hours were on Preventive Maintenance
16 Work Orders for a total 160 hours were on Predictive Maintenance
10 Work Orders for a total of 140 hours were to correct problems identified by
preventative or predictive tasks

Proactive Work (%) = [(Work completed on Preventive Maintenance Orders + Predictive

Maintenance Orders + Corrective Work Identified for PM or PdM
and inspections in actual hours)) / (Total Work in actual hours)] x
100

Proactive Work (%) = [(100+160+140) hours / 1000 Total hours] x 100

(Hours Based) = [400 hours / 1000 Total hours] x 100 = 40%

or

Proactive Work (%) = [(8 + 16 + 10) Work Orders / 90 Total Work Orders] x 100
(Work Orders Based) = [24 Work Orders / 90 Total Work Orders] x 100 = 38%
