2 Maintenance plan proposal

The following maintenance plan is a proposal. The customer must make their own
maintenance plan which takes into account local requirements (traffic rate, reconfiguration
rate etc.). The Maintenance plan depends on the size of the system, how many
reconfigurations made by maintenance, operational requirements and the local requirement
for backups.

It is recommended that the database export and IMAGE are performed in a period of the day
where system-load is at its minimum.

3 Database Backup
NOTE: The procedure below is describing a file backup of the database to a cabinet file. The
procedure of creating an export of the database will make a dump of the database user
tables.

3.1 Backup data by doing a database export

By completing this export step you will have a complete copy of the configuration data in the
GAREX DB database. This can be done while the VCMS Main Server is fully operational.
This enables you to completely restore the GAREX 220 system configuration to the state it
was in when the export was made.

1 Log in as Administrator.
2 Verify that there is at least 15% free space on the “Local Disk (D:)”:
Start -> Run -> diskmgmt.msc <OK>, read “% Free”.
3 Start -> Programs -> GAP_Backup -> export_database.bat, double-click
”export_database.bat”. This will create a database backup called “Backup_Exp.cab”,
located under d:\temp. A database export typically takes 10 minutes to complete.
4 Verify the export file; open the d:\temp\Backup_Exp.cab file after the export is finished.
The WinRAR utility is used to open this file. The last line of Temp\Exp.log file shall be:
“Export terminated successfully without warnings.” If an error message is displayed,
repeat the database export.
5 The file d:\temp\Backup_Exp.cab shall be moved (i.e. copied and then deleted) to a
backup medium through the LAN connection, by copying the file to a memory stick or by
recording it to a CD-ROM.

3.2 Backup of other files

3.2.1 Backup PCT and the statistics backup files (optional)
Compress/archive the d:\pct-folder (incl. files and subfolders) and the files in the
d:\stat\LastWeeks-folder. Use the supplied WinRAR utility (Start -> Programs -> WinRAR).

3.2.2 Export statistics

To export statistics, double-click on d:\Stat\Script\expstat.bat. The result of the export will be
found in: d:/Stat/LastWeeks/statexp-WW-YYYY (week-year). You can also go to Start ->
Settings -> Control Panel -> Scheduled Tasks and create an automatic task of the
expstat.bat. This task should then be run weekly since the file name automatically will be
saved with the week number.

3.3 Recording the Backup to a CD/DVD-R Disk

The backup cabinet file created in the previous chapter should now be stored on a backup
media. This procedure describes how to record to it to a CD/DVD-R disk. NERO CD/DVD-
Writer is used to manually to put the backup cabinet file to a CD/DVD.

NOTE: You have to complete the procedure in chapter “Copying Database Files to the
Backup Cabinet File” before recording to a CD/DVD-R.

NOTE: The “NERO” CD/DVD-Writer program is only available in the Administrator Desktop
and is presented as an icon marked “Nero StartSmart”.

4.1.1 Restore data by doing a database import

An existing working database, in the target computer, is needed for the import. The data
could be outdated, but GAREX 220 VCMS Server Software Modules must be installed.

1 At all VCMS Engineering Positions, close the applications “GAP” and “DGD”.
2 At VCMS Server, insert the backup medium, typically a CD-ROM or a memory stick.
3 Verify that there is at least 15% free space on the “Local Disk (D:)”:
Start -> Run -> diskmgmt.msc <OK>, read “% Free”.
4 Copy the file backup_Exp.cab from the backup medium to the folder d:\temp.
5 Stop gap_pec:
a. Start -> Administrative Tools -> Services.
b. Select gap_pec. Press Action, Stop.
6 Repeat b) for the services SNMP Service and OracleOraHome81Agent.

4.1.2 If restore fails

The most likely reason why the import fails is insufficient disk space. In case of insufficient
disk space during import, free disk space and retry the import. To release disk space, it is
recommended to empty the “Recycle bin” and to copy out and delete old files named *.cab.

Another reason for failing is that GAP_PEC, or a client application, is left running during
import.

Caution: Be aware that the file d:\temp\Backup_Org.cab is overwritten during import.

Rename the file as described in the following step-by-step procedure!

1 Rename Backup_Org.cab:
a. In Explorer, locate the file d:\temp\Backup_Org.cab
b. Right-click it and select “Rename”
c. Call it “Backup_Org<current date>.cab”
2 Repeat all steps in chapter 4.1.1.
3 If import still fails, restore the database to its original state:
a. In Explorer, locate the file d:\temp\Backup_Org<current date>.cab
b. Right-click it and select “Rename”
c. Call it “Backup.cab”
d. Do step 4 to 8 from chapter 4.1.1
4 Call next support level to start investigation of the root-cause of the unsuccessful import.

4.2 Restore of other files

4.2.1 Restore PCT and the statistics backup files (optional)
Restore the d:\pct folder (incl. files and subfolders) and the files in the d:\stat\LastWeeks-
folder, from a backup medium. Use the supplied WinRAR utility.

4.2.2 Import statistics

To import the statistics, go to d:\Stat\LastWeeks and locate the statexp-WW-YYYY.rar file
that you want to import. Left click on the wanted rar-file and drag and drop the file on
d:\Stat\Script\impstat.bat. The import will start.

5 Creating an Image
NOTE: On your “GAREX BOOT CD” you will find these batch files:

ImageCD.BAT: to make an image of 2 partitions (C:\ and D:\) of the hard disk, and divide the
image files into approximately 600MB each –or
Image3CD.BAT: to make an image of 3 partitions – used if the hard disk is configured with a
diagnostic partition.

Use ImageCD.BAT to make an Image of C: and D (when no diagnostic partition):

1 Boot the TERMINAL with the “Garex Boot CD” (or CD equivalent) inserted in the DVD
drive.

2 The prompt will show A:\>. At the prompt change to the correct disk F:\>

3 To create an Image: Type the name of your desired batch file (E.g. “ImageCD”) and then
press [Enter]. This command starts Norton Ghost and an image file creation is started
automatically. The process takes about 20 minutes depending on the hardware platform
and the size of the partitions.

4 When Norton Ghost exits, you can reboot the Terminal by pressing [Ctrl], [Alt] and
[Delete] at the same time. Remember to remove the “GAREX BOOT CD” first.

5 When the server is running and you have logged in, you will find the new image on the E
partition. To burn the image with Nero on a DVD or CD you have to be logged in as
Administrator. The first image file will have the name “image.gho”, the second image file
“image.001” and so on.

6 Restoring an Image DVD set

This chapter describes how to set up a VCMS SERVER from an image set. It would be the
appropriate action if you are going to configure a totally new VCMS SERVER or the hard
drive of an existing VCMS SERVER has crashed.

NOTE: If the system has failed for any other reason than hard disk trouble, the information
on the hard drive is probably just fine. Therefore, you should be able to repair the system
without restoring any programs or data.

NOTE: To recreate an image after a HW crash the Windows server licence should be
reactivated.

6.1 When to use the Image DVD or CD Set

In case of a system crash you need an image. You can restore the whole hard drive from an
Image DVD or CD set, as described in the chapter below. This should be an easy process,
and it should work fine if the hard drive has been replaced due to malfunction. If, on
other hand, the motherboard on the VCMS SERVER has been replaced, the image may not
work and you will need to contact Park Air Systems.

6.2 Installing from an Image DVD or CD Set

The first step to restore the systems hard disk data is to replace the hard disk with the same
size or larger. Reboot the system with the “Garex boot CD/DVD”, or equivalent. The VCMS
SERVER allows you to boot from the CD/DVD-ROM automatically and you will have the A:\
prompt without selecting from the boot menu.

After a little while the command prompt will be displayed.

User input: Switch to the DVD drive by typing “f:” followed by [Enter].
User input: Type “ghost” and then press [Enter] to start Norton Ghost.
The Norton Ghost welcome message will be displayed.

User input: Press [Enter] to dismiss the Norton Ghost welcome message.
User input: Select the menu item Local / Disk / From Image:

(Note that the values in this figure may not be correct)

The column “Old size” contains the original partition sizes in the image. These values are
static and they may differ from the suggested sizes in column “New size”. If so, you will have
to edit the values in the “New size” column so that it matched the values in column “Old size:

User input: Enter the “Old Size” value of partition 1 (in column “New size”), press [Tab],
enter the “Old Size” value of partition 2 (in column “New size”) and then press [Tab] again to
highlight the “OK’ button. Then press [Enter].
If not:
User input: Press [Tab] twice to highlight the “OK” button. Then press [Enter] to move on.
A warning pops up and asks you confirm that you are ready to start the process.

User input: Press [Tab] to highlight the “Yes” button. Then press [Enter] to proceed.

If you are restoring from a DVD set , you will have to swap discs now and then during the
restore process. The following message appears:

Norton Ghost needs the next DVD in the DVD set.

8 Routine maintenance procedures

8.1 GAREX DB cleanup/checks

To keep the VCMS server operative day after day, technical personnel should check these
database procedures on a routine basis.

8.1.1 Checking the automatic cleanup jobs

A number of automatic “cleanup jobs” are configured in GAREX DB. The cleanup jobs are
started automatically on predefined time intervals. The “cleanup jobs” will delete database
records older than a predefined number of days. The most important tables to clean are the
diagnostic, error and statistic tables.

To check if the automatic cleanup job is running, log in as Administrator and double-click on
the icon shown below. The program behind the icon will show a DOS window with all the
scheduled jobs listed with name, configuration and next time to run.

To verify that the jobs are running, double-click again and see if the next date to run is
changed from the first time. The result is seen on the next page.

Note:
1 Check that next_date > sysdate for all jobs to verify that the cleanup
jobs are running as expected. If the time interval is not changed, you
have to restart the server!!
2 Check that there are no duplicates of the jobs in the list (each job
should only be printed once).

If the server is restarted, log in to the GAP, but wait at least one
minute before the scheduled jobs scripts are run again!

Just close the window with a click on the upper right corner cross when finished checking the
“JOB NEXT_DATE” time.

8.1.2 Restart automatic cleanup jobs

In Explorer, double-click the shortcut d:\garexdb\script\scheduledbjobs.

8.2 Cleaning up Active database transactions

Sometimes, however very seldom, the transactions from GAP to the switch are stuck in the
temporary transaction table in the database. The practical problem in this situation is that the
GAP user cannot change the menu he was working with before the Active transactions have
been deleted.

Normally the Active transactions are “timing out” and are removed by the gap_pec program
and sometimes it is enough to remove them from the GAP Diagnostics Reconfiguration
Log Technical transaction control menu. But, in some cases it is necessary to remove
them by using SQLPlus commands.

The procedure is as follows:

1 Log in as Administrator and start the SQLPlus program by clicking on the SQLPLus icon

2 Log in as the GAP super user in the window that pops up

4 Enter the command “commit;” to save the changes in the database as shown in the same

8.3 Other SQLPlus commands for manual cleanup of database

The Oracle database consists of six data table spaces. Five of them are standard from the
Oracle installation process. One (GAP_DBT) is created by GAREX consists of a lot of
tables. Some of them keep the history of the diagnostic messages, error messages and
statistic messages. These tables are growing all the time and are normally controlled by the
automatic cleanup jobs running in the database.

However, if for some reason the automatic cleanup jobs have stopped and the tables are
growing out of its limits, we can control, prune or delete the content in these tables manually.
Normally these tables contain about 5000 messages, but if we count 30-50000 messages
the database gets slow and unmanageable you may do the procedures below.

1 Log in as Windows Administrator and start the SQLPlus program by clicking on the
SQLPlus icon.

2 Log in as the database administrator.

3 Run the command “select count(*) from <table>”, depending on which table you want to
control.

Note! The commands in this window are just examples!

4 The names of the diagnostic tables are gap_fu_diagnoses and gap_fu_error.

If you delete the gap_fu_diagnoses table all the diagnostic messages in GAP diagnostic
messages menu will disappear, but the table itself is unaffected and ready to receive new
messages.

5 To delete(prune) statistic tables you must select to delete from the table names; stat_alr,
stat_eqlog, stat_rclr or stat_slr.

6 If you only want to delete a part of e.g. the gap_fu_diagnoses table, you must give a
special selection command that will sort messages by message_text (which is a column
in the table gap_fu_diagnoses). See below:

SQL> select count(*) from gap_fu_diagnoses where

MESSAGE_TEXT like ‘%DSP%’;

COUNT(*)
3488

SQL> delete from gap_fu_diagnoses where MESSAGE_TEXT like

‘%DSP%’;
3488 rows deleted

SQL> commit;
Commit complete

SQL> exit

NOTE! As you can see from the commands above, you only replace delete command with
select command if you want to delete every message caused by a DSP in the
system. Note that every command statement is ended with a ; mark.

7 If the database tables are growing out of their limits and reach more than 30,000 records,
you may have to use a special delete command called truncate or delete the table using
“restrictions” such as date limits. To delete tables using the truncate command and
restrictions, see example below:

SQL> truncate table gap_fu_diagnoses;

Table truncated

SQL>delete from gap_fu_diagnoses where

message_date<to_date(‘20031126’,’YYYYMMDD’);

35678 rows deleted

SQL> commit;
Commit complete

SQL>exit

8.4 Change passwords

This chapter describes how to change passwords at VCMS Main Server, VCMS Standby
Server.

Park Air Systems recommend that maintenance applications (GAP_FEC or DGD) use fixed
passwords, i.e. the default passwords are left unchanged.

There are no connections between Windows user passwords and maintenance application
(f.ex GAP_FEC or DGD) passwords. This means that application security is achived through
the Windows user password.

Note: All Windows user accounts in VCMS (Administrator, u1u1 and

cwpman) are member of the group “Administrators”. This implies
that there are no limitation in permissions for these users.

8.5 Change computer name in the cwplist.txt for standard positions

This procedure is only applicable for systems having Ethernet connected CWP’s. This
procedure shall be used when a CWP is replaced with spare CWP, or a new CWP is added
to the system.

To change or add a computer name in the cwplist.txt, do the following:

1 On the server, open the folder D:/pct/current/standard

2 Open the file cwplist.txt
3 Add the new computer name in the cwplist.txt

4 Save changes in Notepad.

5 Go to Administrative tools and DHCP.

6 Go to scope and Address Leases. Press F5 to refresh the window. The new PCU should
be visible after some minutes in the address leases list, if it is connected. If the PCU is
not appearing, reset the PCU and press F5 again.
7 New configuration files may need to be downloaded to the PCU. To download the
configuration files you have to log in as cwpman on the server or client and run the PCT
tool.
