1 Introduction
1.1 Scope
This document is created for technical personnel to maintain the VCMS (Voice
Communication Management System) Server, which is used to control and maintain the
GAREX 220 switch. The BACKUP and RECOVERY of database and IMAGE of VCMS
chapters are emphasized in this document.
NOTE: NO BACKUP – NO RECOVERY.
Regarding maintenance of the rest of the system, like the Central Equipment and Positions,
please look up [2] in chapter 1.3.
Caution!
The procedures described in this document are mandatory.
Otherwise system availability may be violated.
1.2 Purpose
The purpose of this document is to
• Describe necessary maintenance tasks for GAREX 220 VCMS
• Propose a maintenance plan for the GAREX 220 VCMS
The document describes how the tasks are performed and propose a plan for when they
shall be performed.
1.4 Prerequisites
• Basic knowledge of Microsoft Windows administration
• Knowledge about GAREX 220 at same level as given in GAREX 220 Maintenance
training
It is recommended that the database export and IMAGE are performed in a period of the day
where system-load is at its minimum.
3 Database Backup
NOTE: The procedure below is describing a file backup of the database to a cabinet file. The
procedure of creating an export of the database will make a dump of the database user
tables.
1 Log in as Administrator.
2 Verify that there is at least 15% free space on the “Local Disk (D:)”:
Start -> Run -> diskmgmt.msc <OK>, read “% Free”.
3 Start -> Programs -> GAP_Backup -> export_database.bat, double-click
”export_database.bat”. This will create a database backup called “Backup_Exp.cab”,
located under d:\temp. A database export typically takes 10 minutes to complete.
4 Verify the export file; open the d:\temp\Backup_Exp.cab file after the export is finished.
The WinRAR utility is used to open this file. The last line of Temp\Exp.log file shall be:
“Export terminated successfully without warnings.” If an error message is displayed,
repeat the database export.
5 The file d:\temp\Backup_Exp.cab shall be moved (i.e. copied and then deleted) to a
backup medium through the LAN connection, by copying the file to a memory stick or by
recording it to a CD-ROM.
NOTE: You have to complete the procedure in chapter “Copying Database Files to the
Backup Cabinet File” before recording to a CD/DVD-R.
NOTE: The “NERO” CD/DVD-Writer program is only available in the Administrator Desktop
and is presented as an icon marked “Nero StartSmart”.
User input: Double-click on the “Nero StartSmart” icon to start the CD/DVD-Writer program.
User input: Select the Location D:\temp. Double-click the file “Backup_Org.cab” or press
the “open” button.
User input: Press the red Burn button (The red button will change to “cancel” as soon as the
burn process has started).
The Nero program is now erasing, and burning new data on the DVD and will complete with
the message below.
Note!
Mark the CDs
with date of
backup, for easy
access to the
latest backup.
Remove the CD/DVD-R disk from the CD/DVD Writer tray. Please remember to label the
disk appropriately. Include a description of the content, the backup date and any additional
information that will be useful for other users. E.g. what major configuration changes that was
made prior to the backup.
4 Database restore
You have to be logged in as “Administrator” to complete the procedures in this chapter.
Therefore, if the “u1” user is currently logged in, please log off first.
User input: Select Start -> Shut down…. Then select “Log off u1” from the drop down list
and click the “OK” button.
User input: In the login window, enter “Administrator” and the current administrator
password.
User input: Select Start -> Shut down. Then select “Log off <current user>” from the drop
down list and click the “OK” button. After a few seconds the log in window pops up.
User input: In the login window, log in as “Administrator” and type the current administrator
password.
1 At all VCMS Engineering Positions, close the applications “GAP” and “DGD”.
2 At VCMS Server, insert the backup medium, typically a CD-ROM or a memory stick.
3 Verify that there is at least 15% free space on the “Local Disk (D:)”:
Start -> Run -> diskmgmt.msc <OK>, read “% Free”.
4 Copy the file backup_Exp.cab from the backup medium to the folder d:\temp.
5 Stop gap_pec:
a. Start -> Administrative Tools -> Services.
b. Select gap_pec. Press Action, Stop.
6 Repeat b) for the services SNMP Service and OracleOraHome81Agent.
7 Start the import: Start -> Programs -> GAP_Backup -> import_database.bat,
double-click “import_database.bat”. A window is opened and the import starts.
A database import typically takes 20 minutes to complete.
8 As a part of the import, the database objects are verified. If the import is successful,
“Restore Successful” is displayed. Otherwise, go to chapter 4.1.2.
9 Start gap_pec:
a. In the window “Computer Management” that was opened in step 5, right-click the
service “gap_pec” and select “Start”.
b. Right-click the service “gap_pec”, SNMP.
- OracleOraHome81Agent and select “Start”.
10 Close the “Computer Management” window.
11 At VCMS Engineering Positions, the applications “GAP” and “DGD” may be started.
Another reason for failing is that GAP_PEC, or a client application, is left running during
import.
1 Rename Backup_Org.cab:
a. In Explorer, locate the file d:\temp\Backup_Org.cab
b. Right-click it and select “Rename”
c. Call it “Backup_Org<current date>.cab”
2 Repeat all steps in chapter 4.1.1.
3 If import still fails, restore the database to its original state:
a. In Explorer, locate the file d:\temp\Backup_Org<current date>.cab
b. Right-click it and select “Rename”
c. Call it “Backup.cab”
d. Do step 4 to 8 from chapter 4.1.1
4 Call next support level to start investigation of the root-cause of the unsuccessful import.
5 Creating an Image
NOTE: On your “GAREX BOOT CD” you will find these batch files:
ImageCD.BAT: to make an image of 2 partitions (C:\ and D:\) of the hard disk, and divide the
image files into approximately 600MB each –or
Image3CD.BAT: to make an image of 3 partitions – used if the hard disk is configured with a
diagnostic partition.
1 Boot the TERMINAL with the “Garex Boot CD” (or CD equivalent) inserted in the DVD
drive.
2 The prompt will show A:\>. At the prompt change to the correct disk F:\>
3 To create an Image: Type the name of your desired batch file (E.g. “ImageCD”) and then
press [Enter]. This command starts Norton Ghost and an image file creation is started
automatically. The process takes about 20 minutes depending on the hardware platform
and the size of the partitions.
4 When Norton Ghost exits, you can reboot the Terminal by pressing [Ctrl], [Alt] and
[Delete] at the same time. Remember to remove the “GAREX BOOT CD” first.
5 When the server is running and you have logged in, you will find the new image on the E
partition. To burn the image with Nero on a DVD or CD you have to be logged in as
Administrator. The first image file will have the name “image.gho”, the second image file
“image.001” and so on.
NOTE: If the system has failed for any other reason than hard disk trouble, the information
on the hard drive is probably just fine. Therefore, you should be able to repair the system
without restoring any programs or data.
NOTE: To recreate an image after a HW crash the Windows server licence should be
reactivated.
User input: Switch to the DVD drive by typing “f:” followed by [Enter].
User input: Type “ghost” and then press [Enter] to start Norton Ghost.
The Norton Ghost welcome message will be displayed.
User input: Press [Enter] to dismiss the Norton Ghost welcome message.
User input: Select the menu item Local / Disk / From Image:
User input: Press [Enter] to select the only Ghost image file in the list (“IMAGE.GHO”).
The next window shows the physical disk drives in the SERVER. Usually there is just one
drive in the system as illustrated in the picture below.
The column “Old size” contains the original partition sizes in the image. These values are
static and they may differ from the suggested sizes in column “New size”. If so, you will have
to edit the values in the “New size” column so that it matched the values in column “Old size:
User input: Enter the “Old Size” value of partition 1 (in column “New size”), press [Tab],
enter the “Old Size” value of partition 2 (in column “New size”) and then press [Tab] again to
highlight the “OK’ button. Then press [Enter].
If not:
User input: Press [Tab] twice to highlight the “OK” button. Then press [Enter] to move on.
A warning pops up and asks you confirm that you are ready to start the process.
User input: Press [Tab] to highlight the “Yes” button. Then press [Enter] to proceed.
If you are restoring from a DVD set , you will have to swap discs now and then during the
restore process. The following message appears:
If there are two DVDs in the set, replace the DVD in the DVD drive with the next image DVD
(Image DVD #2).
User input: Then press [Enter] again.
The copy process will probably go on for a few more minutes.
When the whole copy process is finished, the following message will appear:
7 Disk Management
Log in as Administrator. Open the “Computer Management” tool.
User input: On the “Start” menu, select Administrative Tools -> Computer Management.
When the management tools come up, select “Disk Management”.
On the right hand side of the window, you can see the logical status panel on top and the
physical location of the partitions in the bottom. Note that the partitions for the CD/DVD-
ROM/WRITER are displayed only when there’s a CD/DVD mounted (In the figure above you
can see that there’s no CD/DVD in the CD/DVD-ROM).
All the following operations are done in the lower right pane of the window. See picture
above.
User input: Locate the “Disk 0” bar. On the far right you should find a number of GB of
“Unallocated” space. Right click this unallocated space and select “New partition” from the
menu.
User input: Check “Primary partition” and click the “Next” button.
User input: To allocate the needed amount of space to the disc, type in the partition size.
For E: it’s about 20-30GB (the minimum needed space is 5GB).
User input: If the wizard suggests drive letter E, click “Next”. If it says something else, click
the drop down menu, and select E, if possible. If not, you’ll have to set the drive letters by
right clicking on the actual partitions (at the “Disk 0 bar”) to change and edit the drive letters.
User input: Select “FAT32” from the “File system” drop down list, type “IMAGE” as the
“Volume label” and then click the “Next” button.
Check: File System MUST be FAT32 to be recognizable when Norton Ghost is making an
image.
Wait until the format of the partition is finished. The progress will appear in the “Image Disk
window”. Exit the Disk management menu and reboot the system.
To check if the automatic cleanup job is running, log in as Administrator and double-click on
the icon shown below. The program behind the icon will show a DOS window with all the
scheduled jobs listed with name, configuration and next time to run.
To verify that the jobs are running, double-click again and see if the next date to run is
changed from the first time. The result is seen on the next page.
Note:
1 Check that next_date > sysdate for all jobs to verify that the cleanup
jobs are running as expected. If the time interval is not changed, you
have to restart the server!!
2 Check that there are no duplicates of the jobs in the list (each job
should only be printed once).
If the server is restarted, log in to the GAP, but wait at least one
minute before the scheduled jobs scripts are run again!
Just close the window with a click on the upper right corner cross when finished checking the
“JOB NEXT_DATE” time.
Normally the Active transactions are “timing out” and are removed by the gap_pec program
and sometimes it is enough to remove them from the GAP Diagnostics Reconfiguration
Log Technical transaction control menu. But, in some cases it is necessary to remove
them by using SQLPlus commands.
4 Enter the command “commit;” to save the changes in the database as shown in the same
example
However, if for some reason the automatic cleanup jobs have stopped and the tables are
growing out of its limits, we can control, prune or delete the content in these tables manually.
Normally these tables contain about 5000 messages, but if we count 30-50000 messages
the database gets slow and unmanageable you may do the procedures below.
1 Log in as Windows Administrator and start the SQLPlus program by clicking on the
SQLPlus icon.
3 Run the command “select count(*) from <table>”, depending on which table you want to
control.
5 To delete(prune) statistic tables you must select to delete from the table names; stat_alr,
stat_eqlog, stat_rclr or stat_slr.
6 If you only want to delete a part of e.g. the gap_fu_diagnoses table, you must give a
special selection command that will sort messages by message_text (which is a column
in the table gap_fu_diagnoses). See below:

NOTE! As you can see from the commands above, you only replace delete command with
select command if you want to delete every message caused by a DSP in the
system. Note that every command statement is ended with a ; mark.
7 If the database tables are growing out of their limits and reach more than 30,000 records,
you may have to use a special delete command called truncate or delete the table using
“restrictions” such as date limits. To delete tables using the truncate command and
restrictions, see example below:

Park Air Systems recommend that maintenance applications (GAP_FEC or DGD) use fixed
passwords, i.e. the default passwords are left unchanged.
There are no connections between Windows user passwords and maintenance application
(f.ex GAP_FEC or DGD) passwords. This means that application security is achived through
the Windows user password.
8.4.1.2 User u1
1 Select Start -> Shutdown... ->
2 What do you want the computer to do? Select Log off <current user>
3 If you are user u1, press Cancel and go to step 8, otherwise press OK
4 Wait until all applications are closed and the window “Welcome to Windows” is visible.
5 Press <Ctrl-Alt-Del> to begin
6 Username: u1
7 Password: <current u1 password>
8 Press <Ctrl-Alt-Del>
9 Select "Change Password..."
10 Old Password: <current password>
11 New Password: <new password>
12 Confirm New Password: <new password>
13 You will see a message “Your password has been changed”.
14 Press OK.
6 Go to scope and Address Leases. Press F5 to refresh the window. The new PCU should
be visible after some minutes in the address leases list, if it is connected. If the PCU is
not appearing, reset the PCU and press F5 again.
7 New configuration files may need to be downloaded to the PCU. To download the
configuration files you have to log in as cwpman on the server or client and run the PCT
tool.
