Executive Summary

Introduction
This is a proposal prepared to interest Banks and Microfinance Institutions in deploying the C-Pay Credit
Management System. The C-Pay CMS, is a state of the art, modular based software that manages the entire
process of providing credit lines by money lending institutions.

The Solution.
The Escrow Loan Management System provides the tools and information to manage and monitor all lending
processes throughout the entire business. The System assigns each task by category, by role and allows
management to oversee the process, measuring quality and productivity. C-Pay CMS is a flexible solution that
allows processes to observe the preferred workflow from loan origination, through the approval process flow to
disbursement.

Apart from loan processing, the system also accommodates a payment management solution that puts at ease,
internal payment processes turning it into a swift, secure and paperless environment with detailed reports and
audit trails. The system further supports a multi-channel service delivery strategy which will adequately serve
existing and future customers better. Escrow’s proposed solution, the C-Pay Credit Management System is
capable of:-
 Seamlessly integrating with other existing systems within the organisation
 Handling complex computations following simple guided steps on the user manual provided
 Generating reports and producing financial statements
The Loan Management System is designed in a modular form, this allows it to accommodate new services or
repackaging of existing services and products without any compromise on systems security and other risks that
the business may identify from time to time.

About Us
Escrow Systems is the Technical Partner of Zimbabwe Association of Microfinance Institutions
(ZAMFIs) as at May 2016. The Partnership enables the deployment and support of a Credit Management System
to all ZAMFI members who may be either on manual systems and wish to automate their operations, or are
currently using a system that does not quite meet their specific needs and therefore wish to migrate to a more
suitable one on special discounted license fees.

1. Loans Origination (i) Quotation Management


 Generation of probable loan statements across various lines of the business
from Individual, Groups and SMEs
 Auto generation of loan contracts, debt acknowledgements and warranties.
 Electronic transfer of loan statements via email, text, etc.
(ii) Loan Registration and Processing.
 Capturing and printing of loan statements with functionality to track loans
per branch, per Customer ID and per Loan ID or type etc.
 Authorizing override or changing of interest rate as required.
 Tracking of applications from various loan officers and allow disbursements
at branch level giving all the necessary reports required to track loan
application and balance usage.
 Electronic file upload and transmission.
 Calculation of interest rates using Simple interest and Reducing balance
method or as required.
 Tracking and monitoring maturity dates and sending alerts for late
declarations.
(iii) Disbursements
 Once the loan cycle is complete the system is capable of sending
disbursement instructions to the disbursement officer. It also has the ability
to interface with mobile money platforms.

 Maintenance of historical data. The C-Pay Credit management System does
not over write any information on the system. Any changes done are
traceable and auditable.
 Defined search and analysis of applications and repayments.
 Portfolio performance statistics and historical analysis.
 Issues loan renewal prompts, alerts, notices, renewal reminders, renewal
endorsement for each portfolio of business.
 Factoring debt collection charges to defaulters.
3. Loan Repayments  Robust and flexible loan repayment computation process that takes care of

Option Two; Cloud Hosting


This option entails Escrow Systems providing hosting services for the client. The system will be hosted on
the Escrow Cloud Server and access granted to System User/Client.

Support Procedures
Escrow Systems follows properly laid down support procedures as an after-sales value added service to all its
clients as follows;

Priority support is provided via web based support functions. We offer online, email and voice support. We have
a web based trouble ticket system that enables efficient tracking and management of support issues. Further,
our exclusive online chat platform enables real time live communication between clients and our technical
support team. Our support response times are as follows;

Normal 2-3 days


Extremely urgent 2hrs
Urgent calls 8hrs
Medium calls 1-2 days

Our address of technical problems escalation will be as follows:


Unresolved after 48hrs escalates to Product Manager (CRM system)
Unresolved after 72hrs escalates to Overall Technical Manager.
Unresolved after 1 week escalates to Managing Director.
