Hardware Maintenance (routine and non-routine),


Maintenance Scheduling and Maintenance Logs

Activity 1: Hardware Maintenance


1. Read through Unit 12: System Maintenance from Fundamentals of System
Administration (included in this handout), and answer the Self-Check Questions on
p172.
2. Type the questions in a word document called Hardware Maintenance
3. Type your answers
4. Get your work marked off as complete before you continue with the remaining
activities.

Activity 2: Maintenance Scheduling and Maintenance Logs


1. Use Microsoft Word to create the table that appears on p171
2. Save the document as Maintenance Schedule Template
3. Print the document (a blank table)
4. This document will be used to keep a record of each task you complete in the remaining
activities. Complete the table by hand as you complete each task.
5. Once the table is full, type your hand written information into the document
6. Print the completed document and save as Maintenance Schedule for Your Name

Activity 3: Clean your Computer


1. Complete Activity 12.1 (p165) step by step to clean your computer, monitor, mouse
and keyboard
2. Update your personal Maintenance Schedule as you go (see Activity 2 above)
3. Get your work marked (ask for the teacher) immediately after you have finished to
demonstrate your competence in this task

Activity 4: Hard Disk Maintenance (Homework)


This activity needs to be completed at home as you do not have access to the necessary
windows features on the school’s network.
1. Find and run the ScanDisk utility program (or equivalent) and analyse your hard disk
for errors.
2. Type out the instructions for how you did this
3. Get a screen print of the results screen (press screen print button) and paste this in the
document beneath the instructions you have typed
4. Find and run the hard disk Defragmentation program (or equivalent) to optimise your
hard drive
5. Type out the instructions for how you did this
6. Get a screen print of the results screen (press screen print button) and paste this in the
document beneath the instructions you have typed
7. Update your Maintenance Schedule (the handwritten version – type when you come
back to class

Activity 5: Referring to a User Manual


1. A copy of the user manual for the Canon LBP-810 has been placed on the ‘G’ drive at
school.
2. Find the section of this manual on cleaning the printer.
3. Copy, paste and save this information into a word document called Canon LBP-810

Competency Based Assessment Assignment -


Maintaining Equipment across an organisation
This activity requires you to organise a time to clean a computer (and printer) in a staffroom
or office somewhere in the school. Each student will be allocated a computer to clean which
you must complete in your own time.
1. In MS Word, use a document “Wizard” to create a MEMO to Head Teachers or
Administrative staff explaining that you will be performing some routine maintenance
(cleaning) on their computer equipment. The memo should adhere to office document
standards, with information clearly stated, including whom the MEMO is to and from,
and a subject field.

Important: Your MEMO will need to be checked and counter-signed by your supervisor
(your teacher) before you present it to other staff members.

The MEMO will be used to find out the following information:-


 The name of a contact person with whom you can discuss service requirements
 A suitable time for the work to be done
 A description of the work you will be doing
 An estimated “system down” time (the time it will take)
 Additional cleaning work required by the “client” for their computer
 confirmation of appointment – date and time
 an explanation that a staff member needs to be present and will be required to
compete an evaluation report based on the work performed and documentation
 your name and year (and email – optional)

2. Open the Maintenance Schedule Template that you created in Activity 2 and edit it in
the following ways:-
a. DELETE any information you have entered in the non-heading cells
b. DELETE the Floppy drive(s), hard drive(s) and cd-rom drive(s) rows
c. SAVE this new document as Maintenance Schedule for… (Faculty or office)
d. PRINT the document
3. Make note of the time and date that you will be completing the work and show up on
time when the day arrives. Also note any specific requirements that your “client” may
have.
4. Follow EXACTLY all instructions provided in this handout for cleaning the system unit,
keyboard, monitor, mouse and printer (if necessary) using Windex and a lint-free cloth,
and a small brush which you can borrow from your teacher. NB: As many students
will be borrowing cleaning equipment, you will be heavily penalised if you do
not return the equipment IMMEDIATELY after you have finished using it.
5. Complete the Maintenance Schedule you created in step 2 of this activity, ensuring that
ALL boxes are complete for each task, and fill in appropriate sections of the Hardware
Maintenance Evaluation Report.

6. Hand a copy of the Hardware Maintenance Evaluation Report (next page) to an
allocated staff member and ask them if they could complete an evaluation on your
service once you have finished.
7. Look around the computer workstation and make recommendations to improve the area
in terms of:-
a. Preventative maintenance (sunlight, wind, dust, spillages, etc)
b. Occupational Health and Safety (are their ergonomics posters near workstations,
lighting, ventilation, etc)
8. Report any recommendations you have made to the client and your supervisor, who will
support your attempts to follow up with strategies to correct workstations in an
appropriate way. Eg, you might need to find and distribute ergonomics posters to
workstations or move computers away form windows and glare.
