 Better communication in terms of emailing (neatness) and is sent quicker between people.

According to Bidgoli (2015), the basic components of an information system consists of Data,
Database, Process, and Information.

Data
Contains of raw facts. There are two types of data which are internal and external data. Internal data
contains data extracted from sales records, staff records, and other relevant stuff. External data are
extracted from things like customers, competitors, financial institutions, economic conditions, and
other thing that a company might not be able to manipulate.

Database
A database component is variety of data collected and organised into a series of integrated files. It is
important towards the success of an information system. A database system can be created using
Microsoft Access.

Process
This component generates the very crucial type of information for decisive moments which may
include transaction-processing reports and models for decision analysis.

Information
Contains facts that have been studied by the process component and has been made an output for
the information system. Information must have qualities such as: Timeliness, Integration with other
data information, and relevance.

In my opinion, of the fact that I took the liberty of developing an information system for John, and
the fact I had to explain its perks of having it as well as what components it contains. Not only that
but his job duties contain both technical and administrative activities, I would assume that he is both
computer and information literate.

CPU
The purpose of CPU is to process the input and output actions of computer peripherals and
applications as quickly as possible. A cost friendly yet efficient CPU that is best suited for John’s
computer system is the Ryzen 3 3300X which is a top contender in cost friendly yet reliable CPUs. (PC
Mag 2020)

According to AMD 2020, this CPU can clock up to 4.3GHz, it uses a system memory type of DDR4 and
has up to 4 CPU cores. In other words, it is capable of smoothly running 4 tasks without giving
problems.

It has a bundle cooler which will slow down the PC from overheating quickly while in-use. (PC Mag
2020)

The cost of this given $120 which is R2.151.19 according to Google.

Internal Hard Drive

The purpose of an internal hard drive is to store data, but an internal hard drive typically has pre-
installed applications depending on the system software you are installing. A computer may have
more than 1 internal storage for larger storage options. Techopedia (2020)

I would add 1 WD Blue 1 TB internal hard drive to handle all storage requirements of the PC which
will cost R799 from Takealot.com.

Monitor
Needed for every computer system mainly to project what the computer has. So, I have decided to
choose a reliable brand because they usually have warranties should you encounter and factory
defects.

The Samsung 21.5-inch LED monitor has an aspect ratio of 16:09. Contrast ratio goes up to
1000:01:00. Its response time is at around 5ms. Signal inputs can be switched from HDMI/VGA. Its
power source will not rely on the computer tower’s power so it will be independent and use an
external adapter. It is also wall mountable.

RAM
Purpose of RAM is store running programs and data for currently active programs and the higher the
memory the higher the speeding process. Webopedia (2020)
This Crucial RAM DDR4 that I have chosen will be able to process up to 8GB worth of data and
applications at a very high speed and can be doubled if a similar RAM is installed with another RAM.
This RAM consumes much less power which can extend battery life for laptops.

Keyboard and Mouse

The keyboard will have a full-sized keyboard, in other words all basic characters will be there.
Feature a QWERTY layout. 120cm length.

Mouse will have 3 buttons with an easy grip design. Both Keyboard and mouse will use a USB 2.0. It
will be compatible with Win XP/Vista/7/8/10, Mac OS and Linux

Power Cable
John will use a Baobab 3-pin power cable. The cable will use up to 250V and will be compatible with
many other 3 pin appliances, so if it had to get damaged it would be easy to replace.

Network Interface Card

The purpose of a Network Interface Card is to enable a device to connect to the internet. It can be
connected using a wireless connection or an ethernet cable. Study.com (2020)

The TG-3468 reaches up to 1000Mbps and is compliant with IEEE 802. 3 specs. Low power
consumption. MDI and MDIX auto detection.

For John I would purchase the workstation computer system because it would be convenient to
move around. A minicomputer has much less speed and features than a workstation computer. A
mainframe computer is just too big for his company and will not be supervising any other computers
that work for him because he will be the only one.

First off, I would start off with installing Microsoft 365 Business Premium. This software installation
includes a wide range of applications that John can use to run his business from applications such as:

Outlook to communicate with customers and other stakeholders via email and also a task and

Microsoft Excel to manage finances and making spreadsheets and also create graphs to project
progress of the subject at hand. Microsoft (2020)

Microsoft Word to create Newsletters and other documents that may require typing. Microsoft

Microsoft PowerPoint to create slide shows to advertise his products to customers, potential
investors, and other relevant businesses or people he may want to approach. Microsoft (2020)

Microsoft SharePoint, an application for storing and protecting data that can be accessed by outside
authorized parties. Microsoft (2020)
Microsoft OneDrive that will allow him to store his personal and private business data on a cloud
which can be accessed on multiple devices that he chooses to authorize by entering his details such
as passwords or identification methods. Microsoft (2020)

Microsoft Teams to communicate with clients and various stakeholders in real time which can
include video and voice calling, files can be shared to them simultaneously, tasks can be posted and
received through Microsoft Teams, this application allows collaboration to be made easy without
any direct contact. Microsoft (2020)

Microsoft Intune, which is a cloud, based application which will provide BYOD Endpoint
Management which help protect his business’s data. Microsoft (2020)

Azure Information Protection, which is also a cloud-based application which can provides
information protection of documents and emails by labelling and classifying them. Microsoft (2020)

Total Cost of Ownership is defined as the price of an asset purchased as well as cost of operation.
Assessing this means that taking a good look at the value of the product and what it will be
