OFFICERS:

PRESIDENT

• He preside over the meetings regularly.

• He has a certain qualities such as being humble, easily to deal with,


approachable, sense of humour, availability, loving, sincere, and understanding.
• He must coordinate to the Parish Priest, Spiritual director, Sisters in-charge all
the works and activities plans done with unity for the greater honour and glory of
God.
• His main task is to ensure that all the members fulfil their duties with
responsibility.
• He helps in organizing the activities with the moderator, Sisters in-charge.
• Gives an annual report at the organizational meeting.

• He must prepare the weekly schedule of service at Mass

• Attends the Diocesan meeting.

• Perform such other duties connected with his office upon the instruction of the
Parish Priest, Spiritual director, Sisters in – charge.

VICE PRESIDENT

• He takes over all the functions at the absence of the President.

• He assist and supports the President in all the activities of the


organization.

• Gathers the members during the meeting.

• Helps the President in maintaining the Spirit and disciplines of the


organization;

SECRETARY:

• Prepare, the weekly schedule and post it in the bulletin board.


• Takes down minutes of the meetings and members as regards meeting whether
special or regular ones.

• sends notices to the officers and members as regards meeting whether special
or regular ones.

• Check the attendance of the members at meetings or other gatherings.

ASSISTANT SECRETARY
• Takes down records of income and expenses of the organization and keeps in
order all the official receipts. He takes over all the functions when the secretary is
absent.

• Records the absences of the members and takes charge of calling the roll.

TREASURER:

• He handles the records of funds and properties of the organization.

• Makes report of the financial status of the organization.

• Collects the regular contribution from members.

• Helps the President and Sisters in – charge moderator in organizing the seasonal
outings and gatherings.

FUNCTIONS:

• Assist in the preparation of altar, vessels, vestments and candles before the
Mass

• Assist in the Masses, procession, Benediction and other liturgical celebration.

• Helps in the physical cleanliness of the Church.

• Helps in bringing the offerings to the Priest Convent.

Christmas gathering/Picnics/Outings

Every Parish is encouraged to enhance their friendship among each member.


CONVENTION:

There shall be a Diocesan Convention once a year, each member are encouraged to
attend actively all activities undertaken by the organization to promote a wholesome
inter-personal relationship among its members socially, morally and spiritually.

TERMS OF OFFICE:

Parish level: 3 years term not renewable

GKK Level: 3 years term not renewable

The following general Guidelines / Rules must be observed
by all members of St Francis of Assisi Mass Servers (KOTAS)
with strict compliance.

1. Must observed Church laws and regulations regarding Faith and Morals.
2. Must perform duties with outmost care and strict observance at all times of proper
conduct expected of an altar boy.
3. Accept constructive feedback for the betterment of the organization.
4. Return all lost articles / items which may be found especially in the church that
may have been left by person/s and deposit them in the parish office for future
claimants.
5. Must participate of the Spiritual Formation, Recollection or any other activities
undertaken by the organization.
6. Must be present during the meeting on Saturdays and if absent, one must send
on excuse letter signed by their parents/ adviser.... Addressed to the coordinator/
moderator.
7. Must report to their duties at least fifteen (15) minutes before the Holy Mass and
during special Liturgical Ceremonies schedule by the Parish.
8. Maintain neatness of clothes, cleanliness and orderliness of sotana and all
vestments needed during the services.
9. All Mass servers shall have a regular Confession.

10. Informs the coordinator/ moderator beforehand, should he be absent in the


service or look for someone who is available to take place.
11. Reports to the Coordinator/ moderator any problem or cases which may not be
capably handled by any member or officer of the organization.
12. Must exercise proper courtesy and reverence as altar server during the Mass.
13. Protect the Sacredness of the Blessed Sacrament as a true servant to His King
and Master (Jesus Christ).
14. Participate actively in all activities undertaken by the organization to promote the
wholesome interpersonal relationship among its members socially, morally and
spiritually.

MEMBERSHIP:
Classification of membership:
a. Knights - as members who have fulfilled the requirements of membership who
are recognized and formally accepted in the ceremony of admission and
investiture.
b. Aspirants - are those who desire to become a member of the Knights of the Altar
but still under probation period.

Admission Policy:
a. Recruitment – an aspirant maybe enlisted whether through personal application
written or verbal. Or through a regular member or as per recommended by any
reliable individual or group.
b. Application – an aspirant shall apply to the president who will in turn introduce him
to the moderator or sister in-charge. Must provide the GIDS and
undergo interview.

QUALIFICATIONS:
a. He must be a male and baptized catholic
b. He must 16 - 30 yrs. Old

c. He has received the first communion and frequently goes to Mass


d. He must possess certain qualities such as honesty, sincerity, teamwork,
capacity, and Obedience etc.
e. He must not be a member of an organizations and group whose principles and
practice contradict the teachings and doctrines of the church or group which may
endanger faith.

ORIENTATION/ FORMATION:
a. Before an aspirant is admitted to the Knight he shall undergo at least the
minimum period of three months probation from the date of enlistment.
b. An aspirant should not be allowed to serve the Mass and any similar functions in
the liturgical celebration.
c. Once an aspirant is enlisted:

 He must be taught with essentials on the Mass, Sacred Vessels, and Holy
Vestments.

 Mastery on the manner of Altar services

 Must follow faithfully and regularly the schedule of serving.

 Regularly attend Mass especially on Sundays and holydays of obligations.

 An aspirant who had incurred five (5) unexcused absences will be


automatically dropped.

 A valid excuse letter bears the signature of the parents or guardians


conforming to the reason/s of absences.

RE-ADMISSION:
a. Expelled members cannot be re-admitted
b. Dropped out members may be re-admitted as a new aspirant.
c. Spiritual director, President, Sisters in-charge shall act as the screening
committee on re-admission of members.

II. Basic Formation


1. All new KOTAS must completely undergo the basic formation program conducted
by the Parish Formation Committee, by the Moderator and supplemented by the
Parish Priest or Spiritual Director or Chairman.
2. Handouts given by the Moderator should be reviewed periodically as a refresher.
3. The basic formation given by the Diocese/ Parish needs to be completed by a
liturgical commissioning within the celebration of the Mass, to be presided by the
Parish Priest or the Spiritual Director or Chaplain.
4. Names of the newly installed / invested KOTAS must be announced to the
Parish Community.

III. Ongoing Formation (OGF)


1. The OGF of the KOTAS by the formation committee is mandatory:
1. 1. Failure to attend the renewal program is an adequate reason for suspension
from the society until such time that t he shall have attended the renewal
program.
1. 2. Prior to the annual OGF, the Screening committee / Formation Committee
created by the parish spiritual director must evaluate the candidates for
renewal on the bases of:
1.2.1. Fidelity to their responsibility during the past year of service (schedule
of services, attendance to meetings and formation programs)
1.2.2. And their moral standing in the Christian community.

2. The annual OGF Program of the Parish offered by the formation Committee /
Parish Priest / Moderator is intended.

2.1. To depend their formation


2.2. To enhance Liturgical unity in the Parish
2.3. To promote brotherhood among themselves in order to heighten awareness
of the sense of the local Church.
3. KOTAS must deepen their devotion to the Holy Eucharist, as part of their spiritual
formation. It is highly recommended that they exert every effort to join the
activities/ programs which promote love for the Eucharist. (E.g. adoration to the
Blessed Eucharist)

IV. Liturgical Attire


1. Each parish must have liturgical attire for KOTAS befitting the nature of lay
ministry and the dignity of the liturgical celebrations.
2. The approved attire for SFAP KOTAS is sotana, liturgical cape and surplice.

3. The mass server should wear black shoes with socks and black pants on
Sundays and other Feast days of the Church

V. Offenses, Process, Sanctions


1. When the offense has been committed, the evaluating committee and the Parish
Priest shall observe the following processes:
1.1. In case of a serious suspicion, that is, if suspicion has bases, the subject
shall be called for an explanation and warned.
1.2. In scandalous behaviour the subject shall be:
1.2.1. Notified in writing of the offense
1.2.2. Must be heard orally or in writing
1.2. 3. And sanctioned one of the following through writing

A. Voluntarily resignation—at any stage of the investigation/


interrogation, the subject may file a written letter of resignation address
to the Parish Priest or to the coordinator.
B. Suspension—upon the recommendation of the evaluating Committee
/ KOTAS officers the parish priest prohibit the offender of all or some of
his rights and functions attached to the society of KOTAS within the
specified period of time.
C. Expulsion-- this penalty shall only be imposed when a serious offense
has been committed.

2. An expelled KOTAS may be readmitted based on the recommendation of the


Evaluating Committee, the coordinator and the KOTAS officers with proof that
scandal has been sufficiently repaired, justice restored, the offender had formed
and upon the discretion of the Parish Priest.
