What’s New

The Member Portal is your go-to resource for FordPass Rewards and Lincoln Access Rewards. From
administering Rewards redemptions, to linking OAR accounts, to retrieving important information on member
transactions, the site helps you finish tasks quickly and easily.

We’ve made numerous improvements to the site. Thanks to feedback from users in Canada and the U.S.,
we’ve made the following enhancements:

New Look and Feel: The Member Portal has a revised design, with a more intuitive Member Information
section.

New Total Box: This helpful feature shows a running summary of discounts and offers.

Ford/Lincoln Offers and Surprise & Delight Features: Site architecture now includes space for future program
developments for our Members.

Improved FMPP/LMPP/LMP: We created a solution to help with the processing of FMPP/LMPP/LMP discounts
at the time-of-sale. For information jump to the How to Award Section.

These changes are just one part of our loyalty to you. We will continue to make improvements to the Member
Portal to help you, FordPass Rewards and Lincoln Access Rewards be as successful as possible.

The Basics

Accessing and Navigating the Portal


The Member Portal is accessible through Google Chrome, using your Ford-issued credentials. Do not share
your username and password, and do not use someone else’s credentials to access the system.

If you’re having issues accessing the Member Portal,


review the Troubleshooting the Member Portal
section in this document.

The screen you will see immediately after login will


be a dealership selection screen. If you have access
to more than one dealership location, this will allow
you to choose which dealership you are working
with at the current moment. Select the correct
dealership and Confirm to continue.

You can also access the Member Portal via the


related links section on FPRAcademyCA.com and
LARAcademyCA.com

Important: Google Chrome is the only supported


browser for the Member Portal.

The Basics

Home Screen
The home screen is where you will find all portal functions. The menu bar at the top provides direct access to
the key features. These are as follows:

Earn & Redeem: NEW! Details on members and their transactions. There are three transaction statuses
applicable to the Member Portal Earn & Redeem tab. This is where earning and redeeming actions take place.
The screen includes tabs for Sales and Service. By selecting a member’s Rewards History, you can view the
following statuses:

• Booked — transaction has been processed and applicable resulting events (Points awarding, notifications,
etc.) have been triggered

• Temporary — earn transaction from the Member Portal is stored and later used to match Service Repair
Order with member’s identifying information

• Rejected — transaction was rejected

Link OAR: NEW! A feature that will allow you to connect a FordPass Rewards or Lincoln Access Rewards
member account with an Owner Advantage Rewards account.

Transactions: View, search & sort transaction history of a dealership for specific transactions. There are
four transaction statuses applicable to the Member Portal Transactions tab. Reports will now be able to be
exported to CSV.

• Open — reimbursement claim request has been saved but not submitted. Reimbursement has not yet been
triggered. Open status transactions expire in five days, and the status changes to expired at that point

• Expired — claim request that has been saved but not submitted, and five days has passed without it being
submitted. Reimbursement was not triggered

• Claimed — a coupon/offer has been successfully claimed

• Redeemed — Points have been successfully redeemed

Training: Links to materials and assets for learning about FordPass Rewards and Lincoln Access Rewards.

Redeem OAR $: Redeem OAR benefits for customers who have not enrolled in FordPass Rewards or Lincoln
Access Rewards.

Looking Up a Member’s Point Balance and Transaction History


One of the most common actions in the Member Portal is the Member Search now located at the top half of
the page.

1. Select Earn & Redeem from top menu bar.

2. Enter the Member ID or Username (the
email address used to join FordPass or
Lincoln Way). Select Search. 2 3

3. The Member Details screen includes


key contact information, the number of
redeemable Points the member has in
their FordPass Rewards or Lincoln Access
Rewards account and the Member’s
Rewards History. The Member’s Rewards
History shows all transactions that took
place at your dealership.
!
! If the Client is not enrolled in FordPass
Rewards or Lincoln Access Rewards, an
error message will appear. After closing
out of the error message, you will be able
to select the Enroll in FordPass Rewards
or Lincoln Access Rewards link to help the
Client sign up.

Please note: If the member has not had a


transaction at this dealership, information on
the Member Details screen will be limited.
This member can still earn and redeem
Points at your dealership, and the next time
this member comes back for future service,
their transactions will be displayed.

In the unlikely event that the Member Portal is


offline, dealers should check the Points balance
by using the Client’s FordPass or Lincoln Way App,
or the Owner account.

Linking an Owner Advantage Rewards Account​


The linking of FordPass Rewards or Lincoln Access Rewards accounts to Owner Advantage Rewards
accounts has been handled automatically in most cases when the customer enrolls in FordPass Rewards or
Lincoln Access Rewards.​

However, if you have a Member whose OAR balance did not transfer to FordPass Rewards or Lincoln Access
Rewards, you can perform this linkage for them. To access this feature, select Link OAR and enter the
Member’s email address to find the associated account.​
Note: Customers cannot sign up for FordPass
Rewards or Lincoln Access Rewards without an 1
email address. If a customer would like to enroll, the
dealer should recommend the customer sign up for
an email address in order to enroll with FordPass 2
Rewards or Lincoln Access Rewards. Former Owner 3
Advantage Rewards (OAR) Members who did not
have an email address associated with their account 4
should sign up for an email address in order to
enroll in FordPass Rewards or Lincoln Access
Rewards.​

The dealer will need to manually link the OAR and


FPR or LAR accounts in the FPR Member Portal
or LAR Member Portal. See below for help linking
accounts.​

1. Select Link OAR from top menu bar.​

2. Enter the Member’s ID, Email or Username in

the Member Search bar to verify the FordPass
Rewards or Lincoln Access Rewards account
you will link.​Select Search.​

3. Enter Client’s first and last name, email, phone


number or OAR ID (Member number) in the OAR
Search bar ​Select Search.​

4. Confirm the member’s information is correct for


both search results, and select Link.

Plan if the Client is choosing to forgo Points for a
discount on a Ford Maintenance Protection Plan,
Lincoln Maintenance Protection Plan, or Limited
Maintenance Plan (FMPP/LMPP/LMP) — refer to How
to Award section for more details

» Sale Type

» Deal Number

» VIN

» Points to Redeem
- Enter the number of Points the member would like
to redeem towards their transaction

» Select any applicable Ford or Lincoln Offers


or Point Offers

» Verify information in grey Total box to the


right, and select Apply Rewards to submit
Note: If redeeming Points towards a vehicle
purchase, return to the Bill of Sale and include
the redeemed dollar amount as a discount, per
your dealership accounting practices.

» Search for the member, scroll down and


select Service tab

Ford Protect Contract /Lincoln Protect


Contract

» Reward Choice at Time of Sale


- Search member, scroll down and select the Sales
tab
- Choose the appropriate program (FordPass
Rewards or Lincoln Access Rewards), Discounted
Maintenance Plan as the Reward Choice
- Enter the Deal Number and VIN and select Apply
Rewards at the right
- Manually apply the discounted Points from the
contract deal — 40,000 Points for Ford, 60,000
Points for Lincoln and register the contract as usual
- Have the member fill out the Alternative Offer
Acknowledgment Form so the Dealer has a signed
record that the Client is choosing to forgo Vehicle
Purchase Points for a discounted maintenance plan

How to Redeem

» Redeeming Existing Points Towards a Ford


or Lincoln Protect Contract Purchase (Post-
Sale)
- Search for the member, scroll down and select the
Service tab
- Choose the appropriate program
- Enter the last 8 digits of the VIN in the RO number
section and the cost of the plan, and the amount of
Points the member would like redeemed and select
Apply Rewards
- Manually apply the discounted dollar amount from
the contract deal (based on number of Points
redeemed) and register the contract as usual

Parts & Accessories

» Complete form based on Parts Counter


Ticket Invoice

» Search for the member, scroll down and


select the Service tab

» Choose the appropriate program (Ford or


Lincoln)

» Enter Invoice number (Parts Counter Ticket)


in the RO number section and the dollar
amount on invoice

» Enter the number of Points the member


would like to redeem

» Select any applicable Ford or Lincoln Offers


or Point Offers

OAR Redemption Steps

1. If your Owner Advantage Rewards Member
hasn’t enrolled in FordPass Rewards or Lincoln
Access Rewards but wants to redeem their 2
OAR Rewards, select Redeem OAR $

2. Search for the OAR member using their OAR ID,


email, Full Name or Phone number

3. Scroll down and select the correct tab for either


a Sales or Service redemption

4. To redeem a Sales Reward select Create New
OAR Sales Redemption:

» Enter the new vehicle VIN in the invoice


section

» Under Ford or Lincoln Offers select Redeem
for each coupon to be used

5. To redeem a Service Reward select Create


New OAR Service Redemption:

» Enter the RO number and total invoice 5


amount in the invoice section

» Enter the number of Dollars the member


would like to redeem in the Dollars to
Redeem box and select Redeem

» If the member would like to use their free Oil


Change coupon, go to Ford or Lincoln Offers
and select Redeem

How to Award

How to Award in Sales


For Vehicle Sales Award
If the Member ID is not included when reporting a sale in Smart Vincent, dealers now have the option to link
the Sales Points Awarding process in the Member Portal. This ensures Points are awarded to the proper
account.

1. Search for the member and select the Sales
tab

2. Choose the appropriate program, Vehicle
Sales Award for the Reward Choice and the
appropriate sale type 3

3. Enter Deal Number and VIN they are


purchasing that day

4. The system will wait to award the Points until


they see the VIN reported sold and the modem
activated. Points will process after the last
completed activity

Note: This process is not required for Points


to be awarded. Dealers are still recommended to enter Member ID in Smart Vincent when reporting the
vehicle sale for Points to be awarded in a timely manner. Otherwise, the system will look to match sale
records, modem records, and FPR and LAR member accounts to award within 30 days.

For Discounted FMPP/LMPP/LMP (New Required Practice)


If the member chooses to forgo the Vehicle Sales Award at the time of new vehicle sale for an equivalent
discount on a Ford Maintenance Protection Plan, Lincoln Maintenance Protection Plan or Limited Maintenance
Plan contract, the following process is required.

Discounted Maintenance Plan as the Reward

Apply Rewards at the right

from the contract deal — currently, $200 for
Ford, $300 for Lincoln

How to Award Goodwill Points to Members


Dealers participating in FordPass Rewards and Lincoln Access Rewards have the ability to award dealer-
funded Goodwill Points to individual members at a discounted rate. This Point-awarding action is performed
in the Member Portal under the Member Search Tab.

General Rules Overview:


Points that a dealer awards through the Goodwill function are funded by the dealership at a discounted rate
of 80 cents on the dollar. For example, if 200 Points are worth $1, the dealership would pay $0.80. This
calculation is completed automatically by the Member Portal in step 3, outlined on the following page. The
dealership will be charged on their monthly Parts Statement.

Points awarded through the Goodwill function go into the member’s account as FordPass Rewards or Lincoln
Access Rewards Points and that member has the flexibility to redeem those Points at any participating Ford or
Lincoln Dealership.

This function can only be seen and performed by dealership staff with the following inford job roles:

• Dealer Principal • Sales Manager


• Office Manager • Service Manager
• Parts Manager

How to Award

Steps for Awarding Goodwill Points


Points are awarded to the desired account immediately after steps below are followed:
1. In the Earn & Redeem tab, enter the Client’s 1
FordPass or Lincoln Way Member ID or
username (email address) and select Search.

2. To award Points to the member’s account,


select Goodwill Points under current member

details.

3. In the pop-up screen, enter desired Points


amount or dollar value to award the selected
member. If entering a Points value, only an
even number will be accepted.

4. You will be prompted to check the box


confirming you want to add the amount of
Goodwill Points to the member. 3

Note: Goodwill Awarding will appear on the


Transaction tab, including the Dealer ID that
awarded it, the amount awarded, and the
member who received the award.

How to Account for Redemption Reimbursement

Dealer reports have been added to the Reports tab of the Member Portal and are accessible by management-
level employees. See below for a full list of inford job roles that have access to the Member Portal and/or
reports within it.

1. Login to the Member Portal.

2. Select Reports tab.

3. Select Report type you’d like to view, year/month, program, and


select Download Report.

Note: For OAR Dealer Migration Report, only year will need to be
selected.

How to Read the Reimbursement Report

Reimbursement Reports Codes

Dealer_code Servicing dealership’s P&A code

Troubleshooting the Member Portal

If you receive an error when attempting to access the Member Portal, please follow the troubleshooting steps
below.

Use Google Chrome


The portal is not accessible from any other browser.

Verify Employee
Verify the employee is set up in 3
inFord with a job role that is approved

Troubleshooting the Member Portal

Clear Browsing History


If employees use the same computer and one does 1
not have an approved role, the user that is approved
for access will have to clear browsing history between
sessions to gain access to the portal. This is due to the
Single Sign-On process that Ford systems use.

1. Select the three dots on the right corner of the


browser.

2. Select More tools.

3. Select Clear browsing data.

Member Portal Won’t Open


In the unlikely event that the Member Portal is offline,
dealers should check the Points balance by using
the Client’s FordPass or Lincoln Way App, or Owner
account.
