Project Scope
This is a basic overview to communicate our understanding of the fundamental needs of this

project. We propose to develop a completely custom, from scratch, e-commerce enabled web site

for Accra Psychiatric Hospital, with the goal of providing personalized support for your Patient,

with answers to common questions; assistance on specific products or services, provide a variety

of ways in which you can be contacted. Do all this without answering a phone or hiring

additional staff and positioning Accra Psychiatric Hospital as the online leader in their specialty.

Some of the Website Requirements for Accra Psychiatric will include features like: (a) the ability

to upload the services we offer, (b) the ability to assign patients to groups and doctors, and

enable enquiries and appointments to be made, (c) the ability to customize email templates and

doctor - patient communications, (d) the ability to capture more friends online for Accra

Psychiatric Hospital, and (e) Patient progress to be monitored.

The website will not include a connection to a credit card merchant account, but instead will

include a customized interface for Accra Psychiatric Hospital to manage orders in an efficient

way through existing methods. We propose to follow the Website Requirements that will be

documented and work closely with management while bringing our years of experience,

creativity, and organization to this project in order to achieve its’ goals and form a lasting

relationship. We are confident that our involvement in this project will bring it to a successful

launch, on time and within budget.


SERVICES

We will provide the following services during the development of your website:

• Develop a page layout, look and feel to be used throughout the site with username and

password, with your guidance using one of the standard templates.

• Register a domain name for you, I will review your domain name and help you to choose

just the right one for your website. My thoughts are that ‘Accra Psychiatric Hospital’,

‘Psychiatric Hospital’ or something similar should be included in the domain name with

possibly a word at either the start or the end to let our visitors know exactly what your

site is about. Testing the keywords for maximum profitability and deciding on the right

ones to use would of course determine which phrase we use.

• Design the navigation scheme according to your instructions.

• Develop 5 pages of new content including three articles written by the Managing Director

and two doctors; two pages of original content researched will be written either by me or

by a third party from management, all of which is acceptable to you as Management.

• Edit, optimize and incorporate content in the form of text, photographs and images

provided by you into the website.

• Optimize the website for search engine positioning using keywords

• Create a Contact Us page incorporating a form to minimize spam email messages coming

to you from your website.

• Create a Web-blog (Blog) page as part of our Search Engine optimization strategy for

your website.

• Provide technical support after the website is online.


While 10 pages of content plus other ancillary pages is a small website, it is an excellent start for

the online Psychiatric Hospital.

The more pages the better of course, and I’d advise you to keep building more content pages, say

at least 1 per week, until your site has at least 40 pages and if possible many more.

PROPOSED SITE MAP

The following site map is proposed. The site map may change during the development of the

website.

• Home Page – including an introduction to Accra Psychiatric Hospital, introducing you as

an enthusiast and a subscriber sign up form to capture your visitor’s name and email

address for follow up later

• Article Pages – up to 10 Search Engine optimized article pages, written by you, myself

and others pre-selling affiliate products and providing information to visitors searching

the web looking for information on Psychiatric Hospitals.

• A Web-blog (Blog) page for additional information

• A Contact Us page– including your company address, phone, fax, and an online contact

form to minimize spam email messages.

• A detailed Site Map – an outline of your website to aid both people and Search Engines

finding your web pages

• A Forum Page Section – Where clinical or management issues can discussed by all.

• About Page – this give a brief overview about the hospital and its history.
CONDITIONS

I’ve made the following assumptions

• A minimum of two images per page averaged across the site

• Images are defined as photographs, illustrations, animations, and custom graphics.

Features common to every page of the design (banners, icons, menu graphics, etc.) are

not considered images.

• Up to three hours of follow-up support during the first two months after the website is put

online. This support can be in the form of site modifications, minor updates, technical

support, or consultation.

• You will provide all images for the website. You will also need to provide me the text to

be used in 5 of the site content pages and the home page. I will write the text for other

pages such as Contact Us, Site Map, etc.

Budget, Timeline and Process


The timeline chart below outlines the budget, milestones and procedure we will follow to
complete this project. We follow a four phase process to ensure customer satisfaction and project
efficiency; our process begins with a discovery phase where we plan everything clearly, then a
creative phase where all visual elements are designed and approved, then a technical phase
where the visual elements are brought to life, and finally a review and testing phase.
