ACKNOWLEDGEMENT “Hostelite” refers to all residents staying in any accommodation, by

whatever name called, provided by the University College for the
accommodation of students

1 BEHAVIOUR AND DISCIPLINE
1.1 Hostelites are expected to display behavior, becoming of young
men and young ladies that is acceptable and conforms to the
Malaysian custom anywhere within the hostel complex.
1.2 Fighting or any kind of physical violence is not allowed within the
hostel complex. Hostelite found committing such an offence will be
evicted
1.3 Possession and/or consumption of any prohibited drugs in the
hostel complex or campus area is not allowed. Hostelite found
committing such an offence will be evicted
1.4 Vandalism is a very serious offence. Hostelites found guilty of
committing such an offence can or will be evicted from the hostel
or barred from continuing his/her studies in the institution. The
cost of making good any item vandalized will be charged
accordingly to the hostelite.
1.5 Viewing, possession and/or dissemination of pornographic
materials (hard or soft copies) in the hostel are strictly prohibited.
Hostelite found committing such an offence will be evicted
1.6 Possession of weapons or any items considered dangerous which
can be used to cause injuries or bodily harm is not allowed in the
hostel grounds. Hostelites who wish to keep any ceremonial items
that are deemed dangerous by the Hostel Management should get
approval from the Hostel Master. Failure in doing so will lead to
eviction
1.7 Hostelites found causing embarrassment; unsolicited compliment
regarding a person’s figure, dressing, make-up; send sexually
tainted jokes, rumours and comments; verbal advances and
suggestion of a lewd and sexual nature; sending, posting love
letters and notes; spreading false rumours with a view to tarnishing
other’s reputation will be evicted from the hostel and institution.

1.8 Smoking is not allowed in the hostel complex or campus area at
anytime.
1.9 Possession and/or consumption of alcoholic beverages in the
hostel complex or campus area is not allowed.
1.10 Parties or other social gatherings in the hostel complex are not
permitted without the prior consent of the Hostel Master.
1.11 It is the responsibility of the hostelites to keep the Hostel Master
informed, if they intend to stay away from the hostel, even if it is
just for one night. However, they must inform their
parents/guardians of their whereabouts.
1.12 Hostelites are prohibited from climbing over the fence or wall to get
in or out of the hostel complex. They must use the authorized
entrances and exits.
1.13 Hostelites using the swimming pool and other facilities must abide
strictly by all rules governing the use of such facilities. Pushing and
jumping into the pool is strictly not allowed.
1.14 A hostel campus should be a place where people can have the
best possible conditions for studying and adequate rest. As such
due consideration must be accorded to other hostelites at all times.
Noise level must be kept low to allow others the opportunity to
study or sleep in comfort. Televisions, radios, hi-fi sets must be
switched off or volume toned down after 10.00 p.m. These rules
are intended to ensure a conducive environment for all hostelites.
1.15 Ball games, roller blade/skate and other gym equipments that
deemed infeasible by the Hostel Management are banned inside
the hostel complex. Any banned equipment found in the hostel
complex will be confiscated.

2. RENTAL
2.1 Hostelites are required to pay their rental on a term basis as
follows:
January to April
May to August
September to December
and/or continue to cover a minimum equivalent of four (4) months
rental in advance
2.2 The rental is inclusive of water and electricity but there is a cap to
the subsidy provided by the Hostel Management. The cap for the
air-con units is RM550.00 and the non air-con unit is RM200.00 for
each and every month. Any amount exceeding the cap will be
charged equally among all hostelites of the unit.
2.3 The term rental must be paid by the FIRST DAY of the term.
FAILURE TO COMPLY WILL RESULT IN EVICTION FROM
HOSTEL
2.4 The Hostel Management reserves the right to revise the current
rates from time to time by giving one month’s advance notice.
3. TERMINATION OF HOSTEL TENANCY
3.1 The minimum tenancy is for a period of four (4) calendar months
beginning from the month of check-in. Any request for cancellation
or premature termination of the tenancy after check-in will result in
total forfeiture of all rentals paid.
3.2 Hostelites can terminate the Hostel Tenancy, after a minimum stay
of four (4) calendar months, by giving at least one (1) month’s
written notice. FAILURE TO GIVE ONE MONTH’S ADVANCE
NOTICE WILL RESULT IN THE FORFEITURE OF 25% OF A
TERM’S RENTAL FROM THE HOSTEL DEPOSIT.

3.3 Tenancy at the hostel will be terminated automatically after
(a) one full year or
(b) if the hostelite is no longer a bona-fide full time student of
Sunway University College or Monash University Malaysia.
However, in the case of bona fide full time students of Sunway
University College or Monash University Malaysia, tenancy is
renewable after one (1) full year, subject to availability of rooms.
3.4 Priority will be given to new full-time international/out-station
students.
3.5 The Hostel Management can terminate this Tenancy at any time if:
(a) the hostelite fails to pay any sums due to the Hostel
Management on the first day of the date due
(b) if the hostelite fails to comply with the Hostel Rules &
Regulation and/or any other term(s) of this Tenancy
4. CHECK-IN
4.1 Check-in of students are on working days
Monday to Friday 8.30am to 5.30pm
Saturday 8.30am to 1.00pm
4.2 If under any circumstance students were to check-in before or after
the working hours, a 3 DAYS written notice should be sent to the
Hostel Master prior to the arrival for necessary arrangement.
Students who arrive before or after the working hours without prior
consent of Hostel Master will not be attended.
4.3 Students are strongly encouraged not to check-in BEFORE the
specified check-in date. The Hostel Management do not
guarantee the availability of accommodations should students
come in before the specified check-in date.

5. CHECK-OUT
5.1 Hostelites are to check out all their personal belongings and vacate
the room latest by 12.00 noon on the specified checkout date.
Hostel Management reserves the right to vacate the room
without prior consent of hostelites by transferring all the
personal belongings of hostelites to the store room should
hostelites fail to comply before 12.00 noon.
5.2 If temporary storage is required, hostelites must pack their
belongings in box(es), label them with name and ID No. and be
solely responsible for transferring the belongings to the storage
venue. The Hostel Management is not liable for any damages and
lost of items stored in the said venue.
5.3 Hostelites who need to change the checkout date after the
Termination Notice is issued to them will have to notify the Hostel
Management in writing within 30 days of their termination date.
Failure to comply may lead to eviction from the hostel.
6. HOSTEL KEYS
6.1 Two types of keys will be given to hostelites upon check in
(a) Room Door – one (1) key
(b) Entrance Door – one (1) key
6.2 Hostelites are expected to be solely responsible for the keys and
are not allowed to lend the keys to anybody under any
circumstances. Hostelites are also not allowed to make any
duplication of the keys. The misuse of hostel keys will lead to
eviction from the hostel
6.3 Should there be any damage/loss of keys, hostelites should
immediately report to the Hostel Master. Failure to do so may lead
to disciplinary action being taken. RM25.00 will be charged for
processing of the new keys.

6.4 RM10 penalty will be imposed on hostelites who forget their keys
and would like to borrow key from the Hostel Management Office
due to whatever reasons at any one time. The borrowed key must
be returned to the Hostel Management Office within 15 minutes
whereby failure to do so will lead to a penalty of RM25 to be
imposed.
7. HOSTEL CARDS
7.1 Hostelites will also be issued a Hostel Card.
7.2 Hostel Card is non-transferable and is to be carried at all times by
the hostelite. Hostel card must be presented to the Hostel Master,
warden or any security personnel upon request
7.3 Hostel card is valid only for the duration of stay at the hostel and
must be surrendered to the Hostel Management Office before the
hostelite leave the hostel upon terminating his/her tenancy.
7.4 Hostel card is the sole responsibility of the hostelite and any loss
or damage must be reported to the Hostel Management Office
immediately. RM 25.00 will be charged for the processing of a new
card
7.5 Hostelite is prohibited to lend the hostel card to anyone under any
circumstances. Any misuse of the Hostel card will lead to eviction
from the hostel.
8. REFUNDS OF HOSTEL DEPOSIT
8.1 Application for refund of Hostel Deposits must be done in the
prescribed form obtainable at the Hostel Management Office.
8.2 The Hostel Deposit will only be refunded AFTER the hostel unit
has been vacated, the Keys and the Hostel Card returned, and all
other monies due to the Hostel Management have been settled.

8.3 The Hostel Deposit cannot be used to offset any outstanding
monies owing to the hostel. Hostelites who check out from Hostel
without clearing their accounts will have all the outstanding monies
being deducted from the deposit. An additional PENALTY
equivalent to 25% of the term rental will be charged to the
hostelites and be deducted from the remaining deposits.
8.4 Pre-refund of hostel deposit is STRICTLY NOT ALLOWED.
8.5 Refunds of all deposits will take approximately 6-8 weeks to be
processed. The refund can be collected from Finance Department
or sent out via post.
8.6 The refund of deposits in cheque will be made payable to the
hostelite’s name on request unless expressly specified otherwise
in writing by the hostelite or hostelite’s parent/guardian.
9. UPKEEP OF THE HOSTEL
9.1 Hostelites are responsible for keeping their rooms and the
common areas in the hostel, such as the lounge area, kitchen and
bathrooms clean and tidy at all times.
9.2 Single beds with mattresses are provided in all bedrooms and
hostelites are to bring their own pillows, bed sheets, blankets,
towels, study lights etc. A study table with chair and
wardrobe/cupboard are also provided for each hostelite.
9.3 Street shoes are not allowed to be worn into the hostel unit and
must be arranged neatly on the shoe racks provided.
9.4 All air-conditioners, fans, lights and electrical appliances must be
switched off when hostelite is not in the room/respective area. A
penalty will be imposed for failure to comply.

9.5 Cooking is not allowed. However hostelites may use their own
electric kettle to boil water. A penalty will be imposed on Hostelites
found cooking in the unit
9.6 Common hostel furniture must not be moved into other rooms or
from one hostel unit to another without the consent of the Hostel
Master. A penalty will be imposed for failure to comply.
9.7 Hostelites must cover their bed with their own bed-sheets at all
times. A penalty will be imposed for failure to comply.
9.8 Any damage/ loss of hostel property must be reported immediately
to the Hostel Master. Hostelites will be charged for any missing/
damage property except damages incurred by normal wear and
tear. (Refer Attachment 1 for the charges).
9.9 The Hostel Management reserves the right to make spot checks
on the hostel units and the bedrooms without having to give prior
notice to the students. Hostelites whose standard of housekeeping
is not acceptable will be asked to rectify the situation. Should there
be no improvement, the bedroom or unit concerned will be cleaned
by the cleaning staff and the charges incurred will be billed to the
hostelites. Housekeeping standard is in view of Hostel Master
whose decision will be final and not subjected to debate.
9.10 Handymen and contractors may enter rooms as and when
necessary in the course of their duty under the directive of the
Hostel Master. However every effort will be made to respect the
privacy and dignity of the hostelites.
9.11 The Hostel Management reserves the right to move hostelites to
other hostel units if there is a necessity.
9.12 Hostelites are expected to pay for the costs involved in cleaning;
repairing or re-painting of their room if they are not maintained in
the conditions they were in at the beginning of the check in except
for normal wear and tear. No nails, screw, poster and picture are
allowed on the wall, furniture and door.

9.13 Hostelites staying in rooms with balcony are strictly not allowed to
store their personal belongings at the balcony. Chairs or other
furniture are strictly prohibited. For safety reasons, hostelites are
not allowed to play around the balcony. All items stored or found in
the balcony will be confiscated.
10. VISITORS / GUESTS
10.1 Visitors/Guests are allowed to visit the hostelites during visiting
hours as follows:
Weekdays - 6.00pm to 10.00pm
Weekends and public holidays - 12.00 noon to 10.00pm
10.2 All visitors not staying in the respective hostel must register at the
Guard House and provide all details and documents as requested
by Security before entering the Hostel Complex and must leave the
hostel complex by 10.00pm.
10.3 It is the duty of the hostelite to inform his/her visitor(s) of the
visiting hours and to advise him/her/them to leave no later than
10.00pm. Hostelites found in the company of their visitor/s,
including family members, relatives, friends and/or any non-
resident in the respective hostel outside the visiting hours in
any part of the hostel complex without the prior consent of
the Hostel Master will be evicted.
10.4 Visitors of the OPPOSITE SEX, including parents, family
members, relatives, friends and/or anyone staying inside or outside
the hostel are STRICTLY NOT ALLOWED to enter the hostelites’
unit(s) AT ANY TIME, inside or outside the visiting hours, without
prior consent of the Hostel Master. Hostelites found with a
member of the opposite sex inside the UNIT at anytime for
whatever reason will be evicted.
10.5 Visitors including parents are not allowed to stay overnight in the
hostel units without the prior consent of the Hostel Master. Failure
to comply will result in eviction from the hostel.

11. SECURITY AND SAFETY
11.1 Hostelites are required to carry their Hostel Cards at all times in
the compound of the hostel complex and when visiting other
hostelites in their hostel units. They must produce the Hostel Card
when requested by Security or Hostel Management personnel.
11.2 It shall be the responsibility of the hostelites to lock all doors at all
times for the protection of their property and that of their
roommates and for security reasons. Entrance door and room door
must always be closed and locked after entering or leaving the
apartment.
11.3 Hostelites are solely responsible for the safety of their own
valuables. All bedroom door, wardrobe and drawers of study table
must be padlocked when the hostelites are not inside the room. A
duplicate key of the padlock should be given to the Hostel
Management The Hostel Management reserves the right to cut
the padlock without giving any prior notice to the hostelite concern
if no duplicate key has been lodged with the Hostel Management.
11.4 The Hostel Management shall not under any circumstances be
responsible for any damage, loss or theft of any property, money
and other items belonging to the hostelites and/or their visitors and
any personal injuries suffered by the hostelites or their
visitors/guests howsoever caused.
11.5 Hostelites are not permitted to change rooms or sleep anywhere
other than in their own bedroom without the consent of the Hostel
Master. Hostelite found violating the rule will be evicted.
11.6 Any hostelite who finds his/her roommate(s) missing for more than
48 hours, must report to the Hostel Master immediately. This is to
enable the Hostel Management Office to take immediate action if
any untoward incident had taken place. Your co-operation is very

12. LATE NIGHT PASSES 13. PETS

First Offence 15. ELECTRICAL APPLIANCES / ITEMS

The hostelite concerned will be told that his/her parents/guardians

returning later than the stipulated time. The hostelite will be told
that he/she would be evicted from the hostel if it happens the third

Third Offence
Eviction from the Hostel followed by letters to the parents and 15.2
Programme Director/ Director of Student Administration informing
them of the eviction.
Items of domestic electrical equipment may be brought into and
used within the hostel complex with the proviso that strict
adherence is given to the following:
(a) Equipment and connecting leads must be serviceable and in a
safe condition
(b) Strictly no cable running on the floor and from room to room
(c) Plugs must be wired in the correct manner and incorporate
fuses of the correct rating
(d) A plug must supply only one piece of equipment
(e) A total load on a wall socket must not exceed 13 amps

15.3 The Hostel Management reserves the right to take necessary

action it deems fit in the event that items found does not conform
to safety standards. This may include confiscation of unauthorized
items.

16. EMERGENCY

16.1 In case of emergency outside office hours, please contact (i) the
Hostel Warden on duty at the warden’s hostel unit or (ii) the Hostel
Master at his hostel unit or (iii) the Security Guards at the Guard
House.

17. REVISION OF RULES AND REGULATIONS

17.1 The Hostel Management reserves the right to revise the Rules and
Regulations from time to time and will keep the hostelites informed
of any changes in the form of memorandum and notices on the
Notice Boards.

 SUNWAY APARTMENT HOSTEL
FACT SHEET
Our hostel consists of 160 apartments. Of these, 24 apartments
are for staff and wardens, 5 for amenities and 131 apartments are for
students. These 131 apartments can accommodate 1048 students. Each
student apartment has 3 bedrooms, 2 bathrooms, a hot water heater, a
lounge and a pantry which is quipped with a refrigerator. Each bedroom
(including the extended room) is internet-enabled. A study-table and a
wardrobe are provided for every student. Single beds are placed in each
bedroom. However, students will have to provide their own pillows,
pillowcases, bed-sheets, blankets, towels and a padlock for the wardrobe.
The hostel rental per term per bed (inclusive of water and
electricity) are as follows:-
(a) 4 sharing (non air-conditioned extended room) RM1000.00
(b) 4 sharing (non air-conditioned near window) RM1320.00
(c) Twin sharing (non air-conditioned) RM1600.00

To apply your hostel accommodation, please complete the Hostel
Application Form and return it to the Hostel Master at the Hostel
Management Office as soon as possible. Currently only registered
Sunway University College and Monash University Malaysia students
will be considered for hostel accommodation.
Please note that priority will be given to new full-time international
and outstation students and places are allocated on a first-come-first-
served basis.
The Hostel Management

Meals can be taken either at the Cafeteria or the Food-Court just

outside the hostel. The Cafeteria and Food Court are open from early
morning to early evening. There is a Hostel Management Office that
oversees the smooth running of the hostel apartments. A Hostel Master
and Wardens are on duty on-campus at all times.

 SUNWAY CONDOMINIUM HOSTEL
FACT SHEET
The Sunway Condominium Hostel, which is operational from
January 2002, is managed professionally by a team of experienced
wardens to create a home away from home living environment. It consists
of 2 blocks of condominiums.
The facilities such as Security, an Olympic-size swimming pool,
scenic views, air-conditioned rooms, refrigerators and water heaters are on
par with condo living. Other facilities include a convenience store,
badminton courts, launderettes, 2 Internet enabled common study rooms
and Internet ports in every room.
We emphasise on clean, healthy and safe living and as such all
hostelites MUST provide their own pillows, bed-sheets, blankets, towels,
padlocks for wardrobes and other personal effects.
To apply for accommodation at the Sunway Condominium Hostel,
please complete a Hostel Application Form at the Hostel Management
Office or the Marketing Department of Sunway University College or
Monash University Malaysia.
Priority is given to full-time international and outstation students
and places are allocated on a first-come-first-served basis.
The Hostel Management

Each unit has 3 twin-sharing rooms and 1 room for single

occupancy to keep student numbers to a comfortable number of 7 per unit.
Each unit is furnished with essential furniture such as single beds with
mattresses, cupboards, study tables with chairs, a dining table and chairs,
lounge settee and kitchen cabinets. All units in Sunway Condominium
Hostel are air-conditioned.

The rental per term per bed is as follows:

a) TWIN SHARING (air con) RM 2320.00

b) SINGLE (air-con) RM 3120.00

The rental is inclusive of water and electricity but there is a cap to

the subsidy provided by the Hostel Management. Beyond that the
occupants will have to share the cost. The ceiling cap for the air-con units
is RM550.00 and for the non air-con unit, it is RM200.00 for each month.
The Hostel Management reserves the right to revise the rental and
subsidies by giving one month’s advance notice.
