Download a Certificate of Analysis


Within Shell eServe „Document Copies‟ allows you to view and download copies of a number of
different types of document in Portable Document Format (PDF), including Certificates of Analysis.

Certificates of Analysis are available for certain high performance products, and describe quality control
data for a particular lot/batch of product. If you are not sure whether a Certificate of Analysis is
available for a particular product, please contact your Shell Sales team.

To view and download a Certificate of Analysis:

1. Go to the left hand navigation menu, and click “Document Manager” followed by “Analysis
Document”; the Retrieve Analysis Documents screen is displayed:

 Note: In order to obtain a Certificate of Analysis, you will need both the product code and
batch number for the product you are interested in

2. In the Product Code field, type the product number of the product you are interested in

 The Product Code can be found on each delivery ticket

3. In the Batch Number field, type the batch number of the product

 The Batch number can be found:


 for Packed products - Printed on the product label
 for Bulk deliveries - On the delivery ticket (or ASN when used)

4. Click ; eServe retrieves the Certificate of Analysis you requested, as a PDF file, and
displays it in a new window

 In future the CoA for selected products will be available in a limited number of non-English
languages

Download a Certificate of Analysis – Examples of Batch Numbers on Packs

As Shell moves to a standard Batch Numbering scheme, customers may still see several different formats
of Batch Numbers printed on labels and on Certificates of Analysis. Below are several examples and
highlighted is the Batch Number to be used when retrieving the CoA document.

NB: Long Batch Numbers: In those cases where the Batch Number is very long then use the last 8-digits
of the Batch Number for retrieving CoAs.

Most often customers will see Batch


numbers on the Label or Pack in this

The number used to retrieve the CoA is


usually the first 8-digits

 10012745 = the unique Batch of the


product. Use this number in eServe to
retrieve a CoA

Other codes printed on the label are used


internally in Shell for identifying the plant
that filled the pack and the date of filling.

Batch Number = 65417

Batch Number = 11541802


(use the last 8 numbers – ignoring any
dates)

Download a Certificate of Analysis – Batch Number for deliveries of Bulk

Batch Number of bulk products can usually be found on loading/delivering documents and can also be
included with an ASN where that document is supplied.

Download a delivery document

Within Shell eServe there is a section called „Document Copies‟ which allows you to view and
download copies of a number of different types of document in Portable Document Format (PDF),
including delivery documents.

The ability to look up a delivery document on eServe is useful when you want to check what you have
signed for.

To view and download a delivery document:

1. Go to the left hand navigation menu, and click “Document Copies” followed by “Delivery
Documents”; the Delivery Documents search screen is displayed:

2. If you know the delivery number or Shell order number associated with the delivery document
you require, ensure you have selected the „Reference Number‟ search tab and type this number
in the Document Number field on the left hand side of the screen, and then click the down
arrow associated with the Search By field and click either “Delivery Number” or “Shell Order
Number” and then go to Step 4. Otherwise go to Step 3

3. If you do not have a number for your delivery document, for example a delivery number or Shell
order number, select the „Date‟ search tab and specify a date range to search eServe for
relevant delivery documents. Click the calendar icons associated with the From Date and To
Date fields to select a “From” and “To” date. Go to Step 4. The date range search tab is
shown:

 Note: The maximum time interval you can specify using the From Date and To Date fields is 35
days

4. Click ; eServe retrieves a list of all delivery documents which meet your search
criteria:

5. To download a delivery document from the list, click the checkbox on the left hand side of the
relevant document line, then click the icon; eServe displays a PDF copy of the delivery
document in a new window, for you to view, print or download
 Note: If you want to download all the delivery documents in the list as a single PDF file, click
the “Select All” hyperlink and then click the icon
 Note: If the delivery document is not available through Shell eServe then the select box will not
be active. There may be a time delay between a delivery completing, and the document
becoming available through Shell eServe.
