12-16 July 2011
The 58th SAPSF AGM and conference will be held at Rhodes University in
Grahamstown, Eastern Cape, from the 12th to the 16th July 2011.
RUPSA will be hosting you during this time and hope to fulfill your conference needs. Please
take the time to read through the information provided in this document, so you are fully
prepared for what Grahamstown has to offer you.
Accommodation
If you choose, you will be accommodated in a Rhodes University Residence room
Rhodes University residences have single rooms, with comfortable beds and a heater in every
room
All linen, blankets, pillows, duvets and towels are provided
Rooms will be allocated on arrival (all single rooms)
Please bring your own toiletries
Some residences have a place to put your own padlock where as others have an individual yale
lock. Come prepared with your own padlock (5cm)
Please bring your own laptop leash to secure your laptop when you are leaving it unattended.
Food
All meals will be served in the residence dining hall or in the case of some dinners, in another
venue. Meals will be prepared to cater for normal and halaal as well as vegetarian needs
If staying in the Rhodes accommodation, breakfast, lunch and dinner is included in the
conference fee
If staying in off campus accommodation, lunch and dinner is included in the conference fee
Morning and afternoon tea breaks will take place each day, where beverages and eats will be
served
Food is well prepared and well received by all conferences held at Rhodes
Please note
On Tuesday 12th July (the day of arrival) only dinner will be served
On Saturday 16th July (the day of departure) only breakfast will be served
If you have a dietary requirement, please indicate this clearly on the application form

Dress code
The weather in Grahamstown can be unpredictable in July. Sometimes, it can be really warm, but most
often, it is really cold. Take a look at the 7 day forecast before you pack your bag as a guide. But pack
for the unpredictable too. http://www.weathersa.co.za/web/
Dress formally for all SAPSF conference activities with some exceptions
There are themes for the evening functions which you will be notified about once you have
submitted your application form
Please pack comfortable clothes and shoes for wearing to the outdoor adventure race
Please pack a set of older clothes which can be worn to the community engagement activity
The following might be necessary:
Rain jacket / Umbrella
Summer clothes
Thermal Underwear
Your own camera (a photographer from Kodak Express will be available to take professional
pictures of the evening functions, which you will be able to purchase directly from Kodak in
Grahamstown)
Transport
Please take a look at the attached map so you can familiarise yourself with possible routes to get to
Grahamstown. We are situated on the N2, between Port Elizabeth and East London in the Eastern
Cape. By car, we are approximately 11 hours drive from Cape Town, Johannesburg, and Durban. Your
transport costs are for your own account, and options include using:
Your own vehicle to drive yourself here
Bus transport to Grahamstown (Greyhound, Translux, City to City) which brings you straight to
Grahamstown. Greyhound will bring you onto Rhodes Campus if you choose the “Kimberley
Hall” drop off and collection point
o If you are travelling on a bus which drops you in town, please notify us of the times of
arrivals so a shuttle can come and collect you
A group travel together from a university using transport offered by your university
Flights to Port Elizabeth
o If you choose to fly to PE, please use a flight which coincides most closely to our shuttle
service where we will be able to fetch you from the airport
o Please notify us of your flight times and airline carrier as soon as you have booked
o PE airport is a 1.5 ‐ 2 hour drive from Grahamstown when using a shuttle service
o Please note, there is NO shuttle service to East London airport

Community project
RUPSA, who is hosting this year’s SAPSF conference, has a relationship where they help our local
HOSPICE branch with donations whenever possible. We would like each member attending the
conference to bring something to donate to charity. Items which can be used include:
o Old or new clothes (any age, adult or child)
o Stationery, reading books
o Toys or games suitable for children
o Toiletries (soaps, faceclothes, towels, toothbrushes, toothpaste etc)
o Blankets
If possible, can each branch hold a collection before the end of term and bring items from fellow
members who could not be present at the conference
In addition to the collection, 2 hours have been set aside in the program for a community engagement
activity. Each delegate will have a chance to interact with a member of our Grahamstown community
and make a difference a day in someone’s life.

Socials
Each evening a social event has been planned after dinner
Tuesday : Ice breaker and Mascot introduction
Wednesday : Mikes’s Mug and Slave Auction (each branch to put forward 2 people to
be auctioned)
Thursday : Pirates, shipwrecks and wounds of battle
Friday : SAPSF FORMAL BALL
NOTE
Themes for each event will be sent to you in advance
SAAHIP clinical skills competition
SAAHIP will be running a clinical skills competition during the course of the conference.
Brush up on your skills and put yourself forward to compete in this competition to see who has what it
takes to be a great pharmacist with clinical skills. The prize for winning this competition is definitely
something to strive towards.
Fines
The conference committee reserves the right to fine any delegate for the following
Being caught for mischievous behaviors
Not complying with themes and dress codes
Attending meetings under the influence of alcohol beverage
Anything the Committee deems punishable
Fines will be discussed on opening night
Rules pertaining to fines will be decided by the Conference Committee and may be amended as
they see fit
Miscellaneous fines may be exchanged for cash fines ( ranging at R5‐R10)
Note
Attendance of all meetings all presentations and all social event is COMPULSORY

Cost of the SAPSF conference
Every effort is being made to secure sponsors for the conference. However, as a delegate, you will be
expected to pay towards your accommodation and some food costs.
Cost if staying in Rhodes Accommodation: R900 (early bird registration fee payable before the 20 June
2011) or R1000 if paid after 20 June and before 1 July 2011.
Cost if staying off campus in other accommodation: R500 if paid before 20 June 2011 or R550 is paid
before 1 July 2011. (With this option you do not have any accommodation costs or breakfast included in
the fee)
Please make sure that if you require internet access, you bring your ID book (Not drivers licence) or
Passport with you, along with your personal laptop and locking leash for your laptop. There are no plug
points available in the venue, so you will have to charge your laptops in your rooms at night.
So what does your money get you?
All meals and teas, including some beverages
A conference bag including all conference stationery
Wireless internet access inside the conference venue
An awesome conference where you will learn more about Pharmacy, and where it is headed in
the future, socialise with fellow pharmacy students from around the country, and experience
Grahamstown and all it has to offer
If sponsorship is obtained, you will also receive a conference T‐Shirt
