Duties and Accomplishments:

Administrative Assistant
• Handles all incoming and outgoing calls and take messages
• Responsible for scheduling meetings for all employees
• Maintains the staff’s calendar
• Responsible for making domestic and international travel arrangements include pr
eparing and applying visa application and accommodations
• Prepares expense reports
• Receives, sorts and forwards incoming mail for all the employees
• Responsible for faxes, copies and collates, scans documents and creates/maintain
s files
• Maintains, creates all records pertaining to visas, identity cards, customs, cle
• Keeps records and update Ministry of Foreign Affairs list of the Officials
• Types correspondences and generates office letters in Farsi and English language
for visa section: ( divorce cases, authenticity of a passports, lost passports
, announcements for the applicants and laissez-passer)
• Receives training request, prepares and assembles training manuals for marketing
and Implementation departments
• Manages all shipping and handling and tracks packages
• Order, purchase and maintains inventory of office supplies
• Responsible for customer order tracking
• Provides accounting support including purchase orders, invoicing, check writing
and receive payments using QuickBooks
• Bank account reconciliation using QuickBooks
• Creates vendors/customers Purchase Orders using Sage MAS 200
• Responsible for customer order entry, Invoice data entry and receipt of goods en
try using Sage MAS 200
• Deposits customers’ checks into company’s bank account
• Provides visa information to applicants and answered visa inquiries
• Preparation of invitation cards for Diplomatic Staff, controlled replies and fin
alized guests lists for all functions held at the Residences
• Receives visitors having meeting with the Head of Missions
• Maintains switchboard operations
