Recommendations for a Mid-Term Review Procedure

Adopted on February 10, 2009

1. During the first semester of an untenured faculty member’s service, the Department
Chair and Dean must have a conference with him/her to outline performance expectations
and the procedures and timelines for evaluation. The faculty member should be supplied
with the CCNY document, Policies and Guidelines for Reappointment, Tenure, and
Promotion. The document will be amended to conform to the procedures described
herein.

2. Annual reappointment reviews for every faculty member will take place as dictated by
current policy and practices except for review for the fifth year of reappointment, which
will be a more intensive review. This Mid-Term Review process would begin in the
Spring semester of the third year of service with the reappointment candidate’s
preparation of a CV.

3. For the Mid-term Review, each faculty candidate for fifth-year reappointment must,
with guidance and assistance from their Department Chair, prepare a full promotion and
tenure type CV. However, the activity reporting time periods will be appropriately
modified. Candidates may append a reasonable amount of supplementary documentation
and a narrative describing any special circumstances. However, the Department will not
normally solicit letters from referees. The Chair is ultimately responsible for insuring that
the CV is complete, including teaching evaluations.

4. In the Spring semester of the third year, the Department Executive Committee will
review the candidate’s CV and supplementary materials, and vote to approve or reject
reappointment. The Department Chair will prepare a Chair’s report addressing the
candidate’s performance as in Policies and Guidelines for Reappointment, Tenure, and
Promotion. If reappointment is recommended, the candidate’s CV with the Chair’s report
and supplementary materials will be forwarded to the Divisional P & B through the Dean.

5. In an independent and parallel procedure, after receipt of a recommended candidate’s


CV from the department, the Dean will hold a decanal evaluation conference with the
candidate and prepare a Dean’s report. The Dean’s report will be appended to the
candidate’s CV after the divisional P&B vote. If the divisional P&B has recommended
reappointment, the CV and supplementary materials with the Dean’s report will be
forwarded to the Review Committee.
6. If the faculty member is reappointed at midterm, the Dean and the Department Chair
must, within 30 days after the reappointment letter, hold a post-reappointment conference
with him/her. The conference will be held to discuss the faculty member’s performance
to date, strengths and weaknesses, and plans for the remainder of his/her tenure run.
Subsequent annual review for the faculty member will revert to the usual procedures
employed for annual review.

7. The above procedures apply to faculty in professorial titles only. A Mid-Term Review
process will be adopted also for Lecturers. Since Lecturers are on a five-year tenure
(CCE) clock, their Mid-Term Review reappointment review would be initiated during the
second year of appointment.
